Founded in 2002 and acquired by ProActive Software Ltd in 2003, ProWorkflow is a cloud-based project management and time tracking software that caters to companies of all sizes.

ProWorkflow includes all the features of a traditional project management solution. In addition, the solution also offers task management, timesheets, templates, notifications and alerts, file sharing, workflow management, contact management, reporting and resource management. ProWorkflow also provides a timeline and availability Tool to help with task scheduling.

ProWorkflow Project Management dashboard displays the graphical summary of ongoing projects. The collaborative feature allows multiple members to work simultaneously. The built-in messaging app allows teams to chat, send notifications, share documents and more.

The solution can be accessed through various mobile devices including laptops, tablets and smartphones (for Android, Windows and iOS phones).

Cons

Pulling reports can be difficult. Large projects with multiple users and notes can be messy. The UI could be improved to help handle this.

Ease of use, very easy for employees who have never used a project mgmt software to get started. Also easy to set up from an administrator standpoint. Low barrier to entry in that there isn't a huge up-front cost and the ease of use

Cons

Reporting tools are limited. They've designed it as open architecture so companies can customize it how they want, but we aren't a company that wants to get into developing software for apps and reporting. Would like a few more out of the box. While customer service is good, it is tough that they are 18 hours ahead of us so every question is answered the next day.

We run over 500 projects a year through this system. It works great to keep our projects organized and workflow going. We love using the quoting feature and then being able to turn that into a project works really smooth and quick. There are a ton of features we don't use that they offer like allowing clients to access their projects. So this review is limited to our use of quoting, running projects and invoicing. For these 3 functions it works great!

Cons

Because it is online, some times it is slow to load, especially the quotes as we have several 100 of of them.

User-friendly interface, technology is current with a modern look. Useful apps for monitoring projects/communicating updates via mobile if out of the office.

As with any project management tool, you get out what you put in. When you don't have everyone on board with marking tasks complete/communicating project updates, the tool becomes less useful and can work against accurate tracking/reporting. Make sure those that are adopting the software are committed to keeping up with it.

Recommendations

Go into it knowing that putting in more work up front with setting up project templates, groups, etc. can save the team time in the long run and increase adoption. If you have people in the project group that aren't going to be committed to keeping up with reporting tasks/marking complete, you will struggle keeping accurate status reports.

The program is extremely easy to use and ramp up time is quick. My team has been growing and it's nice to have a Project Management and workflow tool that new people can jump right into and use proficiently. I also like the notification system and alerts. They help to ensure everything gets completed on time and closer to budget.

The task view allows you to easily see what is due, when, so that priorities can be easily identified and work is completed by deadline. It's also easy for me to view my team productivity and use this as a tool to improve service and offer additional training where needed.

Really nice product.

Likes Least

There really isn't much I don't like about the product. If I was forced to say something it would be that sometimes I get booted out and have to log back in. That's really just because I leave it open in the background too long.

Recommendations

Make sure you choose something that is easy to use and implement. If there is a steep learning curve then your team won't embrace it and it will fail. Test out different options and read reviews! Reviews will help you identify the points of contention.

The fact that the logout button is right near the link to change which staff member you are working with (in the header). Bad on tablets. The fact that so many features appear on hover. Bad on tablets. Slowness. Can't get to sub menus quickly without the main page for that section loading first (see above mention of slowness). Not very customizable - at least on the individual user end. Some places where there should be links (to a project, a task etc) there aren't - often requires many clicks. Needs to show a daily task allocation summary - including split time tasks. Needs to show a time allocation graph for tasks to be assigned - how many hours is someone assigned tasks is a bit question and a big time waster for us.

It is very easy to NOT assign something to someone. It is very easy to NOT enter to task title or name or dates. I don't know how alerts for this might work - maybe a daily summary of tasks without people or dates and a warning - right away, because otherwise the task isn't saved - when a title isn't entered.

Recommendations

Check out how customizable it is. Check speed. Use it. Try to see if you can do what you do now - and see if you can do more so you make your traffic management better

It does exactly what it says. It is extremely efficient. I would call it SAP for the design industry (and I have used SAP).

I'm not always sure I know when there will be update and revisions released -beforehand. That would be nice to know. Responses to messages in a task -when responded to at the project level - do not appear in the task (only if you view it in the project level). Pasting code in a message breaks it. No emojis.

Recommendations

Make sure you are actually using it before you say it doesn't work. Your entire team needs to buy in and use it - understand the necessity of a documented process and actually use it.

The interface took a little getting used to but once I knew where things were navigating the program was a lot easier.

Recommendations

I would recommend that the interested party have a clear idea of their objectives, company workflows and how their specific team dynamics work best. There is a lot that the program can do and it can feel overwhelming without being clear on what you want out of it and what it is exactly going to help your teams do or what current practices is it going to augment/replace.

I like that all of our communication is saved with the projects/tasks. Our projects have been running much more efficiently since we implemented PWF.

This is less of what don't I like and more of "what would I like to see." The three things I'd like to see the most are

1. When I receive a notification in my email of a message in PWF I'd love to see the details of that task included at the bottom of the email, and I'd like to be able to click on a link that would take me to that specific task. We have so many tasks in there that the link that takes you to the project isn't very helpful sometimes.

2. Also, it would be helpful to be able to attach documents to emails and have them added to the project, so when we receive an email notification from a designer we can do a lot of the work in our email without having to go into the software and finding the task etc.

3. I'd like us to be able to set up the amount of time a particular employee can have assigned for tasks per day and then just put a task in for them and have the software assign it for the next day they have that amount of time available. The process of going through that employees tasks to see when they have time is laborious and leads to mistakes. The way it is set up now it would be helpful to see how many hours are assigned to each person per day so we didn't have to add them up.

Recommendations

For some reason a lot of project management software programs do not work well for small to mid size businesses. When evaluating software try not to be wowed by all of the features that it offers and try to concentrate on the functionality that your business needs.

A solid software for small ad or creative agencies that need to track projects. Easy to learn and has some good capabilities for tracking time against budget.

Pros

It combines a lot in one software, from proposals and bids to SOWs and tracks everyones time against the work required to complete projects.

Cons

Sometimes hard to modify work in progress effectively. The reports were sort of annoying to run and didn't report certain data that really could have been helpful. Could be better if it included "likelihood' of proposals being accepted and could track forecasting of profit.

I'm not solving any real problems, this works just as good as my previous project management software. Honestly, I'd prob stop using it all together if it wasn't for all my projects being archived here for the last 3 years & it's a pain (speaking from experience) to transfer to something that works better for my needs.

The ease of entering projects and assigning to employees.

Cons

Inability to easily search for old project – the name or job number has to be exact, otherwise you're just scrolling through hundreds of files. I also don't like the ability to duplicate jobs if there's a duplicate order.

Better reporting features specifically for custom reports. Improve the functionalities of financial reports. Visibility features requires improvement. When you deal with large number of tasks, the interface takes time. Absence of a secure client information database. Whilst PWF has potential and I'm sure the intention to rectify and further develop the software is there, in it's current format it does not meet our business needs, requiring us to use external software sitting outside of PWF's functionality. It appears to be set up for a niche market and would do well to expand its capabilities to provide fuller functionality for all clients.

Pros

I've been using PWF for a year now and see there is potential for this to be a convenient, easy to use tool once development improvements have been implemented. The support staff are friendly and provide assistance where possible. The software enables us to pay per user and grants multiple users to access the platform with individually allocated access rights, allowing us to set security levels pending the role of the user and adjust our monthly payments pending the number of consultants we currently have on board. You are able to live track time which is helpful for our consultants in allocating to billable projects. Review of time entered and staff workload is also a useful function.

Cons

I feel this software is still in its developmental stage and has a lot of improvements to be implemented. For example, integration with MYOB is poor and non usable, invoicing fields need expanding (ie choice of PO or street address, ABN field for recipient, etc), templates and emailing tools are very basic and limited, contact listings are restrictive and missing vital fields (ie ABN, PO Box, etc) or requiring double handling (ie single contacts need to be connected to a non existent company, for example where no company is applicable you have to create fake one to connect them contact to), reports need to have more functionality and retrospective time reports come up with errors in date ranges making data inaccurate, add/edit tasks need further options such as sort functions, window resizing/positioning needs to be added, pro bono projects cannot be marked as non billable unless you tick them off as "invoiced" (which is incorrect and misleading). These are just a few of the issues we have recently been struggling with.

Use ProWorkflow daily it's the first program launched and last to close. It is the go-to tool to manage projects and ensure they are kept on track to meet deadlines. Assists communicating workload and prioritising tasks across multiple clients.

The goal is ROI reporting. After entering quotes, freelance hours, employee hours, invoices, expenses, we are hoping to receive financial and burn ROI information although uncertain of PWF's abilities to pick up all aspects in a concise complete report.

Pros

Definitely a great cost for the money. Linking capabilities among the various tabs (tasks, file attachments, calendar, quotes) is somewhat seamless. The multiple options of time keeping is a plus.

Cons

Reporting is lacking. Various report drop options is lacking and not clear. Lacks pliability.
Invoicing is also lacking with the QuickBooks external quotient not adjustable which makes it unusable. The creator hasn't had to create 50 manual invoices because the unnecessary key strokes, date input inflexibility, cursor flow inept, lack of default movement is frustrating, time consuming and leads to errors.

I have been extremely happy with ProWorkflow. Our project management had gotten out of hand with the company growing so quickly. This software allows us to keep a handle on all projects and each task within those projects. The support I've received from the ProWorkflow staff has been amazing!

Pros

This software helped us streamline our work process. We have several people working on dozens of projects all the time. ProWorkflow helps us meet deadlines, look ahead for planning, and keep everyone on task so all deadlines are meet despite heavy workloads.

Cons

I would like to be able to add a status column to the main project page. Many of our projects get put on hold, or we are waiting for the client. It would be nice to be able to quickly change the status of a project so my employees know what's happening with one glance.

At first all the options were overwhelming, but eventually we are starting to use more and more of its capabilities. Adaptability to desktop Quickbooks would help, but not a deal breaker.

We're in England, they are in New Zealand and despite the time delay the customer service is excellent.

Pros

Ease of use; logical interface; easy to explain to freelancers; incentive for clients to take us on; always mentioned/used for Statement of Works; Makes my life easier!

Cons

Cost, unfortunately this is the most expensive SaaS that we use. And making payment by cheque is not the most convienent.

Has basic necessary features, can have non-paid clients access projects managed by paid users

Cons

Poor interface, slow to use effiently, lacking customization, doesn’t receive feature updates often, menus are not intuitive, customer support and education is lacking.

We have been using PWF since we started the company 5 years ago and we are big fans of it. When talking to industry leaders, the tool is not known at all. Having said that our team members old and new like it. We have only recently started to work on creating reports which has given us lots of insights on how we run our business, which clients we should focus on, each team member productivity level, ect.

Pros

It's easy to train people on how to use it.
It's cost effective.
The customer support has been consistently good... keep it up! :)

Cons

The interface, UI/UX should be improved. New features should be implemented each year to grow the software over time.
one thing it would be nice to have a ticket system with tech and it companies could use.
Need to be more flexible when used by users, more like boot camp

Overall, it has served its purpose for us. We love the quote tool, and the reporting and can't say enough about the support response times.

Pros

The support team and response times have been amazing.

Cons

The fact that the mobile app was discontinued, and that for two years of being with the platform there doesn't look like there have been changes to support the changing needs of project management.

Pros

ProWorkFlow allows our diverse video production projects to retain a calm organised structure and enable our small team to deliver complex productions on time and on budget. Starting with the quotation module it allows us to develop a production from initial contact through to delivered films.

Cons

The software can't read minds - it can only keep record on the information we give it. The more we give it the more it gives back.

PWF has been invaluable to our team but workflow organization, project management and ultimately file saving and sharing. Having our job numbers automatically created in sequence with our customized pre-fixes has been extremely helpful.

Pros

Pro Work Flow is very easy to use. Very little admin time is needed to train new users. It's been very reliable and only has ever had very minor issues in the past. The customer service has been excellent, even with the time difference.

Cons

There's really not much I don't like about Pro Work Flow. The one thing that can be improved is it's reporting functions, especially on the MAC operating system. It's very user friendly to get what you need from it.

On of the big issues we have been able to solve is the communication between clients, staff, and supervisors. All the communication is stored in one place and in sequential order. This stops a lot of searching for emails.

Pros

I like the integration of what the clients see, the staff see, and what I see. The overview of what work is active, what work is waiting for information and what each client has in process.

I also like the ability to track and record the time tasks take. It's very useful for forward planning.

Cons

I wish there wasn't a file size restriction for uploading to ProWorkflow. A lot of our client files are larger than the limit and we have to find a work-around.
