When I Work Software


 

When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts.

When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests and can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported.

When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

I disliked this software so much that I actually ended up going with a different scheduling software, even though I took the time to set up an account and have staff input all of their information.

Pros

This software does make it simple for employees to swap shifts and request time off. It was fairly simple for staff to enter their information. It was also pretty quick for me to initially setup.

Cons

I found this software exceedingly hard to setup. It was difficult to use properly and was not worth the effort.

Cons

I wish it would pull up different looks of the schedule, like in a calendar view or something different visually.

Pros

When I work is a user friendly program for administration and for employees. The when i work employee chat is great for employee communication.
The program calculates hours easily and gives budgeting information.

Cons

When I work does not offer clocking in over 24 hours. You have to clock in and out when we have staff that can work up to 48 hours.

I have been extremely happy with wheniwork. It has been a huge asset to our company.

Pros

User friendly and easy time tracking. Happy and helpful staff to assist with any questions or concerns. They get back to you very quickly when you contact them.

Cons

The program itself is great! I just wish they were also able to document on employee progress, history, etc.

Amazing Concept and Solid Product

Aside from lots of manual adjustments that managers have to make, I still love how I can process payroll through this system. Overall, I highly recommend When I Work!

Pros

I oversee seasonal programs at 3 different locations across 2 states. We love the scheduling features (which other products I've used have). This is great, but nothing above the norm. I love the "Attendance" feature, which allows me to control when and where employees can clock in. For example, parameters can be set to only allow an employee to clock in (on his/her phone app) within 10 minutes of a shift, and 100 meters from their shift location.

Cons

In New York City, where we are in and out of the subway system - the location feature rarely works. The app is much more accessible for iphone users than for android. I, as the owner/administrator (iphone user) never have an issue clocking myself in, but my employees VERY OFTEN do, making this less ideal. Even though we've sumbitted many help/support tickets, we still have not found a resolution to this!

My company often requires us to schedule a number of employees for various assignments all across the country. We are also required to schedule backups in case issues arise. In addition, we may be required to make last minute changes for any number of reasons. When I Work took the "headache" out of a challenging scheduling process. In addition, the web based format made it very accessible to our staff regardless of their location.

Cons

The cons for When I work are minimal. The pricing structure should be modified to provide a few more features at the base level and more users.

This is a great app for anyone who has a fast paced, on the go lifestyle. I enjoyed being able to adjust notifications accordingly so I received a weekly email of my schedule as well as a reminder the morning beforehand.
Its also very easy for managers to build schedules. It gives you the capability to save layouts so you can repeat them if needed or store them for a later time!

Cons

It was a bit hard to swap shifts between different employees if there was any sort of conflict (hours worked, specific days, etc), but overall great app!

We had about 100 employees signed up for When I Work at a time. We had 4 different groups of employees(servers, bartenders, kitchen, and security) that were all signed up for the same account but were placed in different locations. This worked out great because the managers could see all of the schedules and if we had employees that worked in multiple locations it was easy for them to be added to both.

Pros

Their customer service reps are very willing to work with you to set up your account and answer all of your questions afterward.
It's very easy to use and easy to show employees how to work their accounts.
Employees can also put what shifts they prefer to work and ask off in the app.

Cons

Harder to make the schedule from a cell phone. I would recommend using a computer if you have a lot of employees.
We didn't use the chat function on the app at all.

We manage a staff of 8 and this saves us a considerable amount of time compared to old school methods.

Pros

Not only is scheduling more efficient but communicating shift changes, filling gaps and getting people to work on time has improved.

Cons

The mobile apps have been a bit problematic for some of our users. Strangely, it's been mostly iPhone issues.

The initial process of getting the app to work in the first place was very frustrating, but after that it has been very easy to use. You can even see who is scheduled at the same time as you. Been using this app since this past Spring working various events in the Greater Denver Area. Only other issue is that if you have to change your schedule there's no real way to do it through the app (have to email a manager instead).

With when i work, I can easily schedule, manage and change my employees schedules. I ca schedule them for weeks to come, preset shifts, easily accept call offs and shift changes from my phone or laptop! It is very easy to track how many shifts and hours are being worked per week, chat, time clock, offer open shifts to your entire team, and much much more. It is very simple to use and the fact I can do this on the go from my phone, means a great deal for me!

Pros

Easy to use, many any functions and all employees can access silly with notification of when they work.

Cons

the price of time management. clocking in will become a much larger aspect in 2017 and i feel the price should be discounted when you already have one service

Advice to Others

you can try this software out for free for a few months and the best aspect is the app. google play or apple makes it simple for all employees to have access to their schedules at any time and can be notified of any changes right away

With When I Work, supervisors have the ability to view the schedule in many different ways. You can choose to view your schedule by task, employee, day, week, or month. That versatility is pretty amazing.

Emails notifying me that I was scheduled for a shift went into my spam folder.

Recommendations

Know what you need from a scheduling software. Do you have many tasks you need to assign? When I Work lets you separate those small tasks out. Other softwares may or may not do that.

There really isn't anything that stands out as there are dozens of similar services with similar features that surely provide far superior service.

There have been many bugs and features that don't work over the years, and 'it's a known issue' is the typical response with no follow up. Horrible customer service. They over bill you like a telecom company would and they make it a nightmare to try and get resolution. Frequent outages which leave staff unable to use the service and complete time critical schedules.

Recommendations

We unfortunately choose this platform a few years ago when there were far fewer choices. Every time we've had an issue we get the worst support - it's as though a bot is responding without the ability to read. We recently discovered that they had been grossly over-billing us on one of our two accounts and we are now wasting even more time dealing with their inept service trying to get it resolved. We are trying to give them a chance to resolve since it will be a pain to switch to another service, but it looks like they could care less about providing any kind of service to a long term client.

Intuitive system, does what it's made to do: schedule. Filters are great for managers. App functions well, and makes accessing the schedule or making quick edits extremely convenient. Person scheduling has a lot of flexibility within system, and customer service is quick to respond and follow up.

Too much information slows the system down. Would like to see a few more options for different types of needs / layouts.

Recommendations

If you're using excel, and looking for something quicker or more user friendly this is the system you need. It's flexible when setting up to suite your business' needs, and easy to learn.

The platform is easy to use for both employee's and employers. Well laid-out schedule which is easy to read and understand. Important functionality has been included such as employee PTO requests or shift swops, shift reminders and a free easy to use smart phone app for everyone to have immediate access to their schedule. Color coding all shifts and positions helps to easily visualize the whole schedule at once. Shifts are easily transferrable from one employee to another by drag and drop.

Likes Least

That some of the tools are out of my reach because they are only valid for the more expensive packages. Which is understandable because I am only paying for the cheapest package right now and there need to be benefits to buying bigger packages.

Recommendations

Give it a try! They offer a free trial, no obligations. Create multiple positions and shift blocks with varaious employees, each with their unique color. The calendar schedule, with easy interchange between "daily" and "weekly" views will show the spread of scheduled shifts that is easy to read and manage.

Cons

I think you're approaching feature creep -- too much stuff packed into a tiny space. Please keep a close eye on the UX.

We use WiW for the weekly and daily scheduling of our distributed 24/7 support team. It allows us the ability to create repetitive schedules while leaving the flexibility for employees to input time off requests and set days they cannot work.

Overall our team has loved using When I Work and recently transferred over from another offering. It's easy to use, Love the use of roles and repeat schedules and time frames for roles. Good stuff

Cons

They push hard for upgrades and won't let you opt-out of such messaging. They also have do not have as robust of a schedule export/print and email feature as it lacks customization. They could also provide alternative sort options within the scheduler. A basic feature they still lack.

Cons

The chat freezes up and does not always work when using Google Chrome. Need more reports, like exporting the shift templates so that they can be easily edited to avoid having duplicates.

I think scheduling would not be managed as well without this software.

Pros

I love that employees can indicate when they are available and when they are not available. I love that they can put in requests for time off which helps me not rely on myself for remembering. I love that there are additional features for rate of wage. I like the attendance and I can see if employees are showing up late or getting into overtime. There is a budget feature which I have not used but think would be very helpful in the future.

Cons

I wish that I could have the option of excluding some employees when sending a general email through WIW. I also wish that open shifts were always a different color especially when looking at the schedule by position. This would bring my attention to the open shift and alert me that someone is needed. I wish I could publish an employees schedule out for more than 1 week.

When sending custom email messages to your employee's you can select which employees you would like to send the email messages to, by clicking on the "To" field and selecting their names from the list.

There is not a way to automatically change the colors of the OpenShifts. Instead managers would have to manually edit the OpenShifts and change the colors on the Scheduler page.

This tool is great and helps you see how much you are spending on payroll and can let you customize roles. Very helpful for a business that has employees in various places and with mobile options.

When I Work is a full-bodied, attractive shift scheduling platform that works well on phones and desktops, and offers shortcuts and templates that help speed up scheduling for managers, giving employees more power over when they work.

Pros

Feature-rich, flexible, mobile-friendly platform. Has a modern, intuitive user interface (UI) backed by ample training, help, and support. Open application programming interface (API) lets users share data with payroll, Point-of-Sale (POS), and other people management programs.

Cons

Doesn't offer as many reports and direct integrations with payroll and POS vendors as some competitors. Cheapest price only covers a single location and up to five users.

The ease of use and specific scheduling features. The drag and drop features and the copying of shifts or whole weeks is wonderful. I love that you can see any requests or availability right on the day you are scheduling.

Cons

I wish you could cleanly print a whole month. It doesn't print as nicely as a week or day. We have just enough staff for there to be a day where some people won't make it onto the month schedule when printed. It's really the only flaw! I have to export and create a word doc to see a full month and I don't want to split my team in half :/

easy communication with staff members that ranged from 14-40...not any easy task to get everyone on the same platform!

Pros

I can check on scheduling from the office or remotely, which is so helpful considering my other "office" is an outdoor pool.

Cons

It was a little tricky at first for my young staff to get the hang of, but once they did, it was great.

Flexibility in scheduling and the ability to access different schedules for multiple locations all in one screen.

Pros

Both teenage employees and retirees are able to use the program with limited difficulties. It also allows flexibility in programs and cost which is ideal for a season company like ours. We have over 100 employees in-season, and less than 10 in the off-season and we make adjustments all year long.

Cons

The availability feature is not as user friendly as it could be, and has some limitations regarding users and changing availability after schedules have been posted.

Pros

When I Work seems to be the culmination of every scheduling manager's "But I wish I could......" statements. It is intuitive, flexible, and easy both during set up and for the end users. It also helps that the customer support and company culture are inviting and informative.

Cons

What I like the least is the fact that my company is currently stuck using a different Time Clock system so we don't use that specific functionality that When I Work offers.

Time savings is huge! I know some employees have had compatibility issues and storage space issues, but we have always had help from When I Work getting these resolved.

Pros

Ease of scheduling, creating announcements and handling time off requests is a breeze. Something we haven't used as much but I love is the ease of switching shifts. Customer service has always been super helpful and accommodating.

Convenience is the biggest plus. It also helps employees get their schedule on the fly, and keep both management and staff in the know.

Pros

When I Work has completely changed the way I and my team manage our schedule. It has made our team significantly a more cohesive group by eliminating scheduling conflicts.

Cons

I honestly don't have any gripes with When I Work. Every single time I have submitted a help ticket they have been amazing with the fix and follow up.

It allows all of my employees to know their schedules and changes in real-time without needing phone calls or visits inside to "take pictures" of those old paper schedules. Time OFF is an ease to schedule and maintain and Workchat has brought us all closer together!

Cons

There are some missing functions I wish it had, like being able to put Time OFF in and having those hours show up on the schedule as time worked when it is submitted with hours attached.

So easy to use and learn. I have used support several times and each time I get clear instructions on how to do what I need to do. Very helpful, step by step directions.

Cons

The only thing I don't like is that I cannot acknowledge shifts for my workers. Sometimes they have difficulty doing it from their phones and I am talking to them in person so I would like to acknowledge their shifts. I get that there is a point to making them do it but sometimes it is easier to do it on my computer. Having said that it is a very small issue.
