CosmoLex is a cloud-based legal management solution that offers features including time tracking, billing, trust accounting, task and document management.

The solution connects all modules so that users do not have to enter information into multiple systems or clean up errors due to double entry. CosmoLex is a modular solution that allows users to synchronize and replicant information between multiple modules in real-time.

The CosmoLex’s legal time and billing module helps in managing batch processing invoices, past due notices and more. It also helps to capture all billable activities and manage them by creating customizable invoices and overdue invoice notices.

CosmoLex offers trust (IOLTA) accounting functions that help users to manage client funds, print checks, deposit slips and bank statements. The activity log keeps information on past reconciliations and generate three-way reconciliation reports on a monthly basis.

The solution can integrate with Dropbox, Google Drive and NetDocs. It is priced on per month per user basis. Support is available via phone and email.

Calendar and dropbox sync have several bugs that don't seem to be getting resolved. Too many steps. Search names and matters is not as easy as Rocket Matter.

Recommendations

I was very happy with Rocket Matter. However, the billing, trust accounting and invoicing were very frustrating and clients did not like billing. Cosmolex is much better that RM in these areas. However, Cosmolex has major bugs that are frustrating in calendar and dropbox sync. I cannot trust calendar in Cosmolex and support is not very helpful. I would stay with RM if they could have Cosmolex trust, invoicing and billing. I would wait six months and see which app resolves these issues before I would commit.

My practice is focused primarily on residential real estate in NY and NJ and I represent a lot of lenders, so I have been relying upon Easy Soft’s hud-1 program and their billing/trust accounting program for years, so when I learned about everything CosmoLex had to offer, I was excited to jump in.

What really separates CosmoLex from the others is that it’s completely cloud based and also offers a full IOLA/IOLTA accounting system. I’m able to login from the office, from home, and even on the road from my smart phone to add billable events, log and print checks, or search for anything I need.

Because I’m a sole practitioner, I don’t have an IT department to help me install/upgrade my programs and the people at CosmoLex actually converted my existing data and had me up and running in about 15 minutes. Knowing that my data (and the programs) are off-site means less to worry about if and when a computer at my office should fail - and not having to worry about re-installing and restoring data (just knowing that it’s always safe and ready to access) makes sleeping at night a little easier.

The controls are intuitively setup and searching for matters by client or other keyword or searching transactions by dollar amount, etc., could not be easier. I’ve already watched some of their online tutorials and when those did not help me understand something, I contacted tech support for personalized support and training that did the trick every time!

The software is a great timekeeping, billing, and accounting solution for my firm. The cloud-based aspect means it can be accessed from any computer (or smartphone I suppose, although I have not tried that yet), and I don't have worry about downloading updates. Support and staff are excellent; they are very knowledgeable and attentive! This was just what I needed to help start my own firm.

I honestly don't have any problems with the program. It works well for what I need. I anticipate that my taxes will be easy to do this year, since I have used CosmoLex to produce the required reports of revenues, expenses, etc. I have the reports downloaded, printed, and ready to go to the accountant.

Recommendations

In evaluating cost, I would remember that some programs require the purchase of updates. I believe CosmoLex charges a flat fee (I am on an annual plan) that automatically includes all updates. I believe they have a free trial period, too.

Cosmolex is the only management program I have used, so I can only compare it with how we used to do thing (with hundreds of spreadsheets!). It has been great, we are so much better organized, I can see all the matters and clients' accounts in one place, generate invoices was straight forward and easy. It's changed the way we do things forever. We also like the seamless integration with LawPay!

Cons

The limited ability to customize invoice or matter-billing-report templates. There were fields we wanted to include or change in the report because our client specifically requested it, but was unable to do so.

Why pay for multiple software licenses and learn multiple platforms when CosmoLex does it all, from anywhere, for less?

Cons

I don't like the fact that you cannot add multiple dates to a trust account deposit slip. That needs to be changed. We don't go to the bank everyday so why should the deposit slips assume we do?

We are very pleased with the overall experience and moreso that CL has certified vendors that understand the software. This is how we found our current bookkeepers.

Pros

Bank Feeds make the consolidation between billing and accounting easy and we don't have to purchase two pieces of software.

Cons

While we are a small law firm, we do bank work and have lots of matters, meaning lots of invoices (We typically have 150-200 per month). The Cosmolex interface struggles with this, especially when it comes to batch invoicing and emailing bills. The system often lags or completely stalls when generating batch invoices.

The interface is easy to use and navigate - everything is where you expect it to be. I also like how customizable it is.

Cons

The email integration could use work. It would be nice if there was a way to tag non-client emails so that they didn't show up in my list as untagged. Not every email I receive is related to a specific matter (for example, updates emails from Cosmolex!) It would also be useful if there was a function to tag multiple emails at the same time.

I came to Cosmolex because I was invited to a meet-and-greet with the CEO. He was great and really seemed passionate about the product, and that inspires passion in others. I saw him interact with other users and take into account their feedback and the changes they wanted to make to the product.

When I tried it out for myself, I found that passion reflected in everyone else I talked to at the company and that's a great thing. It means that support really wants to help you, instead of just get rid of you.

CosmoLex is a product that's updated regularly and that seems to really take into account what their users want to see, and that's perfect for me.

Pros

I found the user interface modern, straightforward, and easy to learn. It was also cloud-based, which is a plus, and I found support very helpful.

Cons

The UI can be very slow when moving from page to page. Certain tasks are difficult because pop-up windows exist only within the frame of the page and you can't move them around to reveal other data you might want to access to fill things out (like copying a regularly-used hard cost, for example).

Some of the banking stuff was more difficult than necessary because it didn't let you enter things. For example, if a bill was paid by someone other than the client.

Pros

Once you get used to the format, it is really quick and easy to use. The training videos and quick to get help desk are fantastic (the help desk has talked me down out of the tree many times in the early days!).

Cons

The Invoicing and Expenses set-up is confusing and frustrating. Also, loading my logo took input from the help desk.

I have been using Cosmolex for about three and a half years. I was an early adopter and I really like it. I probably don't use as many of the functions as I should but what I do use, I really like. I have recommended it to people in the past and will continue to do so.

There are some things I would recommend to make it easier (for instance, allowing for creating rules for email sorting so that way if I get an email from a client's assistant--it also goes to the client's folder automatically rather than if it was just from the client himself).

Pros

I love the live bank feed--that saves me a lot of time in entering expenses and income. I also like the integrations with email and Lawpay and the ability to email invoices.

Cons

The livechat support is inconsistent. Sometimes the help is very good and quick and other times, I end up with someone who is taking a long time to respond and unable to help me with somewhat basic questions. I am really glad to have this option though.

I am collecting fees and costs more easily and without having to see the client or talk to them on the phone. They can pay directly through their invoice or reminder emails sent by the program. Same for the trust retainer. Links are easily sent to clients to deposit directly to trust.

The program makes the accounting entries for you on in the general ledger and the bank accounts.

Pros

It does both front and back office capabilities. It is easy to access everything about a client. All time, billing and any other information needing to be entered is in one software application. No need to have Quick Books and some other legal software. Invoicing is easy to facilitate and clients can pay through links on the invoices.

This program interacts with Microsoft Office, Outlook, Google, LawPay and many others.

Cons

There are some reporting functions that are not yet available. This program still does not have a function for collecting Judgments on behalf of clients.

Cosmolex is easy to use and to implement. Initially, Customer Support was great, but now not so much. Customer support is still better than any other legal accounting product I have used from Lexis or Westlaw, even Clio. The company is generally pretty good about responding to its customers inquiries; but, you typically have to wait about 4 to 6 hours or the next day or two for a technical support person to call you back and sometimes they don't. The billing features are great for a small transactional law practice or family law practice, but not so much for a firm that handles heavy amounts of civil litigation for commercial clients, which requires reporting and data feed back. Trust accounting on Cosmolex is fantastic and allows for contingency fees in PI cases. Overall, its ease of use and simple interface is why we continue to use it.
Compared to most legal accounting and billing software, training employees is easy and they offer tons of opportunities to attend free webinar classes and are great at assisting you in getting your employees up and running. Altogether, it is not bad if you have other software or services to cover document and case management, but is expensive considering its deficiencies in this area.

Cons

The biggest Con is that there is a clear the lack of usable reports, no way to export client data for analysis and forecasting, third party integrations with Office is a work in progress for 2+ years and Cosmolex should absolutely not be relied on for Case Management in a litigation practice. If you are going to use Cosmolex, I would suggest doing so only for the accounting (w/ trust features) and billing for noncommercial clients. Cosmolex provides linking with your Drobox Account but is very limited when it comes to document management and your space is dependent what you purchase from other third-party companies for storage. We use the client portal for our clients to upload new case documents securely, but that is absolutely those are the only documents “managed” by Cosmolex. Docketing for litigation would be a nightmare if you depended on this software (especially for those that have midsize firms or handle multiple cases for companies). Reporting and data analysis is nonexistent. Cosmolex is absolutely not Microsoft Office friendly and has little to no integration with Microsoft products, despite the way it appears on their website. It will not integrate with on premises Exchange Server 2016, SQL or Power BI so you have to enter everything twice and have other software or services to cover its deficiencies. Calendaring features are worthless unless your firm uses Gmail as your firm email and calendaring system. The calendar may now integrate with 365 but does not have a way to customize jurisdictional presets for counting deadlines like most case management software that integrates with your calendar through Exchange. Altogether, the lack of even usable Excel or .PDF reports is the worst thing about Cosmolex. Report features, including AR ledgers and Invoice listing reports for a client with multiple ongoing cases is worthless. There is also no way to segregate your fees for fee recoverable causes of action, which is required in Texas when you are seeking attorney’s fees from the opposing side. Reports in Cosmolex could not be more unorganized. Trying to pull usable billing data over a period of time longer than one year is virtually impossible unless you want to do it by cutting and pasting from poorly formatted excel spreadsheets, which makes it difficult as hell to analyze client data over a period of time. Overall, all legal accounting software I have seen is terrible, Cosmolex is just less terrible than most. I think we are going to be moving on shortly to something else.

It is basically every thing you need for client management, including billing/invoicing, calendar, document and financial management, record management, task management, even time tracking. You name it! It virtually will help you to do everything.

Cons

Its UX is a little complicated since it has so many features and possibilities. It could be a little pricey, but if your office is medium to big, the benefits would be greater.
