Launching and Running a Medical Aesthetics Practice with Aesthetics Pro

I am extremely pleased with this remarkably comprehensive software - since it helps manage the medical, financial and marketing aspects of the practice. I purchased this software before launching a startup, and Aesthetics Pro has facilitated smooth operation in almost all facets of the practice. The EMR forms and templates have easily edited text and graphics. The side-by-side photo gallery, which can marked, is also simple to use; the staff spends comparatively little time creating comprehensive medical records. Clients can access discharge instructions from the client portal, or we can email them easily if left behind. We will take advantage of online booking and in-application messaging as we grow. But what really separates Aesthetics Pro from other EHRs is the seamless integration of marketing efforts and lead tracking. The increased efficiency (reduced staff time on redundant data entry) using a program that merges marketing software with EHR software. The lead list database in Aesthetics Pro has been crucial to our growth and success – converting a lead to client takes one click. Besides being able to send email blasts within the EMR, we can monitor the effectiveness of of all of our marketing campaigns – from print to digital to meet-and-greets. We’re also now able to track our referring clients, so we know those who like recommending us to others. Aesthetics Pro’s inventory tracking is also invaluable. Highest praise for this well-crafted, robust software.

CONS

The patient's allergies list/profile does not appear in the patient's dashboard, and does not pop up in any way while writing the patients' medical notes. Same for emergency medical contact. The training information comes only video format, so its difficult to look up the answer to specific 'how to' questions after the videos have been viewed. Fortunately, the support staff is extremely prompt responding to both basic and complex queries via an in-application communication system - so these questions are quickly answered. The way the consent and discharge forms are currently structured, we can alter existing forms, but cannot create or add new ones.

We have had issues with canned responses and the lack of technical knowledge account managers have; considering they are our POC. AP is still missing the mark when it comes to report creation and flexibility. The key to any business growth and profitability hinges on its ability to provide services that are best in industry and profitable to the business. Agile and customizable reporting is essential. AP reporting seems to be developed by assuming business want to be told what reporting is best and creating canned reports. While this may be true for some, its not the industry standard.

PROS

CSM is flexible and the GUI are easy to understand. EMR standards are critical to our business and AP meets those standards.

CONS

Reporting is very limited and doesn't allow for Power-BI, SAAS, integrations. I would be a game changer to have access to daily downloads of the data tables for our business, or a full reporting suite that gives our reporting team and our Account Team the ability to create and automate reporting from the entire BI table for our company.

Terrible customer service and support. Constant changes in their billing practices and costs (price creep). Our clients found the customer portal confusing and inconsistent. Their API is a challenge and didn't play well with other software that they claim to be full integrated with.

Steer clear!!!

Great Software for a great price!

It’s been a great experience. The EHR for charting is easy and convenient. The training sessions are always very informative. It’s nice to have an all-in-one system (charting, POS, marketing platforms, e-blasts, reports, photos, consents, treatment records, online booking). Very user friendly.

Sometimes the ticketing system can be annoying, although the support team does get back to you quickly.

[SENSITIVE CONTENT HIDDEN] is Amazing

I am beyond pleased with AestheticsPro and overall, it is the best "All-in-One" day-to-day business tool I have ever used. I brought AestheticsPro to Springs Body Sculpting from another company I previously worked for because of how much I like it. This is my first time on the "admin" side so that is where I am needing more help but overall it is the best software system around!

PROS

This software is incredibly easy to use and covers so many topics to make it the perfect "All in one" business management tool. What I love the most is the quality of support that I get along with this software. I am not incredibly "tech savvy" so I occasionally need to reach out to the support team for help. And I am always so grateful and impressed with the swift response and the explicit direction I get from the support team to take care of things. I have had the privilege of personally speaking with [SENSITIVE CONTENT HIDDEN] a handful of times as she guided me through various things; and I have to say: she is AMAZING! Her vast knowledge, customer care, getting me the answers very quickly, and above all her personable personality where I feel 100% comfortable and at-ease talking to are unparalleled! She is a true gem and I love that someone like her is able to support my business on her end. I feel 100% confident in her ability on the support end.

I do wish I could edit and customize the E-Configuration forms but it looks like my wish will come true soon enough! That would be my only "con"

Aesthetics Pro, the best medical record!

Since the beginning, it was a positive experience. Customer service and training sessions were excellent!

What I like most about Aesthetics Pro is that is a complete medical record, with all the features that we need. Is friendly user. Marketing and emails features are awesome!

CONS

I like everything but it will be great if you include intake and consent forms in other languages like Spanish.

Awesome customer service and an easy to use software system

This has been the easiest part of starting my business!! The team is very helpful and responsive to my emails.

PROS

Aesthetics Pro is easy to navigate, add services and products and has a very dynamic e-record creator. I was very pleased that the software has hundreds of pre-created consent forms, treatment records, provider forms for literally EVERY aesthetic service that I could think of offering to my clients. I can pick and choose the ones I want to see, easily alter and create entirely new forms and send them to my clients e-portal to sign. The medical record side of the software is very easy and pretty, lol. The calendar, appointments and even email response to clients is very functional and easy to use. I should know because I have set it all up myself. With the help on the Support Team, Support Webinar, [SENSITIVE CONTENT HIDDEN] and the rest of the Onboarding Team.

CONS

I would like to be able to add "disposable" products like syringes, gauze, needles that are not charged to the client and have the system provide a profit/loss with these items included.

This system does everything and is based in a cloud so all I needed was my computer. The decision was easy and all for a very affordable price.

Great Product

Client-specific organization and tracking along with direct POS system integrated into the software.

PROS

Product is easy to use without complicated screens. Easy to schedule and view client automated appointment confirmations. POS system directly integrated into software for ease of use both on the user and client's end as well as immediate invoice generation which can be emailed immediately.

CONS

Would like an easier function to save a credit card to a client's file so that address is not required in order to save for future use.

It's mostly easy to use. Nice to have the EMR option instead of using paper and folders.

CONS

Some functions, like prepaids, are hard to navigate and keep track of. It would be nice to give clients a credit option instead of giving them a gift card in the software. It would also be nice to not have to relog in for the kiosk mode after each patient completes their paperwork.

This is anti software.

Invoices cannot be adjusted without deleting them and initiating a return of all credit card charges without asking. So if you accidentally mark Alle Rewards as Aspire Rewards at checkout, or misapply commission to staff, you're doomed. Why is this so bad? Your accounting in AP can't be trusted unless you scour it, which I have to. And the commission report cant be trusted, so I have to inspect them line by line. You have to be perfect every step of the way, simple mistakes cannot happen.I probably have a response below about how they "Appreciate feedback and suggestions." But these are not defend-able design choices. These are implementations with zero thought. Also don't fall for AP Marketing. The emails they create are junk of the first order if you care about your image or brand. May as well hand deliver them to spam folders. In 2023, AP requires your uploaded logo image to be 20 pixels in size. TWENTY PIXELS! That's the size of a dime on an iphone. And they use it in the emails you generate!How cool would it be to have your EMR fire off an API call to Zapier or your constant contact to automate beautiful, professional, on brand emails to first time clients, new leads, patients due for their next treatment. But no. We leave all that on the table, because AP thinks its can compete with a multi billion dollar company like Intuit/MailChimp. All in one is not what you want. Get something that integrates like Aesthetics Record or Jane.

I do not believe this software's rating on this site for a single second. No one should rave about this thing. It is a plug your nose, close your eyes, and bear it experience.This is the epitome of a software trying to do too many things at once. And ending up doing everything poorly. Beyond that, some developer at AP must be messing with us. There are aspects of the software that couldn't be developed more backwards if you tried. I'm spending this review on a single thing in AP, that is representative of the entire software's design and user experience. Something as simple as setting a staff member's schedule for their availability to be booked online.How would you design this process? Probably, select a staff member, check some boxes by the days they work M,Tue,W,Th,F,Sa,Su. Then type in a time range like 9am-5pm, hit apply schedule and then never think about it again. Here is how AestheticsPro thinks this process should go:First, AestheticsPro assumes the selected staff member works every second of every day. So we need to tell AP when the staff member does NOT work. To do this, we select start/end times for each day of the week they work. Instead of typing in a start time in 5 characters, AP gives you a dropdown menu to chose times from. In FIVE MINUTE INTERVALS from Midnight to Midnight. That's 288 options to scroll through to select ONE start time for ONE Day. Okay, we do that for the days they work. We done? Nope! Continue in the Cons section...

CONS

... Because you have only set this staff member's schedule for this week. You must repeat this process for Every.Single.Week. you are open. FOR ETERNITY. You go week by week as far out as it lets you, manually setting every staff schedule, one week at a time.Then you set a reminder in your phone to periodically go back into AP and extend the staff schedule out farther into the future. Every few months. In fact, as I type this, I'm a bit concerned I forgot to do this last month. What happens if you forget? Well, aesthetics pro assumes your staff is working every minute of every day. And clients will begin booking online for time slots your staff member does not work. This is the kind of tedium, anxiety, and stress working with aesthetics pro gives. Their decision to give complete flexibility to schedule any random time on any random day 3 months in advance results in EVERYONE having to schedule as though they need this kind of flexibility. If someone needs a different schedule every day of every week for 3 months out, make them jump through hoops. Instead, every single user of AP has to. This kind of junk UX is systemic in aesthetics pro. Here's a very incomplete list:The online booking clickable calendar is backwards. Days they CANT be booked look like they are supposed to be clicked on, days that CAN be booked look unavailable. ...

Reason for choosing AestheticsPro

I overestimated the importance of EMR flexibility and an all in one "solution". I know now it's not reasonable for a company that caters to a niche corner of a single segment of the market to have the resources and talent to do these things well.Oh here is some real good jank from AestheticsPro. It comes with a TON of prebuilt consent/treatment forms. That's awesome! But if you use a prebuilt form that requires a signature, the client has to click on a little icon at the end of the signature line. Then a signature box pops up where they can sign, hit save, and to back. The laughs you will have watching your clients scribble with their finger/apple pencil on the signature line before you tell them to click the icon to sign. Not jank enough? Well, if you decide to create a custom form that requires a signature, the signature box behavior is completely different. It is embedded in the form and you can just sign in it directly.So once you explain to the client how the prebuilt signature works, you then get to re-instruct them on how the custom form signature works. Who doesn't like two completely different methods of achieving the same thing on back to back consent forms? Talk about a good impression to new clients.So you just create all your forms from scratch to use the better signature option. Negating the benefit of having those prebuilt forms in the first place. Also patients can book online 1 millisecond before a time slot and there's nothing you can do about it.

Wish we could have made it work

We tried to work with the support team to gather data, screen shots, videos of errors and be available around the clock to help them trouble-shoot in the hopes of finding solutions so we didn't have to start all over with a new EMR but they unsolicited offered to let us out of our contract without penalty instead so I assume they didn't foresee a solution in the future. We also confirmed with other practices that they have had similar issues but maybe not as often simply due to the fact that no one was spending hours a day going back through charting to confirm accuracy of inventory/records/etc. But if noted without searching for problems then most likely there were more undetected.

PROS

Simplicity of use; customer service promptness in replies; and Cost.

CONS

It is full of glitches that are not related to user error. We spent multiple hours a day trying to problem solve within the software. Turns out they have several display errors and other issues that are not designed practically. For instance, it was tripling our inventory simply based on the fact that we had 3 staff members included in the appointment so it could be on their calendars but it was tripling the services also; which doesn't make sense because there will always be more than one staff for surgeries/procedures/etc that need to have on their calendar but should not add additional services and products for patient with each staff member included on appt. And the actual services entered were verified to be entered correctly, one time. Also, the records were not saving all the data and diagrams, even though we were in fact saving and using recommended browser. Records were half empty when we went back in to view later for a refresher and it was multiple charts and we videoed our staff charting and saving and getting confirmation of saved and then going back in and it was partially gone. This was just a couple of the many issues we faced.

Reasons for switching to AestheticsPro

Completely dysfunctional if I can't have records saving data for legal reasons and practice accuracy and functionality and also cannot have discrepancies in reports. If there were answers to why the errors were occuring and therefore a reason to give for how to fix, whether user error or not, than we could see trying to rectify but we were time and time again told, "we don't know why it's happening but will look into it." And that doesn't give us a permanent solution.

However, as discussed in previous correspondence many of the issues being experienced are indeed end-user or set up related errors that could easily be rectified. This was noted as multiple attempts to recreate issues with our support team were unsuccessful and apparent glitches were only presenting when our team was not on share screen with your staff. With that said, a display issue was uncovered that ended up being directly related to system users erroneously voiding invoices multiple times. We do offer multiple training sessions to ensure your staff is up-to-speed with the functionality of the software and that set up was done properly; but these offers have been declined. Ultimately, this is why we optioned to waive cancellation fees - in order to ensure you felt comfortable with the choice you had to make. The success of your business matters to us! Horrible customer service, records lost, waste of time and money

Lately, not very good at all.

Integration was easy unfortunately that's all that was.

Half of the documents don't save - when asking customer support for support they only ever say they can't reproduce the problem and therefore the problem doesn't get fixed. Customer support - takes hours and then no support, every time, waiting for a response/fix/support the question is answered with a question, what type of computer what browser, have you cleared your cache, do you have the latest update...answer these...the same every time, then wait again for an answer or some help with the software problem...working on the same problems for well over a year now, still no resolve. Spending more time and money paying my staff to submit 'tickets' for problems then for them to be able to do what I'm supposed to be paying them for; seems we're giving customer support to APs customer support staff more then they are giving us support. Staff report the responses seems to be getting less and less supportive, and that they are receiving less than professional responses. The amount of time we spend trying to get assistance is unbelievable. The customer support keeps closing the 'tickets' even though they haven't fixed the problem (s). Seriously need to revamp their 'support'

Very outdated, unnecessarily complicated and not user friendly at all.

PROS

A lot of functionality integrated in one system. That is about all I can say that is good about this software.

CONS

We have ongoing technical issues and features are not user friendly. Patients complain on a daily bases about the online scheduling system. For example, the updated scheduling system was way overdue and we were looking forward to an easy to use patient experience. BUT, for example, if a day is fully booked, the patient can still click on that day on the calendar. Why not block it out? Once they click on a booked day on the calendar, it just does not show any times and it does not say anything like 'No available appointments today'. So, once the patient gets passed the confusion about why they are stuck at this point, and why there are not times to click on, the patient has to toggle through days and days till finally finding a time slot if you are fully booked for a while. Why not have a button that says 'next available appointment'? We get complaints every day and I am wondering how many clients we have lost because of this new, but still so outdated system. That is just one example of many how outdated this software is. Once, all our services in our service list disappeared except one, and they blamed it on us. There is no App for the doc to quickly check or manage the appointment schedule. I can go on and on. Overall, we signed up with AestheticsPro to make our daily work easier, it has gotten much harder and started to look for another solution.

Our office is dependent on AP, but we love that we have remote access and options if our internet is down and you just can't beat that.

PROS

The technical support is probably the best part of AP, because there are always little problems that arise. If tech support is unable to help over messaging, they will set up a call. I've worked specifically with [SENSITIVE CONTENT] the past few times and he is knowledgeable, courteous, and effective.

CONS

I would love for the Next Available Appointment feature to work properly. We may be using it incorrectly, but the training on it is either flawed or the feature itself is because it malfunctions so often it is useless to us. It's a GREAT concept, our entire office just wishes we could depend on it working correctly. It will book appointments in blocked off times or in the wrong rooms which leads us to more issues because you cannot see the appt on the full calendar to double check errors when using this feature. We really wish it functioned correctly.

Great staff but not an up to date software compared to other systems

PROS

The support staff and my account manager are stellar! The system always works and never had an issue with the system being down or not working. Clients like the online portal to manage their appointments, services and send messages. My nurse does like the features of treatment notes via the software as well.

CONS

Compared to other software options, this software needs a few upgrades. Mobile app access, more streamline options of managing (adding and modifying) software. E-Records set up and the form builder needs to be updated. Limited app integration. And it is expensive.

Very Disappointed. Not easy to use & customer service is poor. System is clunky and outdated.

I understand that not all software is for every practice. That is why it is nice to be able to have a trial period to delve into the daily functions before you can see if its right for your needs. The most disappointing thing about AestheticsPro was from the beginning, once we signed up, it took them 2 days to reach out, another several days to schedule "on boarding call" then once we started using & found that its not a good fit, we tried to cancel. From the delay of customer support to emailing the "right person" delay after delay, they tell us that there is a penalty for cancelling outside of 30 day. I do not recommend this company as I think it is not easy to use & customer service is poor.

PROS

I was looking forward to switching over. I do like the ability to customize and use pre-set consent forms & intake forms. I like being able to upload before & after pictures, put them side by side.

CONS

Calendar & scheduling is a big thing for us. We are not always in the office or at a desktop when clients call or text for an appointment. In order to look at the schedule, you have to go into Chrome, log into website and look at schedule which is very difficult to put clients in or reschedule on a mobile device. Software is not intuitive and there are too many steps to document service. Customer service takes too long to get back to you.

Comprehensive EMR, POS, scheduling, marketing systme

Compared to other softwares for med spas, it is still the easiest to use.

PROS

The system is user friendly, comprehensive, easy to set up, it is now integrated with Patient Pop, our online scheduling software via our website.

CONS

Better fees with the merchant processing. The marketing feature is hard to learn, lots of kinks and needing to reset to save, it feels old. There should be a way to make sure clients are giving us a valid credit card number when scheduling an appointment.

Don’t be fooled.

An ongoing battle with forms not saving, pages sticking and won’t scroll—Making clients and staff very unhappy. Chart forms that won’t capture the data entered. Needing new forms created that take months to get back. There is no way to run a client report showing you their yearly expenditures. There are no marketing retention reports that can be pulled. New features are only added if enough current clients complain about something.

It’s early on promises to be one stop for scheduling, charting, marketing.

CONS

Customer support is NOT into solving issues. I have talked with one guy that I was asking questions about the marketing reporting and I knew more than he did. And come to find out those ‘drip campaigns’ have NO functionality to run a report on who got them. Crazy.

Clunky software, poor customer service, having major regrets

Save your self! Search for a different company.

PROS

I like that you can upload pictures and do echarting.

CONS

I strongly dislike their customer service. Every time I have a question for the setup the account manager send me tons of information and expects a small business owner to read a bibles worth of material. Wait for it...it gets better. The customer service phone number only takes messages. So if you have any questions or are stuck, your progress will be delayed. Other software companies have their FAQ's listed on their portals. They have screen shots and they populate easily on Google. Also our current company that we are working with has an awesome customer service line that you can call and their staff is so well trained. Switching in this aspect has been a disappointment to say the least. We are paying more now for extra features but I am not sure that I would have made the same choice had I known what I know now. All I can do now is share my reviews everywhere for any small business owner like myself to be aware. The setup is a night mare which was expected when you are customizing your own platform. My recommendation to this company is to hire more people and train them so well that your clients are not tempted to seek a different platform. We are even thinking about eliminating this transition and sticking with our old company.

She knows her stuff and when she doesn't know the answer for something, she keeps her word when she says she will create a ticket with more info. She is so sweet and seems to really enjoy her job AND working with people. I cannot tell you how much a blessing she has been! She is patient, kind, thorough, consistent, professional. I wish everyone is customer service was like [SENSITIVE CONTENT HIDDEN]. She should be training everyone in support if she is not already. Just getting to work with her, and knowing she really cares and will answer my questions is so soooo reassuring and makes Aesthetics Pro worth it all on her own. I have spoken with other support and they are nice too but [SENSITIVE CONTENT HIDDEN] goes ABOVE AND BEYOND!
