WorkSpace is a business management and professional services solution for accounting firms and other practices. Key features include client management, project management, time tracking, billing and invoicing, scheduling and reporting.

WorkSpace offers a central repository of client information and can two-way sync with other accounting and tax software. All client information is connected to open tasks and assigned team members. The solution’s calendar and project management system enables users to see project status and employee schedules and allows users to delegate tasks to team members.

WorkSpace includes functionality for time tracking in the system and on mobile devices, and the information is synced back to the office for payroll, billing or both. It also offers due date monitoring to keep employees on-task and on-time with reminders, activity list and detailed reporting.

Pros

It was okay to use (only took 3 years to set-up). However the schedule Sync only worked with Outlook and only sometimes. The export to QB did not work properly.

Cons

Customer service was always slow and often not helpful at all.

We use OT the most for billing clients. It does a great job tracking employee hours and allowing the flexibility to change bills.

Pros

The favorite thing about Office Tools is the to-do list. It helps keep me on task and remembers the important tasks that I need to be sure to remember.

Cons

The letter writing function is difficult and time consuming. What you see in the letter screen is not always the same format that is printed. It takes a lot of time to save any changes that you make.

For the most part we are pleased with the functionality of Office Tools. The help sections needs to have a few more topics that it will help with.

Pros

It makes organizing files very easy. There are money sort options to choose from when searching for documents.
The time tracker is really useful when working on large accounts.

Cons

It does not require an account to have a designated number. It stores information by the name on the account. If there is ever a name change, (such as with a marriage or divorce) all documents assigned to the original name disappear.

Also in the billing feature, there is no report that you can run that will let you search by a specific invoice number.

We use Office Tools for our companies billing, tracking time, tracking our projects for our clients and for our scheduling appointments with clients. We have used this product for nearly 14 years and it helps our office run smoothly. We have access to each others schedules and daily tasks. Everything is right at our fingertips.

Pros

I really love that it is user friendly. It really helps keep me on track with my tasks with all the projects that have been assigned to me and when it was assigned. It really helps me not forget about projects. I love all the available reports that you can print. There are reports to help track or Work in process and reconcile our billing and many many more.

Cons

There is not any thing really in particular right now that I would say I least like about the software. I find that if I have an issue with the software I can call technical support and they are always very helpful.

Since I started using Office Tools My workflow is more efficient and I everything in organized!

Pros

The projects and the time tracking. I have a schedule of what I need to do and I can easily time my work.

Cons

I can't delete the my contacts easily and I can't have one contact for business and individual.

During tax time, we no longer have to hunt for files or track down who has it or what's been worked on. Any questions for the client can be easily noted.

Pros

The software gives all of our employees an easy place to go to find out where files are, client status, etc. They can see what projects are assigned to them and move them on easily.

Cons

Customer service is good, but wait times are sometimes long.

This tool helps me to keep my daily accounting and numbers data practice run on time with so many different features like Clients time tracking, scheduling, processing signatures, mass data sharing, and easily get control on data sharing.
In long term it helps us to show that where we are standing when seeing our tax returns at the end of year. Also have a good metrics in terms of dollars of where and how we are spending every day.

Cons

Lots of functions are not used by our company. So they should give an option to the company of what tools will be used based on that payment should be decided.
- Canon Scanners (We don't use canon scanners)
- Portal not the way we want to organize it or modify it

It is costing me time and money to dispute with them.

good across the board time billing and project managment

Cons

Abacus, software declined, they called and got new credit card and then our costs went up by four times the rate we were paying without notice. I have a dispute and they would not talk to me about it. I have a dispute into their legal department. I also put in a dispute with my credit card to stop charges as they did not let us know the charges would be more with the new company. If they don't resolve I will go somewhere else even if it cost more. I am very very upset. I would recommend you find another software.

Having a "full service" practice management system has saved us so much time. Time entry and billing is awesome, as well as tracking files. It's our daily goto system

Pros

The ease of use and the functionality it brings to our office is fantastic. Customer support is great too.

Keep in mind, I'm new to the program.....but this is an exceptional program to have if your looking for simplicity and accuracy. 10 out of 10!

Pros

Hands down I loved the Ease and simplicity of the program. It is VERY VERY USER FRIENDLY!! Very self explanatory. There really isn't anything or any single feature that you would use and not know how to use. (If that makes any sense)

Cons

I don't like the document manager and how all documents save are all single line items. I wish there were ways or accumulating statements by year/month etc. Would be nice to have less in that are to deal with. If I want to see a bill that was paid last year, I have to go through all of the items I can't go directly to a folder that has all of 2017's bills for that specific vendor. Yes, there is a category section and year section, but still, you have to go through multiple documents to get to the one you want.

I'VE HAD A VERY POSITIVE EXPERIENCE WITH OFFICE TOOLS AS STATED ABOVE, I CAN DO MULTIPLE THINGS WITHIN THE SAME APPLICATION. IT MAKES FOR AN EASIER WORK DAY AND THE ENTIRE STAFF CAN ALWAYS FIND WHAT THEY ARE LOOKING FOR WITH THE LEAST AMOUNT OF FRUSTRATION.

Pros

THERE ARE MULTIPLE FEATURES: SCHEDULING, CLIENT INFORMATION, TIME SHEETS AND HOUSING SCANNED DOCUMENTS.

Cons

THERE WASN'T REALLY ANYTHING I DIDN'T LIKE ABOUT THE SOFTWARE. IT WAS MORE THE MANNER IN WHICH IS WAS BEING USED IN THE OFFICE WHERE I WORK.

The ability to capture billable time which in the past had been lost to non-chargeable admin time. The cost of the software was easily paid for with the additional billings.

Overall experience has beeen great! We are learning new things every day that we can accomplish with Office Tools and it’s been very beneficial to our growing accounting firm.

Pros

It does everything from scheduling, time tracking, document organization to project management. All of our clients information is together in once place and every one in our office has access to it. I can see who has worked on which projects, for how long and when they’ve been completed. It also tracks our invoicing and will sync emails to each clients document folder which is super helpful!

Cons

Access to all of the features can be modified for each employee, however changing it to allow access isn’t very clear and doesn’t give detail on what it allows them access to. Overall great software!

Originally used Cloud9 to host all applications, AbacusNext bought Cloud9 and pushed to have users move to APC Cloud. Horrible experience - see reviews for AbacusNext. Also used OfficeTools which was purchased in 2017 by AbacusNext. AbacusNext would not let me renew my OfficeTools licenses because I no longer hosted my other apps on APC Cloud, even though I moved away from AbacusNext legally and ethically. They held me hostage as Abacus gave no prior notice that they would not renew my OfficeTools license. Ended up without a practice management software for 3 months while I searched for and implemented a new one.

Pros

It's a great practice management software for small accounting firms; workflows, reminders, time & expense all good

Cons

When AbacusNext bought out OfficeTools the culture and professionalism went down the toilet.

We have improved our organization with customer files thanks to Office Tools. Time saving and cost effective software have resulted in better productivity numbers.

Pros

Easy tracking of customers data, project status, schedules and due dates. Helpful customer service team.

Cons

Some generated reports can not be export to Excel spreadsheets. Length of contract could result an inconvenience, specially when you are trying to explore some other software.
