Planning Center Software


 

Planning Center by Ministry Centered Technologies is a suite of cloud-based applications that are used to support team leaders and members in planning, scheduling and managing church programs and events. The solution’s “Services” module supports tools to keep media organized. Users can upload and tag media and files to locate the right song or video for your service, then schedule and stay in contact with team members overseeing or participating in that service.

Planning Center provides a “Resources” module that allows leaders to reserve rooms and publish event calendars to manage church resources. The events, rooms and resources have their own calendar feed that syncs with calendar programs, including Outlook, iCal and Google Calendar, to remove scheduling conflicts. Calendar feeds can also be set up to display on kiosks, so church members can see upcoming events displayed on tablets, touchscreens and televisions in common areas.

Planning Center offers multiple packages and price levels to fit faith-based organizations of different sizes.

I volunteer with the AV team for our church to run lights or Pro-Presenter and this is what we live and die by from a scheduling standpoint. I've always appreciated the order and clarity it creates when used well.

Pros

It is a very clean website that has great functionality for us to coordinate our church services. I am able to use tools like the schedule blackout, or list what skills I am able to volunteer with. The mobile app experience is really just as good as the full site version, which is great for me!

Being a new user, I appreciate the notifications for events I am being requested for and that you have the ability to respond and notify the leaders of the request what your status is. If accepting you get all the details of the event or meeting once you accept.

Pros

Pros are you can have scheduled events and or assignments that carry to your team. They can review all the aspects of a meeting, who are involved and the flow of the meeting. Also, you can block dates that show you are not available for that particular meeting or event.

Planning Center is hard to review because it's not one product, it's actually six different products. That's both a strength and a weakness. Most people using Planning Center are used to its core functionality: Planning Center Services. This is the tool used for actually planning a worship service (complete with tech sheet, ProPresenter integration, etc) and scheduling people to be there. It also has a Check-In component, a Groups component, a Resources (room scheduling) component, and a Giving component. Supposedly, if you add them all together you get a viable whole-church database solution. It's hard to see that being the case, since a lot of the functionality you'd want to see for a whole-church database (especially around reporting, metrics, dashboards, etc) are missing. But the parts that are there mostly work well.

It's impossible to overstate how far ahead Planning Center Services is from everything else in the field. Everyone I'm in contact uses Services for service planning. Their other modules, though, are all missing important features. Work is clearly being done to improve those components, but mostly it seems more like rearranging existing features than adding the ability to solve new problems.

We'll keep using Planning Center Services, but have transitioned away from Planning Center Groups and anticipate moving away from Planning Center Resources. Luckily our new system integrates well with PCO, so we'll be able to keep our contact databases in sync. This is an underappreciated feature for PCO: a full API to develop and integrate against!

Pros

Great ease of use. Excellent for planning services and scheduling volunteers. Makes it easy for volunteers to respond to schedules without having to remember account details. Solid people management.

Cons

Everything outside of the core (service planning & scheduling) functionality seems half-baked. Very difficult to pull reports, group scheduling & attendance don't work well.

Pros

Several products and options to choose from. 'Resources' is a great tool for multiple room management and event setups. It's great that you can choose 1 product or all of them depending on your needs. I know our church uses every product and most certainly get their moneys worth. 'Services' is a good tool for all sizes of groups because of the ability to choose team sizes from 25 people to Unlimited.

Cons

It seems that whenever you get use to the mobile apps the company decides to update them and totally change everything you learned. Certain aspects of planning center 'services' on the end user side don't always make sense the way they are laid out.

Have been a customer for years and despite some issues, will continue to use it!

Pros

There are many great aspects of Planning Center. We don't use every piece, but the Check-Ins are HUGE. This is THE way to allow kids to be checked in during our Sunday services. Having a barcode scanner makes the process much quicker and easier. The update allowed past registration issues to be fixed (users were listed twice - once as an "employee" and second as "customer"). The second biggest piece we use is the Services portal. Allowing every member of the worship/media team to see the flow of service is great! Everyone can be on the same page while allowing service to flow smoothly - almost without the congregation even knowing there's an order to things...

Cons

Have to jump through hoops to get any type of technical support. The answers aren't always online in the FAQ or Help pages. On top of that, not "anyone" can create a ticket, it must come from the contact person. That's normally fine, but what if they're on vacation, or just happen to be the person who pays the bill? On a Sunday morning when kids are going crazy and parents are looking at you like you did something wrong - it doesn't help.

Pros

Pricing is flexible and low if you only need to track names and contacts. You can add features as you grow. There are plenty of useful features for startup churches like us. The mobile apps are great too.

Cons

You need separate apps for the different features, so occasionally I found I had to go to my web browser on my laptop to have all the functionality I needed for a task (such as adding admins) successfully.

We have been using Planning Center for almost a year. Our congregation has grown a lot this year and this software has kept up with the new services and groups we have added. The different modules that you can add or remove help with the overall functionality. It lets me use features I want and lose the ones I don't need. The mobile apps are particularly exceptional for keeping track of peoples information and checking them in at service.

Pros

The bang for the buck. Many of their features are free depending on the size of your congregation and are reasonably priced as it grows.

Cons

They are lacking mobile apps for some of the modules

I have been a Planning Center user for a few years now and I am so happy to share about this product/service. Managing volunteers is a difficult task for any leader, but Planning Center provides the tools necessary to manage teams of volunteers quickly and easily.

Pros

Communication with volunteers and staff is excellent. Scheduling requests can be sent in batches which saves so much time and it makes planning ahead so much easier.

Cons

The mobile app for iphone has been known to have a bug here and there, but this is such a minor issue to run into when it does happen.

Advice to Others

If you're a church admin looking for a software platform that will increase your productivity and lessen the labor burden of scheduling volunteers, this software will change your life!

Although our church uses Planning Center for a variety of things, I use it in our worship ministry, and it allows us to all "stay on the same page". Our church meets in the auditorium of a school, and as such, we only have the building on Sunday mornings. Because of this, our worship team cannot rehearse during the week. With Planning Center, I am able to "post" the music for several Sundays in advance and our team can use the attachments to listen to each song via an .mp4 file, and see chord charts. When Sunday arrives, everyone has been able to prepare on their own and we do a quick run-through. I can schedule team members and see who has responded and who has not. I can add notes to each service for the team members' info. My team members can block out certain dates when they know that they will not be with us. I like the fact that there are different user levels so that some people can actually edit and schedule, while others only have viewing permission. Planning Center also allows us to input each person's contact information, so everyone on the team has the ability to reach others if necessary.

The mobile app is not as responsive as I would like, but it works.

Recommendations

Take advantage of some of the free webinars that Planning Center offers. They are extremely informative, and teach you a lot of tips and tricks and how to best use the program for your particular situation.

There's a passage in 1st Corinthians 14 that speaks of orderly worship. It sounds quite different from most churches today. But that's not what this is about.

I've been a casual user of Planning Center for years as an occasional instrumentalist on the worship team and love it. The processes that need to be simple are simple. "Here is when you're needed. Can you do it? Yes or no." If there are details in your worship service order to plan out, it can be done here and made easily available to those who need to know.

Cons

I tried to dig into customizing reports once and got totally overwhelmed and gave up, and that's not normal for me. This was a few years ago, maybe it has changed.

This is a great tool for keeping a group (like volunteers) to a specific process. If you've got a "golden rule" you need everyone to follow to make sure the product/service is perfect.... this is your tool.

Cons

Duplicating is almost non-existent. To begin using this across dozens of "teams" we had to created the same processes dozens of times. Took five of us an entire afternoon of button mashing. Yuck.

I like the iPhone app alot for rehearsing music, looking up set lists, sheet music, and just checking the set in general. I play every service, so it doesn't matter to me for scheduling.

Cons

Sometimes the iPhone app doesn't refresh and I see an old setlist. It's not just me, others have noted this. Also if you aren't invited to a service, it can be a little hard to find them, depending on how your church has organized everything.

It would be nice to have more features on the email side: when you email a specific team of people, it would be great to have a template for each event that would auto email specific teams and would have "notes" attached to that auto email. The software does allow for a very detailed breakdown of information about an event. There is a place for all relevant information that is straightforward and easy to navigate through. Every detail can be planned and all team members can easily be notified.

I believe it to be the most streamlined event organization software available. From planning, scheduling and communication...every facet is polished and personalized for administrators and users alike. It eliminates the frustrations of guesswork and "over-saturated" notifications, by allowing users to personalize their experience. It truly was developed with the user in mind!

Pros

If you are looking for an organizational software that centers and focuses event information and communicates with all members in a straight-forward, streamlined manner (via email and text notifications)...this is IT! Planning Center handles all aspects of organizing events, while maintaining contacts and communications in a user-friendly fashion. The multiple contact formats allows users to personalize their OWN experience as well, which definitely decreases frustrations for everyone involved. It receives my highest recommendation!

Cons

Quite honestly, and not sounding trite, there really are no cons with this software that would prevent it from being one of the most viable pieces of planning software you own.

Pros

I like that this software is easy to use. The way it visually lays out each service and plan within the service is clear and easy to distinguish. It is easy to see if people are available and add them to roles. It takes me seconds to send weekly reminder emails to those that are scheduled.

Cons

I have not found anything about his software that I do not like. You can put as much or as little into it as you choose and it will still be an effective tool for service planning the most complex or the simplest of services.

I love the online registration feature. Creating events is super easy, and allowing us to see who has paid, send emails to everyone, or specific people is amazing. We do so much less work tracking people down, or keeping a record of everything. We also can use the church funds now which is great.

I don't like how hard it is to reschedule people when they're put on a service. You have to completely delete it from that person and add a new one. It's confusing as a volunteer to see the dates disappear instead of tell you the reschedule date.

Planning Center keeps all my volunteers on track! I assign them to a weekend and a task. They can decline or accept.

Cons

I cant think of anything! I love planning center. I can add the music for the musicians to learn,m my childcare workers know where to report, and my greeters know what their area is.

Pros

The price and functionality makes this well worth it. i can keep literally everything for worship planning all in one place.

Cons

There are some features that are just hard to use/understand, but there is an online help manual to help you if needed.

I can plan services, keep our kids' ministry secure, and track our membership all within one piece of software.

Pros

I love the variety in the product. I started with "services," but have branched quickly into "people" and other areas. If you have a need, Planning Center will absolutely cover it. We use it not only for service planning, but for full-featured membership tracking and are about to use it for kids' check in. Customer service is incredibly fast and thorough.

Cons

The only bad thing about Planning Center is the price. It can get expensive as you add people to your teams. However, it is still a great value for the money.

The ability to create teams and schedule volunteers for the weekend is very helpful to ensure all of our teams have adequate coverage.

Cons

It would be nice to have the ability to send our reminders to people who have no rsvp'd easier. It is pretty simple from the website but sending it out from the app takes a couple more clicks. This is minor though in comparison to the pros of the product.

Loved that I could put my volunteers on the schedule and that the software would contact them to confirm they were going to show up. Was easy to see on the screen who was going to be where.

Cons

It was very hard for me to retrieve the data in a format I could print. I didn't know how to navigate through the reports and none of the changes I made made the changes I needed. I really needed to be able to print the schedule out for Sunday check-in for those that didn't use their phone.
