The functionality and features are fabulous, we got up and running really quick and the benefits it bought to our team were great. We were working quicker with less errors and better communication with our Tutors. #### Cons We are a small business and cant' afford to pay for the development of our bespoke processes. However, as a start up, there is so much potential for Tutor Cruncher to grow. All of our processes are not currently supported by Tutor Cruncher, however many of our business requirements are met. It is an exciting journey to be on with Tutor Cruncher, as they are open to our feedback and ideas for additional functionality for the system to be driven forward and grow as a product. No incentive was offered TutorCruncher seems to be a small company that is spreading themselves too thin. Their main platform has great potential, but it either works for you or it doesn't. There is no customization unless you hire a developer, but then you have to pay around $200 a month to be able to access whitelabeling and custom CSS. Currently the company is looking to add additional features without fixing old issues that are making their system outdated. Although our business is located in the US, the platform still does a great job with managing some of the basics. With TutorCruncher, you can offer private and group classes online or in person. You can also automate sending out links (using 3rd part conferencing platforms) for upcoming sessions. You can easily bill your clients and tally up payments for tutors and trainers. #### Cons TutorCruncher has made it very very apparent that they are focused on increasing revenue. With several of their last updates, you can see that additional charges are going to be added. For example, you can white label the platform, but you have to pay $100 a month for the domain and now they want another $100 to utilize custom CSS... Really???? And the problem is that it is not intuitive whitelabeling.. .you need a coder to get this set up and continue to maintain for you. The next part that has been a massive fail is their attempt to offer a video platform with recorded sessions for students. Their system has been slow, buggy and more expensive than other proven technologies... Instead, they should focus on ALLOWING their integrated video platforms to easy share video recording access... THat would be a huge win for their customers. Everything that is added is based on the UK, so they add new features that really are relevant to the tax system in the UK. (from billing and payment perspective) Now they are thinking about adding in an LMS... Personally this is too little too late. With so many robust LMS options out there and with the poor quality from their launch of their video platform, I feel they are putting their efforts in new ways to generate revenue rather than improving the clunky experience of their current platform. Customer service is poor. If I ever have an issue, I am either told it is a feature that is coming, but never does, or that I need a developer to figure it out. #### Reasons for choosing TutorCruncher TutorCruncher looked a bit more professional and had a closer setup to what we were using prior to switching. #### Vendor response Hi Stephen, thank you for taking the time to share your detailed feedback. We are a fairly new tutoring company and this tutor management system has allowed us to present our company in a very professional way. From the tutor profile listings on our website, email reminders, one-click links (LessonSpace) down to the Transfer Wise payment / Accounting system, we are very happy with how we were able to create and integrate the system and make it our own. #### Cons There was a bit of a learning curve at first, but the videos help out a great deal. Batch scheduling can be super time-consuming. I wish there was a way to import an excel spreadsheet of client/student's name, date, and times especially if it's the same students and times for the entire school year. No incentive was offered TutorCruncher is a great product that is generally well-supported and seems to be growing. My company has around 1500 hours documented in the software so far. If you are serious about creating a robust tutoring business I recommend Tutor Cruncher. If you think you may just stay independent I would recommend one of the cheaper tutor management products or just using the Google suite. #### Ratings breakdown - Ease of use: 3/5 - Value for money: 4/5 - Customer support: 4/5 - Functionality: 4/5 #### Pros This software is fantastic for documenting tutoring sessions and keeping track of payments from clients and to tutors. If they roll out the UK features of split disbursement and lower credit card fees using a native payment within the app to the US it will be even better. The API and API support is also excellent #### Cons The calendar synch is one-way and delayed. That may not be a big deal for a brick-and-mortar tutoring business using employed tutors. However for my use case (100% virtual tutoring using independent tutors using different calendars and meeting software) the lack of an effective calendar synch means many of the scheduling and availability "features" are actually in the way and confusing to clients. We can only use tutor cruncher on the "backside" of the appointment to document and charge. As an example of a feature that is desperately needed, the availability needs to be able to automatically update when a tutor schedules something on their personal calendar (similar to Google Calendar appointments). As it stands a tutor would need to constantly manage their tutor cruncher availability. It just isn't worth it for tutors who are doing this part time. Another issue is that there is currently no way to have fields that only a tutor sees but are uneditable for the tutor. I would love to communicate various poliies and information to turtors inside their TutorCrucnher accounts, but tutro custom fields are editable by the tutor. Seems like a a relatively simple function to no include. #### Reasons for choosing TutorCruncher Best payment processing and robust API. You get great weekly analytics summaries of how the business is progressing (although a monthly summary email would be also really useful!) and the invoicing system works well for tutors and parents. #### Cons Some of the analytics on the dashboard could be more detailed. I would like the option to view turnover and profit figures inclusive of the Stripe fees. Plus the ability to clearly compare a certain period this year with last year's data to aid analysing business progress. (like Xero offers). Our tutoring team would love there to be a built-in spell check for reports and outgoing emails! #### Reasons for choosing TutorCruncher As it was two years ago, I don't have the names of the alternative products that we were considering. That said, at the time, we had built a spreadsheet to compare features and pricing. We set up initial consults with the different companies, as well as did a trial of the product. We found Tutor Cruncher's staff to be the easiest to deal with. We knew this would be crucial during the implementation stage and something we'd still continue to appreciate! In our initial conversation, we appreciated that there wasn't a set script that was "Well, that's just the way our system is set up."
