Wintac Software


 

Wintac is an on-premise business management solution that caters to field service, installation and service contracting organizations. The key features of the solution include work order management, customer relationship management (CRM), inventory and fleet management.

At the core of Wintac is its scheduling, dispatching and work order management module. The color-coded dispatch board allows users to drag and drop appointments so that dispatchers can monitor schedules and re-assign calls if needed. Technicians in the field can access their schedule remotely through the Wintac web portal.

Wintac also offers functionality for tracking current and potential customers, creating estimates and proposals and managing accounts. Job costs can be broken out by inventory items, POs and payroll. Information can be shared on smartphones, tablets and laptops, and the system supports e-signature capture in the field. Wintac offers integration with Microsoft Office and Quickbooks.

Wintac offers a perpetual license for a one-time fee that includes support via phone and through an online knowledge base and FAQs.

Wintac was purchased by Davisware after we bought Wintac. They offered us a fair credit to upgrade from Wintac to a Davisware product.

Pros

Capable software that can operate an HVAC company. We purchased this software because we felt it was capable of running our entire company.

Cons

Not usable in the field without an active internet connection. As we service an area with often horrible cellular coverage and customers without wifi this rendered the equipment unusable for us.

Wintac may work well for a small company with little or no maintenance contacts to manage, otherwise I don't recommend it.

Pros

The software is easy to use and is inexpensive. You can dispatch, handle purchase orders and inventory, payroll and financials all in one software.

Cons

Wintac does not manage maintenance agreements well. Vendor purchase orders are mixed in with your customer base. There are no good reports for tracking technician performance.

I hope they charge less no more because every their update program is worst.

I can operate store by myself and do everything fast. I can do accounting easy. I can put invoices easy. I can generate rapiers easy. Doing taxes is easy.

Problem with protection and a lot errors with data base. New program did not

Regret spending the money for this year's upgrade. We are having problems with customers getting random and multiple e-mails. Mysteriously a lot of paid customer receipts have now been unposted!

Pros

It's all in one so you don't have to use multiple software. Basic program is relatively easy to learn.

Cons

Wait for days for tech support to respond and then there are glitches that they can never seem to get fixed. Never been able to use dispatching board (limited as it is) or the web portal.

Very good software and easy in most aspects and when we can use it to its full capability I feel it could be awesome and do recommend it the support is great when you have it and would not go without it again very expensive if you do not pay the extra support plan.

we love the email and ease of contact with the customer and processing quotes and daily schedules, customer details and locations and ease of access to the data base

Cons

we haven't figured out a lot of it as we have had so many computer issues but I don't think the reports or maintenance schedules are very helpful and very basic. we Always tend to Have SQL issues.

It is a very user friendly program for dispatching, and invoicing for our company and we have been using it since the beginning - we hope the next big step will also be the same.

Pros

We have customer records dating back over 20 years. When a customer calls, they are very impressed with our knowledge of their heating, air conditioning and water heating systems - especially those that have not had a problem in 5-10 years and we have their information on file.

Cons

We still have not been able to easily set up an inventory and I pay for QuickBooks in order to do payroll and accounts payable.

It is a low cost alternative to others since you can purchase the license and choose to pay for the maintenance/ upgrades and support annually. You can own the license - you do not pay a monthly fee to use it.

It does everything we want to to at this time and they are building on its features after moving to a new technical platform that supports the development of new features.

Cons

1) I wish the option to set a daily backup were menu driven and did not require a person familiar with SQL. That would make it so much easier and efficient.

2) We are asked to perform upgrades and installations. Unfortunately, the instructions do not always work and the installation is complex. Wintac suggests that a network engineer perform them. FORTUNATELY, when I get stuck, I can call Customer Technical Support and they know almost before I ask, what needs to be done. To me this sounds like an opportunity to intake enhancements for future releases of the software, and I bet it is. The Davisware people seem to have brought things under control after a rough few months after the acquisition and transition to v2017 and v2018. Good work!

We have been long time users of Wintac, in fact, we are very early adopters of the software (~24 years) Development has continued to keep up with changes in Microsoft Windows and associated hardware. It is the life blood of our HVAC service and installation business with over 114,000 customer records. The capabilities & features continue to added. The customer support is far above average, specially in today's trend to move limited support offshore or email only. You typically get assistance in a reasonable amount of time that US based live support on the phone which is worth the price of the software.

Cons

The purchase of Wintac by Davisware leaves questions on what the future will bring for Wintac Users. Davisware has said they are committed to supporting and continuing the development of Wintac, time will tell.

No commitment on being GDPR complaint from Davisware. Although our customer locations are local to us here in the US, several are residents of the EU.

Sometimes fixes/patches to software bugs take longer than we would like but the do usually get addressed.

Although part of the problem was caused by us, but part but Wintac is that in our case we have more information than fits in the regular customer page. This has lead us to put important data in non-indexed fields which makes searching for customer information much slower than we would like. This is especially exacerbating when on the phone with a customer.

A much better program then our last, but when an update is made we generally have to change the way we do things on our end.
The updates do not fix an issue we have had and brought to supports attention, but generally end up causing more reason for us to need support. Fear of updates!

We want CHAT support to make a comeback. We are a busy office and can't be on the phone with support when the phones are ringing.

Pros

Ability to keep a record of equipment and service history for customers. Dispatch board is very helpful. Reporting features are good, but not great.

Cons

Upgrades generally caused some type of issue with my data. They seen to fix one issue, but cause another. A few times my inventory asset number ended up changing and engineering was unable to find the cause, if they even looked at my data. Solution was creating an adjusting entry. At this time, we have not done the last update.

When I first came to work here 5 years ago, my schedule consisted of a clip board, 11 X 14" paper with columns. That is how I scheduled jobs for my techs. I had been using other scheduling software in other places I had worked and knew that it was possible to use one here. It took me 1 whole year to convince the owner to leave the behind the 60's and welcome in the new millennium. Wintac has been not only a great time saver but being able to reference jobs, techs, material and labor by pushing a few keys is amazing. Thank you Wintac for making my dispatching job fun and easy!

Pros

Scheduling is easy to use. There are various ways to arrive at the customer's account information. I like to access it right from the dispatch screen. Trying to find an address but the house has changed owner's? The "Job Sit Browse" is the place to find any information via street name, tech name or phone number. It is a great feature and saves time.
Color coding appointments makes it easy to glance at dispatch and see exactly what type of appointment is scheduled.
Need to find a work order number quickly? "Find Job" is the perfect just for that.
Another great feature is the "cut and copy" from one account to another. It is definitely a time saver!

The techs on the other end of the phone are the most patient and helpful. Great Service Department.

Cons

One of the biggest issues for me is that it is too easy to make double, even triple accounts for the same home owner. Either because of a misspelled name or someone hasn't taken the time to look to see if there is already an account made. It would be wonderful if the system had a safe-guard that would alert you that :
1.- the address is already in the system or 2.-the phone number is already in the system. It would avoid multiple accounts.
Finally, the screen is too small! It is impossible to see all the tech and helper columns at the same time. Would love to see that improved.

Had it a very short time. I really like it, although I feel it could use some tweaking. :)

The user defined fields are very handy for specifying your needs to taylor to your biz.

Cons

Adding Equipment.
When creating a WIP (Work Order/Invoice/Proposal) It should be simplistic and listed on the WIP "WHAT" you are working on, and the defined fields needed right there. Having to take another step to "add equipment" AND having a mandatory field, does not work well.
When you take a call of any kind with this program, you ARE working on SOMETHING...having to "add" it is confusing. Don't like that. :(

Overall, we are happy with the Wintac software. Support is ALWAYS top notch, and have successfully answered any questions quickly.

Pros

The ability to schedule and push to the technicians who may already be in the field. Ease of uploading photos direct to the file from the job site.

Cons

The back office operational functionality could use some improvements

A little disappointed in one of the recent calls made to customer support. We were having issues and I asked the support rep to hold so I could involve my IT guy so we would not have to call back. He declined and said he was too busy and could not do that so I had him to complete the next computer task which took him thirty minutes. It would have been a 5 minute phone call with my IT guy but he choose to work on the other computer instead. Bottom line is there needs to be more customer support staff.

Pros

The versatility to use and customize towards our company.

Cons

That the complete program is not web based.
