Wild Apricot Software


 

Wild Apricot is a cloud-based membership management system used by business and trade associations, chambers of commerce, nonprofits, charities, clubs and community organizations. It supports organizations from a few members to 15,000 members in size.

With Wild Apricot’s website builder, administrators can create both a public website and private pages for members and committees. Widgets—such as event calendars, public and private membership directories and donation forms—can be copied and pasted into the builder.

Prospective members can submit applications through the website, while current members receive automated dues renewal reminders. Additionally, Wild Apricot’s event management tools let managers create events; list them on the website along with a description, images and a custom online registration form; track which members sign up; and process payments. It can also send reminders and messages to members.

Managers can view all member records to see membership status, event registrations, donations and more.

The small museum I work at just started using this in the last year, and it has really helped us with many of the things we do. We don't have to have as many applications or services with Wild Apricot, since they provide many, like the membership management and event registration.

Pros

Provides many services. Website creator is relatively easy to use and looks nice. Event registration works well for us.

Cons

A few things have been slightly confusing, we've had a little trouble with some of the registration types. And in the website editor, I can't get embedded videos to center onto the page.

The website management, membership management, events, and email sending are seamless, so logins, directories, members areas and events are taken care of without exporting or re-keying. Also caters for associations where one membership covers multiple people - and the main contact can self-maintain the others. Caters for UK currency and tax (but not multi-currency). Support is excellent.

All contacts on the database have to have a unique email address. Printing labels or badges involves exporting to Excel and mail merge.

Recommendations

There are huge advantages to being web-based: access from anywhere (including mobile), online payments, front-end/back-end integration, easy pricing plans, and biggest of all, user self-service. Downside is that reporting usually suffers, and you need to be convinced about security.

The product is rather easy to use for my role as web-pages and journal editor and de-facto co-webmaster, especially compared to the high-priced-brand from which we switched (in stages) last year. WA staff have been quite helpful as I asked a lot of questions, some of them later seen to have been kinda dumb. They do strive to improve. Example: When we started, the "Files" function loaded quite slowly via Mac Safari. I beefed and they fixed. Every tool I now use regularly is usually fast and consistent. I cannot speak to the membership-management and money matters that others handle.

Several small points of inconvenient usability. I did an online survey and mentioned several. The only one I remember clearly was a little thing, having to mouse-click then type then click again when entering anchor names, for example. Fixing that will save about 100 switches from keyboard to mouse and back in an editing session. In text, Ctrl/Cmd-A-X-C-V do work, but Ctrl/Cmd-B-I-U do not. WA staff said they are working on these things. They face real challenges in the way HTML and Word documents afflict text handling, especially links and hidden format code, but those gremlins are probably Internet-wide, certainly on other sites I edit.

Recommendations

Do an intensive month-long free test, getting ordinary users' feedback and keeping good notes that will help you build your "real" site cleanly. We are a small nonprofit with only a few hours of a larger nonprofit's staff time, so allocation of tasks kinda just-happened and so far has been OK. Better, early on, agree among yourselves who will do what tasks, who will be back-up to each of them, what level of admin rights each needs, and write it.

Recommendations

Make sure the help section includes pictures! Often trying to figure out what text-only instructions means can be challenging! Also, ensure it connects to whatever payment system you use in the way you want it to.

My use case is a small community organization of about 100 member families that owns a clubhouse and marina, both of which are rented out to members and non-members. Like many other small organizations, we struggled with maintaining members lists, email lists, email blasts, calendars, events, etc. via all manner of ad hoc solutions. In addition, we were paying GoDaddy for hosting our website.

The WildApricot system brings it all together. Our contact info is always current, even allowing Members to self-serve their profile changes. The calendar is terrific, as we rent out out Clubhouse for small events. Adding a rental to the Event list shows up on our Event Calendar, so we always now what dates are open or booked.

A few weeks ago we migrated our website away from GoDaddy to WildApricot (hosting is included in our WildApricot subscription). So now, in addition to saving us the annual GoDaddy hosting charge, we have a fully integrated Club Management system that is easy for non-techies to use.

Not much. A few of my least-like issues were addressed in the recent update.

Recommendations

Definitely start off with the free version to get a feel for how it all works. While the WildApricot system is very easy to use, it is helpful to have someone with a degree of website/database knowledge to take full advantage of all the available options.

This software automates a lot of the work our membership coordinator was doing manually with an Excel spreadsheet. Now members can do applications and renewals online. The last two years we used it for our annual show registration. The software allows us to limit access to documentation and information that require a membership in the organization.

Likes Least

This software has many features and we were able to adapt it to most of our previous procedures. We would like to see more levels of administration. We utilize multiple administrators (calendar, news, event registrar, financial, site design and member coordinator).

Recommendations

For the price and features offered, this is the best software available! Wild Apricot support is great.

The vendor is amazingly responsive to customer support requests. The software is reliable, configurable, and comprehensive. I spent 30 years in the software development industry and can see how much thought and design has gone into Wild Apricot. By the way, I've convinced three different art leagues to use Wild Apricot, and I manage all three web sites.

I just wish they could put the features I want in faster. I know that's a completely unrealistic expectation, though.

Recommendations

Cons

The thing I most wish were different is the formatting of text for webpages and emails. We frequently paste text from other sources, and the formatting of the apparently "saved" page does not reliably look like what we saved.

Once you understand the main parts work well, however, more integration is needed. Usually, the helpdesk/support desk are very prompt with their answers to my queries, even given the time difference between us.

Cons

The software is clunky and sometimes the parts do not work as seamlessly as they should with each other. Also, the lack of a Full Backup facility is a major headache and handicap!

Database that is accessible for any of the administrators of the club. Members can self manage accounts. Automatic upgrades and easy to manage Web content. Automatic billing through predefined time periods etc. Ease of use. We were up and running in a few weeks. Data import was easy as well.

Pros

The primary driver was to find something that was intuitive to use. Our staff are all part time volunteers and needed to be able to use the software with minimal instructions from their homes. Wild Apricot provided this by making the import of data simple as well as creating a new Web site that had same look and feel of existing site. Also migrating the DNS was easy.

There are plenty of tutorial and FAQ pages to guide you along. Once you under stand the basic concept everything else becomes easy. Best part is being able to grant limited admin access to certain pages for updates and changes. Also by letting users update their own information we saved a lot of time updating Membership data. Creating Events proved very popular as well with Members now being to sign up on line and also remit payments. Integration with PayPal was easy as well.

The application packs enough features to make it much easier to manage the Swim Club without making it too complicated to use. Everything beforehand was Excel driven and therefore never synchronized or up to date.

I also like the mobile app a lot. Easy to take a look if new members signed up, paid or if member are delinquent without going online.

Cons

We have encountered some minor issues we wished were a little different but nothing to deter from the overall functionality. I think that would be the case with any software packages. So no major cons to report. We like the software. It is easy to use and has powerful reporting etc capabilities.

The primary focus is tracking members and personalizing them. This is made possible with the back end user field creation. It is simple, user friendly and improves strategies on what to create, track and respond to the member with less man hours to use, that promotes huge cost savings when you achieve more with less using the full functionality and power of the the backend

Cons

Two things, admin access has improved, but no option exist to disallow exporting members. This is a crucial consideration to manage and control member data. If a switch can be added where exporting is an option that would be great. Second is the forum or blog needs an option to screen a post prior to making it public.

Wild Apricot has very robust functionality. Whenever we think about something new we'd like to do, usually it already exists in Wild Apricot and we just need to learn about it.

Cons

It was tough for our group to get going initially. But we are a small group with not a lot of technical expertise. We also have trouble sometimes with getting postings to look reasonably consistent as far as things like spacing go. We have to fiddle with it, and still can't get it right much of the time.

As a small non-profit and an all volunteer board, we do not have the capability to run our membership sign ups and training registrations, by hand. We now have automated payments, registrations, renewals and are able to communicate in an instant with our membership. It is also very nice to have all of this with a user-friendly website in one place!

Pros

As a small non-profit, this software has made organizing and communicating with our membership SO much easier. Membership is now automatic and registering for our events is easy for our guests and much less work for us. The website is easy to manage, and our financials are much more organized. I think what I like the most about this company is that they are CONSTANTLY improving according to a "wish list". It is very obvious that they care about their customers (US!) and continually work hard to improve. I love Wild Apricot!

Cons

The software is missing just a few things that would be great for us personally, but with 1000's of wishes, I understand that not all of mine will be granted :)

As far as function, I have no complaints.

We've been using Wild Apricot for almost two years. It has simplified many aspects of our administration. Primarily, the tracking of students and their membership status that sends automated renewal reminders via email is what I appreciate the most. Email invoicing is also appreciated as it allows instantaneous notification to our clients and students. Allowing us to manage separate general and student contact lists helps us to target our emails depending on topic. As we are a growing organization, the tiered payment plan is helpful keeping our overhead costs down but still fair. We haven't fully explored the other benefits of Wild Apricot but already it has made our lives more efficient.

I have worked with Wild Apricot for about 7 years. It host the website for a professional nursing organization - Southeastern College Health Nurses Association. www.spchna.org The site offers membership application and renewal. It offers hosting for events and registration with PayPal or Credit card. The software includes a forum for communication. Separate members only access is possible. It is easy to use, but all software has a learning curve. If you have a question, the support is phenomenal!! Emails to members are monitored for click/open rate.

Improving with each new version - it still would be nice to have more copy/paste features while editing. File storage is fee based, so the more storage the higher the fee. The number of administrators is fee based as well. As a small organization, this was not an issue, but may be one in the future.

I would like to automatically subscribe members to a forum with the option to unsubscribe, but that function is not available. Although subscription to forum is relatively easy, we would like to take all the "action" away from the member, but still give them the option to unsubscribe as they choose.

Overall - very good platform, easy to use, many features that fits our organizational needs.

If you have a member based organization and need to track members, information, registration details, accounting info, etc... Wild Appricot is one of the best prebuilt web hosting services for this.
The Admin section while occasionally a bit clunky is fairly easy to navigate. The stock settings, options, WYSIWYG format, are more than sufficient for most websites. One main piece that is not included is a built in contact us page and JS or CGI ability. Those you have to have somewhere else or use a third party to get them to run.
They are going to be pricey for a small organization but very reasonable for mid sized and bigger. Take a test drive and enjoy!

While WA is a great product, I found it not to be user as user friendly as i would like and for an organization on a small budget and this was too much for us.

You cannot track paid traffic conversions in Wild Apricot because the URL does not change after a purchase is made. You also cannot create drip email campaigns.

All of the great features and support are far are mute points because of these 2 shortcomings.

Pros

All in one software, great support.
