MINDBODY Software


 

MINDBODY is a cloud-based club management and appointment scheduling solution designed for the needs of small to midsize businesses. The product is primarily used by gyms, martial arts studios, fitness and personal training centers, salons, spas and massage centers, wellness centers, dance schools and yoga studios.

MINDBODY offers features such as scheduling with wait list management, appointment booking through Facebook, automated scheduling of email and texts and online bookings. Memberships can be managed through MINDBODY as well.

MINDBODY also features a toolset for marketing management. With MINDBODY, notifications and alerts can be set up for customers, targeted marketing campaigns can be launched and marketing reports can be generated and assessed.

MINDBODY also offers staff management features, which include check-in and check-out management, role-based permissions, payroll management and calendar integration.

MINDBODY offers custom API access that enables third-party developers to integrate their platforms with the solution. The product offers a marketplace for applications that can be integrated with MINDBODY, such as Spafinder Wellness 365, Xero, Perkville, RelateLOOP, Zcubator and WaiverKing.

One of favorite things about Mindbody is the fact that it's so easy for our patients to pay for our services before or after getting treated without having to go to the receptionist desk. As well as paying for classes thru the Mindbody app.

Cons

I wish Mindbody had medical billing thru the app with a clearinghouse. That'll be so convient for our business.

We had used this software in the past and found it compatible enough to get by. At the time their customer service was great and that was a positive.

Cons

Incredibly Disappointing Lack of Customer Service. We were charged for the software that we were not using due to waiting for them to respond to questions regarding merchant processing fees. I emailed our current fees per their request to see if they could match them. We would lose money on monthly basis on their fee schedule. I got confirmation that they were looking into it but no response. I waited a few weeks before questioning again and then canceling the software. Even though we never used it at all I was told that it cost them money to keep it running and we would still be billed. Not only that but because I was two days off from the 30-day notice mark we were billed for an entire extra month. They are about making money... not making the customer happy.

Not Impressed with Mind Body just don't go there

Mind Body you really need to buck up your ideas, you have a rigid system that is overpriced in an increasing market full of new software. Many of my friends and colleagues are moving over to Go Team Up and let me tell you, the customer service is second to none.

Cons

Receiving payments from credit card processing was a NIGHTMARE, 10 days to get money and 8 months of constantly contacting them to see if anything could be done. In the end they asked me to shut my merchant account down and set a new one up and this did nothing.
Customer services is awful, there are a few who answer the phone who clearly don't want to help you out and reply with short answers making you feel awkward and stupid for even asking.
They put their prices up and gave me NO warning of this, price increase, disgraceful!!!!!
Reporting system is limited and to find the right one you've got to contact support who take ages to answer the phone, there are so many ways to run a report that it's hard to learn the process.
Their system is hard to use, it's not user-friendly.
They have no loyalty for customers, when I gave notice to leave they accepted it and moved on, no one contacted me to even find out why I was leaving.

I really like how easy MindBody is to use if you have a small business. I also really appreciate the customer service even if it takes sometime to reach a tech.

Cons

BRANDED WEB. Because MindBody bought HealCode, but hasn't made a lot of updates to it, HealCode (Branded Web) does not provide the features or functionality needed to use it with MindBody/our website. The only answers I ever get are "No" and "We are working on it."

I can see great potential with this software, but the improvements are made to function better for Yoga studio/Gym. There should be something that makes this software geared to the type of business that you are running. Hair salons carry A LOT of inventory and that are of this software is a sore spot. Being able to keep the calendar open and functioning while checking someone out is a must, as pre-booking an appointment usually happens simultaneous of the guest being checked out. Very pretty look, good app, but needs some work to be more marketable to the Hair world

The scheduling is so easy to use and most importantly it is easy on the eyes. You look at the schedule and it makes perfect sense. You aren't having to hover over anything to figure anything out, what you see is what is it. The payment taking is also so easy. I have been using this for over 5 years now and they continue to make updates that are so helpful. The reporting system is also another huge plus. I honestly can get every report I need from Mindbody.

I have worked at other establishments with scheduling systems but none of them compared to mindbody.

Sometimes they do get rid of features that I like to use and it throws me off and then I have to figure out a new way of doing the task I am doing.

Recommendations

Watch the tutorial and what they show you is truly what you are getting. It really is that simple to use. It is honestly the best scheduling software you are going to find.

MBO does a good job at storing client data and many people already use the MBO app. The app does not work for us, because we have our own, but if you are trying to build a client base it would be a good too.

It is not set up to work well with studios that have multiple locations and the reporting is not accurate.

Recommendations

MBO is the most widely used software for gyms and studios. It works well for a small business but runs into issues when business get more complex.

It lists classes is in an easy to read format. It is pretty simple to click and add classes you would like to prepay for.

I attended classes at several businesses that utilize this software, however, I have to create a different login for each one. It would be nice if somehow they were linked. For a moment I thought they were because some employees at these establishments have asked me if I have a MindBody account. I did, just not for their specific business. So perhaps the marketing/training/definitions for this could be better.
Also, I am not sure if this is a result of the computers certain establishments are using or the actual software, but the payment process on location is very slow. It can hold up the line at busy times.

Recommendations

This seems to be great for managing a large number of classes offered on a daily basis as well as smaller amounts. I think there is a nice range in showing if a class is full or not compared to just showing the schedule. It seems to cater to the businesses needs well.

Nothing good to say. Just shocking experience and can't wait for refund and cancellation! Total negligent misrepresentation of the sale agreement as I had told the sales person of the 3 locations
our business operates in and she even got the addresses of all 3 but failed to inform me that to have all 3 locations listed on Mindbody would require 3x the subscription fees!

Cons

Misrepresentation on sales call. When I demanded a refund, the customer service told me that she would help me "build a case" in the request and that it would take 7-10 days for her to find out if it is successful. Excuse me? You legally misrepresented a key term of the sales agreement and now you want me to wait for the case to be deliberated? Do you want to be sued for legal misrepresentation? When I asked to speak with her supervisor, she told me she also needs to send a request form for that and it may take days for them to get back to me. Totally agree with all other reviewers here about terrible customer service and difficulty to cancel the subscription. Really wish I never had signed up with them!

Sold a dream, which failed to come true, do not buy, They are rude, no customer service, no support, everything was our problem, they came back and asked for extra money every time we spoke, the system does not work, we had to give up and now don't use it, it is absolutely rubbish supported by the rudest people possible. We complained in writing, no response was received, we lost a lot of money over this shocking experience.

The online scheduling and automatic payments make running a business extremely easy. I was able to customize the software to my business. This software has saved the business more than the cost of use.

Branded web looks great, and great tech support available round the clock. I have nothing more good to say.

Cons

Do NOT use this product if you are a doing single session appointments. It is set up for fitness classes. With the branded web features, that make it look pretty, there are a lot of problems, that the support team doesn't know about. You are taught to build something from scratch, test it, and then are not warned that actually a lot of what you've build doesn't transfer to branded web.

Also, a lot of their features just don't work. For example, their default welcome email (that you send to clients you have made accounts for) doesn't work!!!! It took 2 hour of tech support to come with a basic solution. When I asked for compensation for the time wasted, they said no, and my only option was to cancel. For classes, it's probably great - but know there are still many problems within the system.

They obviously have a big tech support team, because they have a lot of technical problems within their system. This has just clearly become acceptable to them to have. For the money we are being asked to spend, I disagree.

Tough to quit, since they don't return calls.
Easy to sign up, still trying to quit.

The mindbody community is not a selling point.
Not practical for a sole practitioner trying to keep costs down.
You are better off paying a higher percentage per transaction. (+1.5%)
All other components can be provided for free and with better charts.
Customer service is my biggest gripe with them.
VERY tough to get them on the phone.
To this day I am trying to get a hold of their department to cancel my subscription.
Which conveniently for them operates on a separate schedule (closes at 3:30pm PST)
Today for example I called in and waited for 4 hours (until 3:30) with no call back.
Tomorrow might be the same. Woohoo.

I put mindbody in the same category as COMCAST.
That is pretty bad company to have.
Easy to get in, like pulling teeth to get out.
Nothing inspires less confidence in a user than that kind of membership model.
It will not serve them well, and I will refer away from them when possible.

Feature packed. Comprehensive. Relatively intuitive. This cloud based POS system has offers everything you'd need to run a business - AS LONG AS YOU VERIFY IN WRITING THAT YOU HAVE THE RIGHT HARDWARE TO DO BUSINESS WITH THEM.

Cons

You CANNOT PRINT RECEIPTS OR SIGNATURE FORMS from android/ios devices running the much touted Express app.

You also CANNOT SELL TO WALK-INS on mobile devices since receipts from these devices need to be emailed - and there is NO WAY to enter a walk-in's email address.

Finally, we found out the hard way that the provided card reader IS NOT COMPATIBLE WITH 2 out of 3 of our android devices. Tech support verified that our devices are not on the list. When I asked them for the list of devices that ARE compatible, I was told that the list is not visible to customers or potential customers.

All this is after their merchant services "forgot" to send the card reader in the first place until I prodded them to do so.

I like that the software is easy to use for every day tasks like scheduling appointments, etc. I also like that we've been using the software for several years so there is a lot of data to geek out on.

Cons

There are a lot of unresolved issues/glitches with the software. 50% of the time when calling tech support the person lacks the knowledge to assist with the issue or gives a generic "it's a known problem, we have a work order in to fix it". Many of these "work order" items have yet to be fixed (some existing for 8+ months). My concern is these issues reflect poorly on our business as our customers assume it's a Gymnazo error not a Mindbody problem. We are very client oriented and want to give our clients the best experience here at Gymnazo, this includes the easy of scheduling.
Another concern is efficiency. I run the KPI reporting and it's a long mundane process to gather all of the information we need for our business meetings. I don't trust the Mindbody reports and feel that I am constantly auditing them to ensure we have accurate data.

Broad scope of functionality - scheduling, sales reporting. MBO is not just a software system. They are about helping the business with all things related, i.e. marketing, staffing, etc. They are consistently working on the next best enhancements!

Cons

I wish there was an easier way for family reservations, a one step process to select the family members and schedule them with 1 click.

Pros

That most consumers already know how to use it. I also like that there is a retail aspect to it.... so it's nice to be able to keep my client's classes and retail purchases all in one place. The apps are great as well.

Cons

It's not intuitive. The retail part of the software is hard to use and very time consuming when it comes to entering in new products and inventory. Also, the cost of CC processing is crazy expensive.

The software manages all aspects of my business. I run both an appointment based business and class based business from the same instance. The ability to easily separate my revenue streams is pretty handy.

Pros

The software is excellent for both appointment and class based businesses. MB has excellent features for many different industries. It is by far the most feature complete system available. There are constant improvements and MB cares about its base. Changes are thoroughly tested before being released. A rich partner network allows you to expand functionality in many ways. Mobile apps for both the provider, owner, and client are available. Mobile solutions are easy to use. Reporting is easy after some training.

Cons

MindBody's insistence of not making their consumer mode mobile friendly is fairly annoying. Reporting interfaces are inconsistent although I understand it is being rewritten and made more consistent. There is a steep learning curve and your success as a client seems dependent upon the person who did your initial setup. There is little consistency in that arena.

Lots of features to help us stayed organized! It's easy for my staff to use, and it's great that clients can access their account info online.

Cons

Long wait to talk to tech support! It's expensive, I was fine with what I was paying at first but I've been a customer for 6+ years the price went up a lot over the years. I really wish that the old existing customers could lock in their rates. Honestly with recent monthly price increase it's more tempting to shop around and find another software that has the same features for a better value.

Pay reports, booking, auto-emails, MBU, staff customization, price doesn't increase with users. Ability to run two locations.

Cons

User interface.
No HTML receipts.
Limited customization.
Random glitches.
SOAP notes
Support can take forever - especially in a crisis
