Officewise Software


 

Officewise is a cloud-based accounting system that enables accountants, business owners and other users to manage finances as well as handle accounting activities. The solution can handle invoices, inventory, journal entries, order shipments, bills and expenses.

Officewise helps in banking operations by keeping track of payments, receipts and other transactions. Users can also track inventory at multiple locations and prepare a consolidated report to analyze overall inventory levels. The invoicing feature enables business owners to create and send invoices.

Officewise has reporting capabilities that offer approximately 50 built-in templates for financial reporting. Users can also create budgets and prepare forecasts. Users can create purchase orders and track receipts.

Support is available through an online help desk. Pricing is per user per month.

Ability to easily add items. Always available with easy login from any computer. Good ability to edit items without having to create new ones.

Cons

A cumbersome search feature that won't always work, especially if some label is already existing in a box at the top of the page. Sometimes the search feature just returns blank returns. Need more searchable fields in the top header. Need the ability to rename fields and then be able to search them in the top header.

Simple interface, easy to use, easy to set up, great price point. This is a wonderful value for the money, especially when you're only charged for the active logins per month.

Cons

Doesn't easily integrate with old accounting software. Not really the worst thing, but there's no way to get it to talk to older software like Peachtree 2010.

Good program, would like to see an update!

It would be really helpful if approvers were able to see the PO on their home page along with all the other PO's they've created. They require having a copy of the invoice for their records. Currently our accounts payables is having to forward all invoices to employees that have record keeping files and this is very timely.

Pros

This program is very user friendly and easy to navigate. If I ever encounter an issue I always hear back right away, the wait time isn't very long.

Cons

It's not the easiest to import coding into the Lists. When you make a change to a PO or upload a file to it, it doesn't notify the creator the PO number, it just emails them a link to their inbox and they have to guess which PO it was.

Thank you for your feedback Melissa! If users are not able to see purchase orders they approved I am thinking it might have to do with user permissions which can be changed so that they can see. I will follow-up with you directly to help resolve. Our system does allow you to keep track of invoices so that users have them for their records and I will follow-up with you to show you how this can be done so accounts payable doesn’t have to spend time forwarding them. As for notification emails if users click on the link in the email it will take them to the specific purchase order that the notification relates to but I agree it would be better if we also referenced the purchase order number and will pass your feedback on to the team.

Thank you for your feedback Jake! The system will allow you to print multiple purchase orders at once if you complete the following steps:
1. Go to the list of purchase orders
2. Check the box to the left of any purchase order you want to print
3. Click on the “More” button at the top of the list and then click on “PDF Print”
After completing the steps above you should see print options appear and then you can proceed with printing the selected purchase orders.
I am not sure what you mean about better invoice integration but will follow-up with you directly to see what we can do to improve.

Cons

I really cant think of a con other than when you email someone they can't reply back to you unless they have your email. when they reply to the order it goes to officewise email account.

I am sorry to hear that you did not have a positive experience with Officewise and wish we could have done more to help. Soon after you signed up for our 30-day free trial I sent you an email with my direct contact information and offered to help however I could. You responded indicating that you were having some difficulty with the system and I promptly replied and offered to get on the phone to help. A few days later you got back to me indicating that you were still having the same problem and I again offered to get on the phone to help but you refused. Our system allows you to import any setup data you wish (e.g. accounts, contacts, items…) so you don’t have to manually enter it and we are happy to help with this. Our system also allows you to delete records you upload as long as you don’t link to other records and while you cannot delete records that you have linked to other records it is easy to purge record data from the system which I would still be glad to help you do.

Thank you for your feedback! You should be able to void a PO by completing the following steps:

1- Go to the PO that you want to void
2- Click on the "More" button
3- Click on "Void" in the dropdown

If you are not able to void PO after completing the steps above please contact us at support@officewise.com and we will further assist you. Note that once you void a PO you cannot unvoid it, however, you can copy the voided PO into a new PO, make changes, and save it. Hope this helps.

I thought the set up was going to be difficult, but customer service walked us right through it. This is the first time I've been in charge of ordering for our bar and I think it's going to be a breeze.

Cons

DO NOT VOID A PO. This is the only thing that's not correctable. And in learning and making mistakes, I've had this nightmare more than once.

Thank you for your feedback Nicole! As you mention once a PO or other transaction in the system is voided it cannot be modified. If you change your mind about a voided PO we recommend the following:

1- Go to the voided PO
2- Click on the "More" button
3- Click on "Copy" in list
4- Make any changes you want
5- Click "Save" button

I was asked to start the purchasing department for our pipeline company, after trying 10/12 Purchase Order systems, I tried Officewise, unlike the other more expensive systems with little or no U.S. based customer service, they walked me through the initial startup. With multiple ways to pull reports, my asset manager, accounting department and sales team can find exact cost in numerous ways, very quickly. I cannot thank service agent enough for all the help he gave me, the best advise I received was to start playing with the reports and then set up the Tags, Groups, Etc., in this way you can pinpoint how you want to pull your report.

Cons

The void button still gives me nightmares, do not ever void a PO, anything can be corrected except this.

That I am able to create a purchase order and duplicate it. It stores my contact info and I am able to reference that if I need the info in a hurry.
I can also guesstimate the cost (which does go up from year to year,) but I have an idea of what each event will cost for my marketing budget based on the history of these Purchase Orders

Pros

That I can copy P.O.'s because it allows me to work faster. I schedule events and this allows me to copy the same information and create a P.O. and same me time on data entry.

Cons

That in the notes box where you would put the contact info, etc., you have a limited amount of space.

Its nice to be able to reference each PO just by looking it up in the search box by the PO number

Pros

Office wise is able to save product titles and price to quickly fill out the po and send it out.
I like that it is fast and easy to use. You are even able to email right from the PO.

Cons

I don't like that there is a new area that has to be set of what folder you would like to have it in after it mailed out. That slows down the process.

Thank you for your review Caleb! Not sure what you mean by setting folder you would like to have PO in after it is mailed out. If you are referring to approval folders (i.e. Inbox, Not-submitted, Rejected, Pending) the system should assign automatically depending on the approval status of the PO. Office wise is easy to use and fairly intuitive for the most part. the page is smooth and rarely gets hung up or has timeout issues.

Cons

The PO can be a little glitchy when adding multiple line items at the same time, it creates a weird overlap on the job number field.

Cons

It can be slow but can't tell if its the software or our network.

I am not able to track by project. If we do samples orders for various projects I am unable to look up by a project to see what sample requests are being worked under a specific project.

We have not received any other reports of our site being slow and we closely monitor performance metrics to make sure it is working fast so there might be an issue with your computer or network. That said we are constantly trying to improve the performance of our site so I will follow-up to see what else we can do to speed things up on our end. For project tracking I recommend using "Tags" or creating a custom field on the order form and will follow-up with you to show you how this can be done.

I can track the expense and purchases for each location

Very easy to use and negotiate your way around the software. I also like being able to customize the dashboard.

Cons

You can not print a detailed PO from your dashboard once it is approved. You have to go to Home then Purchase Orders, search for the PO then print them. Wish there was a quicker way to do this.

Thank you for your feedback Susan! Once a PO is approved you should be able to click on a link in the approval notification that will take you directly to the approved PO where you can print it. From the list of POs you can also set filters to see only those purchase orders where you are the requisitioner which may make it easier to find POs. You benefit from having one central location to put in all the orders you need to purchase for the office, as well as, let administration know what id going on event wise.

Pros

I like the efficiency of it in the office setting. It is nice to be able to have a place to submit everything you need and it can be sent to the person who needs to purchase the orders. I like how it sends emails notifying you when something has been sent to you or approved.

Cons

The description box does not allow enough lines to type and you cannot add the same approver more than once, which is a little inconvenient in some circumstances.

In cases where the description exceeds the character limit we usually recommend attaching a file with the description to the purchase order and referencing the file in the description field of the purchase order. it's an easy way to keep track of POs and I can go back and research or find POs and re-print or mark as received.

Pros

the ease of use and the ability to copy POs. I love that I can copy POs that I make to the same vendor and though I need to edit it, it is much easier than starting a new PO.

Cons

that if I am in my inbox, I have to go to 2 screens in order to access POs, I wish I was able to access POs on the sidebar, but I can only get to other boxes in my inbox (submitted, rejected, pending, etc)

Lets me generate POs for vendors that require them.

Pros

Free and easy to use. No annoying advertising. Works on all web browsers. Service has been reliable - never tried to use it and couldn't.

Cons

Some things could be even easier if the interface were redesigned. Haven't used it a lot - I can get our POs out which is all I need to do with it.

Pros

It was easy to use and easy to implement. It does all we need it to do. We are very happy with this solution for the price. We did not need a real robust solution. Just something to track and communicate the company purchases. I only needed to call support once and I cannot really remember but I think it was a good experience.
