My Review
If experience with Etrieve was cake, I'd ask for more cake.
PROSWe really needed a forms and workflow solution that could take care of business instead of having little systems here and there that didn't little bits of what needed done.
CONSThe form builder can be tricky to use at times but we look forward to the Fall 2022 update that could bring improvements to that.

Olivet Nazarene University - eTrieve Experience
We started with Docescan/Doceforms/DoceServe and eventually moved to the eTrieve products. The initial move to eTrieve was a little challenging, but once the later version of the product came out and "fixed" various issue the product is now great.
PROSEase of use and setup, speed and responsiveness of the browser app, great customer service and quick response (and fixes) to major issues, form development (even manually using the built in context sensitive editor) is delightful and fun, and a great community experience. Integration with ETHOS and the awesome support for it (from your developers) really helped. Being part of the beta-testing was great.
CONSUsers got used to the tree in DoceScan and were later disappointed that several "features" were not included in the tree. Custom sorting of tree levels is not possible. Sometimes support for ADFS is a little lacking.
Reason for choosing Etrieve
Many, many more features included for the price at the time, even with the add-ons like Form Integration, eDelivery, DoceView, RemoteScan (Thin Scan), and AutoLaunch the price was much more affordable than one module of Image Now. Also, at the time, customer service was excellent.

Etrieve Review
My overall experience with etrieve has been positive.
PROSThe electronic forms and having all student records electronically has been great especially as more people are now working from home and not in the office
CONSOne problem with the electronic forms is that they are difficult to create and edit unless you are throughly trained and have a technical background. It makes it difficult for our office when trying to edit or create a form where we need to rely on IT or someone at Soft Docs for assistance.

Document management made easy.
Overall, excellent experience.
PROSThe learning curve for staff end users is shallow, and our ability to do amazing things with our forms and data is extremely high. The software itself, while initially complex to get installed and integrated with other enterprise systems, is easy to manage on the back end and easy on the users.
CONSOur primary dissatisfaction revolved around the length of time it took to implement the software. With that said, we also understand that integrating multiple systems for multiple workflows across an enterprise is an intensely complex process. Etreive did a respectable job managing that process with us.

It integrated with our Colleague implementation and provided a much simpler and easier interface for our staff and students to navigate. We're very happy.
Reasons for switching to Etrieve
OnBase was difficult to use, licensing was inflexible, and the software is expensive.

Etrieve Review
The platform allows documents to be easily shared, while maintaining proper security in the event of an accidental overshare. Filing capabilities are easy and intuitive in Content with a simplified folder structure. Forms are easy to complete and routed through workflows
CONSThere are some inconsistencies in button configurations on the admin side. For example, the save button is not found in all forms.

Highly configurable and extremely intuitive
This system has fulfilled several business needs, and provided flexibility and efficiency in many areas of the college. Students and employees are able to access etrieve from anywhere. This allows students to complete forms on their own time, without having to take time out to go to an office and fill out paperwork. The flexibility helps serve students, and we generally observe that it allows staff to process things more quickly. It also allows to staff and faculty to work remotely if needed. Additionally, we see that data entry is generally more efficient using the etrieve forms because we can require certain items and mask certain inputs, so they are entered into systems uniformly. Also, forms are automatically placed in the correct folders after the workflow has ended. this reduces the time taken by staff to scan and file each form individually.
PROSOur institution has been using Softdocs Etrieve since we migrated from another system in 2018. We really started seeing the benefits of the product after implementing forms and workflows because they are so highly configurable. We have created more than 120 forms, for nearly every department in the institution. We use a combination of HTML, JavaScript, and CSS create the majority of our forms, and many of them are integrated with SQL databases. We rarely encounter limitation that cannot be resolved or worked around. The forms seem to have provided a lot of support to process efficiency, and end-user feedback is generally very positive.
CONSA relatively high degree of technical skill is necessary in order to build highly integrated forms processes. However, the system does include a very user-friendly form builder that allows users to construct forms without any experience with HTML. Also, since our institution has implemented a large number of forms, we have come across an issue being able to structure them in a way that is simple for users to find what they need. However, this is an issue that could be worked around.

LCSD Etrieve Review
We were already a Softdocs customer so we knew the value of the product we were receiving. Our migration team, led by [SENSITIVE CONTENT] was very easy to work with and patient with our numerous questions and odd workflow scenarios we wanted to implement. We were able to conduct onsite end user training over the course of several days which was very valuable to our implementation.
PROSAs an administrator, I use Content, Central and Security frequently. We have multiple areas in Content where we scan and store documents. It is so helpful to have them right at our fingertips and quickly accessible from the office or when we have to work remotely. We were able to create multiple RPO workflows in Central that afforded us the opportunity to obtain approvals that were not possible through Softdocs legacy product. The workflow monitor has been extremely helpful to move packages to new users or a different step in the workflow as needed. Adding and managing users in Security is very user friendly. We use Google SSO for our users so signing in to Etrieve Central (Employee Self Service) is super quick and easy.
CONSWe miss the ability to scan a page in front of a document instead of it automatically scanning to the end of that document. We also miss the ability to sort the documents in a Content inbox by the user who scanned the document.

Etrieve was a better fit for our organization's needs. We've been a Softdocs customer since 2012 when we began using your legacy product and we were introduced to Etrieve several years prior to our migration when we attended a Bridge Conference.

Continuous improvement and engagement by Softdocs makes Etrieve a great product
We are working on rolling out this solution to more and more departments, and use it in its imaging capability first and foremost. We are also successfully bringing up more and more forms and workflows, adding nice levels of automation to previously manual processes.
PROSAll the features that we are using work well for us, document imaging, document storage and management, workflows and forms, and the design interfaces for both of those. I really like the company behind the software. Softdocs has a big ear for the customer voice, and requests and suggestions are taken seriously. They find their way into the product in one way or the other. Their support has been wonderful as well. The iterative improvements that come our way are great, and continue to make a great software even better.
CONSSoftdocs is caught between selling the product to people who work with it on their own, and selling consulting services to do everything from implementation to workflow and forms design, etc. Perhaps because of this dichotomy, advanced aspects of forms and workflow design and implementation are not well documented, and diminish the otherwise great experience.

When compared, Etrieve was superior in just about every aspect, and the company was hungry.

Etrieve has been a game changer!
Overall my experience has been wonderful. There have been a few bumps in the road but SoftDocs has always made things right. I have recommended Etrieve to many Community Colleges and will continue to do so.
PROSI love almost everything about Etrieve, especially the ability to customize forms and workflows. SoftDocs Tech/Customer Support is amazing. I appreciate SoftDocs listening to their customer and adding features that have been requested. Initially, we purchased Etrieve for Student Services, soon it will be in almost every department on campus.
CONSWe need to upgrade our authentication software in order to eliminate the primary issue we are having with duplicate accounts being created when there is a name change. I wish there was the ability to merge accounts together, especially with the ability to authenticate with multiple accounts. I wish they would also bring back time banks instead of phasing them out for subscription tech support.

We choose Etrieve because of the functionality of having Forms, Flow and Content all work together and the ability to customize the product. The "look and feel" was also highly rated by all committee members reviewing the products. I am very happy with our decision.

Etrieve is a Smart ECM Choice
Etrieve provides all the benefits of an electronic content management system while still allowing customization so that we can develop the software to meet our specific and unique needs. End users have high praise and find it easy to use. Our integrations allow us to make "smart" forms that minimize errors and provide a smooth experience.
CONSField security in forms is still a concern. ADA compliance is in progress, but not up to California standards. Communication is lacking on how to implement new features.

NICC Etrieve review
Etrieve has been a boon to both students, staff, and faculty across all departments. It has greatly improved efficiency and continues to expand in use. In addition, Softdocs support has always been great with quick response.
PROSElectronic Document storage & filing (Etrieve Content) allowed us to get rid of paper files and allow instant and simultaneous document access between all of our Campuses and Centers. Electronic forms and workflow has simplified complex processes for students and freed up staff to provide more individualized support.
CONSThat it can't do everything (yet)? Etrieve is very adaptable; however, as is the case with any software, there are use cases for each institution that are difficult to translate. Softdocs always provides help in figuring out the best process utilizing Etrieve, and the product is also updated regularly with new features. Often, new features provide solutions to use cases that didn't translate prior.

No More Ancient Processing
I have thoroughly enjoyed working with Etrieve to make my office better for the students, as they are our #1 priority. Being able to speed processes up for them makes it all worth it.
PROSEtrieve allowed for my office to get rid of paper forms and antiquated, time-consuming manual processes. We were able to meet the students where they are at and that is online.
CONSThe forms builder is probably my least favorite, however I do like to be able to customize the forms to what I need them to look like.

Excellent Product
It is difficult to narrow in on a single part that we like most. I guess what we like most is that the software is extremely intuitive. Our users are able to log in and find there way around without much help. It is very easy to use.
CONSThe software is receiving frequent updates and reacting to customer requests. This means that they need to support more developers and customer support. This makes the cost of the software tough to swallow at times.

Etrieve Critique
I couldn't imagine life without Etrieve!
PROSThis product is so user friendly and the updates continually revolutionize and simplify our processes. I have yet to see a change/upgrade that didn't deliver.
CONSI am not the most tech savy person so when something doesn't function properly or a glitch happens, I can not make corrections/fix it myself. Thankfully our CIS team can usually assist and when they need more help, softdocs seems to always be available.

Thank goodness for Etrieve
We were almost entirely a paper organization before we started using Etrieve. Because of the sytsem and our amazing technician, we were well prepared when COVID struck. Anything that was not in electronic forms was quickly converted.
CONSWe had to wait a little bit for some of the options we wanted, but thankfully the updates and improvements were happening in good time!

eTrieve and Workflow
I really liked the way the workflow is created. It keeps everyone informed about the steps and actions needed to keep the process moving along and to get it completed in a timely manner. It has improved communication between several offices on campus.
CONSI would like to see the integration with our SIS, Ellucian Colleague improved. We have not had a lot of luck implementing this but it is needed to allow the correct Advisors access to specific documents about specific students. We also need to be able to identify specific students and provide information directly from the SIS to improve the forms processing and workflow.

We were looking for a more robust application to provide document storage and introduce workflow and that would be better integrated with our SIS.

Etrieve works!
Etrieve has been a great way for our college to manage documents in a secure fashion.
PROSI like that the forms are customizable for use at our college. I like that students can virtually sign documents using these forms. I appreciate how accessible documents are within the system.
CONSI can't think of any at this time. I like the versatility and ease of using it.

The integration process was great and us having a designated Softdocs staff member was critical to a successful integration. I really appreciated that there are two distinct sections when looking up our students and the forms.

It has been wonderful , and everyone has been great to work with.
It is fairly easy to use and if there is an issue, the team is quick to respond and correct whatever happens. I have no complaints.
CONSI honestly have no complaints so far. The system is easy to use and everyone is very competent in their jobs. I have had no issues with this system.

Excellent product - highly recommend Etrieve!
Etrieve is very user-friendly and it is easy to find the documents I am looking for. It's also very easy to add documents. Additionally, it allows freedom to design what's best for your program.
CONSI have not run into any issues using Etrieve. So far, so good! I've been using it for about six months now.
