Planning Center Software


 

Planning Center by Ministry Centered Technologies is a suite of cloud-based applications that are used to support team leaders and members in planning, scheduling and managing church programs and events. The solution’s “Services” module supports tools to keep media organized. Users can upload and tag media and files to locate the right song or video for your service, then schedule and stay in contact with team members overseeing or participating in that service.

Planning Center provides a “Resources” module that allows leaders to reserve rooms and publish event calendars to manage church resources. The events, rooms and resources have their own calendar feed that syncs with calendar programs, including Outlook, iCal and Google Calendar, to remove scheduling conflicts. Calendar feeds can also be set up to display on kiosks, so church members can see upcoming events displayed on tablets, touchscreens and televisions in common areas.

Planning Center offers multiple packages and price levels to fit faith-based organizations of different sizes.

Have been a customer for years and despite some issues, will continue to use it!

Pros

There are many great aspects of Planning Center. We don't use every piece, but the Check-Ins are HUGE. This is THE way to allow kids to be checked in during our Sunday services. Having a barcode scanner makes the process much quicker and easier. The update allowed past registration issues to be fixed (users were listed twice - once as an "employee" and second as "customer"). The second biggest piece we use is the Services portal. Allowing every member of the worship/media team to see the flow of service is great! Everyone can be on the same page while allowing service to flow smoothly - almost without the congregation even knowing there's an order to things...

Cons

Have to jump through hoops to get any type of technical support. The answers aren't always online in the FAQ or Help pages. On top of that, not "anyone" can create a ticket, it must come from the contact person. That's normally fine, but what if they're on vacation, or just happen to be the person who pays the bill? On a Sunday morning when kids are going crazy and parents are looking at you like you did something wrong - it doesn't help.

Pros

Pricing is flexible and low if you only need to track names and contacts. You can add features as you grow. There are plenty of useful features for startup churches like us. The mobile apps are great too.

Cons

You need separate apps for the different features, so occasionally I found I had to go to my web browser on my laptop to have all the functionality I needed for a task (such as adding admins) successfully.

We have been using Planning Center for almost a year. Our congregation has grown a lot this year and this software has kept up with the new services and groups we have added. The different modules that you can add or remove help with the overall functionality. It lets me use features I want and lose the ones I don't need. The mobile apps are particularly exceptional for keeping track of peoples information and checking them in at service.

Pros

The bang for the buck. Many of their features are free depending on the size of your congregation and are reasonably priced as it grows.

Cons

They are lacking mobile apps for some of the modules

Managing Volunteers with Ease

I have been a Planning Center user for a few years now and I am so happy to share about this product/service. Managing volunteers is a difficult task for any leader, but Planning Center provides the tools necessary to manage teams of volunteers quickly and easily.

Pros

Communication with volunteers and staff is excellent. Scheduling requests can be sent in batches which saves so much time and it makes planning ahead so much easier.

Cons

The mobile app for iphone has been known to have a bug here and there, but this is such a minor issue to run into when it does happen.

Advice to Others

If you're a church admin looking for a software platform that will increase your productivity and lessen the labor burden of scheduling volunteers, this software will change your life!

The extras that cost so much "extra"... As a small church it's more cost effective for us to find other vendors for them.

Recommendations

Don't be intimidated, it is really easy to use. Since I use it for Children's Ministry that is what I can speak to- and for those purposes I find this tool to be incredibly helpful.

As a user and not an admin I found the product easy to understand right away. The interface was simple and intuitive. I like the block out dates feature so I know I can take off without being scheduled.

The update e-mails are a little busy they could be cleaned up a bit to only show relevant data.

Although our church uses Planning Center for a variety of things, I use it in our worship ministry, and it allows us to all "stay on the same page". Our church meets in the auditorium of a school, and as such, we only have the building on Sunday mornings. Because of this, our worship team cannot rehearse during the week. With Planning Center, I am able to "post" the music for several Sundays in advance and our team can use the attachments to listen to each song via an .mp4 file, and see chord charts. When Sunday arrives, everyone has been able to prepare on their own and we do a quick run-through. I can schedule team members and see who has responded and who has not. I can add notes to each service for the team members' info. My team members can block out certain dates when they know that they will not be with us. I like the fact that there are different user levels so that some people can actually edit and schedule, while others only have viewing permission. Planning Center also allows us to input each person's contact information, so everyone on the team has the ability to reach others if necessary.

The mobile app is not as responsive as I would like, but it works.

Recommendations

Take advantage of some of the free webinars that Planning Center offers. They are extremely informative, and teach you a lot of tips and tricks and how to best use the program for your particular situation.

The interface is very intuitive and easy to use, but still remains powerful. I have been very pleased to watch Planning Center grow into what it is today. When it first came out, I was not too fond of it. But Planning Center saw the changes that needed to be made and made them, something that most CMS companies cannot or will not do. I am a proud user of Plannig Center and would recommend it to any church, large or small.

I really wish there was a user forum. But aside from that, Planning Center is great!

Streamlines team management to a significant degree.

Pros

It makes it so much easier to schedule and coordinate teams than it would be without this program. As the head of one of our church's volunteer teams it is so helpful to provide a way for volunteers to block out dates they are not available and to see when you are scheduling volunteers who served most recently instead of having to keep a separate document to make sure people are not over-utilized.

Cons

The difference in interface between the online version and the app version sometimes makes it confusing to remember how to access a certain function on one when you're used to doing it on the other.

Great user interface. Well thought-out. Easy to understand for members of the team who aren't as technologically inclined. Phone app works seamlessly with web app. Love to rehearse along with the songs on my laptop & then switch to the phone app in my car.

Cons

There are a few minor UI quirks (media center covers the edge of the Order of Service screen, etc.) but really nothing major to speak of.

It also has integrated better resource management, room booking templates and other great features. It has grown on mobile devices as well

I like that this software is easy to use. It has a lot of features that I find valuable. This has been helpful for previewing and preparing for the upcoming services. As a volunteer audio technician, it helps me see what position I'm in, who I will be working with and any relevant notes for each step of the service. With it, I can also hear all the music that will be performed during the upcoming service.

Cons

I find it annoying that you cannot maximize the video player used to preview any audio or video files.

Many hours saved of sending out emails and trying to figure out what songs we have or what order the service will be going in.

Pros

What I like most is that it is easy to use. I edit songs, and make chord charts and all I have to do is know the lyrics and chords and it automatically puts it in a good format.

Cons

It takes a while to load and sometimes does not send out the emails at the right time, leaving participants confused.

This product requires very little training to my staff and helps us do less admin work and more ministry work. Church is all about relationships, so when we don't have to spend as much time in a "system", we can focus more on those relationships.

Pros

Easy to jump in and learn. All apps have a free subscription level to test the app. This is such a great approach and allows new and existing churches to really "drive" the product before committing. Their support and documentation is by far the best of any CHMS.

Cons

This is necessarily bad, but the overall system is still pretty new, so they are still working to add more features and grasp how each app needs to communicate with another.

It's unified our volunteer scheduling. Before PCO we had papers posted on bulletin boards to tell our teams who was doing this or that for each week of the month. It was hard work for team leaders! PCO allows team members to communicate easily if they're going out of town. No master calendar taking up wall space anymore!

Plus if someone doesn't show up, we don't have to ask numerous people to find a replacement.

Pros

I like how easy it is to use, it really does just about whatever a church needs when scheduling volunteer staff. The auto schedule is very nice.
I love how scalable the service is to our needs.

Cons

It is a bit complex. Some things aren't quite were you would expect them to be... But the help center is great and easy to use.

It's scalable: if you just need one feature, that's what you use & pay for. If you want it to do everything, it'll do that too. My favourite, though, is the investment continuing into this product. If you feel like it's missing a feature, hold on because chances are that feature's probably in the works. The team developing and supporting it are very responsive and it just keeps getting better and better!

Cons

Some of the set-up feels clunky (like setting up stations for child check-in). Once it's set up it's good to go, but any changes require a start-from-scratch. So anything that continues (like every Sunday we do checkin) is smooth as butter, but special events or the last-minute check-in events require extra set-up.

Pros

One of my favorite aspects to Planning Center is being able to email/communicate with multiple volunteers from one screen. The email/communication screens are very simple, maybe too simple at times, but they let you send basic messages. I never had any issues with messages not going through, and it was easy to find which people I needed to communicate with. As the application for Mobile has been updated, the software has become easier to use.

Cons

I had a little bit of a hard time accessing administrator settings from the mobile application. I wanted to edit volunteer information (i.e. their email and phone number). It was tricky to find where I needed to go, and eventually deferred to someone with the desktop version.
Another thing I came across was the learning-curve. The application tends to require someone to walk you through how to setup teams if you have never used it. Once you know how to run things, it makes life very easy.

When I used it, it was very user-friendly and intuitive, which was good as I hadn't used anything like it at the time (about 2 years ago). It helped streamline our church's music ministry and eventually volunteer coordination throughout the church as well as child check-in.

Pros

It's functionality is terrific and it is very user-friendly. I also like that the services are offered in an a la cart format, which allows you to integrate additional functions as your church grows/develops, though there are drawbacks to this as well. The service planning function is the best in the business, and as a worship pastor, that is something I interact with frequently.

Cons

The pricing is a bit steep especially for a smaller church. Also because of the a la cart format, it can encourage various areas of church ministry/leadership to use different methods/softwares and can prevent unity, making the switch to Planning Center that much harder down the road.

It offers so many tools to help manage and track different sections of the church. We used the giving, check in, and worship features to coordinate our teams. The giving saved us money off our previous program.

Cons

No package deal. I feel the more additional programs you purchase there should have been some discount, to encourage greater use. Nothing wrong with the software, as far as any type of dislike

My favorite features are the rosters to create service templates and the scheduling aspect. The scheduling tool makes it easy to know when and who is serving.

Cons

It can be a bit pricey for churches just getting off the ground but with how exceptional the service is, it's worth every penny!
