Filevine feels much more advanced and aligned with today’s technology. I especially love how seamlessly AI is incorporated into the platform, it makes case management more efficient and intuitive.

Customer Support is phenomenal! Filevine dedicates a Representative to respond to issues and questions, and connect you to the appropriate person(s) to help -- billing, training, implementation, etc. My "personal" representative, [sensitive content hidden], helped me to resolve an account billing issue I had in initial start of my contract, and he has gone over and above to insure my easy transition to Filevine. He checks on my progress via email and Zoom, and has provided me with multiple learning tools (one-on-one Zoom/Filevine University/YouTube videos to help in making the learning curve easier. The unlimited file storage is great (no more additional Dropbox fees)! I must say that everyone I have been in contact with at Filevine has made me feel like I am their only customer -- they value my input, and work to customize Filevine to address our practice in a one attorney and one paralegal/"everything person". I'm looking forward to my journey with Filevine, and foresee a 5 star rating from me once we are fully utilizing it to its full potential.

Filevine has SO many features that it is hard to discover all it can be to make our law practice more efficient and more productive. Our practice is mainly in probate, and it is one of the few areas of law that does not have a pre-made set of templates for intake. [sensitive content hidden] was able to help me with this issue, and I feel comfortable with how things are heading!

Clio had been recommended, but was NOT working out. MyCase and PracticePanther were close fit, but price and a call from Filevine sales on a frustrating day where they assisted me with getting e-signing accomplished using Filevine and I was sold on getting the support from a salesperson that I needed even BEFORE committing to contract!

Clio was VERY demanding as to making me fit their agenda! They would treat me as if I had nothing better to do than fit into their schedule for onboarding sessions during work day. If I had client walk in and could not attend, I was almost reprimanded for putting our client first. VERY PUSHY and VERY COMPLICATED! CosmoLex works well, but keeps going up in price with every add on, and does not do the document generation or AI features like Filevine

Despite my frustrations, there are a few things Filevine does reasonably well for our firm. The centralized case record, with tasks, notes, texts, and documents in one place, does make it easier for my team to see what’s going on without chasing information across multiple tools. I also appreciate the flexibility to customize project types and fields so the system more closely matches our practice areas, and the ability to text and email directly from the case has been genuinely helpful for keeping client communication organized.

#### Cons

Filevine promised a modern, scalable case management system for law firms—but over time, it has become an increasingly expensive platform that underdelivers on core functionality while aggressively upselling basic features. The most recent 15% price increase is particularly hard to justify. That kind of jump would make sense if it were tied to meaningful product improvements, but there simply haven’t been any. In our experience, the core system is largely unchanged from when we implemented it around 2019. Automation capabilities, in particular, have not evolved in any meaningful way. If you want anything beyond very basic workflows, you’re pushed toward Workato—an entirely separate, complex, and expensive system that requires significant time or outside consultants to implement. For a platform that markets itself as forward-thinking, this lack of native automation is a major miss. Reporting is another major gap. There have been no meaningful improvements here either. If you want usable dashboards or business insights, you’re expected to purchase Domo and then pay again for implementation. At that point, you’re layering yet another expensive system on top of an already costly platform just to access data that should be readily available. Filevine’s approach increasingly feels like “pay-to-unlock” at every turn. AI features are a good example—they’ve clearly invested in marketing around AI, but the tools included are not particularly useful in practice. Any meaningful AI functionality requires additional products and additional spend. The same pattern applies across the board: document management upgrades cost extra, Vinesign costs extra, RingCentral integration costs extra, and so on. What starts as a premium product quickly becomes a fragmented, expensive ecosystem. Even basic functionality is surprisingly lacking. For example, billing still does not allow you to easily book a credit—something that should be as simple as entering a negative number. This has been an open issue since our original implementation, and the fact that it remains unresolved years later is baffling. Beyond features, the system can feel overly complex and unintuitive. Customization is powerful in theory but often requires significant setup and ongoing maintenance. Performance can lag, and support—while generally responsive—often routes you toward paid solutions or third-party integrations rather than fixing underlying limitations.

Our company has used Filevine for four years now and during that time we've seen a huge growth within the software. It began as a system we begrudgingly used, to one that we have heavily customized to fit our needs and have recommended to others. The thing I like most about Filevine is the ability to customize their software to fit your companies needs. The storing of client files is not going to be the same firm to firm so having the ability to customize the software to fit our needs is a huge asset.

We have found that Filevine can be slow or kick users out more often than other websites. In addition, the search feature, while wide, is also inefficient and doesn't show you the most logical result at the top, so you sometimes have to go digging for something you need.

The Sales Team. Kudos! Their remarkable skills to sell a product are unbeatable. Keep their commissions coming.

Our experience with this system has been extremely disappointing. We paid for a product that was unworkable and never completed, and despite repeated attempts, the support provided was neither timely nor effective. The fixes that were offered came far too late, communication was inconsistent, and the third-party vendor assigned to us admitted fault, lacked expertise, and even brought in a fourth party. Calls and responses were often delayed or indefinitely postponed, which added to the frustration. The features were never delivered or late, leaving us without accountability or resolution. This situation borders on fraudulent, and the lack of professionalism and responsibility is deeply concerning. I cannot recommend this platform based on our experience.

It does allow you to fax and text from within the system. If you spend a ton of time and effort building your templates it does pretty much walk a person through what needs to be done, requested, etc. in a case.

#### Cons

I found it to be very difficult to learn and unless you have an in house amazing tech person like we do, I would not even consider it. For example, it calls cases "projects" the calendar is so bad that you must use outlook and sync with it, but anything entered in Outlook will not show-up in FV (Filevine). You have to apply a special code for emails and for Outlook Calendar entries or they will not show-up at all in the FV system. The document assembly is very time consuming and you cannot File Save As. There is so much more I wish I knew before I spent a ton of time and money. While we are moving forward after spending $60,000 for the program, implementation and training I wish that I had never heard of FV. I am still going to use my old Word document case management until I retire and our newer attorneys can use FV.

I do NOT recommend using FileVine at all. The have terrible customer service, are slow to fix your problems. You would need your own tech team on staff in order to get it all set up unless you want to spend countless hours of your own time getting it set up.

FileVine is extremely overpriced for a system that is of average quality. They're good at selling the product, but as soon as they got my money, I had to nag them repeatedly to put the site together and spend countless hours just to get it going. This was for a new firm too, so it shouldn't have been that complicated since there were no cases to transfer over, but in order to customize the system, there was a lot of back and forth with tech that has been ultimately unhelpful. They have a strict "no refunds" policy if you choose to end early, so I pretty much wasted $2,000 on a nothing system that didn't even provide the services I actually wanted without the extra cost. I

Timeline Summary •October 2023: Contracts were signed for Filevine software and Vinetegrate’s implementation, including data and document migration from the prior system. Vinetegrate set a Go Live date for February 2024 and required upfront payments and data backups. •November–December 2023: The company was required to deliver data backups to Vinetegrate. Early communication revealed challenges in linking and extracting documents from the legacy system. Vinetegrate issued technical upload instructions, and a contractor managed uploads. •January 2024: Ongoing technical issues with file uploads emerged, especially with folder structures. After uploads, Vinetegrate requested CSV exports instead of the previously provided FileMaker files, requiring duplicate work and causing frustration and extra cost. •February 2024: The scheduled Go Live milestone was reached, but documentation does not confirm if it occurred on time. •2024–2025: Communication gaps continued regarding data migration, technical support, and additional changes (such as required API updates) further complicated the process. The sales process. Over-promise, under deliver on the actual product. If you are an enterprise level law firm, maybe this product is right for you, since you need to have the technical knowledge, in-house to be able to utilize the features to the fullest.

They charged $60k upfront for services and add-ons that were not only never used, but never setup or even deployed to a production environment.

The ease of use, the ability to text clients and receive responses, the document sharing ability. Being able to put emails in the project with the project email address. Being able to use the product anywhere I have an internet connection and it being fully functional.

Doc merge is not very intuitive. When things stop working, it takes a while sometimes for it to be fixed. Still waiting for the ability to save received emails to the project by searching.

FileVine has finally brought our firm into the 21st Century!! We are now able to streamline our intake/sign-up process; easily manage/maintain our documents bringing us closer to our goal of being a paperless office; more efficiently communicate with our clients; and keep our paralegals on track with managing case loads. The sales team and support staff were absolutely amazing! [SENSITIVE CONTENT HIDDEN] and the rest of the FileVine team went above and beyond to accommodate our firm, including, providing 3 separate demos to make sure EVERYONE involved in the decision making understood what was going on. LOVE. FILEVINE.

Extremely user friendly. Input and updates to case info super quick and easy. The most efficient CM software I've used in the 25 years of being a paralegal. LOVE the customization

Honestly haven't found anything I don't like yet. Only thing I would like to see...only to accommodate some of our old-school staff, is some type of integration or syncing with QuickBooks. I believe it is available but is time consuming (on the programming end) and expensive?

FileVine gave us more bang for our buck! We really needed something that could be used by every member of our firm regardless of level of tech savviness. We needed something that could be customized to accommodate not only our practice area but also our unique workflow; and customization needed to be simple - very little down-time, customer support calls, etc. And to be completely honest.....the staff at FileVine tipped the scale and made our decision super easy!!

In my view, your company is only as strong as your people. Your product could be the best on the market but if your company is difficult to do business with, people will go elsewhere. At three years into the relationship, I wish we had chosen differently.

Filevine is actually a good case management system. It's critical that you carefully plan your set-up because it is difficult to make some changes later but a good tool with lots of add-on modules.

#### Cons

Customer service is as bad as I have ever experienced in any company anywhere. Sending them an email is like shouting to the universe. No one responds. We have had multiple account managers in the 3 years we have been using them and have had the same experience with each one. Billing is horrendous. I am still being billed for modules that I cancelled years ago and have presented proof of the cancellation to them multiple times. They never respond to anything I send - but just keep sending reminder invoices.

I used to work on another firm were the tools to assist the clients and draft the different letters were very time wasting, but this app allows you to work fast and you can work your task on a timely manner

We had a pretty robust program in place before it had some deficiencies and needed to be updated. FileVine allows us to text our clients from the program which has been a great feature to have. We are also taking advantage of the faxes through FileVine and those go straight in/out of the program or even the matter. That allows for much quicker sending, saving and "filing" of the fax.

#### Pros

There are so many great features in FileVine. The program is customizable to suit your needs. They are constantly updating the program and adding new features or adding enhancements to make the existing features work better. Customer support is easy to reach and quick to respond. We really like the fact that we can text our clients from inside the program and it's saved to their matter. This allows us more flexibility to communicate with our clients in a manner that they choose. It has also been good for sending out quick reminders about appointments. FileVine listens to their customers, evaluates the feedback and determines if they can make updates to make the user's life is easier. We've suggested several things that we've seen come to life inside the program, making it better each time!

#### Cons

It's not really a negative, but just be prepared that implementation does take a little bit of time so you should be patient. Part of that is based on the user's timeline and when they have the shell set up as they want it. Then any existing data has to be imported into a test area, reviewed and then imported in the live program. So the process will move quicker or slower depending on how much time you dedicate to it and how much data you are pulling over (and maybe in what format it comes in). Aside from that, there are features that I feel should be in place and I've submitted several and seen them come to life. The one area I wish we could streamline is Deadline Chains. Some of what we use that for is an actual event / appointment and then tracking all the items that need to take place prior to that appointment. While the deadline chain will put the event on the calendar, it puts it on as an all day event. (You can hide it from the calendar if you wish.) So I have to go back and enter a calendar event with the actual time. Then any time that event is postponed I have to change the data in two places. It would be nice if I could stop the duplicate entry.

Cost, the fact that we could easily customize it to the data we want to see, access to it from anywhere if need be (not hosted on the local pc), and it had some features we thought we could use to benefit the firm and the clients.

We needed an update and we were on a server based product that would have been very costly to update and continue to maintain.

Filevine is pretty helpful in helping users understand the system. They hold you and your staffs hand in the beginning. The migration of data and start date took longer than anticipated. I hear this is common place. Overall, I really do like the program. The reporting feature is awesome. There is a bit of a learning curve. You have to learn how to "talk filevine" to get the data you want. There is so much about the customization that is super amazing. I think the best thing is that they take suggestions for improvement and are constantly upgrading the product. They do listen to their users.

If Instagram and Facebook had a baby, it would be Filevine. Filevine is easy to use and easy to customize. I love that they have a help desk chat feature. At least once a day I ask a question. They also feature a ton of articles and videos on how to use the software. It really has helped us to organize or data. The best feature has been the reporting function. There are a lot of good things about Filevine and I am glad we selected it.

Filevine is a program that is so customizable, you need a person on your staff to handle it. Select one person to dedicate themselves to learning and figuring out what you organization needs. When you get Filevine you really get the bare bones of the program. It is up to you what you do with it. You sort of have to hit the ground running. There are no templates like when you are using a web builder such as wix. Filevine will help you only so much with set up. You can purchase a template from a business that will sell their set up. This is something we were not told when we invested. We thought we would just start using all these cool features the sales person sold us on. There are a lot of cool things about this but, you have to figure it out and set up 95% of it. One last thing that is kind of a bummer. Make sure you get the costs accurately. The sales people will sell you one thing and the reality may tack on costs you were not expecting.

I have a love-hate relationship with FileVine. If I did it again, I would not have made the leap to FileVine for various reasons. However, it's a great piece of software for the right firm --such as a mid to large size PI firm with a dedicated IT team. Essentially you are given a blank canvas with lots of options. It's not so good if you don't have the resources or IT team to build FileVine out for you, or if you want automation built in, or all in one system. Ultimately, the reason I am writing this review is the god-awful mess that is FileVine's customer service department. I have to admit am rather upset that FileVine is forcing me to pay for users that we don't have (FV makes you pay once a year and at some point we had some interns who briefly used the software). Other software you pay only for what you use in an automated monthly fashion. FV's renewal process is straight out of 1994. FileVine seems like the admin department has a lot of growing pains--really messy. But this is just another step in a long history of FileVine's poor customer support (such as taking almost a year to respond to repeated emails about setting up a fax integration.) I thought after treating me so poorly in the past that they would do the right thing in this instance, but FileVine decided they want to make us pay for user accounts that we don't use. It doesn't seem right to me, but it's their company. Ce'st la vie.

#### Pros

A ton of feature and you can make anything you want out of it. The UI is great and customization is the key to FV's attractiveness. You can built almost anything you want. You have to invest a lot of time into building it out.

#### Cons

There are no built-in automations such as in Lawmatics. The doc mgmt and calendar are worthless so we use Google Drive and G-Calendar instead. They haven't really done much to improve Filevine in the past two years whereas other software has been developed much more. They charge you extra for every little add on-- you get nickel and dimed to death. It's like when you go to a restaurant and spend $15 for a burrito. Dont charge me 75 cents for sour cream.

I first heard of this at a webinar. Still didn't look into it until 2 years after that. All and all I wish our firm had started using it sooner than we did. Most exciting is the fact that as a office manager I see more and more resumes coming into my office showing applicants have trained on Filevine

Overall Filevine has been great. Implementation was a beast but after you get through that process its smooth sailing and only minor tweeks are needed to maintain the product. Since it's cloud based it has been a life saver as far as remote workers. As long as the user has an internet connection they can access all of the law firms cases and Filevine manages all updates and security.

What I like most about Filevine is its high level of customization. We migrated to Filevine from Lexis Nexis Time Matters and we were able to map every field in Filevine to an existing field in Filevine. We did not lose ANY functionality of data availability when we migrated, which was our primary concern when we first purchased the product.

#### Cons

What I liked least about the software was the implementation of the product. This may sound like a contradiction since I said what I liked most about the software was its customization abilities, but setting up the product required one of our employees work full time on the setup for over 3 months. The Filevine implementation team was great but the setup required so many customizations that it required multiple months of product customizations, then testing, then remediation and then the process started all over again for another case type. Disclaimer : We set up a LOT of case types in Filevine.

It's been much easier to save docs, store docs, and also retrieve files thru the search engine. The activity feed is a must have feature and is simple to add. I also love the ability to hashtag certain docs with passwords such as for medical records and the various views you can see docs in (one page, side by side, etc.) Our overall experience has been excellent, looking forward to continuing improvements and continuing to master the software.

#### Pros

The product was easy to use and was installed and integrated with the assistance of our IT professional. The features I find most impactful are the search capabilities between individual client folders, the ability to see multiples calendars at once without overlapping. I also love the activity feed to post and get up to date on the latest events in every case without having to search endless folders and screens. I could go on and on but it's also very simple to upload docs as it's a simple drag and drop from anywhere on your PC directly into the specific client folder you need.

#### Cons

The one thing I continually don't like is when I open a client folder, I'm unable to sort the documents in date order. At times, I need to go back to a certain date and the docs don't sort in that fashion or stay in any sort of order. I like how the docs tend to group by how you name them, but would love to see a date sort added.

#### Pros

I handled the development for our PI department and I found the support page and the training sessions that you can sign up for were very specific in what they were teaching and were very helpful. When it came to launching and training my staff, I found it a lot easier than expected.

#### Cons

I don't like that we are not told when there is a bug that your team is working out. For example, fax and email attachments were not going into our folders from the feed. When we reached out to report the issue, they were already aware of it and working on it. Meanwhile, we had no idea how long it had been an issue so we had to go back thru the activity feed of all our projects to make sure everything was moved over to the folders bc we were following up on items that were already received but we didn't realize. Had we known as soon as your team did, we could handled it differently and paid more attention. It would be nice to announce when a bug or issue is found so we can let our team know and adjust accordingly. We also spend a lot of time researching issues before calling support to make sure it is not something in house just to find out it is not. A lot of wasted time spent.
