When I Work Software


 

When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts.

When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests, and they can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported.

When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

When I Work has an abundance of features and is intuitive in its design. The mobile friendly platform is an added bonus as you can work from just about anywhere. It is also easy to collaborate with other platforms seamlessly.

Cons

If you need many reports for tracking purposes, When I Work does is lacking in this area. Also, the pricing structure is not as budget-friendly. The least expensive tier only covers one location and five users.

We made a great decision to go with this software, it has made scheduling so much easier and more productive. The employees are able to select the shifts they wish to work more easily. Cut down nearly half of the email traffic.

Pros

The software has the capability to view schedules for employees daily, weekly, and monthly, also allows you to select by job site as well and customize shifts.

Cons

I am unable to enter multiple shifts when using the app whereas I am able to enter and entire month at a time on the desktop site.

Pros

Simple, easy, and intuitive way to create work schedules. Keep track of your schedule on the go with the When I Work App. There’s also a way to set up time clocks so staff can punch in and out of their shifts to keep track of hours worked. Staff can also request days off or to switch shifts with a fellow employee.

Cons

With the most recent update, setting daily availability seems to have been removed and only setting availability for the week is possible. Definitely something easy that can be fixed with another update though.

Generally a good app that has helped both myself and employees get organized. It does get confusing when employees try to create custom availability and often the work chat freezes on me or just doesn't when I'm trying to reach my employees for an important matter. I will soon need to add another employee, however the price to upgrade to 6 employees will no longer be worth it to me as I can switch to an app that includes many other features (invoicing/payments, client calendar, better notes/logs, customer service and booking, client reminder, etc.) for better value.

Pros

Easy to use, saves a lot of time rather than creating a manual schedule, has some great features. Employees find it easy to understand and I love the clock in/clock out with gps tracking.

Cons

I need more features, has some glitches and doesn't work or freezes sometimes when I need it most. The cost is too high to upgrade just to add more employees. I would be happy to pay more for more features but it will start to lose it's value soon as my business grows.

When I Work takes a lot of up front data entry to get your company initially setup, but after you should be scheduling smoothly.

Pros

Beautiful interface.
You can schedule employees based on skills and availability!
This is very helpful for employees who have multiple qualifications or skills.
Employees are notified via the When I Work app, or SMS.

Cons

A lot of setup required.
Importing and exporting could be overhauled to offer more customized options.
It is almost impossible to edit employees on a batch or global level.

I disliked this software so much that I actually ended up going with a different scheduling software, even though I took the time to set up an account and have staff input all of their information.

Pros

This software does make it simple for employees to swap shifts and request time off. It was fairly simple for staff to enter their information. It was also pretty quick for me to initially setup.

Cons

I found this software exceedingly hard to setup. It was difficult to use properly and was not worth the effort.

When I work is a user friendly program for administration and for employees. The when i work employee chat is great for employee communication.
The program calculates hours easily and gives budgeting information.

Cons

When I work does not offer clocking in over 24 hours. You have to clock in and out when we have staff that can work up to 48 hours.

Amazing Concept and Solid Product

Aside from lots of manual adjustments that managers have to make, I still love how I can process payroll through this system. Overall, I highly recommend When I Work!

Pros

I oversee seasonal programs at 3 different locations across 2 states. We love the scheduling features (which other products I've used have). This is great, but nothing above the norm. I love the "Attendance" feature, which allows me to control when and where employees can clock in. For example, parameters can be set to only allow an employee to clock in (on his/her phone app) within 10 minutes of a shift, and 100 meters from their shift location.

Cons

In New York City, where we are in and out of the subway system - the location feature rarely works. The app is much more accessible for iphone users than for android. I, as the owner/administrator (iphone user) never have an issue clocking myself in, but my employees VERY OFTEN do, making this less ideal. Even though we've sumbitted many help/support tickets, we still have not found a resolution to this!

My company often requires us to schedule a number of employees for various assignments all across the country. We are also required to schedule backups in case issues arise. In addition, we may be required to make last minute changes for any number of reasons. When I Work took the "headache" out of a challenging scheduling process. In addition, the web based format made it very accessible to our staff regardless of their location.

Cons

The cons for When I work are minimal. The pricing structure should be modified to provide a few more features at the base level and more users.

This is a great app for anyone who has a fast paced, on the go lifestyle. I enjoyed being able to adjust notifications accordingly so I received a weekly email of my schedule as well as a reminder the morning beforehand.
Its also very easy for managers to build schedules. It gives you the capability to save layouts so you can repeat them if needed or store them for a later time!

Cons

It was a bit hard to swap shifts between different employees if there was any sort of conflict (hours worked, specific days, etc), but overall great app!

We had about 100 employees signed up for When I Work at a time. We had 4 different groups of employees(servers, bartenders, kitchen, and security) that were all signed up for the same account but were placed in different locations. This worked out great because the managers could see all of the schedules and if we had employees that worked in multiple locations it was easy for them to be added to both.

Pros

Their customer service reps are very willing to work with you to set up your account and answer all of your questions afterward.
It's very easy to use and easy to show employees how to work their accounts.
Employees can also put what shifts they prefer to work and ask off in the app.

Cons

Harder to make the schedule from a cell phone. I would recommend using a computer if you have a lot of employees.
We didn't use the chat function on the app at all.

Pros

Not only is scheduling more efficient but communicating shift changes, filling gaps and getting people to work on time has improved.

Cons

Being able to easily put together a schedule for my seasonal employees and see the number of hours they are working. No more guessing and doing the math in my head. No more trying to find a calendar and attempt to piece together options. This just makes my scheduling process so easy!

Pros

I like that I can have shift templates so I can easily assign a regular shift in just a few clicks. It will also give me the total number of hours that they are being paid to work and I can assign the length of the break.

Cons

As a free member you can not schedule for more than a week out. So if you do your schedule on Tuesday for the following week you can only do the schedule up until Thursday. Too bad that once you start a week the following week doesn't become available to schedule.

Easy Staff Scheduling

Pros

It is really easy to use and employees really like being able to see their schedule and coworker's schedules/time off and that they can be notified when something changes. Setup was really easy too, and so is the maintenance of positions and shifts - so much better than paper calendars and pencil.

Cons

The time tracking doesn't meet par - there are gaps in what you should be able to track - like someone on a 4-10 schedule needs to have different OT parameters than others ( not possible to do).. things like that.

I love that I can see my shifts, get alerts, and clock in/out all in the same place. It's also very easy to use and navigate!

Cons

Sometimes it crashes! Also, it's hard to "approve" shifts - you're supposed to check a little check mark in the top right corner, but it's really hard to know that unless someone's told you. Also, I wish there was a feature to alert you an hour before your shift.

I like how they have an app for smartphone users and it is pretty simple to use. Customer service is responsive and extremely helpful. You can switch and change shifts easily and quickly. You can also block off days that you do not want individuals to take off!

Cons

The least favorite thing about When I Work is that it does glitch when using google chrome or google related products. I only used this system for a few months so I'm sure they have fixed a lot of the bugs by now.

it is not THE answer to scheduling numerous part time staff around their shifts, but it is definitely than paper or excel spreadsheets. staff can access everything remotely and easily. Drop shift and pick up shift function is great. I have just started tracking hours and I really like that feature.

Pros

ease, functionality, rollover capability , copy and paste function, excellent customer support. Staff really like the app function of the software. I prefer to do things on desktop, I enjoy that. I can easily add/remove/assign staff as is necessary. I can block days easily. requests arrive immediately.

Cons

it is more expensive than other similar products.
I cannot limit each employee's availability (I called and tried, found a solution, not best, but still a solution)

I can finally focus on the aspects of my job outside of scheduling and staffing. When I Work has given me my time back, so I'm not stuck working late on schedules.

Cons

For the price of free, it's hard to complain about this software. If you need help implementing budgeting into your scheduling, though-you might need something more advanced.

Easily accessible and a way to keep in communication with all of my staff from just a click of a button.

Pros

The accessibility! I am always on the go so having the notifications and the app right on my phone makes my life so much easier. I also like being able to pull documents such as the requests off as well as being able to send direct messaging to my staff.

Cons

It was hard to get used to at first just because it was a new system. But once I was able to get my questions answered and have some time to train, I thoroughly love this system!

When I Work is great (especially for my department) because our schedule is always changing to provide service to our customers 7 days a week. The time of our shifts and the 5 days we work during the week are always changing. When I Work is really useful in organizing the teams' schedule and shift preferences.

Cons

I have no legitimate concerns with When I Work. We never use the chat feature. Also, we use another software to request PTO and a different software to clock in and out. It would be nice to see all of these feature on one software platform.

Being able to clock in, out, and communicate with workers with general ease. It is a more organized way of running a business and defeats the purpose of emails which can get annoying.

Pros

I like that there isn't a physical box or station I need to be at in order to clock in at my place of work. The group chat function is nice so it is easy to separate that from your regular messages app on your phone.

Cons

It is not the most user-friendly app. It almost looks outdated and it took me a while to get the hang of it although I am pretty tech savvy and use many apps.
