Springbrook
We switched to Springbrook in 2015, I was not here when it occured. But started after and it was not hard to learn, again very user freindly
PROSIt is very user friendly. but when there is a problem, support is very helpful
CONSI really haven't found anything not to like about it

Springbrook User Since 2015
The biggest benefit to using Springbrook has been the flow of information. Having Payroll, Utilitiy Billing, Accounts Payable and Cash Receipts all in the same software has made my job so much easier by eliminating the need for multiple journal entries each month. The support has greatly improved in recent months and issues that I call about are resolved fairly quickly.
PROSThe integration process from our 2 legacy systems to Springbrook was very smooth. This was in no small part due to the Representatives who came onsite to train us. While alot different than the previous AP and UB systems I was using, Springbrook was fairly easy to learn. The nice thing is that all the processes are very similar making it easier to go from AP to UP. The other really nice feature that I did not have before was that when a utility bill is generated or an invoice is paid, the transactions go straight to the General Ledger. In our legacy systems, a journal entry had to be done to enter water billing, payroll and invoices to the correct GL Accounts. This makes year end balancing so much easier.
CONSHaving to import and export the meter readings each month is very time consuming. It would be so much easier if there was a simpler way to input monthly readings. We use several different water rates based on the amount of water consumed. Once the usage reaches the allowed amount, the rate changes. Its very cumbersome to have to go into the actual rate and change the consumption and then have to go back after the billing is done and adjust the consumption. This has caused billing issues when the user forgets to go back in and re-adjusted the consumption. When doing billing, uncommitted payments do not show on the bill and there is no option to include them. This results in customers calling with concerns that their payments were not received. We bill in Acre Feet and the billing shows the gallons consumption on meters that read in cubic feet or gallons. (For Acre Foot meters, the use shows correctly on the billing.) Customers don't always know how to convert the use to AF; it would be beneficial to have the consumption on the billing reflect how the charge is calculated. We have to invoice customers outside of Springbrook. Being able to create and invoice within the software would eliminate the process of having to do an additional journal entry to put it in the General Ledger.

The biggest reason was the one mentioned previously. Having everything in one system eliminates the need for multiple journal entries and makes the year end process much more streamlined

The complete package all in one software.
Readily accessible information is the key benefit for me. Annual Audit process is much smoother.
PROSSpringbrook is a module based software. This allows you to pick and choose which modules your organization needs. You also have the ability to add modules later if needed. Everything is all in one place. Converting to Springbrook from a hodge-podge of custom, in-house, and can programs has been a welcome change.
CONSThere are growing pains with any software conversion. Would I want to go through it again....no! But I am thankful everyday we persevered. It is so nice not to have to dig through boxes of paper to find the back up or support for transactions. They are scanned and attached as you do the work. We stopped using one module; we felt like we were having to make it fit our process and it was double work.

Excellent Choice for Mid-Size Local Governments
Overall experience is outstanding. This is an essential tool for our Finance Department and all of our Department Heads
PROSHonestly, the thing I like the most is the responsiveness of customer support. We don't have too many issues with the software, but we always get a prompt response when we run into a problem.
CONSOur number one request is that it be accessible on a mobile phone. We use electronic workflows daily and some of the approvers are out of the office frequently, thus holding up the approval process. If they could approve on their phone, this would solve the problem.
