eSpace Software


 

eSpace is a cloud-based facilities and maintenance management suite. It caters to schools, churches, offices, and the property and hospitality industries. Primary features include service and resource scheduling, equipment cataloging and tracking, inventory control, vendor management and asset management.

eSpace offers work order management and life-cycle calculator capabilities within a suite. Other features include work-order email notifications, reminders and alerts, data migration, depreciation schedules, tracking a resource’s remaining useful life and capital-reserve budgeting.

Users can manage events, maintenance activities and work orders. eSpace offers integration with Outlook, Google, Eventbrite and other COOL SPACE software modules such as HVAC scheduling and wifi monitoring.

eSpace is available with tiered monthly subscription pricing. The software also offers mobile apps for iOS and Android devices. Customer support is provided via email, through video tutorials, website wiki forums and over the phone.

Customer service with eSPACE is outstanding! Always quick, courteous and professional and they are willing to consider, and implement if possible, any changes/additions to the program that may help it function better for you. That alone is worth the cost of the program.

Pros

This program has been a great help in coordinating the usage of the facilities on our campus. We were able to configure it to specifically work for our facilities, equipment and set up. My role is specifically in event set up and tear down and I find this program a very useful tool in coordinating and planning these tasks.

Cons

It took me a little more time to get to know the program and feel comfortable with it, but that is probably due to the fact that I did not need to utilize it on a daily basis. The one draw back for me was that some pertinent information did not crossover to my iPad as it appeared in the computer.

eSpace in general is a great way to manage your meeting spaces and allow the office to staff to remain organized when it comes to having meetings.

Cons

The interface is a bit confusing for the first time user. Being able to see what is reserved and what is available seems to take more steps than needed. You should be able to click the calendar and it just show you what is reserved. In this case you have to go through the filtering process to filter the calendar every time. The interface could be simplified and the responsiveness of when I select a tab could be quicker and smoother.

I like that you can edit a portion of the event/space/occurrence without having to start from scratch.

Cons

You cannot edit the title of the event. I don't like how the pop up when you scroll over the calendar interferes with the zoom software I use.

Calendar view is a great way to find all the events in once place. The filter feature makes sorting very easy in calendar view.

Cons

Limited selection for notification method. Notifications are all displayed on dashboard without any differentiating criteria regarding the notification itself.

The functionality of the program depends largely on what your administrators put into the program. If the program is not properly set up to begin with, it does not function well for the user.

Pros

It is simple to learn and appears to be highly customizable for our organization.

Cons

The mobile app is not easy to read, especially the calendar feature. I end up using the full website even on my smartphone.

Going from EventU to this has been a fairly simple transition. The cleaner interface is nice to see. Finding rooms that are available to sign up for has been easier to do.

Cons

Like most management software, you get out what you put into it. Our team originally wanted to have a form built for clients to fill out when they had requests that hit multiple teams. That form hasn't really come into fruition​.

There should be more than one person per team that can approve requests within the software.

The calendar view could be a bit cleaner on the ​first load, like say when you get the end of a month, you still have to scroll all the way through to find the current day. That could be cleaner from a user-standpoint. Say if you hit the "today" button, it actually took you to today in the calendar view. OR have the day view as default? The condensed​ view makes it seem like every event is canceled​ with it being grayed out.

Why aren't there any building maps that are easy to find in this tool?

I take care of scheduling a mega church plus 2 additional campuses. eSPACE has made that task so manageable! I don't even want to think about life before eSPACE!

Pros

With this program being web-based, our staff and volunteers can reserve space from anywhere. And, everyone has access to a real-time calendar of events and locations.

Cons

I a little computer challenged so my learning curve on the new software is taking longer than I would like.

The calendar aspect of eSpace is great, we use it all the time. The amount of filter options is great.

Cons

The way that the layout of the calendar is before you filter things out is a little annoying. When you have a lot on the schedule it's actually a little hard to visually find the dates, or following weeks. Our Sunday schedule is so full that you have to really filter things so that you're not scrolling down endlessly just to get to the next weeks things.

I like the filters, and the interface is easy to use. I can find what I'm looking for and since we use it primarily for events, it's helpful to be able to see everything coming up in the next month. Overall, for my uses, it's fine.

Cons

I don't like how it requires certain questions on the event request form that we don't need. Sometimes it's hard for me to find what I'm looking for.
