When I Work Software


 

When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts.

When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests, and they can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported.

When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

Pretty straight forward piece of software which was super easy to implement in a large operation. Overall, very happy with it and would recommend to anyone!

Pros

We implemented this software for a staff of 52 hourly employees and found it to be incredibly helpful as opposed to scheduling on excel. It was easy to drag and drop boxes between employees and see shift swaps. We also liked the easily accessible app - no more excuses! Overall, it simplified scheduling, making it much more accessible for our very large staff.

Cons

When initially setting up the difference office locations and shifts, it wasn't as easy to edit. However, with some practice, we developed our method and got into the swing. There may be an easier way when initially setting up the schedule, locations, and shifts.

I have found this product to be extremely easy to use with minimal glitches and speed bumps. You can start for free and continue at a great rate so you also get a good value for what you pay.

Cons

Although there is a pretty extensive list of article in the support/FAQ section on the website, getting personalized customer support requires submission of a ticket and I have found the response time to be very slow.

System didn't work and company refused to refund despite NEVER USING IT

We never used WhenIWork with our employees...nobody received login info or a schedule. We found it didn't work and we contacted WhenIWork pretty much right after signing up and they refused to offer any refund (we paid for the year). This is such bad business.

Pros

Looks fancy - good concept. The marketing of the product is well done and they seem to be able to convince many people to buy.

Cons

Doesn't work well for businesses like ours that require multiple shifts. We run a non-profit school where teachers take several consecutive shifts at times.

This system makes keeping track of hours, clocking in and out, requesting time off, and verifying time sheets a breeze. It is super user friendly and both the app and the website are extremely easy to use.

Cons

The "location" feature to verify that you are clocking in at the correct location is sometimes a bit off and you are prompted to explain why you are not at the correct location even when you are but I believe this can be easily overridden by management.

I really liked how easy it made to schedule our staff. Super easy to use and helped us feel pretty organized. It also made changing shifts super easy.

Cons

I didn't see a ton of cons, minimal inconveniences, for example, sometimes it was buggy. We stopped using it because after a while, we just did not need it anymore.

This app makes it super easy to clock in and out of work. You can also go in and edit any times that you forgot to clock in or clocked in/out late for some reason. That layout makes it easy to see your schedule and you can also see who else is scheduled and in what position. You can also request PTO and time off and indicate whether it's paid or unpaid and add notes to your request. It's just an overall really great resource to have for any type of business.

Cons

The only con would be that if you have your location services on, it will create a flag if you're not a specific location of your workplace when you clock in or out. That can easily be avoided by turning off the location service on that app though.

For our Camp sometimes a person could be doing multiple jobs throughout the day, so I like that I can color code each job. This makes it so much easier for our staff to know where they are going.

Cons

I would like to see the clock in and out system with out having to pay for it. We already have a system and its free, I would like to see if this is comparable or better than what I have now.

Great for construction when we have guys on the road all over the state each day

Pros

Ability to send out chats and mass messages to selected employees
Ability to add details to schedule rather than just a time and location
Ability for EE's to see who they're working with
Sends out alerts when schedules change so nobody has an excuse to miss schedule changes

Cons

Not much to not like about this program. It's perfect for how we use it. However, we have no used the GPS or time clock management portion so we cannot speak to how well that functions

When I Work is truly a great tool for scheduling. Use it for forecasting as well to determine where you can make the best use of your resources across one or more projects. This tool also helps you understand what your organization is capable of handling. It will definitely save you from scheduling headaches and the potential issues around delivering work when you are better able to have full visibility across all your teams and the projects they are working on. A great stand alone tool, as well as a great integrated tool.

Pros

When I Work is a simple and truly effective time scheduler for resourcing projects in your organization. You can track across one or more projects, as needed, and identify time availability for the work that needs to get done. This is often one of the most challenging aspects of keeping projects on track and very few project management tools can help you like When I Work can.

Unlike the "capacity" view of other applications, When I Work gets down to the most granular details. It allows you to identify when and where a team member will be used, including time-off, breaks, lunches, meetings, etc. You can use these categories to identify how best to allocate their time.

The scheduler allows you to see teams based on shift or positions (roles). You can track un-paid breaks and time off, as well as customize schedules and create templates for reuse. You can even create specific shifts for one time or recurring use and maintain notes on each entry. It also provides high level visibility of total individual team member capacity as well as what is scheduled and what has already been used.

View your teams across one or more projects or job sites and distribute resources across them all as needed. It offers program-like management of projects and does not restrict you to individual projects, which can become cumbersome when re-allocating time of one team member across two or more projects.

When I Work is a great tool for planning, or simply use it in addition to your project management application. Its scheduling features make it a powerful tool that lets you forecast as well, by easily making changes in schedules as needed. You will spend less time manually calculating your resources and where to place them, saving you time and money. Changes to any schedules are easy to see and the responses are easy to manage.

When I Work also offers features like task management, which allows you to manage projects of less complexity in the same application. And if you are looking for integration, yes, you can use their library of APIs for that. But, you need to click on the developer link at the footer for more details. Their integration features are not prominently displayed on their website.

Cons

No cons I could personally find for the application and its use. Integration via APIs are present, but this is more for organizations who have techs who can implement them. I have seen organizations with limited development capabilities due to their areas of expertise, where integrations might pose a small challenge... but this should not necessarily pose as a true con for you.

Awesome FREE scheduling app

Love the modern design and structure of this app. Your able to just pull up your phone and see not only your schedule but also your coworkers so it makes meetings and project planning super easy. The in app work chat also keeps everything work related in 1 app for easy access.

Cons

For my job we use our phones to clock in and out but at times its rather frustrating if you happen to start your day for a work related meeting off site and since this app can track where your clocking in and out from (Which you can disable this in your settings) it puts red flags on your timesheet which is a pain at times.

I have no complaints with this software, very convenient and easy to use.

Pros

I like the convenience of being able to request time off and also to speak with other associates regarding shift changes and/or requesting shift coverage. It makes it very easy to communicate with my fellow employees as well as my employer.

Cons

The format can be a little confusing at first. You have to look through all the sections, such as chats, requests off, availability, etc, in order to orient yourself. However, this is not necessarily a complaint as much as just simply learning the app.

When I Work has an abundance of features and is intuitive in its design. The mobile friendly platform is an added bonus as you can work from just about anywhere. It is also easy to collaborate with other platforms seamlessly.

Cons

If you need many reports for tracking purposes, When I Work does is lacking in this area. Also, the pricing structure is not as budget-friendly. The least expensive tier only covers one location and five users.

We made a great decision to go with this software, it has made scheduling so much easier and more productive. The employees are able to select the shifts they wish to work more easily. Cut down nearly half of the email traffic.

Pros

The software has the capability to view schedules for employees daily, weekly, and monthly, also allows you to select by job site as well and customize shifts.

Cons

I am unable to enter multiple shifts when using the app whereas I am able to enter and entire month at a time on the desktop site.

Pros

Simple, easy, and intuitive way to create work schedules. Keep track of your schedule on the go with the When I Work App. There’s also a way to set up time clocks so staff can punch in and out of their shifts to keep track of hours worked. Staff can also request days off or to switch shifts with a fellow employee.

Cons

With the most recent update, setting daily availability seems to have been removed and only setting availability for the week is possible. Definitely something easy that can be fixed with another update though.

When I work is a time saver, that's for sure!

Pros

Best thing about When I Work is that it's free for up to 75 users, so for small businesses like ours, it's just perfect. The features are pretty basic, such as allowing each user/employee to enter their preferred work schedule so you can make sure there are enough people during peak hours, or as needed. The interface is very clean and easy to use, and the mobile app works just as well.

Cons

Nothing to hate, it's free, and if you need something more robust, you can always upgrade to the paid version for the other features.

I am only a user from the employee side of things, WhenIWork makes it easy to pick up shifts and get details about each job I am assigned. I love how easy it is to let my manager know days I need off and which days I would prefer to work.

Cons

The only downside is that the jobs are a first come-first servem Meaning when a job gets sent out, whoever grabs accepts it first gets it. This feature has left me without work multiple times. I'm not sure how it would be done, but I wish jobs could be assigned to employees individually so everyone got a fair shot.

Overall a great and functional software, yet could certainly be cheaper to be more competitive.

Pros

Easily the most attractive thing about this software is the approachability and ease at which one can create a dynamic employee schedule as well as an open line of communication between employees. Everything about When I Work is very intuitive and malleable, and thus is a good solution for those operating a business.

Cons

The least attractive thing about this software is the cost of it compared to other similar products, and the lack of flexibility inherent in the availability of employee function.

It makes scheduling so much easier with the "copy previous week" feature. Also, the fact that employees are able to edit their own availability helps the scheduling process go smoother.

Cons

You can't delete/erase chats! It's literally the most infuriating thing to just have them pile up. Especially when you have various employees plus group chats. I wish I was able to delete the threads as soon as I'm done with them.

When I Work does what we need it to, but we will probably have to move off of it to have something that integrates with our PEO software to make payroll easier.

Pros

We can have multiple different schedules at different locations and there is a mobile app which is nice for employee use.

Cons

The interface isn't the easiest to follow, and the scheduler is not the most user friendly either. It also doesn't integrate with any PEO software which is really unfortunate.

Once the template is in place, scheduling for the week is a two click process. The Scheduler offers a clear and concise few of the days shifts. The history function allows us to review shift swaps and covers and track employee behavior when needed. Employees like the workchat and ability to swap shifts from their mobile phones.

Cons

Reporting functionality is still surprisingly limited, and setting up the initial schedule (for 135 employees in our case) is still labor-intensive. Your ability to set "parameters" is fairly limited, but has gotten better with time.

Very easy to use with lots of handy features.

Pros

I can view my schedule as well as the full staff schedule. It's easy to request time off, even months in advance. When signing in and out you can add a note and I can access it anywhere! Also easy to go back and tally your hours.

Cons

I just wish you could program it to accrue your time off and sick time automatically.

Overall When I Work has been a great tool for me and I would definitely recommend it to anyone in charge of creating a schedule each week. It will make your job so much easier!

Pros

When I Work makes schedule making so simple. I love the fact that I can just copy over the previous week to the following week rather than starting from scratch each week. It has made scheduling a painless task now. The ability to drag and drop each shift to the appropriate employee is also another great thing about this app.

Cons

I wish there was a way that you can pay to add 1 or 2 employees rather than having to move between tiers. Especially when you need just one more employee but the price increase is very steep.

It is easy to build a schedule with this software. For our company, schedules vary day to day, and it is vital that we are able to communicate specific details to the crew members about what each day will entail. This software allows us a way to do that. Our guys like it to - it's easy for them to check their schedules.

Cons

There isn't much that we don't like about this software. It works great for us and our needs.

Overall I like using when I work, it's easy to check my schedule and make any needed changes.

Pros

I like that I can send my shifts directly to the person who is taking it. I also like being able to request time off without having to go talk to my manager, everything is done via when I work.

Cons

I don't think there is anything I don't like about When I Work...so far I've had no issues at all.

It makes clock in/outs easy to view, scheduling is relatively easy, and some cool exporting features.

Cons

I have used the clock in/out feature for close to 2 years. It has failed several times for several team members. I have gotten used to just refreshing the page 5-6 times just to ensure it accepted.

A lot of the stuff is very no frills and just straight up works without any gimmicks or strings

Cons

Would have appreciated an estimate for the enterprise version of the software rather than having to contact.

Super easy to keep track of your staff scheduling. Took only a few minutes to set up an account and I was off and running. A staff member will need a very good reason to be late or miss a shift with this.

Cons

I forgot to turn off email notifications and went away for a week and my entire inbox was filled with scheduled shift reminders but thats on me.

This software is great when planning weekly schedules for a team. It helps me disperse overtime evenly if overtime has to be scheduled.

When I work is super convenient especially if you work remotely. Use of the app is great, especially since I don't have to write a long e-mail or call or even go to the office to create my schedule. Highly recommend this service.

Pros

Great calendar system,
shows who you work with throughout the working schedule
easy to lay out your availability
great chat options to speak with coworkers

Cons

it can be a little confusing when having to change your ability after you create your repeat schedules. I toyed around with it and now I know what to do.
