Planning Center Software


 

Planning Center by Ministry Centered Technologies is a suite of Web-based applications developed to support team leaders and members in planning, scheduling and managing church programs and events.

The Planning Center’s “Services” module supports tools to keep media organized. Upload and tag media and files to quickly locate the right song or video for your service, then schedule and stay in contact with team members overseeing or participating in that service.

Within the “Resources” module, leaders can reserve rooms and publish event calendars to effectively manage church resources. Every event, room and resource has its own calendar feed that syncs with calendar programs, including Outlook, iCal and Google Calendar, to eliminate scheduling conflicts. Calendar feeds can also be set up to display on kiosks, so church members can see upcoming events displayed on tablets, touchscreens and televisions in common areas.

Finally, “Check-Ins” offer a way to manage child security, attendance and volunteer participation. Set up and customize check-in stations on iPads, iPhones and most Android tablets—then integrate with printers to create labels that display a child’s medical notes and emergency contact information.

Planning Center offers multiple packages and price levels to fit faith-based organizations of all sizes.

We have been using Planning Center for almost a year. Our congregation has grown a lot this year and this software has kept up with the new services and groups we have added. The different modules that you can add or remove help with the overall functionality. It lets me use features I want and lose the ones I don't need. The mobile apps are particularly exceptional for keeping track of peoples information and checking them in at service.

Pros

The bang for the buck. Many of their features are free depending on the size of your congregation and are reasonably priced as it grows.

Cons

They are lacking mobile apps for some of the modules

We've used Planning Center for the past five or so years, and have been impressed with their commitment to keeping the product up to date. New improvements are consistently rolled out and the communication around each release has been excellent. Online help is valuable and readily available. Managing Volunteers with Ease

I have been a Planning Center user for a few years now and I am so happy to share about this product/service. Managing volunteers is a difficult task for any leader, but Planning Center provides the tools necessary to manage teams of volunteers quickly and easily.

Pros

Communication with volunteers and staff is excellent. Scheduling requests can be sent in batches which saves so much time and it makes planning ahead so much easier.

Cons

The mobile app for iphone has been known to have a bug here and there, but this is such a minor issue to run into when it does happen.

Advice to Others

If you're a church admin looking for a software platform that will increase your productivity and lessen the labor burden of scheduling volunteers, this software will change your life!

Everything is in one place, need I say more? Okay, I will anyway. I can plan services, keep my volunteers organized, communicate with them and I have check-ins ALL IN ONE PLACE. Phenomenal.

The extras that cost so much "extra"... As a small church it's more cost effective for us to find other vendors for them.

Recommendations

Don't be intimidated, it is really easy to use. Since I use it for Children's Ministry that is what I can speak to- and for those purposes I find this tool to be incredibly helpful.

As a user and not an admin I found the product easy to understand right away. The interface was simple and intuitive. I like the block out dates feature so I know I can take off without being scheduled.

The update e-mails are a little busy they could be cleaned up a bit to only show relevant data.

Recommendations

Keeps Our Church Teams Organized

Although our church uses Planning Center for a variety of things, I use it in our worship ministry, and it allows us to all "stay on the same page". Our church meets in the auditorium of a school, and as such, we only have the building on Sunday mornings. Because of this, our worship team cannot rehearse during the week. With Planning Center, I am able to "post" the music for several Sundays in advance and our team can use the attachments to listen to each song via an .mp4 file, and see chord charts. When Sunday arrives, everyone has been able to prepare on their own and we do a quick run-through. I can schedule team members and see who has responded and who has not. I can add notes to each service for the team members' info. My team members can block out certain dates when they know that they will not be with us. I like the fact that there are different user levels so that some people can actually edit and schedule, while others only have viewing permission. Planning Center also allows us to input each person's contact information, so everyone on the team has the ability to reach others if necessary.

The mobile app is not as responsive as I would like, but it works.

Recommendations

Take advantage of some of the free webinars that Planning Center offers. They are extremely informative, and teach you a lot of tips and tricks and how to best use the program for your particular situation.

The interface is very intuitive and easy to use, but still remains powerful. I have been very pleased to watch Planning Center grow into what it is today. When it first came out, I was not too fond of it. But Planning Center saw the changes that needed to be made and made them, something that most CMS companies cannot or will not do. I am a proud user of Plannig Center and would recommend it to any church, large or small.

I really wish there was a user forum. But aside from that, Planning Center is great!

Recommendations

The inability to import items over from F1. It would be great for us to be able to get info carried over from F1 into PC.

Recommendations

My favorite features are the rosters to create service templates and the scheduling aspect. The scheduling tool makes it easy to know when and who is serving.

Cons

It can be a bit pricey for churches just getting off the ground but with how exceptional the service is, it's worth every penny!

Everything is in one place! Organized, easy to find, easy to transpose!

Pros

I lead our worship team and we have tried several software options to organizes our set, assign team, and keep everyone organized and this one has won! We recently also started adding additional ministries into our one account. Now I can see what songs our worship team is singing on Sunday, what our Children's ministry is doing, our mid-week service, etc! I love the annotations of who edited a service last. Overall its very easy to use and a very smart system!

Cons

There is a very brief learning curve as you learn how to add a plan, service, set, etc but once you get the hang of it you will love it!

The reminders are the biggest benefit. It's so easy to see what my responsibilities are without having to wonder or search.

Pros

The software allows for visibility into who will be in charge of each role and the order of the service. I love the reminder feature - the software pushes notifications / reminders about practices & what needs to get accomplished for a successful service.

Cons

I think it would be helpful if the software allowed us to message directly via the software to open communication (or at least to provide contact info). It would be helpful for anytime someone needs to trade.

It is very easy to navigate from the user side. The design of the interface is simple - no need to over complicate it with features - everything you need is there when you log in. Having the calendar of dates on the left hand side is a great at a glance tool that helps me process everything that's upcoming very quickly.

Cons

If PCO isn't managed properly on the back end and your library of music for musicians to rehearse to is to large, at some point the software bogs down and will not play certain files. This is especially frustrating as a musician to expect something to load and it never will - and often won't give you any error message to indicate there's a problem with the software, not your internet connection.

It is easy to communicate with people about upcoming schedules, and to navigate the website. Blocking out dates is simple for the user. The system informs you of scheduling conflicts as to avoid people working in multiple areas on the same day.

Cons

The app sometimes crashes and can be buggy. Resetting the app sometimes does or does not solve the issue.

The more ministries use it, the more powerful it becomes - managing schedule conflicts across teams gets easier when all of your teams use it.
You can tell the people who write this software are also on church teams. They "get" it.

Cons

It is so robust and flexible, with so many options, getting started can be a little overwhelming.
For even a mid-sized church like us, it is an investment. It costs about the same as our church management system, so it is not insignificant. However, I would say we get much more value out of the software than our church management system, so it is worth it.

Easy to see the times and details for when I am service. I can see who is service with me and when there are open spots on certain days.

Cons

The website it a little hard to navigate. I always have a hard time finding more of the schedule than just my next assignment. I wish there was a way to request subs, this is functionality that seems really important and is missing altogether. The app is also hard to use and I can't find the same info I can find on the website.

I use Planning Center multiple times each week and use it to keep track of a large database of volunteers. Within seconds I can see what areas we are weak in volunteer wise and schedule accordingly. I have had very little issues with Planning Center, but anytime I need help, their customer service teams are phenomenal.

On rare occasions there are features that are difficult to navigate. For example, I was recently changing someone's availability within their profile and the dropdown for possible service times wasn't showing the service times it should have. There was a menu I had missed that changed this dropdown to be correct. The Planning Center team fixed the issue for me quickly and taught me how to do it myself in the future so I am definitely not complaining, I would just say there is a bit of a learning curve when it comes to navigating all of Planning Center's options.

We use this software as a worship team. Our worship pastor is able to upload songs and chord charts so we can all be on the same page before meeting for practice. It really makes a huge difference in our quality and togetherness as a team.

Cons

Sometimes the service scheduling is a bit hard to use, especially if you want 1 person to act in many roles. Such as a vocalist also playing an instrument.

Planning Center has allowed us to expand our ministry capacity through clear lines of communication with our volunteers. Truly an indispensable tool for ministry.

Pros

Planning Center has revolutionized the way we communicate with our volunteers and teams. From the most tech-savvy teenager to our oldest retired worship team member, this form of communication simply works for everyone. I love the way you can communicate via different ways.

When we first began to transition to Planning Center, we were a traditional church stuck in the 1980's in many ways, especially in our communications. While it took about 3-6 months to get everyone on the worship team using it (probably a rotating team of 40), now we don't know what we would do without it.

Since then, we have expanded with Planning Center's capability. From our Volunteer Greeters, to other teams (Ushers, Safety), it is a tool that serves everyone, and helps us expand our ministry efforts more efficiently.

Cons

While Planning Center is the industry standard, in my opinion, I would love if they incorporated a capacity to either integrate with an e-mail marketing/communications company (i.e., Constant Contact or Mail Chimp) or offer that service themselves so I don't have to keep email lists in 2 different (sometimes 3) places.

Using Planning Center has been a great change for our worship team. It's very easy to change a song key. The ability to add new people is very simple. The text reminders are great, and it's nice there is a option between text or email.

I like that members can confirm if they are able to volunteer when requested. and you can block out dates for unavailability.

Cons

not too many cons for this. We use this software for organizing documents and planning weekly services. We are able to upload everything to the plan that will be used that day and share it amongst those who have been approved.
