Completely Customizable and Easy to Use!
We are a non-profit working in the public behavioral healthcare system. We provide broad range of services from a drop-in center to supporting people in jail to Medicaid-billable behavioral health services. This system does everything we need it to, and everything our funders require of us. I love being able to manage this system myself, create my own forms and reports, and structure it the way that works best for us. When needed, there is also have a great customer service team available. I have worked with other data systems before but have no formal training. You don't need to with Apricot, it is intuitive and easy to use.
PROSI can easily create my own custom forms from scratch, click and drag report-writing is simple and robust, and customer support is available to live chat anytime during business hours. Employees rave about how much easier Apricot is to use than other client data systems and EHR software they have worked with at previous employers.
CONSThere are some features that have been "coming soon" for quite a while. I wish they would come sooner.

ClientTrack was clunky and hard to work with. Anytime you wanted to change something on a form you had to submit a ticket to the vendor and it could take weeks to get a response. Even something as easy as adding an option to a drop-down menu required a ticket. When we asked about the ability to change those things ourselves we were told we could, if we took a $10,000 training course first. If the employee who took the training left and we wanted someone else to take over that role, that person would have to go through the training for another $10,000. We were trying to fit our unique way of providing services into templates that the vendor had created. It was supposed to be easy since all the forms were already made, but it was a nightmare trying to find workarounds and ways to track and report on the information we needed. We couldn't call fields what we wanted to call them. We couldn't store information from one of our assessments all in one form, we had to have it scattered across various forms that ClientTrack had set up. There was a limit to how many tickets we could submit each month and anything additional came with added fees. We save so much time and energy by creating everything ourselves with Apricot. Staff who couldn't figure out how to use ClientTrack correctly use Apricot with ease. Apricot customer service responds within minutes vs. days or even weeks with ClientTrack. Apricot is a superior product at a lower price.

Flexible and configurable if you have the data and form design skills
Overall, my experience with Apricot Social Solutions has been very good - especially their support department. Having just-in-time support available via Chat has been a big part of why the system works for us.
PROSWhat I like the most about Apricot is that I can design my forms as I see fit, without writing any code.
CONSThe features that could be improved include some aspects of reporting, as well as control over font sizes and form layouts.

Started strong with CTK Technology, but Social Solutions is all about the profits from non-profits
Apricot should be able to track all client program activity, assessments, expenses, case management, and outcomes. We have only recently had our system re-designed after two years of not being able to do what we needed, so we haven't seen this level of performance yet. This is our first month online with the correctly re-designed system. Since we are having to manually migrate data, we will still not be able to pull more than monthly data for a while even though we signed contracts for Apricot almost four years.
PROSIt is customizable to your needs. It had a user-friendly design with CTK Technology. CTK was very knowledgeable about their product and focused on helping non-profits with their tracking needs.
CONSSocial Solutions bought out CTK right before we signed the contract. They didn't have knowledgeable staff and so our system was designed poorly and never functioned properly. We had to hire an outside contractor that had many years of experience with Apricot (under CTK Tech) to re-design our system this year. When we tried to get Social Solutions to migrate the last two years of data that wouldn't populate correctly, they wanted to charge us a permanent monthly fee to transfer the data from their Apricot design to our newly re-designed forms in Apricot. So we are having to manually transfer two years of data. They have also recently increased their annual fees significantly.

Great tool for basic data collection, expanded features limited
Overall, Apricot accomplishes many of our organizations data management and collection needs.

Customizable but clunky
We've worked with very helpful individuals. Unfortunately, our account support team has changed MANY MANY times. I often don't know who to call for questions and feel like I'm reexplaining our program/needs over and over and over again. Additionally, billing & payments have had a few errors multiple times. I had to point out a pretty obvious error in our invoices and am still waiting on a credit payment.
PROSI really liked the ability to customize the software and change fields, forms, & reports. The report feature is also very nice. I like that Apricot is consistently improving as well.
CONSAlthough it is customizable, there seem to be some limits or unintended side effects of some customizations. It feels like our administrators need to build EVERYTHING from the ground up instead of being able to customize or change some standard or basic systems (forms, sites/programs, & reports).

Apricot admin - nonprofit
Overall I really like Apricot overall as a robust online record system housing all type of client information.
PROSProduct is relatively easy to use and to train others on as needed. What's most impactful is how customizable Apricot is and it can be adjusted to our case management needs.
CONSDifficult aspects of the product have included missing notification systems to let case managers know of missing info in Apricot, the many form choice fields can be make it hard sometimes for building and pulling reports, ongoing tech issues when running reports so have to talk with customer support to help out. The inability to delete files all together would help with streamlining and data cleaning too.

Easy to use but training over set up lacks
[SENSITIVE CONTENT], our ASC, is absolutely amazing. We have really enjoyed working with her. Overall the product is great and easy to use and I would recommend HOWEVER I would tell someone if they don't have the money to pay for additional support to set up the system to look elsewhere b/c they will just be frustrated or delay implementation trying to figure it all out, which was our experience.
PROSHow easy it is to customize for our operation. Foundation was built for VOCA reporting.
CONSTraining or lack there of. I felt after we got the product it was said 'here it is and go figure it out'. I know we had like 8 - 10 hours of help at the start however that is not near enough time to learn about functionality and how one thing for one program/funder will impact the processes or reporting we need for another program/funder. I'd recommend you include at least do one or both of the following in the initial contract: 1) 1 year of ASC support to the initial contract and/or 2) include 2 - 4 seats of the boot camp. We aren't a large organization and additional support is costly so we had to pray we had staff turnover or foundation grants to help us pay for the additional help. That's not a very good feeling to have.

Administration is key to successful use of Apricot
Of course transitioning to Apricot as an electronic system was a learning curve for the whole agency, but with proper training and a little time it became a smooth process overall. I use Apricot on a daily basis and generally find it user friendly and easy to use. Using Apricot has given our office the ability to cut back on maintaining physical client records aside from the necessary information we still collect on paper.
PROSOur Apricot Administrator [sensitive content hidden] has been able to tailor aspects of Apricot for our agency needs so that we can do our day to day work smoothly and efficiently. I really like the way she was able to personalize Apricot for our agency use.
CONSThere are times when Apricot is running really slow or will put up a weird error message that can be frustrating. Also when I need to take a phone call and the session times out re-inputting the info can be a pain.

Apricot Review
We seem to run into issue after issue with the system- many errors and limits with using features because they are not functioning properly. We do not get timely help with fixes and end up waiting a long time to be able to roll things out. Even things as simple as forms have been delayed months because there are errors that are not getting fixed.
PROSWe have received great customer service from our Advanced Support Consultant. I like that we can make changes to forms and implement new processes on our own.
CONSIt does not function nearly as well as we were told through the sales process. It seems Apricot is better suited for smaller agencies, as we have been told that many of the issues are because of the size of our system. It seems Social Solutions is more focused on growing their business rather than ensuring the product they have functions appropriately.

Waste of time and money
We've had this software over a year now and it still feels like we're trying to get it in decent working order. If you're using it for very simple, non-complex data entry, this may work for your basic needs. But if you have a lot of moving parts, I can't recommend.
PROSFinally got us digital so we could collect data more accurately and efficiently. Some of the straightforward data entry features aren't as difficult to navigate.
CONSThe ability to customize the software to our needs is seriously lacking. The interface and functionality are clunky and not at all intuitive. Reports that should be relatively simple to generate are overly complicated. We've had to rely on extended help from the programmers which means spending even more. We regularly experience glitches for no reason.

Poor communication and overpriced for small non-profit case management.
We are a small non-profit that has been using Apricot Essentials for our case management needs for the past year. Initially we were satisfied with the customizable features and ability to track and organize case notes. However, as our organization grew we realized that we had software needs that Apricot didn't fill. Not only did our the renewal specialist somehow miss our appointment to try to cancel our automated renewal due to "technical difficulties" in their system, we were unsuccessful in attempting to get in touch with her before our contract automatically renewed (WITH an automated price increase) for another year. At this point we continued to attempt to back out of our contract to no avail. We were finally able to reach someone who was very helpful but ultimately unable to assist us with backing out of our contract with a software program that does not meet our needs.

Very good. But the TA support needs attention
PROSThe concept and framework. It’s the best resource available for data collection systems connected to government and other systems.
CONSI strongly recommend that they adjust the TA support system options. Much more time and resources are needed to make the project operational.

Great for system management
Difficult learning curve especially for our unique context. As the organization has grown rapidly there have been dropped balls in management of our account. We've been with Apricot for over 2 years and it still doesn't feel like we are able to utilize it to the full extent that we would like.

Great if you have HUD funds
Overall, the system provides accurate reporting to our multiple funders. It lacks a few bells and whistles that some systems have but is overall a great system.

Apricot is a simplified, customized, and user-friendly software.
I'm holding out hope that we just haven't been properly trained on how to access its full functionality and that it does work as demonstrated. If this is the case, it allows those that are visual to see summary data easily in charts and graphs on their dashboard, but for data geeks like myself, we can open the full spreadsheet of data that generates the graph or pie chart. This duality makes it user-friendly to all types of users.
PROSThe fact that it is customized and can provide daily dashboards to easily see progress towards goals. You can also set individual access permissions.
CONSOur current setup seems to be more difficult to generate reports than what was demonstrated prior to purchase. However, the product changed hands to Social Solutions from CTK Technologies just weeks prior to us signing the contract. I'm not sure if Social Solutions has changed the functionality or if we have just not been properly trained on its functions.

This software is easy to use and can gather great information for reporting. Real-time updates across the platform. Cloud access anywhere!
CONSIt is expensive and can be confusing to make changes. Reporting is great, but filters can be limiting at times, and not being able to filter a single input in 2 different ways is challenging at times.
