Budgetly has saved us a lot of time
Budgetly has been fantastic. Their Support team is very professional and flexible, providing ongoing training and support whenever we need it. I definitely recommend them to anyone using petty cash cards.
PROSWe were previously using Vascoe Pay cards (petty cash cards) and our staff couldn’t upload receipts with these. This meant we had to send a report to staff each month and then reconcile everything manually, however sometimes transactions were missing if they hadn't settled yet etc. Budgetly now allows our staff to upload receipts immediately via the app and we have real-time reporting on everything. We've saved at least a day a month in admin work and even more for our teams.
CONSIt would be helpful to be able to select certain date ranges when syncing transactions to Xero.
Reason for choosing Budgetly
We were introduced to Budgetly by another company that's using it and really liked what we saw when we looked into them. It looked very easy to use and we loved that users could download the app and upload their receipts in real-time.
Reasons for switching to Budgetly
Our old process involved a lot of manual reporting and reconciliation with minimal visibility.

Budgetly solved our problems
Before Budgetly, we had about a dozen credit cards and a centralised spreadsheet. Each month, we were meant to fill it out with each transaction (how much, what it was for etc.), however our Accounts team usually had to chase up multiple people with missing information every month. We don't have to worry about any of that anymore
PROSGiven how flexible Budgetly is, users now don’t have to worry about manually filling in spreadsheets and we’ve saved a lot of time on admin work. Staff were often sharing cards etc however we don't have to worry about card security anymore. We've also saved at least a day a month in admin work.
CONSI honestly can't think of anything we don't like about Budgetly.

I was actually in a meeting with someone who was using Weel (previously DiviPay). I looked into them and while doing so, found Budgetly. I liked what Budgetly did and booked in a demo. After the demo, the interface and flexibility was great so we signed up.

Saved time and money
We needed approval for spending from directors before Budgetly. Booking flights and accommodation is much easier now and no more reimbursements for personal spending

Budgetly's great so far
It's been very easy to use and we've had fantastic support, especially when we were getting things set up.
PROSWe were looking for an easier way to manage our expenses which we've found with Budgetly. We now have more control over what people can spend, more visibility on what they're spending and less admin work around reimbursements etc.
CONSSo far, Budgetly has done everything we need it to do. No real cons at this point.
Reason for choosing Budgetly
Volopay charged based on the volume of transactions which didn’t appeal to us as the cost-to-benefit wasn’t there. It also had less control over actual spending and setting limits etc.
Reasons for switching to Budgetly
Concur was quite clunky and a little too complex for what we needed it for.

Budgetly saving time over 15 childcare centres
The support we've received has been great and we're saving a significant amount of time by not having to chase staff/centres for receipts etc.
PROSWe have an individual account set up for each of our 15 childcare centres, each with a few cards. Everything is now much more centralised and we can easily see all of our accounts in one spot. Budgetly has saved us at least one day per week, per centre as we no longer have to chase receipts and manually reconcile all of this.
CONSAt the moment, there's nothing that we don't like about Budgetly.
Reasons for switching to Budgetly
It's been a lot easier to deal with someone who's not based overseas, Budgetly has been great.

Budgetly Review
We were using two different providers prior to Budgetly and their online platforms/functionality quite limited. Since moving to Budgetly, we've saved 5-10 hours per week across the business with smoother processes in place for all frontend staff using the cards as well as backend staff who had previously worked on reconciling receipts etc. Through being able to track spending across the business, we've significantly reduced overspending in our SIL houses and are now able to better incorporate budgets etc into our strategic planning for our business.
PROSUser-friendly platform with functionality that allows us to create what we need in existing systems.
CONSCreating budgets/cards/users can get a little confusing when working out the requirements between them all
Reasons for switching to Budgetly
Limited functionality, Budgetly provides far more flexibility to the point that we can enter what we want on our cards etc.

The training and onboarding process was excellent. We were provided 1to1 training, customer help videos and free telephone support. We've barely needed to call since the initial training though.
PROSWe no longer have to do any expense claims or reimbursements. We issue cards whenever we want and all spending is controlled and tracked.
CONSOnly thing we've found is we still use a CC for google paid search spend. Otherwise we've been able to remove all other credit cards from the business.

We considered Weel but the Budgets functionality in Budgetly was much more powerful plus we wanted to issue physical cards.

Budgetly has saved us 50 hours a month
We’ve definitely saved a lot of money. 50 hours saved across the month in bookkeeping fees is massive. So much easier to sync straight into Xero, the time saved is amazing. We’ve had a lot of help whenever we’ve needed it, it’s been great.
PROSOur setup is a little different with Budgetly compared to a standard account. We have 5 accounts in total, one for our head office (senior leadership) and four individual stores. For the stores, each store manager had a bank card and would often pull money from the till to buy essential, smaller items. Budgetly has completely removed the operational risk by no longer having to reconcile and manage cash. It’s also a lot easier to collect and manage receipts with the app and our store staff are empowered to buy larger, ad hoc purchases with suppliers etc. Times this by 4 stores, it’s a huge help. Our head office team uses Budgetly a little differently to the stores. It’s been great for things like software subscriptions, larger purchases for maintenance for stores etc. For example, it’s very easy for our marketing team to make payments online for different services as the cards offer everything that a corporate VISA card would. The fact that it all then flows straight into Xero saves hours of admin work.
CONSI’d love to be able to sync all deposits into the Budgetly account when syncing to Xero, not having to add these manually.

No more cash
Fantastic support, 10/10. If we need help, we always get it. It's neat, clean and tidy and really easy to manage for auditors.
PROSOur reconciliation process is so much easier now. Staff no longer have to carry cash which has mitigated a lot of risk.
CONSThe system works great, however would be great if we could integrate with MYOB.

We're loving Budgetly
We really liked the support that we’re receiving. This is a really big deal for us because our previous card provider essentially gave us nothing.
PROSTop ups are so simple to do! We’re still working out some of our own processes around how we do this, but it’s so easy to have the option there at a click of a button. Our staff are often on the road and may not know if and when they’ll need additional funds, but it’s very efficient and easy for them to manage this. Team members can manage acquittals etc. at any time instead of waiting for the end-of-month process which is a huge time saver. For me using it as an admin, having the phone response and getting a result on the same day means I can keep things moving and get a response back to staff so quickly. The software’s so user-friendly and easy to use which makes doing my job a lot easier, especially compared to dealing with bigger banks. I love using Budgetly, it’s been a really great thing to bring into the organisation.

Flexible debit card management through Budgetly
We were looking for mulitple debit cards for our business units. Budgetly offered an easy way to set this up and despite the increase in debit cards within our organisation, general overview of debit card expenditure is now even better and easier to maintain than previously through our bank. Business units are now responsible for uploading receipts and it is easy for administrators to view where the missing receipts are and to remind units to upload them.Training sessions before we commenced using Budgetly were useful as well. Plenty of time to ask questions and very responsive to our queries when we started using the debit cards.
PROSBudgetly makes setting up debit cards for our business units a breeze. In a time where banks lack total customer service and make it increasingly difficult to easily establish accounts, Budgetly shows how it can be done without overburdening Finance Managers and CFOs with unnecessary from filling and by giving first class support.
CONSThat it not automatically integrates with MYOB Accountright. However, we were told this from the start and we understand the reasons, but still it takes precious time to transfer transactions into MYOB.

Budgetly is a breeze
We’ve got our central office however a lot of our staff don’t actually work from here as they’re out running programs. Budgetly allows us to provide them with cards and access to funds when they need them. We didn’t want our staff to have to spend their own money, and we now have a lot more control over what our expenses are in real-time. Also being able to see which staff have uploaded receipts in real-time has made it a lot easier to chase these when required. The whole process is now much more efficient and a lot easier to manage.
CONSI felt that there was some assumed knowledge during the initial set up stage however we're now up and running with no issues.

Budgetly's so easy to use!
Excellent service and the support is great. I liked that I was given time to play around with the system and get used to it before we got everything set up. All the initial issues with our manual process have been solved and our expense management process is now simple and user-friendly.
PROSBudgetly's taken away the manual handling and the manual approval process we had by simply making the whole process easier. Budgetly has given us great flexibility with purchasing which in turn gave us more control over spending.
CONSThere's really nothing that we don't like about Budgetly at the moment.

Our previous process was very manual and often wasn't being completed properly, however this has now changed. Budgetly solved the initial problems we had.
PROSBefore Budgetly, we had a very manual and time-consuming process with managing our expenses, however this has now changed and we're saving several hours a week in admin work. We also now have full visibility over our process and much greater control.
CONSNo real cons at the moment. Still chasing up staff for certain things, but that's more of an internal issue and not Budgetly.

Budgetly Review
Budgetly has been great. We've saved so much admin time across multiple different sites and things like record-keeping are now so much easier.
PROSBefore Budgetly, we were using cash for pretty much everything which involved a lot of paper work and admin. We're now able to manage multiple housing sites with ease and reliability. Budgetly has cut our admin time by at least 50%.
CONSWhile we can export reporting to show this, we'd love to be able to track a running total of spend by each budget in the platform.

Budgetly review
We used to use cash and were worried about risk management using this. We also had a time-consuming reconciliation process. Now with Budgetly we can see purchases made and print transactions and the risk of issuing cash has been removed.
PROSBudgetly was the only company that offered cards that weren’t required to be allocated to a particular person's name which suited us as we needed the cards to be issued in house/location names. Very good customer service.
CONSThere aren't really any cons I can think of at the moment, doing everything we need it to do.

Streamlined process
Budgetly has helped us save money by ensuring staff are sticking to our actual budgets. It’s hard to say how much time we’ve saved, however the whole process being streamlined has saved a lot of it.
PROSUsing Budgetly means we can now instantly provide cash to a card and control what our staff spend. It’s easy to upload receipts, the Xero integration makes things a lot easy and it’s much more convenient in general.
CONSSo far, there's nothing that Budgetly isn't doing for us. Everything's working how we thought it would.

No more manual reporting
We have multiple budgets setup for our different houses which works great. Budgetly 100% solved our initial problems, no complaints at all. Budgetly has saved us at least 15 hours a week.
PROSIf we didn’t come to Budgetly, we would have had to hire another admin staff to manage the process. We can now generate reports with the click of a button.
CONSWe’d love to be able to use Direct Debit from our Budgetly account

Budgetly
I provide cards to our driver as they’re needed. We can easily change these and provide virtual cards where needed which has solved the problems I had around flexibility. I have saved at least a couple of days a month in admin with with Budgetly.
PROSGreat flexibility, I loved being able to turn virtual cards on and off at the click of a button - A lot easier than dealing with debit cards.
CONSI'd like to be able to turn off certain notifications for my users that don't always apply to them.

User-friendly and Straightforward
We've found the Budgetly system to work a lot better for our team in terms of tracking purchases and avoiding time consuming expense reports. The training provided by Budgetly was thorough and informative; the setup process was also very prompt and straightforward. The Budgetly team have been communicative and friendly throughout onboarding and following up to see whether we have any issues/concerns. Overall we've had a great experience using Budgetly!
PROSThe entire Budgetly program is very straightforward and easy to get the hang of. The software is user-friendly and logical, particularly the phone app. We were able to get the cards up and running successfully after one short session with our staff. Everyone is comfortable using the app and love being able to use the card on their phone.
CONSThere could potentially be an option for admin users to receive a notification if a card declines. The only other issue we had was that the Budgetly cards don't scan into your digital wallet, you have to enter the numbers manually. This wasn't a major inconvenience, but it's probably the only one I can think of!

Glad I found Budgetly
Budgetly has been a lifesaver and saves so much cost to the company; previously we used to deliver coles card for shopping to all our clients which would use so much our man hours and resources, on top of that to keep track of spending was a nightmare. Budgetly has saved all that hassle for us.
PROSVery easy to order new cards and start using them straight away, setting up the budget for each client was easy
CONSI cannot find anything wrong with the software, Top up option was added later and resolved

Multicap Tasmania Uses Budgetly
It has been great. We've enjoyed it, it's a great system. It's easy for non-technical-minded people to use.
PROSModern product. Other apps are clunky but Budgetly is so easy to use. Don't need to rely on their support team to make changes, you can do everything yourself.
CONSWould be great to have budget cycles be a little more flexible. We'd love to choose the date it resets.
