Workamajig is a cloud-based HTML5 project management solution designed for creative ad agencies and in-house advertising teams of all sizes. Key features include opportunity tracking, project management, time tracking, resource management and complete finance and accounting.

Workamajig enables users to create project tasks, assign them to people and collaborate on these tasks from a single message portal. The creative management functionality of the solution allows users to create project schedules, manage freelancers and track time spent on each project with the help of automated timesheets.

Workamajig also features resource management, which allows users to plan and execute their marketing schedules and monitor all the ongoing projects from a single portal.

This product helps creative agencies manage all the aspects of their businesses starting from finance management and revenue forecasting, scaling all the way up to customized management reporting and profitability assessment.

Available on per user per month subscription, it offers support via phone and email.

CRM management - love the ability to track my clients - I can forget about our conversations until the next appointment comes up on my today screen

CRM management, none of my clients are falling through the cracks - I can work for the day and not worry about missing the details of a client or appointment

Cons

If I spell something wrong, it's not recognized in the system allowing for duplication. I have to go into multiple screens to update contact info - if I have two contacts connected to one business and I'm only talking to one of those contacts, the notes for that contact do not show up under the other.

Workamajig is a pretty robust system which houses all of your Project Management and financial data in one place. It's a little like one of those old boom boxes which does a little bit of everything rather than one thing really well. It is tremendous value for your buck and can be customized to meet any needs you have.

Pros

The new HTML version is finally catching up to the current market leaders.

Cons

Slow development cycles.
Still primarily in Flash

Advice to Others

If you have the need to integrate with a CRM, go elsewhere. The WMJ CRM is nothing to write home about.

We spent a couple of years on and off researching various packages but ultimately were convinced that WMJ was the best option for us. I've been impressed with the way the job cost, time reporting, and financial segments of the software interrelate. The conversion process was much simpler than I had anticipated. Certainly, there was some initial set-up required, but all in all, it went very smoothly. (We did a considerable amount of advance prep and had in place plans for virtually every contingency, but no of them arose).

Cons

We’ve run into a couple of small glitches with journal entries, particularly auto-reversing JE’s, but WMJ has been quick to research and correct. We've also found the customer support to be hit and miss. We had a terrific representative when we first converted but have not been as happy with subsequent customer support. The system has a tremendous amount of functionality; I do not find it to be terribly intuitive, though. It takes commitment to learning.

If you are looking for a project management tool I would strongly recommend looking elsewhere!

Pros

Workamajig has all of the core features you'd want in any project management tool. The implementation of those features on the other hand....

Cons

The user interface is downright terrible. It is clunky, it doesn't refresh when it is supposed to and the load times are extremely laggy. The software is also extremely buggy. I have had many instances where I have definitely entered data only to go back and find that what I entered was missing. It's hard to do anything with confidence when there are this many bugs!

some of the functionality doesn't work ( i.e. old tickets won't come up, certain people can't be assigned to Tasks). Also, you're not able to bring up multiple tickets at once. Recent Conversation interface is worse than Diary

Platinum vs Original

-I was trained on Workamajig Platinum and original at the same time as the office was transitioning from the old version when I was onboarding. In the end, the functionality of the original version made it necessary to stick to the old one to get work done though I prefer the look and feel of Platinum.

- Please make Platinum able to print diaries without losing formatting -- our office needs hard copies

- Also please add the missing "Track Budgets" selection on "Schedule" in Platinum which is needed to do timesheets and estimates. Previous version had to customize to add the column of check boxes, but not sure where this is in Platinum.

- One more request for copying templates from another project --- would be great to have the ability to copy over without copying the people who were previously assigned to that project.

Pros

- Interface looks great
- Lots of fantastic features from project management to timesheets to tracking budgets

Cons

- Diary posts don't print consistent formatting
- Some features lost from the previous version
- Timesheets can get glitchy when adjusting and deleting hours as you go throughout the day

Easy to track and change time for projects.

Cons

Not very user-friendly. There is a somewhat steep learning curve just to figure out how to locate projects and track time. Icons are small, unclear, and don't relate at all to the actions they represent.

I also have problems attaching documents to diary notes at times. It seems like special characters (even dashes) set these problems off, but I'm not entirely sure because Workamajig doesn't always give me a clear diagnosis.

To ensure information flows correctly between the different modules, detailed set-up and implementation is imperative.

If your project manager assigns a task to you, it will default in your projects and tasks and you would simply need to enter your hours. There are also a few other options for tracking time, and we'd be happy to review this with you.

Pros

It does timing well. and now I can not get off this screen. HOw irritating a form.

Cons

I use it as a timer and for scheduling. The new format does not seem to be as easy to use, it hides the functions too much and you have to go searching. I find my workmates do not know how to use it properly and there needs to be too much training which the owner of the company does not even want to do or have time, or make time.

Its a useful tool for recordkeeping.

Pros

The ability to database information on projects, while documenting time and costs, is relatively simple.

Cons

The inability to replicate a whole line, copy, paste and save information, for example repeating a repetitive activity in a single step would enhance the tool. Often now the javascripted version, that I prefer, crashes. The Platinum version with just browser operations is not well laid out, and the icons are confusing, if there were more complete dropdown or pop-up descriptors when mousing over operational elements, that'd be an improvement. The help function provides a long list of all possible responses upon inputting a search query. Suggest a limit to the top 10 matches with the potential to get all responses with another click.

Workamajig is an integrated tool that's useful for agency management. It's helped consolidate the programs and software needed to run the business.

Pros

How integrated it is for timekeeping, accounting and media.

Cons

Because it's so customizable, it can be very overwhelming and confusing to know how best to set it up to utilize features for your business. I would recommend utilizing a Workamajig consultant to get everything set up for best practices.

Project scheduling and management features are clunky to use, and require ongoing attention and updates to keep things current.

The features make it easy to stay on top of your time. The timer allows you to keep a small ticker open instead of a browser window - and it will track that time automatically. There's also an app that allows you to be on-the-go while tracking time.

Cons

If there was something I had to change, I'd move the question boxes from the top of the browser to more of a pop-up box. Sometimes I miss them and it trips me up a bit.

Decent, but with a steep and somewhat arbitrary learning curve. WJ seems to be powerful tool that does so many of the things our office requires, but I often feel like I am reacting to the software rather than the software responding to my needs.

Pros

Malleability of "conversations"
Custom spec sheets
Relatively easy time sheets for budget purposes

Cons

The presentation of the software continues to be very text-based. As a secondary user (I don't design or run the workamajig workflow, I use the one we have in place), I often find my screen to be a wall of words, with information scattered among various boxes. A more intuitive GUI would be great for new or light users.
