Filevine is the backbone of our practice.

I get the ability to move my cases quickly and in a way that produces repeatable results. There is a huge increase in our efficiency and organization.

PROS

Filevine's feed is deceptively simple. It looks a ton like Facebook. But that's part of the genius. We had trouble getting our team to use other case management software. They would take notes in various programs. But they have all taken to Filevine. The ability to send texts to clients from the feed is game changing for us. We love the document automation and workflows. We recently connected Filevine with Domo to give us best in class automated visual reports for our KPIs. We enjoy the ability to share tabs with our clients, experts, and referring counsel. Filevine allows us to scale our processes. We are very satisfied. Customer support is first rate. I used Clio for almost 6 years.

CONS

Sometimes data has to be entered multiple times in various fields - like birthdates. This is a small annoyance. I do wish that Filevine had an intake tab that functioned like Lexicata to allow our clients to enter in some of their information without us.

A new Era with Filevine

PROS

It's amazing how you guys integrate every aspect of the persona injury practice and you can customize the experience for every customer.

CONS

The preview for the documents is not the best one, it takes time while it opens in a new tap

Great for innovative personal injury firms with dedicated IT team--disastrous customer service!

I have a love-hate relationship with FileVine. If I did it again, I would not have made the leap to FileVine for various reasons. However, it's a great piece of software for the right firm --such as a mid to large size PI firm with a dedicated IT team. Essentially you are given a blank canvas with lots of options. It's not so good if you don't have the resources or IT team to build FileVine out for you, or if you want automation built in, or all in one system. Ultimately, the reason I am writing this review is the god-awful mess that is FileVine's customer service department. I have to admit am rather upset that FileVine is forcing me to pay for users that we don't have (FV makes you pay once a year and at some point we had some interns who briefly used the software). Other software you pay only for what you use in an automated monthly fashion. FV's renewal process is straight out of 1994. FileVine seems like the admin department has a lot of growing pains--really messy. But this is just another step in a long history of FileVine's poor customer support (such as taking almost a year to respond to repeated emails about setting up a fax integration.) I thought after treating me so poorly in the past that they would do the right thing in this instance, but FileVine decided they want to make us pay for user accounts that we don't use. It doesn't seem right to me, but it's their company. Ce'st la vie.

PROS

A ton of feature and you can make anything you want out of it. The UI is great and customization is the key to FV's attractiveness. You can built almost anything you want. You have to invest a lot of time into building it out.

CONS

There are no built-in automations such as in Lawmatics. The doc mgmt and calendar are worthless so we use Google Drive and G-Calendar instead. They haven't really done much to improve Filevine in the past two years whereas other software has been developed much more. They charge you extra for every little add on-- you get nickel and dimed to death. It's like when you go to a restaurant and spend $15 for a burrito. Dont charge me 75 cents for sour cream.

From TimeMatters to FileVine - WOW

It has definitely taken us from the 1980's to 2024. Huge change & upgrade for the firm - still have a few kinks to work out.

PROS

Ease of use for all levels of knowledge / administrative duty.

CONS

We had a very hard time using the Mail Mege / Doc Generator in the beginning.

Constantly upgrading and improving

PROS

We came to Filevine from a different case management software system. We loved the look of our prior system, but it was not good for much other than document generation and assigning contacts to the file. We looked at a bunch of other options and even tried one before we went with Filevine. We have been using it since and I wouldn't recommend anything else. There is so much to like about Filevine: - You can text your clients and they can text you right into their case in Filevine. - You can filter the main page so you can see all the texts or all the tasks, etc. - You can share links or .pdfs so easily - We haven't had 1 hiccup in cloud storage or security - The best part is the customization because you can have your Filevine look and act however you want it. - Every Filevine case has a distinct email so that we can either email directly or forward everything we need right to the file. I could go on and on. The point is, choose Filevine and never look back. You won't regret it!

CONS

The only con so far is directly connected to a pro. Filevine is customizable so the pro is that you can build it to match up with your office. The con that is connected with that is that it takes time to set it up.

Filevine - hard sales push promises more than delivers

I was intrigued to try this program. I did a demo and had numerous sales calls. It was an aggressive sales pitch. I finally said I'm intrigued to try it out which required me to pay over $2,000 I figured if it worked then it would be worth it. Well after a few days of use, it was clear it did not do what I expected and I did not like using it at all. It was my mistake and thank goodness I made them include a clause about not autorenewing my subscription. I recommend against using FileVine. Software should always provide a trial period, even a week. Where such a software does not let you play around with it outside of watching a demo, it should be a redflag. FileVine may be a good solution for some people but I don't recommend using it because they don't allow that before trying it. And it is not as full-featured as advertised and each little thing is another add-on fee.

PROS

In theory it offers customization. I don't doubt that it does. It has some limited document management abilities.

CONS

They charge you for "implementation" more than the cost of the licenses. I'm not a programmer or computer science graduate but consider myself competent with programs like this. My philosophy is that if I must be "trained" to use it, then it's not an intuitive program. When I had an issue, the customer service person - who seemed helpful - told me the only way to troubleshoot my issue - the documents were not searchable even though I had paid extra for OCR (notwithstanding word documents are by definition searchable) - was for me to add him as an administrator for my account and that he would look at it. I was stunned. I've used dozens of programs and received support from them when needed. Standard method is through remote access tool. Who would ever think to add their support rep's email as an admin on my account? This is indicative of my issues with the program.

Filevine review

PROS

Ease of use and lots of options to assist in optimizing your case management system. I love the all in one type nature of Filevine and its continued effort to improve and increase offerings to clientele. Most functions are very intuitive and there is a clear vision to help law firms automate all sorts of tasks that take up time.

CONS

Some of the additional functions are not as developed as I would like. Some issues do not appear until you actually get to use and play around with the new function. Also, some of the automations and small fixes are slow to get implemented.

The diamond standard of legal practice management tools

Filevine has made me far more productive and prolific as a practicing attorney and allowed me to focus on what I am most interested in about the law, because the burden of the drudgery is so incredibly reduced.

PROS

I honestly don't have time to list everything I love about FileVine. The learning curve was not so much about Filevine as it was about how the firm did business. Filevine is so intuitive and easy to learn. Everything about it makes sense. If there's ever a process we have to tweak or revise or add, it's so easy to do.

CONS

I really can't think of any significant downsides to this system. I'm just grateful to have it. Every day.

Try Filevine you won't be disappointed

I first heard of this at a webinar. Still didn't look into it until 2 years after that. All and all I wish our firm had started using it sooner than we did. Most exciting is the fact that as a office manager I see more and more resumes coming into my office showing applicants have trained on Filevine

Good Answer to a Small Practice

Communication between employees with tasks that can be entered per client helps to keep on top of things. Everything is organized, which we like, so it streamlines the process. Most work involved is simply setting the cases up by entering data but t's all fill in the blanks

PROS

We like that this software is mostly customizable. We are a small firm and do not need all the bells and whistles that large firms might utilize so it is nice to design the format for how we do business. Mostly, we like that, since it is in the cloud, we can work with it no matter where we are which was a huge help in 2020 while working at home.

CONS

Improvements are being made all the time and if there is an area that needs improvement, we can enter it at the website and it will be reviewed and changed if enough people agree with our assessment. So there's not a lot to dislike as most are small things that don't affect the overall production. Maybe that the yield section determining settlement could include liens.

Reason for choosing Filevine

This was not my decision to make so I cannot answer this. I was consulted at the demo and it looked great to me. Since I am the one who sets cases up, customizes the pages, etc., my opinion was a huge factor in the purchase but I was not consulted on any other products reviewed.

Reasons for switching to Filevine

Time Matters was outdated and required a separate server. With Filevine, everything is in the cloud so we can work in it no matter where we are.

Love Using Filevine

Overall experience with Filevine has been amazing! Everyone in the office seems to love it and it works very smoothly with what we use it for!

PROS

The integration of this product was a bit agitating because it was hard to implement Time Matters documentation into Filevine. Once it was finally complete, however, it has worked like a charm. The Filevine team were also very understanding to our specific dilemma and did what they could to pull all the data we needed from Time Matters.

CONS

I wish it were easier to do the templates. I just don't have the time to enter all the codes needed and honestly don't fully understand how to do it, so it's a bit difficult.

Best Legal Software... Period!

File Vine has helped push our law firm to one of the Best Law Firms in our area! But, shh... don't tell anyone how small we are. File Vine is a very top notch friendly group of professionals who go above and beyond and very happy to help their clients succeed. Very hands on with training, onboarding and 24/7 support. If you forget what you learned, their help section guidelines and online support is superb. Their dashboard is very user friendly and flows. Love the streamlining of work , task flows and deadline chains. One click generated documents, texting, faxing and email features all within the client's case file. The Outlook email feature is a game changer in time management and organization. Last but not least, the substantial document storage and cloud security is as tight as Fort Knox!

PROS

Access our case files from anywhere, phone, tablet, and computer at home! Ability to text back and forth to our clients within their case file. One click generated Welcome letters, contracts, Medical records requests, Demand letters, and many more to reduce the repetitive tasks and time. Outlook calendar and Outlook emails dumped into our clients case files. The generated documents, sent to clients, signed and dumped in case files. Task flows and deadline chains with instant notifications to those who need to know. There are so many more features I like, I can go on and on.

CONS

File Vine listens to their customers and constantly improving and adding new features so there is not a lot that I don't like about them. They can integrate for you or you can do it yourself. Pretty easy, a little time consuming but it helps you to update and weed out your junk before transferring over to FV.

Game Changing Software

I used TrialWorks for over 11 years with my prior firm and started my new practice with it. Within a couple months I demoed multiple other case management software's for my personal injury practice. Filevine was by far the most superior out of all of the choices. I am very pleased with the Filevine.

PROS

The software allows you to have a birds eye view of everything going on in the cases in my office. It also allows me to run excellent reports and manage teams efficiently and effectively.

CONS

The email integration is not the most ideal, but it has gotten better. Sometimes the document generation is slow.

Filevine felt the most logical and intuitive and had everything that I needed to run a personal injury practice.

I wanted a more modern cloud-based software that allowed me to manage a high volume of cases and run reports to make sure the cases were being handled and resolved efficiently and effectively.

Filevine Review

Great. We have greatly increased efficiency and client communication. It is helping us grow and we have seen a definite increase in revenue.

PROS

I like the flexibility and customizability of Filevine. We have developed tabs and taskflows for several different practice areas that each require unique processes. Filevine is easily customizable and it is intuitive to develop on your own once you get a feel for the basic functions. I also like the texting feature. It enhances our client communication.

CONS

I wish it had mirror fields so that we could enter the information in one static tab and have the other tabs refer back to that information without having to reenter it multiple times.

Office Manager Review

I think Filevine is an amazing product and we are all extremely happy. While there are definitely some features that we would like to see added and integrations that would be helpful, we wouldn't think of switching to anything else.

PROS

Filevine is so user friendly! It is easy to teach to new employees and really does a great job at keeping the staff on track! I love the Taskflow and our ability to customize it to fit our systems.

CONS

I am not a big fan of the Organization of documents. Maybe our firm just needs some training on how to make this work for us, but so far it is not helpful.

A good all around product but needs some more work.

Overall it's better than most software I've tested/demo, but pricing is a bit out of tune with smaller firms.

PROS

The customization and ability to control many aspects of the projects from top to bottom.

CONS

There are many hurdles to get from point A to B when the idea isn't implemented into the software. Also, the way you make everything a la cart for services.

It was because of the ability to customize the software, and everything was included. But since that is changing, we are considering leaving now.

Best Case Management System

I enjoy using Filevine. It has allowed for our office to become really productive.

PROS

What I like the most about this software is the bcc email address associated with each project. I can bcc the filevine project and it will appear in the activity for that project.

CONS

I think I need more involvement in what roles actually do for our firm.

Run - Do Not Walk - From Filevine

Using Filevine was a waste of a year that I wish I could have back. A complete disaster. Make sure you have a backup of all documents you give them or upload into Filevine. My experience with Filevine is that they check ethics at the door and will say and do anything for a sale. They only hold the keys to all of your practice's information and documents, so best of luck with that.

PROS

Literally nothing. At the end of the day, Filevine was the most expensive version of Dropbox or Box - not a practice management solution - possible, so, if that is of any interest, read on.

CONS

Filevine indicated to me that they were very experienced at migrating data over from the practice management software I had been using. A YEAR AFTER retaining Filevine, it was still NOT done and was a complete disaster. If you ever want to see your documents again, run - do not walk - from Filevine. A YEAR after retaining Filevine, they still had not done any of the customization that they promised, which was a large part of the inducement to retain them. Unless you are a programmer or merely want the most expensive version of Dropbox or Box possible, run - do not walk - from Filevine. I am NOT kidding or exaggerating about this last one: I signed up for a year's worth of service and cancelled after the year was up, for the above reasons. They then tried to tell me that I was actually in a 3 year contract! The agent who signed me up apparently CHANGED my agreement when he sent it to me via Docusign, so that he could make a sale. Run - do not walk - from Filevine. Even despite all that is underway with the coronavirus pandemic, Filevine has the time to constantly badger me to pay for 3 years of service, despite knowing of their intentional misrepresentation and fraud, and despite their knowing that I do not use Filevine at all, given the above. They even sent someone (a collector) not to my office, but to my home! Who does that? I have used Clio and Smokeball and have never had these kind of issues. Run - do not walk - from Filevine.

Admin and User of Filevine at Law Practice

Filevine is pretty helpful in helping users understand the system. They hold you and your staffs hand in the beginning. The migration of data and start date took longer than anticipated. I hear this is common place. Overall, I really do like the program. The reporting feature is awesome. There is a bit of a learning curve. You have to learn how to "talk filevine" to get the data you want. There is so much about the customization that is super amazing. I think the best thing is that they take suggestions for improvement and are constantly upgrading the product. They do listen to their users.

PROS

If Instagram and Facebook had a baby, it would be Filevine. Filevine is easy to use and easy to customize. I love that they have a help desk chat feature. At least once a day I ask a question. They also feature a ton of articles and videos on how to use the software. It really has helped us to organize or data. The best feature has been the reporting function. There are a lot of good things about Filevine and I am glad we selected it.

CONS

Filevine is a program that is so customizable, you need a person on your staff to handle it. Select one person to dedicate themselves to learning and figuring out what you organization needs. When you get Filevine you really get the bare bones of the program. It is up to you what you do with it. You sort of have to hit the ground running. There are no templates like when you are using a web builder such as wix. Filevine will help you only so much with set up. You can purchase a template from a business that will sell their set up. This is something we were not told when we invested. We thought we would just start using all these cool features the sales person sold us on. There are a lot of cool things about this but, you have to figure it out and set up 95% of it. One last thing that is kind of a bummer. Make sure you get the costs accurately. The sales people will sell you one thing and the reality may tack on costs you were not expecting.

Filevine Review

Overall Filevine has been great. Implementation was a beast but after you get through that process its smooth sailing and only minor tweeks are needed to maintain the product. Since it's cloud based it has been a life saver as far as remote workers. As long as the user has an internet connection they can access all of the law firms cases and Filevine manages all updates and security.

PROS

What I like most about Filevine is its high level of customization. We migrated to Filevine from Lexis Nexis Time Matters and we were able to map every field in Filevine to an existing field in Filevine. We did not lose ANY functionality of data availability when we migrated, which was our primary concern when we first purchased the product.

CONS

What I liked least about the software was the implementation of the product. This may sound like a contradiction since I said what I liked most about the software was its customization abilities, but setting up the product required one of our employees work full time on the setup for over 3 months. The Filevine implementation team was great but the setup required so many customizations that it required multiple months of product customizations, then testing, then remediation and then the process started all over again for another case type. Disclaimer : We set up a LOT of case types in Filevine.

We switched to Filevine because of pricing and its cloud based architecture.

Horrible Waste of Money

See above. The entire experience was awful.

PROS

The option to turn on a texting feature for a matter was nice. Of course, the text would end up in a spot of the file that was unhelpful.

CONS

My experience with Filevine has been atrocious. It started with what can only be described as deliberate misrepresentations during the sales process. They do a demo of a product and then you get your product and it's nothing like what they promised. Here's a glaring example: I go into the system to start keeping time and send out invoices and I can't get into the billing section. When I report the problem, I'm told that billing isn't available because it's in beta mode. So...I can't use the system for one of the key functions. They say that it integrates with email, but that just means you have to cc the file on everything and then you can't even move the documents around in the system. You have download and upload documents if you want them in different sections of the client matter. I was told it integrates easily with Lawpay. Nope. You have to pay a third-party vendor to get it to integrate. Perhaps worst of all, they get you to spend a lot of money on a "training" that they claim sets them apart from all other companies. Well, my team did the full day of training and the "trainer" could barely answer any questions and admitted he wasn't even a trainer. So in addition to wasting all the money we spent on training, we wasted a full day of work. They are unresponsive to these concerns, with their standard response being that we should just do more training. The system is clumsy and the customer service is awful. Great Software for Case Management

Overall, I think Filevine is a great program. I love handling files digitally. I have worked with other programs and this is by far my favorite. I think since we started using Filevine that our cases are moving more smoothly.

PROS

There are several features I like about Filevine. First, I really like the daily feed which tells me what is due, who is working on the tasks, and if the tasks is accomplished. Secondly, I like the ability to pull up a case and see exactly what is going on. The activity feed is awesome. I like being able to get a complete view of the medical expenses and providers.

CONS

I wish the system captured injuries differently. I would like to see a tab just for injuries which would allow for notes from dr's records, client communication, etc. Also I would like to see a "planning" tab which would allow the attorney and paralegal to indicate plans for handling the case and the client.

Overall Thus Far...

I really enjoyed the training. I'm looking forward to learning more about utilizing FV to its full potential, tips and tricks to help in customizing our firms FV to make it work more conveniently and effectively for our team and our firm.

PROS

FV seems very user friendly and efficient. So many capabilities allowing you to stay w/i FV and ie share folders, send out for electronic signature, PDF edit, combine, etc. All really cool features to be more effective and efficient.

CONS

Surprised that when saving a document into a companion case that is already linked to the primary case that you would have to search each case to also "copy" the document there as well instead of a "copy to all companions" option. Like you can save a "note" across the board to all companions attached.
