Vagaro is a cloud-based salon and spa management solution that allows users to book appointments and manage various facility roles. It offers an integrated solution to manage bookkeeping, payroll, client databases and inventory.

Salon owners can list available appointment slots, and customers can then look for salon facilities nearby and book appointments through Vagaro’s website. Its mobile app is available for Android and iOS-based smartphones. Vagaro manages front desk operations such as appointments, sending confirmation emails and messages to clients and alerts to salon owners.

Salon owners can create customizable promotional web pages to showcase upcoming events and special offers through Vagaro’s website or connect with their customers through email and social media platforms. Customers can also create personalized profiles with their contact information, booking history and feedback.

This product enables salon owners to keep records of their customer service histories and generate customizable reports with graphs and charts to track business performance.

There are several other app options that are better. I trialled several of these type of app/programs. They were the only one that asked for a credit card to do a trial. The other programs emailed and stated the trial was almost over and do I want to continue. Vagaro sent me one email, when I signed up, and one more 30 days later stating they have charged me the monthly fee. They didn't email stating my trial was almost over. And dealing with several, it's hard to remember them all. I couldn't believe it when I received an email from them saying they've charged me money... without even informing me they would do so.

There are far better programs out there. No need to use this one that will steal money from you. And, they have no option for a refund. I tried their program for only a few days before finding better alternatives. I still can't believe they took money without informing the customer. That is fraudulent.

Pros

None. There are identical options that do not ask for a credit card during the trial period.

Cons

They will steal your money! Do not give them your credit card details to trail.

I have used Vagaro as a Day Spa Manager and as a client. As a Day Spa Manager, the software made the chaos of scheduling seem like an easy task. Employees loved that clients could book appointments online, and the employee could verify the time slot before accepting the appointment. Anyone can access their schedule via smartphone, tablet, computer, etc. Clients loved that they could book their appointments 24/7 via their personal devices. It really is a win-win for everyone.

Pros

Convenience for employees and clients.
Sends reminders to clients about their appointments.

Cons

Nothing.

Advice to Others

I can track so many things with this software and pull great reports to help run my business.

Pros

Vagaro is easy to set up and when I have new hires, it's not overly complicated to train them on it!

Cons

I wish there was a way to track how referrals came to you better, there was an option to have discounts categorized or tagged in the checkout screen, and to have a 3-4 digit code staff uses for tasks that stamps their name on an action vs. going thru login each time.

You get a ton of features for the price. I always love running numbers and Vagaro makes it easy to see service and retail sales, gift card sales (we got our gift cards designed for a very reasonable rate), package sales ect. Vagaro's customer service is amazing. Anytime we have questions the staff is incredibly helpful and knowledgeable.

Cons

rebooking is only tracked if you "rebook" after the guest is checked out. We rebook before the guest checks out so I have to track rebook numbers manually

The biggest benefit I have noticed so far is the client's showing up on time for their appointments. I love the feature that sends messages automatically for reminders. I also like checking out clients and the ease of making future appointments.

Pros

There are several things that I really like about Vagaro. The first pro about this software is the ease of booking appointments. I especially love that I can use the app on my smartphone to book appointments while I am away from the salon. The second feature about this software is the ability to track my inventory that is being sold by my stylists. Another feature is being able to link my salon's Facebook page with a button for clients to book an appointment through Facebook. I love that I can use this software to integrate all my social media outlets to help me brand myself to the public. That is important in this day and time for a business to grow.

Cons

I am new to Vagaro and so far I haven't run into many issues with this software. The only con I can speak of is the inability to upload my inventory list into it. I can export my list into Excel, but I wish I could import from Excel into Vagaro. I had to re-enter my entire invertory into Vagaro, which too a week to complete. In the future, I hope you can change this software with an update to import files into the software.

Ease of starting up my scheduling calendar, service description, and merchant services.

Pros

The fact that it has all of the little things that you would want. Initially, I thought wow, how confusing with all the features, but in reality, they're all extremely useful. Obviously industry professionals input was heard. It is so easy to navigate and the trial period is essential. What a concept! Thank you, Oh and the support is phenomenal, live chat is very helpful and they don't make you feel stupid!!! Very patient and easy to understand, as I'm not a tech person.

As a daily user of Vagaro, I not only book hair appointments with my 3 stylists, but we keep track of hundreds of clients, their information, as well as their chemical formulas on previous visits to our salon. There is never a question of what color was used on someone, because it's always in the system. My clients love the reminder feature. I also own the credit card processor, which is quick and easy to use. No one carries cash anymore, and the system keeps track of every transaction for me.

Pros

Being able to access it from anywhere. I am able to keep up with 3 stylists and hundreds of clients.

Cons

Sometimes, when I am updating client data, it tells me the number or email address is already in use, and it's not

Vagaro is very easy to set up and use. Both the online version and the mobile app are great. They look nice and do what we need. We have gone from 3 therapists to 10+ and Vagaro has helped us manage the growth. Customer service is excellent. I highly recommend it.

Cons

There are not many cons. One would be that we cannot pick the gift certificate styles that are offered to our customers. We only offer massage therapy, but skincare and hair styling certificates are shown even though we will never sell them.

Learning how to keep track of all my transactions, my clients and I learned I can also produce gift certificates which is awesome, now I don't really have to do much at all.
