When I Work Software


 

When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts.

When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests, and they can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported.

When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

Great for Orginzations with multiple jobs

Pros

For our Camp sometimes a person could be doing multiple jobs throughout the day, so I like that I can color code each job. This makes it so much easier for our staff to know where they are going.

Cons

I would like to see the clock in and out system with out having to pay for it. We already have a system and its free, I would like to see if this is comparable or better than what I have now.

Great for construction when we have guys on the road all over the state each day

Pros

Ability to send out chats and mass messages to selected employees
Ability to add details to schedule rather than just a time and location
Ability for EE's to see who they're working with
Sends out alerts when schedules change so nobody has an excuse to miss schedule changes

Cons

Not much to not like about this program. It's perfect for how we use it. However, we have no used the GPS or time clock management portion so we cannot speak to how well that functions

When I Work is truly a great tool for scheduling. Use it for forecasting as well to determine where you can make the best use of your resources across one or more projects. This tool also helps you understand what your organization is capable of handling. It will definitely save you from scheduling headaches and the potential issues around delivering work when you are better able to have full visibility across all your teams and the projects they are working on. A great stand alone tool, as well as a great integrated tool.

Pros

When I Work is a simple and truly effective time scheduler for resourcing projects in your organization. You can track across one or more projects, as needed, and identify time availability for the work that needs to get done. This is often one of the most challenging aspects of keeping projects on track and very few project management tools can help you like When I Work can.

Unlike the "capacity" view of other applications, When I Work gets down to the most granular details. It allows you to identify when and where a team member will be used, including time-off, breaks, lunches, meetings, etc. You can use these categories to identify how best to allocate their time.

The scheduler allows you to see teams based on shift or positions (roles). You can track un-paid breaks and time off, as well as customize schedules and create templates for reuse. You can even create specific shifts for one time or recurring use and maintain notes on each entry. It also provides high level visibility of total individual team member capacity as well as what is scheduled and what has already been used.

View your teams across one or more projects or job sites and distribute resources across them all as needed. It offers program-like management of projects and does not restrict you to individual projects, which can become cumbersome when re-allocating time of one team member across two or more projects.

When I Work is a great tool for planning, or simply use it in addition to your project management application. Its scheduling features make it a powerful tool that lets you forecast as well, by easily making changes in schedules as needed. You will spend less time manually calculating your resources and where to place them, saving you time and money. Changes to any schedules are easy to see and the responses are easy to manage.

When I Work also offers features like task management, which allows you to manage projects of less complexity in the same application. And if you are looking for integration, yes, you can use their library of APIs for that. But, you need to click on the developer link at the footer for more details. Their integration features are not prominently displayed on their website.

Cons

No cons I could personally find for the application and its use. Integration via APIs are present, but this is more for organizations who have techs who can implement them. I have seen organizations with limited development capabilities due to their areas of expertise, where integrations might pose a small challenge... but this should not necessarily pose as a true con for you.

Love the modern design and structure of this app. Your able to just pull up your phone and see not only your schedule but also your coworkers so it makes meetings and project planning super easy. The in app work chat also keeps everything work related in 1 app for easy access.

Cons

For my job we use our phones to clock in and out but at times its rather frustrating if you happen to start your day for a work related meeting off site and since this app can track where your clocking in and out from (Which you can disable this in your settings) it puts red flags on your timesheet which is a pain at times.

I have no complaints with this software, very convenient and easy to use.

Pros

I like the convenience of being able to request time off and also to speak with other associates regarding shift changes and/or requesting shift coverage. It makes it very easy to communicate with my fellow employees as well as my employer.

Cons

The format can be a little confusing at first. You have to look through all the sections, such as chats, requests off, availability, etc, in order to orient yourself. However, this is not necessarily a complaint as much as just simply learning the app.

When I Work has an abundance of features and is intuitive in its design. The mobile friendly platform is an added bonus as you can work from just about anywhere. It is also easy to collaborate with other platforms seamlessly.

Cons

If you need many reports for tracking purposes, When I Work does is lacking in this area. Also, the pricing structure is not as budget-friendly. The least expensive tier only covers one location and five users.

We made a great decision to go with this software, it has made scheduling so much easier and more productive. The employees are able to select the shifts they wish to work more easily. Cut down nearly half of the email traffic.

Pros

The software has the capability to view schedules for employees daily, weekly, and monthly, also allows you to select by job site as well and customize shifts.

Cons

I am unable to enter multiple shifts when using the app whereas I am able to enter and entire month at a time on the desktop site.

Pros

Simple, easy, and intuitive way to create work schedules. Keep track of your schedule on the go with the When I Work App. There’s also a way to set up time clocks so staff can punch in and out of their shifts to keep track of hours worked. Staff can also request days off or to switch shifts with a fellow employee.

Cons

With the most recent update, setting daily availability seems to have been removed and only setting availability for the week is possible. Definitely something easy that can be fixed with another update though.

Generally a good app that has helped both myself and employees get organized. It does get confusing when employees try to create custom availability and often the work chat freezes on me or just doesn't when I'm trying to reach my employees for an important matter. I will soon need to add another employee, however the price to upgrade to 6 employees will no longer be worth it to me as I can switch to an app that includes many other features (invoicing/payments, client calendar, better notes/logs, customer service and booking, client reminder, etc.) for better value.

Pros

Easy to use, saves a lot of time rather than creating a manual schedule, has some great features. Employees find it easy to understand and I love the clock in/clock out with gps tracking.

Cons

I need more features, has some glitches and doesn't work or freezes sometimes when I need it most. The cost is too high to upgrade just to add more employees. I would be happy to pay more for more features but it will start to lose it's value soon as my business grows.

When I Work takes a lot of up front data entry to get your company initially setup, but after you should be scheduling smoothly.

Pros

Beautiful interface.
You can schedule employees based on skills and availability!
This is very helpful for employees who have multiple qualifications or skills.
Employees are notified via the When I Work app, or SMS.

Cons

A lot of setup required.
Importing and exporting could be overhauled to offer more customized options.
It is almost impossible to edit employees on a batch or global level.

I disliked this software so much that I actually ended up going with a different scheduling software, even though I took the time to set up an account and have staff input all of their information.

Pros

This software does make it simple for employees to swap shifts and request time off. It was fairly simple for staff to enter their information. It was also pretty quick for me to initially setup.

Cons

I found this software exceedingly hard to setup. It was difficult to use properly and was not worth the effort.

The program calculates hours easily and gives budgeting information.

Cons

When I work does not offer clocking in over 24 hours. You have to clock in and out when we have staff that can work up to 48 hours.

Amazing Concept and Solid Product

Aside from lots of manual adjustments that managers have to make, I still love how I can process payroll through this system. Overall, I highly recommend When I Work!

Pros

I oversee seasonal programs at 3 different locations across 2 states. We love the scheduling features (which other products I've used have). This is great, but nothing above the norm. I love the "Attendance" feature, which allows me to control when and where employees can clock in. For example, parameters can be set to only allow an employee to clock in (on his/her phone app) within 10 minutes of a shift, and 100 meters from their shift location.

Cons

In New York City, where we are in and out of the subway system - the location feature rarely works. The app is much more accessible for iphone users than for android. I, as the owner/administrator (iphone user) never have an issue clocking myself in, but my employees VERY OFTEN do, making this less ideal. Even though we've sumbitted many help/support tickets, we still have not found a resolution to this!

My company often requires us to schedule a number of employees for various assignments all across the country. We are also required to schedule backups in case issues arise. In addition, we may be required to make last minute changes for any number of reasons. When I Work took the "headache" out of a challenging scheduling process. In addition, the web based format made it very accessible to our staff regardless of their location.

Cons

The cons for When I work are minimal. The pricing structure should be modified to provide a few more features at the base level and more users.

It has been. A great tool for communicating with employees and keeping schedules clear and simple to understand and change.

Pros

I love all the many features that When I Work has to offer. I greatly appreciate the Workchat tool that allows me to communicate with employees throughout the company. I also really like the many functions available when creating a schedule, particularly that you can simply copy previous weeks to a new week, and that you can create shift templates which you can use for future schedules.

Cons

When I Work is takes quite a bit of training to learn since there are so many aspects to it. Often, this can make the scheduling seem daunting and a little intimidating.

It freed up massive amounts of time that I had previously spent on mundane tasks trying to figure out where and when to schedule people in spreadsheets. Scheduling is now a breeze

Pros

Easier to use than competitors, it has a great user interface, the ability to alert employees when schedules change, you can add details to the shift ie. position or location as opposed to just a time. It also has great general details about the business like number of hours scheduled, even wages and other costs, breakdown by position etc.

Cons

Personally can't think of any cons, I've used a regular spreadsheet before, then another scheduling software before When I Work, and this is by far the best tool I've found for that. Would never go back, it does exactly as I need.

I was someone being scheduled on the app, so I only know that end of the app. It was really easy to look at your shifts for the week. Also easy to trade and drop shifts and request time off. Easy access to the app on multiple devices makes clocking in super easy and convenient.

This app is so good looking and easy to use. It makes so easy to view your work schedule and I love the fact that sends you an overview of the hole week ahead.

It allows me to acknowledge my shifts, to see how many hours away are my free days :-) and so many other things. When I get to the office I just type in my name and I can clock in/out, and even sends sms to my phone reminding me if I missed to do so or whatever I'm late or have to many hours at the office. Just a great app.

Cons

Sometimes this app can end up being seen as over detailed and confusing, but once you get into it, it's easy to use.

Pros

I have multiple offices with shared employees and the overlays are incredible. I have tried other schedule writing software and this is by far the best I have found. Customer support is fast and good when you need them.

When an employee is no longer working for me, they disappear off of historical schedules. Other than that I cannot think of anything else.

Good for "Clocking-in" and recording time.

Pros

It sends you reminders about when your shift is coming up and helps manage weekly time sheets. You can also request time off and see availability of hours.

Cons

"Work Chat" feature does not alert you and frequent refreshes of the page are necessary in order to see new messages.

When I Work may have been more than we needed for our small business with fairly predictable schedules. If you're managing a lot of employees with complex shifts, it has features that look fantastic. There is also a tool for remote clock-in that employees can use on their smartphones.

Cons

We set up a timeclock station with an iPad. It would sign itself out unpredictably and sometimes fail to register responses. Thankfully, the bugs were always apparent immediately and workers could report their clock out time to their supervisor before leaving. The UI is also pretty arcane and I would end up in the timeclock app all the time when I was trying to manage schedules and payroll. You also have to take some meaningless actions to "close out" a pay period before the Gusto integration will capture the hours for payroll.

I don't have to text message everyone and everyone is there so I dont have to have eveyone's number.

Pros

I love the fact that I can communicate with the people at work with out the need of my phone to be sending them text messages. Everything stays there.

Cons

I do not like that I do not get notifications to my email when someone writes me on a message. Please send me messages so I don't have to literally log in for this.

My relationship with this app it´s a fun one. I do hate the fact that I get to see how much work I have in advance, but I also enjoy that when it comes to my work, When I Work always helps me to be on time or to be clear about my schedule.

I enjoy all the information that it gives so I always know whats going on at my office. So easy to use and understand, and that just make this app perfect to be in touch with my work. I´m always counting the hours to my next day off with this app.

Cons

I actually enjoy this app very much even thought it always have so much control and power over the employees.

Thanks to this, I always do my best not to be late.

I used this at a small financial institution. This was an easy way to share information with team members but required a decent amount of work on my part to upload all of the data since the organization had a separate scheduler.

Cons

Although it is helpful to allow individuals to see when they work, you don't get the information about who you're working with which may, in some cases be very helpful.

We were able to color code different events during a long four day weekend and have students easily recognize what venues they were signed up for when they go to the entire grid to look at a block of days.

Cons

The icons at the top of the pages are not meaningful enough for me as a once every two week user to remember where to go to operate the software.

The benefit of ring able to the. Rota system & set , section up all the different roles and simplify everything infact u can do a schedule aroufur business in a matter of minutes I love it
