Confluence’s editor feature allows employees to create content such as meeting notes, product requirements and research reports. The solution enables managers to review and share feedback in documents themselves.

Confluence’s knowledge management module provides users with a centralized repository to access and search relevant content according to project requirements. The system lets managers restrict access to confidential data and collaborate within closed groups. Users can publish, organize and access company information in a central location.  

Confluence's task management feature allows managers to delegate, monitor and track changes to tasks assigned to each employee. The task management feature updates managers with status on tasks that are completed, impending, or overdue. The software integrates with JIRA to enable project transparency.

The concept and goal is quite good, but it's clunky. For those using Gmail for work, I believe that proper use of Google docs is better.

Pros

The main landing page lets you see what you've recently worked on and set up teams or groups with views of each, so you can package up your work into a folder-like system.

Cons

It's convoluted and has long lists of items to scan to find what you're looking for. I just don't find it intuitive and find that I have to go to the last resort - the search button, which isn't that reliable.

If you are an organization that is planning to utilize Confluence and other Atlassian products, I would recommend introducing an administrator to this product. As the use of the product grows, not properly managing it can become more cumbersome than useful. This powerful tool can get out of control when not managed due to its enormous customization features and lack of understanding its features and functionalities across the enterprise.

Pros

Confluence is an Atlassian product that provides a very powerful Wiki platform for documentation. More than just a Wiki or Blog, Confluence is a collaborative tool with extensive customization features. You can control every aspect of Confluence, from its overall design and layout to permissions and properties. Confluence offers an online as well as a local server version, with minimal differences between their functionalities. Confluence has an extensive library of add-ons and integrations that expand the product's capabilities.

Confluence provides shared work spaces as well as personal spaces and pages that allow users to manage content.

Cons

Not necessarily a con, but Confluence's extensive customization capabilities can often create a slight to challenging learning curve. This is why many organizations who rely heavily on this and other Atlassian products, often have administrators who tend specifically to the Atlassian suite.

I used Sharepoint at a prior company and much prefer Confluence. The fact that you can easily search and find what you need without having to understand a complex software is incredible. Huge resource for employees.

Pros

Confluence is so easy to use, and it's very intuitive. It's also easy to customize the access levels so managers, department heads, admins, etc. can all do what they need to do. It's nice that you can move historic files and stuff around without having too much hassle, and it's simple for employees to search for what they need.

Cons

I can't think of too many honestly, apart from the system automatically notifies people when you upload something new. Doesn't bother me too much, as I am glad people look at things, but if people ask a lot of questions every time you make one change it gets annoying. You can unselect this but if you forget the system defaults to that.

I think Confluence is a great tool for a small company. The bigger the company gets, the more opinions you get on how things should be organized.

Pros

There is nothing difficult about Confluence. It's easy to add pages and even move pages if you decide they should be somewhere else. It gives notifications when someone changes a page that applies to you. You can search everything to find what you need. It gives a tree setup on the left to keep things organized.

Cons

It's so easy to make pages that we find a lot of duplicates when someone opens something and thinks they are editing but actually makes a new copy of the page. Also, the tree structure is great, but it can be confusing because different people categorize things different than other people. Fortunately the search feature solves that issue, but it can be frustrating if you don't know what to search.

Cons

I didn't like that once a page was created, it was extremely hard to delete. Maybe that's just how our account was set up...

It's an internal wiki that is hosted on our servers and has no limit on the size of files we put on it the limit is our server storage space. The solution is very cost effective and has been helping us organize many things from meeting notes to hardware design and documentation.

Cons

There's not much that I do not like about this solution. We have been extremely satisfied with the solution, pricing and ease of use.

I like that it has an easy enough interface to sort what content you need to place cleanly. The dashboard is a little "old school" for my liking, its plain - but that's exactly what its supposed to be. It's a Wiki - a place where you go for specific content and how-tos.

Cons

I feel more people would use this site more if it looked more appealing. Right now with such a basic dash, people tend to skip putting content on it

Worth the money if you want to become more agile and faster working in the environment. Work on multiple documents together at the same time. Great for conference calls.

Pros

We transitioned over to confluence and jira to help our internal workflow, dropping the need for shared drives, word documents, excel spreadsheets. Confluence drives our results and productivity. We find the tool superb to share content rich media to others, processes and procedures.

Cons

Missing some key macros that could really boost the web applications potential i.e Excel macro, polling tools etc. However we are working with the provider to open up these tools.

You can have a lot of pages and keep it organized between who can edit it really easily. Great when there's an information page and multiple people need to add to it.

Cons

It looks so old, like it hasn't been updated in 10 years. And it can be confusing to figure out the different layouts and such that you can use on a page.

We started using Confluence in Marketing so that we can easily and effectively communicate department wide as well as cross-department. I love the Team Calendar feature and that we can make individuals "watchers" of our page and when we make changes they get notified.

Cons

My ramp up was slow as I didn't quite know how to get started and didn't have training. Not sure if there are training options or not as I'm not the main system administrator.

Great product for internal storage and is extremely easy to use from an admin and user standpoint.

Pros

This is an amazing program, it allows you to basically build your own internal company web pages that includes any relevant information that your team or anyone with access to the pages need. You can upload any document type in a clean and organized manner. I highly recommend this from a user and an administrator standpoint. The ease of use is incredible compared to that of SharePoint and other similar programs.

Cons

One thing that could be seen as negative is that it is limited in its ability to customize pages but they provide you with all of the necessary things needed to create a nice looking, and easy to use/create pages which makes up for it.

Confluence is absolutely one of those tools where you're only going to get out of it what you put into it. We're working now on increasing adoption within our system so that everyone uses all of the great information and resources that we have stored in our Confluence.

Pros

It's pretty easy to use and I find most of the page editing tools very intuitive. I appreciate the ability to restrict pages - this allows you to use the spaces for private brainstorming, collaboration, or general information. Some of the widgets are pretty cool too.

Cons

It's a bit of a challenge to format the tables - the functionality is pretty different than any other system that I've used, and I wish this was more simple because tables are a great way to organize information. The search function is also pretty literal; you need to have exact phrasing to find what you're looking for, which can sometimes be a challenge.

Confluence has a lot of technical options that make it good for managing highly complex projects. The integration with Jira is excellent.

Cons

While Confluence has a lot of benefits, the core of the platform is challenging to use. Business teams or light users are likely to find it too complex and simple tasks can easily get lost in the high level of details required to power the platform.

Pros

Confluence has tons of functionality and is good for building really in-depth articles will lots of parts and pieces to it. It has great functionality in segregating and organizing the data. It is more functional than most products that offer similar services.

Cons

Con is that this can lead into very narrow topics that are can get very confusing over time. I have run into glitches sometimes using their own tree features that would prevent us from loading the page. Admin rights on who can do what can get very confusing.

We use the application for quite a long time, we did not have time to get disappointed. Excellent opportunities for collaboration and database management. There is a function of developing technical documentation and file sharing between employees.

Cons

In comparison with the more popular Bitrix24, the product has a lower degree of integration with various services. No resource and document management functions. No time management.

Page permissions can be a bit of a pain, as parent page permissions aren't inherited for every child page.

Cons

Wiki-system Confluence offers basic task management functionality, but there are no important tools: tracking the current progress of the project, forecasting results, fast messaging within the system.

Pros

We rely on Confluence for documentation for our software and support teams. They provide simple tools for formatting and inserting media, allowing teams to quickly create and modify documents. The integration with Jira, as well as the plugins available, will give you pretty lots of tools to work with.

Cons

You have to be diligent about organization or things can get lost and be hard to find. We also run into speed problems on some larger, complex pages.

We use this to share testing plans, documentation to set up new things like users and computers and other useful documents that don't change often, but still need to be shared in a semi-permenant location.

Pros

makes it easy to share documents between team members and to create public facing FAQ's for end users.

Cons

Permissions are a mess, so it would be nice to have a more friendly option.

I've ran several E-Learning programs for various companies and Confluence is a great place to house training material for your LMS. Confluence provides an easy to use platform for adding your content, and can provide the security for that content.

Pros

Confluence is extremely versatile with the ability to create wikis with great referencing links. You also have the ability create rich text docs, add files, embed whole sites. If you know what you are doing with this software, it can be great asset for any company.

Cons

The back end of Confluence is quite complex and if you do not have a competent admin who is familiar with the software, then setting up things such as permissions can be difficult. It is a good idea to make sure your Confluence admin has plenty of experience with the software.
