Awesome platform that's only getting better
Overall, using Mavenlink has been great - it has made a very positive impact on day-to-day functions as a business. I would recommend it highly to agencies for its flexibility and extensive functionality to manage resources and projects.
PROSThe reporting functionality Mavenlink offers is extensive and has enabled us to get much better visibility to our project, program, portfolio and resourcing data. Which in turn has allowed us to set/adjust our KPI/KRIs and better inform business decisions with the data we have available. In using Mavenlink how it's meant to be used, not only have we improved our business practices but our PMO has gained valuable insight into important aspects of the business that were previously siloed. The fact that Mavenlink actually continues to improve its platform based on user feedback is a massive plus, as new functionality becomes available to better utilize the platform.
CONSThere are some small (very small in most cases) problems we have with some functionality i.e. the naming/categorization of metrics in the reporting suite could be clearer, when approving/rejecting timesheets, adding a comment to a specific entry would be preferable, rather than the comment being published to all entries.

Effective tool with ease of use and a broad range of features
Very good. We have made suggestions that have been listened to and implemented, we have worked with their customer success team extensively to our benefit. Their help support is excellent when you encounter problems and the software was adaptable to all our needs.
PROSThere is a lot to like about the product. Easy task management with lots of capabilities, time and expense tracking that is simple. Extended resource management options for minute details or broad allocations and a really engaged Customer Success team.
CONSNot a lot to write here. I think the only issue is that it is hard to use at a hourly scale where you need to set time deadlines in the day.

OK for the basics, advanced functionality is either missing or not well implemented
Implementation was not very well executed. We basically had to figure it out on our own. THe "integrations" through thier integration tool are very poorly built and the tool is terrible. It gets the basics right but more advanced features like the Insights reporting add on are poorly executed.

CONSM Bridge integration platform is a complete failure. Its terrible. Training during implementation was not good. We've learned more on our own in a few classes. Time entry is weak and poorly designed. Lacks subprojects. User permissions are all or nothing in most cases.

Outstanding solution for our entire workforce
The overall experience from the get go was very positive, as we started the onboarding process and conducted internal training where I was able to get a lot of great feedback from my coworkers about how they find the ease of use and how they like the online product training catalog that is available.
PROSI am able to view tasks for current projects, track upcoming projects, add notes and tag team members easily in a very organized way that allows me to save time and resources on a regular basis. My coworkers who I interface with closely have had a similar positive experience and I cannot recommend it enough.
CONSThe ability to customize what is viewable and editable in the main menu ( such as projects, tasks, insights) based on user permissions would make it easier tailor the overall product experience to our teams needs.

New user, smooth implementation
The technical consultant support during the implementation was fantastic. Our POC was great about helping us stay on track with all that needed to be tackled as well providing us in the moment or chasing down answers we needed to keep things moving. Adoption within the organization has been successful - a mix of the training support we got from ML and our own custom support. But the intuitiveness of the tool helped the adoption be smooth. Now we are just starting to reap the benefits of the visibility, insights and better overall management of our work.
PROSWe are new to having a PSA and PM tool. So it was great to go from each department having their own spreadsheets to one point of truth and full visibility across the project. But as well - all the in built finance management and integrations we setup has streamlined so many additional administrative elements of managing our work. And the real time visibility to project performance (timelines and finances) is great.
CONSNavigating some of the integrations has been a little longer than I would have hoped for the roll-out. The support to get things implemented was not as timely as we would have hoped.

MavenLink for the Win
We really love MavenLink and especially love working with a company who is constantly evolving and taking their clients feedback and evolving.
PROSWe needed a unified system that did: task tracking, budget tracking, project schedules, time entry and resource management. MavenLink nails it in those arenas! Finally we have a tool that doesn't require another 15 tools!
CONSThere are a lot of features and options for how to do things, and not enough "how to" videos that their competitors have.

Overall good with a few weak areas.
We were able to provide better forecasting and manage budgets against timelines. All time entry is much better managed in a central location. We can also easily track which resources are available or not.

Works well for agencies
Overall, does well for project management. We lacked the ability to easily report on utilization rates and time entries in convenient ways. Mavenlink changed that for the better. Team collaboration with public and private posts can be more streamlined than emails, which can become siloed. Scheduling time and resource planner features are really handy, although I often don't get to what I planned...
PROSBudget tracking is easy and effective, although depending on configuration, it can differ between the finances and budget tabs within a project. Gantt view is super helpful for changing timelines and communicating with client.
CONSThe task tracker sometimes is really slow to load when moving tasks around within a given project. There is often a huge number of notifications, but you can configure those to limit them significantly if necessary.

Powerful software with built in training
My company uses Kantata for time entry, revenue & cost tracking, and invoicing projects. In my role, specifically, I handle onboarding new employees, managing weekly time entry reports, time adjustments, project setup, PO allocations, and invoicing. I previously used Sage 100 to invoice and have found Kantata to be leagues ahead of that software.
PROSThe features I like most about Kantata are the appearance of the interface, the built in training that's available, & how quickly modified information is updated for reporting and invoicing.
CONSWhen first introduced to Kantata, I was unfamiliar with the process flow and quickly became confused by the different levels (Opportunity, engagement, scope, element, etc.). There is a bit of a learning curve, but after spending some time using the tool, the process began to make sense to me.

So, yeah, you could call me an evangelist
We implemented Mavenlink specifically to disabuse our organization of several disparate systems we were using for tracking time, task-level project management, and reporting on specific measurements/metrics like utilization, margin and capacity saturation so that we could improve operational efficiencies. We've found that the tool is very flexible, has some great native reporting capabilities that become exceptional when coupled with the Business Insights add-on, it integrates well to SalesForce, it has given us a much better ability to manage projects for clients as well as internal product development projects, and it provides us with much better capabilities toward planning organizational growth and managing to margin at the business unit level down to the project level. While there are still some glitches/issues with the Gantt views, and there are still things we wish it did better, Mavenlink has proven itself to be an exceptionally valuable (and very cost-effective) management tool; the company is consistently providing updates that are meaningful and adding value with subsequent releases that clearly indicate a willingness to listen to the voice of the customer in new feature requests. Overall, I'm personally very impressed with the software, given my team's requirements and unique operational environment.

Needs Improvements But Works Well for Viewing Burn Rates
In the beginning, Kantata really helped us have a better view of project health, but as we have grown and clearly defined processes, etc. Kantata has not grown with us. It looks and feels dated.
PROSThe best thing about Kantata is the ability to see project burn rates at a glance. The time-tracking system is a huge part of that being accurate as well. There are multiple options for our team to track their time so that we can see project burn rates.
CONSThere are several things that haven't been improved at all in the 6+ years that we've used this software. For example, basic things like not being able to customize your task statuses (or at least new options being added), being able to mark a task as complete even when none of the checklist items have been checked off, and not getting a notification when a due date is coming up to remind a team member of a deadline before it is missed, etc. The mobile version is pretty much useless which is sad now that the working world is mostly remote.

Mavenlink feedback
The reporting and overview of the project is very helpful. .I also like how you can budget towards individual tasks/milestones. It's also good to see an overview of staff's availability and schedule them on specific days for projects.
CONSIt's very frustrating when you need to allocated in the same amount of time per user across a long period. You have to go in individually to each week to add that time. When you have to do this for multiple users across different projects, it takes a lot of time!!! Should be able to do a recurring staffing - define the time period, how many hrs for which user and project. If there are changes to hrs or staffing for a project, you then have to go in and change across the board - should be able to change that recurring staffing to a different number/person

Excellent User Interface
Project task management is a huge improvement over our legacy product. The user interface and the various task types have made this my go-to tool, no longer needing MS Project on the side to replicate our task tracking efforts. I like that Mavenlink has included issues into their task types, not just tasks and milestones. Best of all is the user interface to make changes in the GANTT view and for contributors to self-assign a task and log time to it. As a PM, I am spending far less time making in task management activities, instead able to monitor what others have permission to do on their own.
CONSStill waiting for the golden feature of copy/paste similar tasks to save me even more time.

Mavenlink is a Great Project Management Tool
Mavenlink has allowed us to track everything coming in and out of our department on a daily, monthly and yearly basis. This has shown the demand for our services and how well we manage our time with this demands. We are also able to easily invite those outside of our department to join in and collaborate, which has simplified our daily request process. Everything can be found in one place.
PROSMavenlink allows for our team to easily collaborate on projects from beginning to end. We can cater our tasks to our specific needs and show the progress along the way for everyone to see. The updates that are sent via email keep me on track with the numerous projects I have at hand. The time tracking integration is beneficial to us when we are working with outside clients. This function is simple to use!
CONSI find it difficult to access archived projects when I need to refer back to them. It appears that you need to know the exact title of the project in order to search it. Even though the time tracking function is simple to use, I do wish I could pause my time on one project without tracking it and move to another project where I start tracking time as well. I feel that I have to submit small increments of time often because I cannot do this.

A Robust Must-Try for Service-Based Orgs!
ML has helped my organization to clearly define accountability and responsibilities. Additionally, it allows for project profitability to be easily found without having to compile data from multiple sources.
PROSI believe that the best part of Mavenlink is that it's an all-in-one program. One could use this for the day-to-day management of their projects without having to use outside programs. It combines project management, resource management, budget management, estimating, time-tracking, reporting and so much more.
CONSI think the learning curve can be pretty steep. I attribute this lack of intuition to the robust nature of the service, but it could do with a revamp of the UI/UX. I also dislike the format of the resource management. There are currently two ways to manage resources: Master Planning and Resource Planner. The two work together but are also very separate features. The entire reource management system could use an overhaul to reduce confusion and to make resource changes easier.

Mavenlink for small business!
Coming from a large tech company, we built most of our project applications in house. After starting with a small business back in November, I spent my first couple of weeks finding the right tool to fit the projects that we manage. Most of the tools we found had something we liked and a lot that was overkill for a small company like us. Mavenlink has several product offerings that cater to different-sized businesses. For example, a lot of other products have an 'enterprise edition' that is expensive for only 3-5 users and is overkill (employee timesheets, etc), however, if we were to downgrade to their lower edition we would lose project essential tools like time-tracking and budget management. Mavenlink's 'professional' offering has everything we need aside from an appointment calendar. However it does integrate with my Google calendar! As a small company, we are able to assign out tasks and see where the project stands at every moment with budget tracking, time tracking, and current priority. Their chat support is also very helpful.
CONSThe fact that you cannot pay month-to-month and have to commit to a year is a bit disheartening for a small company, but we spent lots of time trying it out to make sure it's what we wanted and it has been great so far. I was also disappointed/ confused on the way their users work. You pay for a set amount of users, however, you can add outside users to individual projects as a part of the company and they have access to track time, etc. When we asked support about this they seemed very confused and told us we'd have to pay for more users so we stopped doing that. However, I don't think we'd actually be charged if we did it that way since those 'users' on individual projects don't show up under the user management section.

One of the weaker project management tools out there. I wouldn't recommend this product.
The ability to see my project list at a glance, although this product is plagued with poor support and ultra slow development.
PROSThe UI is simple to use most of the time. It's easy to see your projects listed out, even though the organization tools are pretty weak.
CONSThe software is slow. Updates happen at a snails pace. Our team worked directly with the development team at Mavenlink and their process is just plain slow. The program is bogged down and sluggish. It lacks sub-tasks beyond 5 layers, the estimating feature is a joke and they only just recently implemented a basic WYSIWYG in the activity section. You also can't undo activity unless you go back to the feed. Talk to PMs who actually use this product!

Abruptly changed pricing.
Long story short, I had been paying a certain amount for 6+ years, they kicked my credit card, made me reenter the info and told me that plan wasn't available anymore (no prior notice). Then I was faced with the decision to upgrade to a plan that was 6x more than my original plan! I talked to 2 reps and they both told me "we don't offer that plan anymore". All of this happened in the middle of the week while I am trying to deal with my clients. Anyway, I began using zoho projects which I like much more, it has an app and it integrates with a lot of other zoho products. I would highly recommend since the pricing is similar. I left Mavenlink mainly because of the inconvenience, but ZoHo truly provides the same service plus more!
PROSThe workspace was professional, branding gave the sense of personalization. The file space seemed to be unlimited at the time.
CONSThey don't have an app, the mobile equivalent site is not as user friendly as an app would be. Some of the screens are not responsive on a desktop.

Good tool for Internal improvements
Our organisation has been able to streamline a group of integrated teams into a well structured project management tool. It's helped to track our progress in many ongoing projects. It made the team fulfil tasks faster.
PROSAbsolute perfect customer support. We have put resource planning somewhere easily accessible for the whole company. Even before Mavenlink, we had Microsoft Project for this, and it was not as easy-to-use as Mavenlink. The support we've gotten from the Mavenlink team is awesome. Whether it's getting questions answered, prioritising potential feature enhancements, or giving feedback on the product road map . I always know that our voice will be heard and considered.
CONSEverything is fine, it is just we use custom fields on almost all tasks we create, so when created templates with these task lists because we re-use a lot of the same tasks. Unfortunately, templates do not save custom fields so we've had to add these each time we apply a template. It could be improved.

Efficient Project Management System
I love having Mavenlink as our project management system. It's much more efficient and user-friendly than the system we used before, and they seem to always be improving it which is good to know from the user point of view.
PROSThe ability to keep up with each individual project, its tasks and subtasks and everything else involved, without worrying about it getting lost in our Google Drive or desktops. It's a good place to store information, communicate with coworkers, and stay up-to-date on the project's status.
CONSThe recurring projects (which make up about 75% of our company) sometimes have trouble repeating correctly each month. The dates will be off and we have to go in and manually adjust a few things, which isn't a huge deal but it's an inconvenience that we'd prefer to avoid.

Flexible platform, engaged support team, always getting better.
The client success and technical support teams have been exemplary to work with. They truly work to understand your use case for the product and offer solutions, and even involve us in conversations with the product teams to share our perspective on new feature sets.
PROSIt's clear that the platform is designed to fit many different styles of work, and much of it is highly configurable to your preferences. With the integrated APIs to Salesforce and Active Directory, among others, it's worked well to seamlessly stay in sync with the rest of our systems.
CONSThe Insights reporting platform is very powerful, but complex to learn how to implement custom configurations. You'll do well here if you have experience querying relational databases like SQL, but otherwise you will depend heavily on assistance from the support team and documentation to make adjustments to the custom reports.
