Online WHS provides an affordable and robust digital Safety Management System (SMS)
As noted above, we purchased subscription to Online WHS mid-last year and and have implemented as centralised WHS/compliance system within our company (third party logistics - warehousing & distribution). All sites nationally are able to view/edit employees data/qualifications relevant to their own site, view/download all relevant policies, procedures and safe work method statements (equal access all sites), view/maintain assets/equipment relevant to their own site, etc. Visitor Induction/Allergy Checklist , COVID-19 Screening Checklist, HACCP/Housekeeping Checklist and Hazardous Chemical Lists are all readily accessed by simply scanning QR code from any smartphone, completing checklist online & hitting "Submit". Each completed record is then logged (time-/date-stamped) & can be retrieved as electronically or printed out for review. Overall, the strengths of this system are in the simplicity, ability to build/customise online forms and checklists, and to feel secured that all records are securely stored and accessible from either PC or smartphone as required. Awesome product & great design/support team.
PROSWe went from being almost entirely paper-based in terms of compliance monitoring and record-keeping to now managing a large proportion of this online via Online WHS (work in progress). This cloud-based software affords a comprehensive and easy to use set of tools for managing employee data & qualifications, client information, contractor compliance and asset/equipment maintenance. We are still in the process of fully implementing this system given the large number of features but were able to successfully implement key aspects of the system which were rolled out nationally within just a couple of months. There is a lot of flexibility within the system which means that we are using it as more than just a SMS but rather it is almost "one stop shop" for managing employees and relevant compliances. With a little more development I'm confident that it will eventually become our go-to centralised system. It has already provided us with national visibility across multiple sites/sub-sites and accountability at all levels of management/supervisors. The system also seems to be a hit with auditors all levels because it demonstrates 100% transparency and centralised record-keeping/retrieval at the click of a button.
CONSSince the system transitioned to a much improved version mid-2019 there have been some ongoing (relatively minor) issues some of which are still being dealt with. The biggest con regarding this is not that any of these bugs are show-stoppers but rather this has slowed the ongoing development/implementation of even more features specifically requested by clients relevant to their own industries and deployment of the system. However, given how powerful/flexible this system is already & the diligence of the customer service/technical support team I'm confident that these will be relatively short-lived frustrations.
Reason for choosing Online WHS Systems
Although other products were not researched in detail, initial assessments were that these packages are geared for much bigger medium-large enterprise companies, more expensive that we anticipated in terms of initial/annual expenditure and likely would have required more extensive training and human resources to implement/maintain for a company of our size.

Meets all of our OHS obligations
I really like that the system will alert me when I need to do an update, that may be refreshing an employees qualifications or updating our chemical register. I also like the induction builder, we can design an induction for a specific department. The incident and hazard register make logging incidents and hazards easy, it also allows for investigations and return to work obligations.
CONSWe transitioned over from the older interface, there were a few issues when the conversion happened but the support form the online OHS team has taken care of these issues.
