Easy to use, easy to train staff on. Great product

To run our company most efficiently.

PROS

It is web based so as long as you have an internet connection you can use it. It is very user-friendly to use, the people at TOPS are without a doubt outstanding to work with. One time we had an issue and TOPS staff spent the time on the phone with us to show us what WE were doing wrong not TOPS ONE.

CONS

We have used several products in the past and I can honestly say TOPS ONE blows them all away. There is not much in the way of bad things to say, with all software there are bugs and things we as users would love to see but the thing about TOPS ONE is they care and listen so if you are looking for something specific just ask, reach out to them talk to them they will accommodate you.

Tops One is great but still needs some advance features

My overall experience with Tops One, considering I am a beginner with this software, has been a extensive learning one.

PROS

What I like most about the software is the easy navigation between the functions available. For example, posting payments thru the AR- Cash Receipts provided under the AR-Accounts Receivable tab. It's easy to post a payment on a unit owners account.

CONS

The least I like about the software are: 1) from an accountant perspective and having QuickBooks knowledge doing adjustments and rectifying ledger accounts are a bit confusing. The Debits and Credits seem to work backwards in this software which causes major confusion when making adjustments. 2) Is not having an auto function for bank transaction integration . Currently all deposits made through the bank, the bank provides a text file which we then upload into Tops One (lockbox cash reciepts). For expenses we have to post manually. Quickbooks has a bank integration module which downloads bank transactions into the software which then the accountant can review and post with one click of a button without having to manually input transactions. Having this kind of integration will definitely provide a more realistic and real time bank balances.

Please read before buying this! what a nightmare!!!

If your goal is to run your office efficiently then I suggest you do not use tops one!! I was so excited after talking to the sales rep about all the cool changes we could make and not one of the promises turned out! I have sent at least 10 emails to ask them when I am getting my training on the compliance and management side of the software and I was told the rep will call me and then after more emails from me i was told some other rep will call me then after another email today they told me the third rep is going to be reaching out to me. That is what inspired the review! I can't believe this company is able to stay in business or are they on their way out and that is why all the issues many companies are having. I also called other companies across Utah and Arizona that use tops and I have asked them if they are having the same problems and I have had every one of the companies tell me they are looking to change! Don't buy this product you will regret your choice. The next step to get back my money/training and misdirected promises would be get a lawyer involved. Sad that they can just be honest and fair to their clients

One year later and still haven't been fully trained like I was promised they took thousands of dollars from me no problem. I have to pay on time but they don't have to deliver on anything. The support takes way too long to get answers or they don't have answers The emails only go out in Tops software's name and you can't customize the subject line if emailed not the scheduler Many people saying they aren't getting the emails from the software even though it says it was sent The financials always have mistakes that they can't explain then we have to wait for them to fix them Annual budget to update is very difficult to do. not user-friendly. you can hide the zeroed line items while updated the budget. good luck! They say the financial layout is customizable but yet when we ask if we can do things they say well you can't do that! Our CPA says The default financial isn't set up to the standard of typical financial statement Unable to delete certain data that they said we could during the demo The tradition has been a painful process! They said it is easy! it is not!! They said it works good with a Mac computer but it doesnt! yes it is web based but any docs downloaded or files you need to work with are not MAC friendly Reports take very long to download! Custom reports are not user friendly It crashes and times out It does not have simple commands like putting tables in alphabetical order or descending/ascending order. It also does not imp/exp very good

I have been a Tops user since late 1999. Our organization is comprised of 16 Neighborhood Associations and a Master Association. Our organization is the property management for all 17 associations as they are all located within one Premier Country Club. I was forced to look for new software as the software that I was using became unavailable as the owner of the (one man) company suddenly past away. I was very happy with the software, but had no idea that most of the components were not written down. He was brilliant except he should have shared the information with someone else. Now, as I was researching for a new program, my main concern was to find an established company that was not a (one man) show. There were several excellent programs that I looked at, very impressive; however most of them were a (one man) show. I found several companies that were using Tops Software and I went to a couple of them to see Tops in action. It was very impressive and very stable. That is how I decided to pick Tops! I am now using Tops 4.0. In the beginning, Tops was quite easy to initiate. Tops came with a training package, which included a Tops Representative to help me with the set up. We, Tops and I, have had a long relationship now and I have no regrets. I am constantly learning the new upgrades and I am very happy that I made the right choice! Tops also offers excellent customer support! I never have to fear when I need assistance as the return call or online response is very quick! Thank you Tops Software!!

Fantastic for HOA Management

When I started my company 21 years ago, I used AccPac to implement the accounting for the homeowner associations my company managed. I found AccPac to be expensive and not tailored to HOA Management. Their Representative introduced me to Sage, but it didn't really fit my needs. I started using TOPS in May 2008, and was amazed at how easily it flows. I also appreciated how they offered different modules so I could buy only what I needed. TOPS Professional is more streamlined, and more user friendly than what I had been using. I am extremely happy that it is tailored for HOA Management. The support team is fantastic! The only negative for me is I could not get the bank balances properly reconciled, and therefore I have continued to use Quicken for printing checks, scheduling EFT payments, and reconciling the bank statements. An additional step, but also a good check & balance system. Also, I prefer Quicken's check register printouts versus the TOPS check register that prints after entering the checks on AP.

They tried to reinvent the wheel, but FAILED!!

Terrible. From the minute we transferred data from Tops Pro to Tops One, there was issues. We were told it would only take a few hours to transfer the data. Imagine our dismay when it took a MONTH for data to transfer over. Yes, a month, you read that right. We were promised all this "training" on this new product. No training. Even the "videos" don't answer your questions. And then when the employees call you to help you, they have an attitude like we are bothering them. We currently don't have a representative with the company. She left the company over 6 months ago, and to our knowledge, hasn't been replaced. Our concerns are NEVER addressed. "Your issues have been escalated to development" and no fix is ever made. We truly feel like they tried to reinvent the wheel when they had a product that worked well and just needed some upgrades. Also, we feel like the people who developed Tops One do not work in the industry. We wish we would have gone to another company and now stuck in a 5 year contract paying $1000.00 per month for a program that does not work.

PROS

I do like that you can access it from anywhere from any device. And the speed of accessing the database is much faster than Tops Pro. We "upgraded" from their old software to this program. I also like the email functions. Its aesthetic look it much nicer than TopsPro. But that has really nothing to do with it's functionality.

CONS

I am comparing all my experiences with a software this company made. So its not comparing apples to oranges. Let me also state that I have been using Tops' Products for over 14 years and have a vast experience with it. Almost every module is not user friendly at all. To do any task in Enumerate Central (formally Tops One) you have more steps or clicks. The template module for letters are a nightmare. The report function is a joke. We can't even print a budget summary. I literally have to export the budget to excel and modify it. CCR reports, we will be waiting a lifetime for that to populate. Now, the email function is sending violation letter to previous [sensitive content hidden], and previous previous [sensitive content hidden], who knows whenever that will be fixed. The system with kick you out if you get distracted for a minute with a [sensitive content hidden]. Better hope you saved your work before you got distracted because it will all be gone when you log back in. In bank reconciliation you constantly have to save your work, nothing, I mean nothing autosaves. I have had to start bank reconciliations all the way over because I didn't press the save button before I did an adjustment. Same thing for deposits. Hope you don't exit out of your web browser by mistake without hitting save first. Speaking of deposits, if you need to make adjustments to homeowner accounts while making deposits you will have to have a second browser window open to do so. I don't have enough characters for all of it's faults but you get the drift.

Full of Bugs and No Support

PROS

The vendor has very nice and professional employees

CONS

The software is full of bugs and links mysteriously stop working. Print to screen might work on some reports, not others. Email a homeowner, no way. Cant open that link at all. After upgrading and buying the new Professional a year and a half ago the product is obsolete and not supported. They want us to pay additional $ a month to fix the errors in their program.

More than just new features, these semi-annual updates include many bug fixes. Because the product that you purchased is a stand-alone Windows product, the only way we can afford to provide the level of support we offer is to charge a monthly maintenance fee. With our newer, SAAS products, support and updates are included in the monthly fees, but there is no way to do that for a one-time purchase. So yes. We do charge for support. But we do offer scaled plans that make it cost effective for smaller organizations like yours. And I promise you, it's worth the price.

Overall, it's a good software package. It's constantly growing and changing with updates. I hope to eventually see it exceed our expectations.

PROS

TOPS (One) is a very easy program to learn. I find it more user-friendly than TOPS Pro, its predecessor. The TOPS customer support is great at accepting feedback and correcting and editing issues that need to be updated or changed to fit the industry.

CONS

The fact sheet is limited. It needs to be expanded and it lacks the capability to print it off. Also, once a homeowner's CCR is closed, it no longer shows on the homeowner's history page.

AVOID AT ALL COSTS - Absolutely terrible customer service.

NOTHINHG AVOID AT ALL COSTS. Absolutely terrible customer service.My building (at least for now, as I am actively working to replace them) uses Sharma for our bookkeeping and accounting.

CONS

They're an absolute nightmare to deal with - I closed on an apartment in Oct 2022 (It's now Sept 2023) and instead of creating a new account they co-mingled my account with the prior [sensitive content hidden] who was deceased. They kept trying to debit from his account resulting in late fees and ton of other issues. It took months to stop the auto debit, primarily because no one on Sharma’s (acquired by Enumerate) team could be bothered to call back despite multiple attempts to contact them, both by myself and my building’s management office. My account is still comingled with the prior [sensitive content hidden], the firm's namesake, absolutely refuses to speak with me, despite multiple attempts to schedule a phone call. Shamra also will not send me a full accounting from when I closed to the current date, I have asked for this multiple times. I have no idea why. DO NOT USE THEM

TOPS has gone down hill

We started with TOPs IQ and it was okay. Support started out good but then they sold us on tops one with a better interface and a lot of promises. TOPS one has been a major disappointment. Changing management software is a big undertaking, don't commit to tops because you will regret it. It has cost our company thousands of dollars in setup, increased subscription costs and lost time for managers.

They sold us with great functionality and promises but after we paid for setup and training we found out that it couldn't do basic stuff like send emails from our company email address. It has now been over a year and the product is still not there and they never respond to inquiries.

Don't buy this software!!

I normally don’t do reviews, but my experience with company has been awful! I was sold a bill of goods over a year ago on the merits of the online software “Tops One”. The program never worked well, was full of bugs, and was rushed into release before it was ready… I’ve requested a refund of my implementation fee and monthly fees, with no response from the company. I researched their products and viewed the market share and was impressed with their stand alone products, prior to me jumping into the online version. What they offered was real time in the field, cloud based software that would have been exactly what I was looking for! No such luck, even my trainer finally acknowledged that the program was rushed to market and was ghost of a product that is currently in use. And just so you know I’m not a nut case competitor trying to knock them.

Most of the time the programs features do not work.

There were no benefits except to learn to read reviews before purchasing a product.

PROS

Easy of use when it does work, easy to navigate through. The cloud based is a nice feature as well.

CONS

It is just released before it is ready to be. Features don't work, the accounting is awful and when you try to get customer support you will pull your hair out. I takes over 48 hours to get someone to call you to tell you it's not something they can solve and has to go to Development which never gets solved.

I purchased the TOPS system for the company that I started back in the beginning of 2011. I made this decision after 10 years in the industry and having used several different property management software programs. I chose TOPS because it was easy to use and being geared specifically to HOA's, it had all of the functions that were needed. Over the past years, TOPS has remained the backbone of our firm. We depend on it to maintain all of our community information in a central location. Upon purchase the team at Tops worked quickly to get me set up and provided ample training for use. I have also found that it is very easy for me to train new users that have been added to my team on the program. It offers a very simple and forthright menu system. Overall, I would certainly recommend TOPS to those searching for new management software. As with any software, you may find areas of the program that are not specifically suited for you. However I do not believe that any firm is going to find a program that meets 100% of their requirements/wishes unless it is custom-designed. On a final note, I would have to add that the technical support team is absolutely amazing. I have never received anything less than stellar service when I have had the need to call in. Any areas that I feel the software may be lacking to meet my personal desires is certainly made up by the service of their support department!

Most unforgiving software I have ever dealt with.

As long as you are just entering accounts payable and accounts receivable, you are fine.

CONS

You have to go around your elbow to get anywhere. Also there is too much detail, I don't need to see everywhere a post was made.

It has only been a month and the only thing good is the accounting portion of TOPS One

EVERYTHING ELSE HAS BEEN LESS THEN ADVERTISED. Violation Letters wiped out. Editing letters is a tedious. Sending out bulk mailing letters is complicated. No where to store rental deposits. No way to send letters to just renters and not owners. The conversion from IQ to ONE was suppossed to be an upgrade but they forgot about upgrading the best parts of IQ into one. They never considered existing customers and ease of use from IQ format. My business has been severly affected by this transition.

The web based interface was nice for mobile.

CONS

During the TOPS [ONE] launch, we paid for phone support and waited for email responses. The accounting was adding each ledger entry multiple times. We found pen and paper a better solution than there software. We asked to switch to the stable legacy version and were today that was not allow by our contract. We had to threaten legal to be released from the software as they were not fulling the contract terms. No refund was given for their contractual breaches. Be VERY careful. The promises made never came to life.

I used this software to view the homeowners information and records.

PROS

This product was okay until it crashes. Enough fields for the account information for the homeowners.

CONS

The time that I had worked with the software was about 2-3 years total. The system at times would crash and the IT tech person they would need to reboot the system itself. The program sometimes was slow.

Awesome Accounting Software

Great accounting software

PROS

Super easy to navigate, makes doing bank reconciliations super easy as well as paying out vendors that are owed. Even setting up users is super simple and fast.

CONS

Do not have much that I can complain about, I have had success while using OneSite and hope to continue to use it and always recommend it.

As an administrative assistant to the owner of a small property management company, I am faced with many daily requests to handle various tasks for our communities. I find TOPS to be of great help in many ways, from looking up owner info, account histories, payables details and G/L accounts. It's all right there and very easy to access. TOPS software is very user friendly, even for someone who is not that computer savvy. The support system at TOPS is great!! If there is ever a problem they are right there to help you- just a phone call away. We have had TOPS for several years now, and went through the transition to the newest version last year. It was pretty seamless. I think this is a great product and they offer free webinars for different aspects of the software. Every time I take a webinar I learn something new. Keep up the great work TOPS!

The Tops system has facilitated my company’s growth by providing a reliable, comprehensive property management system that easily accommodates new communities as fast as I can sign them up. Instead of an operating expense, Tops have proven to be an operating investment, easily proving more in savings and peace of mind that I ever expected. The Tops system is easy to learn and has a modern, user friendly format that makes navigating the system a breeze. Support staff are friendly and very knowledgeable. Perhaps more importantly, they listen. They actually provided my company a customized solution, specifically to suit our business needs. Tops is great product for a budget conscious company on the rise.

Too many issues, not enough training and support.

TOPS has not helped us solve any business problems but rather create more problem and more work for staff.

The look and what it can potentially deliver.

CONS

Software contains many bugs and issues that TOPS has not been able to fix nor do they have an answer for.
