Vagaro is a cloud-based salon and spa management solution that allows users to book appointments and manage various facility roles. It offers an integrated solution to manage bookkeeping, payroll, client databases and inventory.

Salon owners can list available appointment slots, and customers can then look for salon facilities nearby and book appointments through Vagaro’s website. Its mobile app is available for Android and iOS-based smartphones. Vagaro manages front desk operations such as appointments, sending confirmation emails and messages to clients and alerts to salon owners.

Salon owners can create customizable promotional web pages to showcase upcoming events and special offers through Vagaro’s website or connect with their customers through email and social media platforms. Customers can also create personalized profiles with their contact information, booking history and feedback.

This product enables salon owners to keep records of their customer service histories and generate customizable reports with graphs and charts to track business performance.

Not user friendly we did a trial and had more headaches then ever we were switching from being on the books to something online this is not the option we should have gone with

I didn't find anything great about this maybe that they will make you a website if you need one but honestly nothing really great

Cons

This software is not user friendly I realize it is very inexpensive but the customer service is horrible we needed help with certain things and the people that we would talk to pretty much made us feel like we weren't important and didn't care about our problems they were very ignorant it's unfortunate that it didn't work out seeing that everyone speaks very highly of them but I feel as if they need a lot more growing to do especially with the calendar itself and the people that are helping the customers ! They make everything harder then it needs to be!

There are several other app options that are better. I trialled several of these type of app/programs. They were the only one that asked for a credit card to do a trial. The other programs emailed and stated the trial was almost over and do I want to continue. Vagaro sent me one email, when I signed up, and one more 30 days later stating they have charged me the monthly fee. They didn't email stating my trial was almost over. And dealing with several, it's hard to remember them all. I couldn't believe it when I received an email from them saying they've charged me money... without even informing me they would do so.

There are far better programs out there. No need to use this one that will steal money from you. And, they have no option for a refund. I tried their program for only a few days before finding better alternatives. I still can't believe they took money without informing the customer. That is fraudulent.

Pros

None. There are identical options that do not ask for a credit card during the trial period.

Cons

They will steal your money! Do not give them your credit card details to trail.

I have used Vagaro as a Day Spa Manager and as a client. As a Day Spa Manager, the software made the chaos of scheduling seem like an easy task. Employees loved that clients could book appointments online, and the employee could verify the time slot before accepting the appointment. Anyone can access their schedule via smartphone, tablet, computer, etc. Clients loved that they could book their appointments 24/7 via their personal devices. It really is a win-win for everyone.

Pros

Convenience for employees and clients.
Sends reminders to clients about their appointments.

Cons

Nothing.

Advice to Others

Some of the things I enjoyed about using this software has been the ease of navigation for both my client and myself, customer service exceeded my expectations, trail membership, training and support, are a few of the things. Your company was also transparent about what it offered before I signed up for the trail membership and I am now happy to be using your system full time!

Pros

The app for clients to book their own appointments. Most clients contact me to book their appointments and once they auto rebook they get great reminders and feedback requests.

Cons

Customizing services and appointments without having to create a new service. I sometimes need clients to book bimonthly and I do not have that option with certain services. Also I want to be able to add on to existing servies without having to make a whole new service.

Cons

I recently started a rewards program and would like the option of add points earned at the checkout window since i give points to my clients for prebooking, referrals, and social media reviews. Its difficult to do manually after the fact the client is already chrecked out .

The one thing they have not changed is the ability to customize more than 1 processing time per section with a client assigned to the same stylist. They have the notification setup not for solo salons but for clients that have to see multiple specialist in one section. Im a solo salon I do everything myself. So I don't split the service by doing the relaxer color and sending the client to different stylist to roller set the hair and sit them under the dryer. So I hate there is no consideration for this kind of customer. I have to create two separate appointment which means the clients get two or 3 separate time notifications. So the client is confused. We note them as a no show not knowing they thought there was an error and show up later scheduled time for the roller set portion at 3:00 instead of 12:00 for the actual start of the service. I now use the personal time off option to avoid 2 notification. But if the client cancels their actual starting appointment online the blocked time I made to roller set the hair remain on the schedule because its really not Linked to the actual appointment. Im patient that if others are open about this same concern it will be changed.

Ease of booking multiple services, my website and email marketing all in one place. I have had a great experience with the software. It also has a great price point for small or larger salons.

I can operate my whole business from this one program.

Pros

I love that I can switch back and forth between my laptop in the salon and my phone when im not in the salon. I also love the feature where my guests can make there own appointments. Its amazing that this one program can literally run all the aspects of my business.

Cons

I don't like that I have to wait til my trial is up before I can order my card reader. I also wish that there was a way for to ask my guest to confirm there own appointments.

Wish there was a cash open/close integration and that you could edit transactions after cashed out AND pre-pay appointments ahead of time for clients who wish too. Placing funds on account would also be helpful.

Ease of use, very convenient. All my clients have commented that they love the emails/text confirmations they get. I have also noticed a huge decrease in no-shows!

Pros

It's so easy to use. I love the reminder texts my clients receive 72 hours before and then 24 hours before their appointment. Scheduling clients when I'm on the go with the app is super convenient and very easy to use.

Cons

I haven't found anything I don't like about it yet. I have noticed however, that the automative emails for "Thank Yous" hasn't been working on every client.

Exposure quickly to new clients, ease of online booking, marketing .. it's an all around benefit for me.

Pros

It sends confirmations two days prior to an appointment so I don't have to manually do it... I can be out on a hike and receive a text that my clients have confirmed. I like that they can book online as well... it's also nice to be shopping or doing something I love other than managing my schedule. The customer support is outstanding. They are very knowledgable and calm... I have had experiences of them connecting into my web site from their end and helping apply my vagaro booking app.. it was a pretty cool experience.

Cons

So far, there is not one thing I don't like about it. I have found this to be the best software for booking and managing clients,tracking clients and managing my books. I honestly have not had any issues . I I love that I can run Daily Deals and Emails announcing service specials,and any marketing needs I have. There are plenty of templates to choose from and very user friendly. Once you're all set up it only takes maybe 15 minutes to send out correspondence to all my clients. The clients can then access my web site that's linked and book my services right from their phone or computer.. I love Vagrao !! It's made my life easier !

Very thorough and still fairly easy to use. The software also has customizable options that help to make it less obtrusive.

Cons

Customer service has gone to hell recently. For example, dealing with a security issue took several hours on the phone with several different customer service reps and a manager. Each agent thought something different would work, but none did. The manager took a drastic step that solved the problem, but now our credit card processing hasn't worked for five days and it will be at least one more day before they get it fixed. Although a huge priority for a small business, it evidently didn't mean anything to Vagaro customer service.

I am of the pre-computer generation so the ease of use is fantastic! I tell people, if I can use it, anyone can use it. The features and functionality are nearly al encompassing.

Cons

It is difficult to customize it towards all aspects of our medspa business. We do not operate as a typical chair/booth rental space and each operator can use multiple pieces of equipment. There is no way to have equipment available to all of my staff on here and then block it off once one of them is booked. However, there are small ways around this but it limits our ability to offer on-line booking. Other than that, no complaints!
