Managed the Transitioning to Notion and It Improved Our Productivity

Notion helped us centralize project management, documentation, and knowledge base into a single place. Now we have a strong way of doing things and documenting the knowledge across teams.

PROS

Customizable databases and different views make it pretty easy to manage resources and documents. The new "projects" feature was something I had been looking forward to for months, and finally, we have it.

CONS

Some team members find it a bit difficult to start with. Getting the whole team to adapt using Notion took a while.

A great tool with endless possibilities, but beware of integrations

Great platform for startups. It does everything you need. Get ready to set it up properly, and you'll fly. Bad integration with Google Suite limits its potential.

PROS

Notion is an amazing product. It has endless possibilities and features that improve your efficiency and productivity. For you and all your team. Although initially it's quite overwhelming, after a quick setup of pages it's very easy to use. It can be your CRM, your Task Manager, your drive.. basically anything you want, you just have to get your hands on it and setup the pages. Great for everyday tasks too.

CONS

There's no big negative on Notion. The two main issues would be: It does everything. LITERALLY Everything a team needs, so be prepared to "learn" how to use it. It's a lot, and initially it's quite daunting. No integration with google docs, calendar etc. and in general Gsuite. This, for me, is the biggest drawback. an example: Task management, is only on notion, but if you want to assign a task to a specific slot on your Google calendar, you cant. This is a huge miss, which reduces the efficiency of the platform.

Possibly the most popular knowledge management tool, but privacy concerns

Notion is quite powerful and very popular tool. But perhaps one can easily get too lost in configuring and templating their spaces instead of just using the core function of documentation. I'm no longer using it because of privacy issues.

PROS

One of the strengths of Notion is its flexibility. Users can create databases, tables, and lists with ease, and customize them with different views, filters, and sorting options. The platform also allows for rich media embedding, so users can add images, videos, and files to their notes and pages. It has a very generous education discount for both students and teachers.

CONS

While Notion is highly customizable, this can also be a weakness for some users. The platform's flexibility means that users need to spend a considerable amount of time setting up and configuring their workspace to meet their needs, which can be time-consuming and distracting.There are also privacy concerns. I remember a few reddit threads where users requested for support and they were surprised how easy it was for them to access their workspace after giving verbal/textual permission.Performance is also an issue. Complex or large workspaces can be extremely slow.

Notion was the most popular and quite possibly has the most features. But I'm no longer using it because of privacy concerns.

AMAZING software for any industry or individual!!

I used Notion for a presentation at work and it kept me on track and organized!

PROS

I use one account for business and personal - and it's totally free!! I keep track of budgets, manage projects, and even keep grocery lists. I love how many cool features it has to help you do anything from planning social posts to writing presentations.

CONS

I don't have any qualms. There was a bit of a learning curve for using the interface and figuring out how to utilize certain features and templates, but otherwise no issues!!!!

MUCH simpler and less expensive, plus so many more features!!

Notion is my new default workspace

PROS

I like that notion has all the pros of a spreadsheet plus all the pros of a word doc. It can be simple or flexible. It's clean, easy to read, and doesn't waste a lot of user time on formatting when content is king.

CONS

The spreadsheet formulas are clunkier than excel/sheets, but everything else is superior.

My second brain is running on it

I would recommend to others, since its a suitable tool for me. Everybody has to try.

PROS

Notion is nicely looking and has a great search functions, which are great for creating content.

CONS

The tradeoff for many functions is missing linking function like in other note taking apps like Obsidian or Evernote.

Notion's flexibility towards its users

Notion is a very good application since it can help me organize my notes. I would definitely recommend this to a friend who is also techy and loves to organize their notes and someone who does not rely on papers that much.

PROS

I like notion the most its because it helps me organize my notes per subject that I discuss and also I can do a lot of things such as taking down my schedule for the month and tracking my progress for each tasks or goals that I have. I can create a lot of pages and share it with others.

CONS

The free version is very limited to those who does have budget especially for students. I started my journey in Notion since I was in college and some actions requires plans to pay off. Also, there is no tutorial or help tool when you are new to the website or application.

Very Useful Tool for Marketers or Online Business.

I really like how useful this tool is, especially with its AI-powered brainstorming feature. I am interested in utilizing the calendar portion to help plan my day, but I'm not sure where to start.

PROS

It's a helpful tool for marketers, with templates to download for email campaigns and customer contact. It combines the features of a calendar app, pages, and notes.

CONS

There are many features to learn with Notion software. I downloaded it only because [sensitive content hidden] made a YouTube video about it, explaining how it works and providing a template. If more tutorial videos were available to teach people how to use Notion, I think it could increase sales.

Powerful Organization Tool

Notion is a very powerful tool that offers a lot for someone who needs help with organizing life/work. It's very modern and responsive for anyone who's looking into trying a new alternative to the usual and boring task/project management tools.

PROS

I enjoyed the multiplicity ofoptions and how much you can customize Notion to your needs. It's very powerful with lot of options and possibilities, with automation and nice looking layout(s).

CONS

With great power comes a bit of overwhelming. Notion offers so many options and possibilities that it can be overwhelming at first. First time users might be a bit intimidated or hit by the blank page syndrome before being able to find the proper balance that fits their needs.

The ultimate knowledge sharing tool

I tried Notion first with it came out. I did not made the switch from Evernote, my personal "knowledge base" at the time. Then I gave it a second chance after seeing it being used by productivity experts and was actually amazed. My personal workflows changed from day one. I could not stop thinking into turning more parts of my life into ordered processes. I dumped my yearly account on Evernote right away. Then I pushed it to be used in my new founded company. We managed to organize ALL the company inside Notion. I continue to be impressed

PROS

The product is just right. They got it at a somewhat unexpectedly hard problem: note taking is not about note taking, but about mental models and processes. They got it right. They added the features those app needed, to replace whole tools categories such as project management and tracking, knowledge databases ... even no-code public site drafting! The care they put into the product is amazing, full of details. The community and templates, amazing. UX is great from onboarding.

CONS

There are some missing features. Mainly, an API to boost integrations; that will be great. Also, databases, formulas, relations ... need a few second-level yet-important features. All that is in the roadmap, so I'm happy to wait.

Reasons for switching to Notion

I never got any real value out of Evernote, apart from having a bunch of unordered notes and clippings sitting there. Right, I took notes of my meetings and decissions ... but Evernote never felt right. Classification is confusing and lacking, UX is poor, features are missing ... I was actually happy to make the switch, even with a full semester prepaid.

One of tools I would not hesitate to recommend.

Perfect product, priced exactly as it should be.

PROS

Notions acts as a backbone of your team in a term of article storage and discussion place. You see, it is very easy to say "a lot of systems offer article and document storage" but in reality most of them lack clean representation, simple but working hierarchy, sound way to discuss the document, comment it, and notify about the changes. More, notions allows you to attach arbitrary files and images to the document. You may even expose some pages of notion as a part of your website and they do look organic! Tables, icons, images, backrounds, labels - it is all there. Right you may name a lot of similar systems, but there is an distinctive thing about notions: it is concentrated on articles and information and it does that great! Notion offers very easy to learn, fast way to create document, similar to one you may find on Medium. We've tried a number of different approaches, including basecamp, confluence, slack, dropbox paper - notions is a clear winner. Notions does have native application for the both desktops and mobile systems. Notion may be integrated with a number of other products including Slack. You may even build your website using nothing else but notion itself. Notion requires just a bit of time to understand how much actually can be expressed with text, tables, checkboxes, labels, comments, images and files. This is revolution made using the set of a very simple things.

CONS

Here I am looking at 100min counter and having no idea what to write. The only thing what I am really scared of is that notion may attempt to change the focus and instead of master of articles become jack of all trades. Right now it is one of the rare products I use every day without any regrets.

We were looking for an information system and notion.so does exactly that. Mind, it does not offer anything else, for instance there is no chats per se, issue trackers, planners, video conferences. Neither it should. Open youtube and search for, say, "notion.so planing things" and you will find a set of videos that shows how little you actually need to make your team or yourself perform better.

All in all, Notion is top of the game when it comes to customization. No longer do you have to take an off-the-shelf software and adapt to it. With Notion, everything adapts to your needs and stays always customizable. A must for any user looking for freedom and structure at the same time when it comes to organizing your thoughts, life, project and products.

PROS

There‘s not much Notion can‘t seem to do. You can easily adjust it entirely to your liking - however, there is a pretty steep learning curve. Once you got it, though, the sky is your limit. Create as many pages as you‘d like, nest them within each other, shake up your hierarchy and even link databases onto other sites. The creative freedom concerning the hierarchy of your pages is phenomenal.

CONS

Lots of time spent getting to know Notion‘s myriad of options which results in a lot of studying early on and in a pretty steep learning curve. Luckily, there are tons of useful resources and learning videos including templates you can use and customize to your liking. I really wish it had a better stylus/pen integration for quick and easy hand-written notes.

OneNote - especially the Class Notebook - is great for teaching when you want to provide a clear set of hierarchy to your team or students. But using it for my personal organisation just never worked for me. It was too rigid with its narrow Section Group > Section > Page > Sub-page limitation. With Notion, I can simply nest as many pages within each other as I please - which is a game changer for me.

A tool so versatile that it will adapt to your needs

Since I discovered Notion almost two years ago, it has become an essential tool for me. As it integrates such a vast number of options, I can use it to take notes, draft articles, brainstorm new ideas, plan each course week, and keep track of expenses... My workflow has improved because it allows me to have very different aspects of my work within the same environment. I don't need to switch from one app to another because Notion includes several I usually use.

PROS

My favorite thing from Notion has to do with its flexibility. I use it mainly to draft essays, blog posts, and articles. It's easier for me than any word processing software because Notion allows me --beyond being a multiplatform app-- to reorganize both my text and my files very smoothly. The heaps of templates available are also a great deal. For example, I use one template weekly to keep track of certain incomes and spending. I have also used templates to plan my classes for one semester or sketch a future book's ideas. I also use it as a note-taking app for every meeting.

CONS

I am pretty happy about it, and I have not used several features that look interesting. The only real problem I have had so far is its dependency upon connection. There is no offline mode. So, eight or ten months ago Notion system was down, and I could not access my drafts for half a day.

Reasons for switching to Notion

Notion offers a cleaner interface than ClickUp; I work solo, so I need a simple tool. Regarding Google Keep, as I have mentioned, Notion had all the benefits of a note-taking app but in the same place where other tools (to-do lists, planners, etc.) are.

A vital tool

The initial learning curve* is sooooooo worth it; I now manage just about everything through Notion. For me, it's the '2nd brain' that the likes of [SENSITIVE CONTENT] bang on about (and with good reason) - I'm more organised, more productive and less stressed. *Only to use it more extensively; if you just want an Evernote or OneNote alternative, it's as easy as they are)

Enables me to record, note and plan things in whatever way works best at the time, and then find it again, instantly!

CONS

As a new user, it takes a little planning to maximise some of its benefits; I needed to rethink the structure behind many things that had previously existed purely as notes.

I wish I had Notion in college

If I had a Notion in college, it's safe to say, I would've gotten better grades. Since discovering this product, I have been 100x more productive because I can customize my workspace to my exact needs in a friendly, aesthetically pleasing platform. In order to make Notion work for you, you need a creative and problem-solving mind, and a few days to learn it. That's where I have the most fun creating the templates and workflows, and my team members make me feel like a productivity wizard.Working with databases is seamless, integrations work great, and my notes look and feel amazing. I use Notion for my tracking and planning my daily life, as well as my small business. After setting up the templates and workflows, my team members rave about how easy and centralized the projects are. They even started to learn how to create templates and workflows of their own since being introduced to it.Despite the lack of advanced styling, I love having a digital workspace that caters to our exact needs.

PROS

Notion is super easy to use, the interface is beautiful, and the possibilities are endless. I enjoy making templates that actually help me be more productive and get things done. There is also a native marketplace full of free and paid templates that I love getting inspiration from and experimenting with. Notion also has one of the most helpful and motivating communities where templates and productivity ideas are shared. I enjoy using this to organize my projects as a digital business.The pricing plans are reasonable, and they also offer credits when you complete certain tasks. It is best paired with Google Chrome Extensions. There are many extensions that make the Notion experience even better like customizing the theme colors, adding buttons, etc.

CONS

My nit-picky con isn't all that important when it comes to productivity, but visually notion lacks native advanced customization. The downside of using Chrome Extensions to customize the look and feel of my notion pages is that it doesn't apply across browsers and on the desktop and mobile app. There's too much space around the margins, which can be valuable real estate for the page content. I also wish the page properties didn't take up half the page with the right side of it empty. I also wish that text could be aligned right and centered.Another downside I have is having to use Notion in Google Chrome most of the time to take advantage of the style customization extensions.

Best workflow management tool out there

I can not recommend this software enough, there is a small learning curve, but once you master the platform, it will be gamechanging.

PROS

This software is a combination of Evernote, Excel, and PowerPoint. While I believe the team initially developed the software as a sophisticated workflow management tool, it has evolved into so much more, it is nothing short of a CRM tool that can be used in any business in any industry. The robust nature of it's features and the ease at which you can mould your workspace to suit your needs or business is beyond anything any other software has been able to develop.

CONS

There isn't necessarily an effective forum set-up for the Notion team to interact with its super users to gain feedback from them on what works and what doesn't, what future features could be extremely beneficial and understand how the software is used differently depending on the industry.

Daily Use - Extremely Great For Documentation/Knowledge Base

It is a great product. We use it daily and it's our go-to tool for everyday use of reference or information storage.

PROS

Being able to centrally store, categorize, navigate, search and share knowledge base. It is extremely important to store documentation for both internal use and the client in my current working model.

CONS

The app is getting heavier and slower. What I like least about the product is that it is slows down considerably as more and more data or information are stored within. This is the main reason why I only store/share files with embedded links to my other cloud storage. This because even with just text, the user experience due to slowness is sometimes quite frustrating.

The many functionalities available on Notion compared to OneNote.

Reasons for switching to Notion

Lost of data on Evernote and was not able to bring them back. This was a long time ago, and I never turn back. As for MS OneNote, I still like it but Notion simply has a lot more user friendly functionality. But if Notion continue to be slow, I might just switch back to MS Note.

Best Life OS there is

It's absolutely brilliant. I love the product, and love taking inspiration from other people who are using the product. There a many open source templates that you can use and organize your life on top of them.

PROS

I first started using Notion at my workplace, where we had all our documentation in the notion workspace. It was really easy and inspiring to go thru the documents across company functions. Notion is the best thought organizer there is. Its easy to use and has excellent compatibility with other tools as well. I plan my holidays, website content, design system, documentation, etc all in notion. Special shout out to its Tables Construct which is by far the most amazing scalable piece of the software. Its got kanban view and gallery. All of which accommodate my keeps to a large extend.

CONS

The mobile app isn't optimized enough yet. It's a bit slow even on newer phones.

Probably the best aesthetic all rounded application.

PROS

There's so many things that I love about Notion. A good starting point is that Notion can be used for so many things. Note taking, planning, journaling, project management is just a few. Personally, I use it for daily planning, keeping track of my assignments and planning college work and studying for exams. I also use it for project management because I can easily track and plan projects in the same place as I keep my resources. Another great pro about Notion is all the available templates that you can customize. If you are going for a more professional look or if you want an artsy aesthetic look, you can change it to any way you want. Most templates are free but there are paid versions that you can buy as well. Notion is also supported on many devices so you can just view your plans on the go. To add to that, there's many free widgets you could use to add to the various features in Notion. Notion has in built databases, Kanban boards, to do lists, tables, and so many features that you can tweak and use in so many ways.

CONS

The only con about Notion is that its not very beginner friendly. It can take a while to get used to all the features and how to use them efficiently. Setting up Notion to how you want it can take a bit of time but this is worth it in the long run. There are many tutorials which you can use to learn and starter templates that you could use, but if you want something very specific and is a picky person it might take time to set things up. Using things like databases requires a bit of knowledge so I would suggest looking at a few tutorials before deep diving into customization. The good things is that the tutorials are abundant so you won't be lost. Putting in the time to get exactly what you want is definitely good for the long run.

Great versatile tool for businesses and personal use

We use Notion for a lot within our org, but mainly knowledge management. It's easy to organize and find your documents and document your processes to share with your team as a central hub. One of my favorite tools out there and indispensable really.

PROS

The best thing about Notion is its flexibility, that you can customize it to work as almost anything in your day to day, whether its note taking, documentation, knowledge storing or anything else.

CONS

Task management and collaboration can be improved, especially task management needs to get a big upgrade to be able to replace dedicated task management softwares for larger teams. Notion's big benefit, its customization abilities holds it back because although there's hundreds of templates, you do have to set it up and really educate your team on how to use it within your own organization's context, something dedicated task management solutions do for you. I never have to worry if someone "gets" Asana, but if I were to replace Asana with Notion I'd have to really educate my team on how to properly use Notion and all its tools. It's a fine balance to strike but overall Notion is doing a great job at it.

Notion. Worth it?

I decided to start using notion when I saw a review on YouTube, my main usage at that moment was organization. At first, I found it difficult to create my new tables, and it took me a while to learn how to use the formulas and different features. Once I learned, I created big tables with dependant columns and rows and automatic values, which have been helping me to keep a record of my grades at school and university, to track my tasks and organize my homework and work.

PROS

When you become a pro in Notion every aspect is a pro. Notion works in different devices (computer, android, ios), it allows collaborative work, you can create view-only or editing links, it works great not only for personal organization, but also for work tasks. At work is good for project management, scheduling tasks, taking progress and tasks of each employee, etc. It also has good options to filter access to each file. This allows to share the same document with different access levels in a big organization.Although I didn't find it too easy at first for complex tasks, there are various tutorials and documentation on the internet, and Notion and users provide free templates for different use cases, which makes everything easy.

CONS

The main drawback I found is that is not as intuitive as many people think. The user interface is friendly and nice, but when you want to create complex tables with many columns and automatic actions, it gets complex without knowing how to use it. Is as spread-shits, as long as you want to do simple actions with the basic formulas, will be ok. However, when you want to implement complex structures and use advance functions It may get complicated if you don't know how to use it.Anyway, it is not too difficult to lean, and once you know how to use it, you can create wonderful documents and tables that will simplify many jobs and will help you keep organized.

Having used so many other tools this one has changed my business goals

PROS

Notion keeps me on track. I generate a lot of content and documentation for my client projects and keeping up with the dozens of pieces that I need to produce and share each week would never succeed without Notion.

CONS

Two things: Notion is hard to get started with. I had to go back early on and redo many of my initial ideas of working with Notion. Templates are a good way to get started. Secondly, you must be connected to the internet for Notion to work. I travel a lot and work in places where internet availability is not always guaranteed.
