One of the standout aspects of our experience with CheckinAsyst has been the exceptional customer support we've received. Our dedicated Customer Success Manager has been an absolute pleasure to work with. He has been highly responsive to our needs and concerns, and his recent onsite visit to our practice has been extremely helpful in ensuring we're making the most of the software's capabilities.

PROS

Excellent customer support, with a dedicated and responsive CSM. Seamless patient check-in process that has significantly reduced wait times

CONS

Initial setup and configuration took some time, but the team was very helpful in guiding us through the process

Great software to help streamline workflows and minimize workloads

Overall my experience with CheckinAsyst has been exceptionally pleasant. It really has made our workflows so much easier. It has cut down on paper usage, time spent scanning documents into the charts, time spent manually entering data into encounter notes, patient wait time, and the list goes on. If you are just even a tiny bit considering CheckinAsyst, I say go for it! You will be pleased with the outcome!

PROS

The most impactful feature of CheckinAsyst is the automatic import of patient data to the EHR system. CheckinAsyst is easy to use. In the beginning there was some push back from staff and patients because no one likes change. Once the staff and patients began using the software they all talked about how much easier it made the check-in process and now it is just the "normal routine". The support team has been exceptional throughout the entire time of using CheckinAsyst. The implementation team was amazing to work with during the form building process and implementation. I had a TON of specific requests and they worked to meet all of them. Anytime I had a request that maybe the system couldn't perform, the implementation team would brainstorm ideas of how they could build a work around that would meet our needs. They put in a lot of work building our specific needs and never once tried to steer us in an "easier" way on their end. I truly appreciated all of their time and effort on implementation.

CONS

I can't think of too many Cons to this software mostly because the Pros outweigh the Cons. There is always going to be "hiccups" in any software, and there has been a few here and there with CheckinAsyst but never anything majorly significant. I would say the only "Con" would be that we don't fully utilize all that CheckinAsyst has to offer due to expense. There are some features that we opted out of because it can get a little pricey.

Reason for choosing CheckinAsyst

We chose CheckinAsyst because of the larger amount of data capture that imported to our EHR system. Alternative products were unable to map some specific "medcin findings" that we needed for our annual UDS reporting. Our health center uses Greenway- Intergy EHR

Health Asyst through the pandemic

PROS

Health Asyst is very user friendly, its easy to navigate & its a very easy system to learn. Reports are very useful and easy to decipher. Health Asyst was able to add COVID questions for each and every appointment, which transfers into a PDF that our office uses to send back with the patient at the time of their visit for MA's and medical staff to review as well. Eligibility has been a great transition especially with Medicaid Managed Care, the clearinghouse has been able to verify all of the new policies. Patient are able to take pictures of their insurance cards and provide us with updated information prior to their appointments. The newest feature being able to accept past due balances from patient that do not have a scheduled appointment has also been a great addition.

CONS

The time that it takes to update, if a patients added onto the schedule and you search Health Asyst it can usually take a few minuets before the appointment populates over. Also when changing appointment types from in office to telehealth the patient will not receive links to the providers virtual waiting room the information has to be manually sent and the change of appointment types is not in real time. Because we are still in pandemic mode we are still scheduling virtual appointments, once the patient completes their registration forms if their within a hour of their appointment they can check in, or they just have to remember to log into the waiting room at the time of their appointment. It would be helpful if the patient could receive a reminder 15 min or 30 min prior to their appointment to let them know their appointment will start shortly

The time for populating appointments was higher for a brief period due to the changes made by the EHR for API calls. We have worked with the EHR on this, and now appointments are populated every 10 minutes. Also, apart from the appointment reminder, a courtesy messages can be sent at any time to notify patients about their upcoming appointments. HealthAsyst Review- Treasure Coast Community Health

It has been a good experience. Especially when it comes to the issues we have had with the system and the responsiveness of the customer service staff. They listen to our problems and try to find a solution as quick as possible. Some of the issues that I have mentioned above have been relayed to their staff and it is planned to be resolved in upcoming versions.

PROS

The ability to have our patient's fill out paperwork easily from their phones or computers gives us an opportunity to collect more information from the patient without the worry of them taking to long in the lobby. The system also automatically checks insurances and their eligibility, which gives us an electronic eye on this.

CONS

Certain features seem a little outdated. Such as filters. Or payment plans. They need to be updated to allow users to better plan how the patient's can create payment plans and for how much. Usage of the app on the tablet is also very outdated. It needs to properly be formatted so that it works properly for every patient.

The price was the most accommodating to our budget. And the features seemed the easiest to maneuver for our staff.

I highly recommend this Solution

HealthAsyst has been great from a customizable standpoint. They have been really open to hearing new ideas and areas needing improved and have been responsive to implementing in upgrades.

PROS

We are currently integrated with CheckinAsyst by HealthAsyst. We have had it for a couple years now and it’s been great for us. The clinical findings from questionnaires/assessments can transfer to the EMR and the Providers absolutely love it.

CONS

The implementation of an electronic solution was very difficult. I don't believe this was related to checkinasyst, but rather any time you are moving from a paper based process, it takes a lot of time.

The ability to import discrete clinical data into the EMR along with a 5 year price comparison.

CheckinAsyst has been a lifesaver for our practice!

Our overall experience with CheckinAsyst has been above and beyond. The system in general has saved us at least 10-15 min per New Patient. The customer service and having a direct contact has been wonderful. Our contact is always on top of any emails we send with very timely responses and is always helping us to get items added or questions answered.

PROS

CheckinAsyst was able to link all clinical workflows into our EHR system exactly how we wanted! We were able to customize our workflows to best fit urology based questions. We also were able to turn any forms we have such as consents, medical records requests, etc into On Demand Forms for quick and easy signatures from patients that then link directly to the patients chart. No more paper!!

CONS

There is really nothing I can think of that I do not like about CheckinAsyst. It is very user friendly and the customer service has been amazing!

Review on Payment/Collections Functionality

PROS

I like that patients can easily set up a payment plan on their own and the money is automatically taken from their credit card on file each month. This saves our billers time in not having to meet with the patient to set up a plan and provides reliable monthly payments instead of relying on the patient to remember to mail in a check each month.

CONS

I mainly use the product myself for collecting on outstanding patient balances and setting up patient payment plans. I frequently run into the problem where a patient has made a payment and it is not entered in our EMR system so I have to double check with AccessmyIQ to look for any payments that have been missed.

CheckinAsyst has worked well with our Gastroenterology practice

From our implementation team to support we have received quick and positive responses to our needs. We are very particular about how we want our information to flow into our EHR system and this team made sure they were able to make it work.

PROS

We like that we are able to custom the timing of sending out prep instructions after the appointment has been made, which we had staff doing prior and this has saved us time. We also like that we are able to custom and set the timing of our appointment reminders and modify with the support team when we need a change based on the feedback we receive from the patients.

CONS

We don't have an functionality cons on the product. The CheckinAsyst team has been great to assist us with what needs we need and in making it work for our practice.

Moving into the next era of healthcare

No-Show Rates have reduced OTC Collections has increased Patient Satisfaction scores have improved More times has been made available for managers to now distribute additional tasks to staff. Overall, CheckinAsyst has made our practice more efficient and more patient centric.

PROS

Our integration was just like any new integration - it was change and with change comes challenges. We have worked with CheckinAsyst now for almost a year and of all the integrations we have had - this has been the easiest. The dashboard is easy to navigate. The workflow is simple for the patients to understand. The interface with our EMR is great.

CONS

Our challenge was with Group Check-In. We have an Ultrasound Department and most of our Vascular patients will come in for the US Appointment prior to their physician appointment. We cannot get the US Appointments to the correct workflow unless we change every US Appt Reason Code to a prefix for established or new. We have decided to leave a reason codes as is and just make all the US appointments a Post-op workflow and keep the physician appointment as is. This has caused some confusion but our schedulers have been good about scripting that in to reduce the confusion. This has worked for us.

Best CheckinAsyst platform around

I have implemented and used other patient engagement platforms. By far CheckinAsyst has been a Five Star platform.

PROS

CheckinAsyst's integration and support have been exceptional. Everyone involved, from the implementation team to our Customer Success Manager and the HealthAsyst support team, has worked with us to align their platform with what works best for us.

CONS

The only Con is our WIFI. Although the WIFI issues are on our side, CheckinAsyst is working with our IT to alleviate any issues.

Reasons for switching to CheckinAsyst

We switched platforms due to the need for more integration between platforms, and support.

Checkinasyst is GREAT!!!!!

PROS

If you want a company that does what it says. From integration, to ease of use. I have never used a company quite like this one. Everything that they have promised they have implemented. Everyone from the billing, patients, staff and providers are very happy with this software.

CONS

I do no have any dislikes at this point.

We looked at several. I cannot remember the names, but ultimately Checkinasyst was a better fit for us.

Reasons for switching to CheckinAsyst

Phreesia did not have what we were needing and when I would ask them, they would say they do all of the things that I was asking, but in reality they did not.

Wonderful check in addition

Customer service is absolutely amazing. They will try to help and assist in any way possible. If you have an idea of wanting to do something different or adding something they will do whatever they can to make it happen.

PROS

What I liked most about this is that it has made is more efficient for patients to make payments on our website and collect at the front desk. It has also made it way more efficient on not using as much paper for printing off new patient paperwork and consent forms as well as now we do not have to waste the time to scan everything in. Now any records are not misplaced or lost.

CONS

I would say the only con is that some of the clinical information does not get fully transferred over as well as no fault to checkin asyst but some patients do not fill out everything online for some reason.

Checkin

Our patients were hesitant at first because it was out of their "routine".These are regular patients and they are used to coming into the office and checking in the same way each time. Once they got the hang of it they actually had positive feedback, ability to verify their information and just come in the office and give their name and sit down has been a breeze.

PROS

The ease of use for our patients, even when they are not used to using smart devices.

CONS

Communication from one system to another sometimes.

Very streamlined but does take a commitment from admin to stay with the plan and approach to complete install. Payments through in check-in process has been an added benefit based on their reporting capabilities.

PROS

The intake product has worked well and as advertised. Import drugs into the EHR was initially a problem but the HA team worked with us to correct.

CONS

The process of implementation was during CoVid in 2020 so maybe not as smooth as planned but very important for touchless intake

The fact that forms that are filled out by patient no longer flows to chart. Also, that when a patient is scheduled and I want to send forms, the system can not always find the patient.

Its great that they can complete on their phones

CONS

essentially everything else. From a check in standpoint I do not use this therefor I do not see any benefit. waste of money as we have staff who can do the same things. Function for medical use is limited at best. Taking information like vitals then not sending to our emr is exhaustingly frustrating, half of our clinical staff is printing the electronic records......that should tell you have well it works for medical function.
