This software is like an "EASY" button for life!
The ability to keep track of every mileage reimbursement that I had ever had!
PROSWhen traveling as much as I used to for work, Certify gave me the ability to not only keep track of where I went, but the notes feature allowed me to keep track of why I was going there. I actually had an error occur at work which caused me to have to go back 3 YEARS and give the accounting department a list of every time I drove to headquarters. Being able to go back into Certify to find specific times/dates/mileage/etc. helped me prove that I was actually owed a few hundred dollars! It was no fault of my company or myself, just one of those oversights that could have been missed by anyone. But had I not had Certify and it's ability to keep track of EVERYTHING, I never would have been able to prove the error had occurred!
CONSEven though I used the app on my phone for years, I still found myself getting confused when it came to determining whether I needed to create an "expense" or a "receipt" - I think there should/could be an easier way to label these two options so that it identifies more with what each one actually means. While it may look as though it should be self-explanatory, there were times when I would just forget.

Certify admin
From an admin side, its easy to add users and disable users.
CONSI think the interface needs an update and refresher.

Know before you buy - DOES NOT INTEGRATE WITH SMALL BUSINESS CREDIT CARDS
After several phone calls with the Certify sales team, I was assured that the corporate credit card sync would work for our business. I stated several times that the credit card sync was THE critical factor in our evaluation of expense tracking software, and explained the structure of of our credit card login with authorized users. I was never given any indication throughout the sales process that there was even a possibility that the credit card data couldn't be pulled in, and proceeded with our contract an implementation accordingly. I dedicated many hours to the implementation process, including introducing our entire team to the website and mobile app. It was not until over a month into the process that our implementation specialist indicated that the credit card aggregator was unable to separate the charges according to authorized user....and that this was a KNOWN ISSUE for credit cards of our type. I spent an additional 4 weeks attempting to help them trouble-shoot the known issue. But the bottom line is that their service does not support small business credit card feeds, has never been able to do so, and they have no plan in place to attempt to do so. Bottom line: Certify will tell you whatever you want to hear until they take your money. But they do not standby those promises, and you should not trust that their sales people have any idea what the software can actually do or not do. Beware.
PROSThis seemed like an effective and easy to use expense tracking software.
CONSThe sales contact repeatedly assured us that Certify would bring in credit card transactions from our company credit card (Capital One Spark for Small Business). We were explicit that this was the primary driver in our decision, and that importing company credit card transactions was our primary goal. As soon as we paid the implementation fee and were assigned to an implementation specialist, they immediately explained that Certify does not work with Capital One cards, and also does not work with any of these: Chase Ink, American Express @ Work, Simmons Bank, PNC Bank, Bank of America Visa Executive Commercial Card, US Bank. If you use those cards, DO NOT TRY TO USE CERTIFY. They wasted 2 months of my time, and REFUSED TO REFUND the implementation cost, despite the fact that they sold me software they KNEW would not work.

Certify expense report usage
Certify has enabled us to reconcile our corporate credit cards easier and get receipts for the transactions. It has also improved the process of reimbursing our employees for expenses made on their personal credit cards.
PROSThe software is easy to use. We have a number of different people using the software and they are all able to figure it out. We are also getting a lot more receipts than we used to because it is easy for a picture to be taken and attached to the expense report.
CONSWe can't lock down departments based on the user so people can pick the wrong information. We review the coding before an expense report is approved, so this adds extra review time.

Simplify your expense reporting now!
I've been using Emburse Certify for approximately 10-12 years. I was part of the selection and implementation team at two companies and both times, the transition from paper to Emburse Certify has been so simple and quick. Responses from employees have always been positive and even thankful that we transitioned. The software is incredibly user friendly and expense reports can be processed quickly and efficiently every time!
PROSEmburse has made expense reporting so easy for our company. From the ease of entering in receipts and expenses into the system, to the seemless approval and processing, our employees love how easy it is and how quickly they can now be paid!
CONSThe ACH payment function had a hiccup back in May of 2022 and since then we've noticed it is taking longer for our payments to make it into our employees accounts. We've decided to move away from this feature and handle it through our bank instead. In doing so Emburse has made that transition easy with their pay manual function in the process reimbursements section.

Big Time Saver!
Ease of having charges imported and being able to review the Emburse statement right from certify is my favorite feature.
CONSThere is one vendor that we have not been able to connect and I need to manually upload charges. It is very easy to do but the automatic download is of course better.
Reasons for switching to Emburse Certify Expense
We were able to receive a rebate and the product acts as a credit card with a spending limit, that can be changed remotely if needed.

Solved all of our problems with expense reporting and accounting
Wonderful! If you use the system, we have great control over expenses and employees stop billing us for non-legitimate expenses.
PROSWe've been using Certify for over ten years now. Collecting receipts and logging everything is very easy, and the QuickBooks integration is great, except that receipts don't go over.

Get's the job done, but could be better
It was easy enough to use. It allowed for export into our accounting software to upload as journal entries. I liked that you could pull historical receipts and get trends, etc.
CONSCertify is finicky. There were a lot of instances of employees telling me their Certify wasn't working. Usually, it could be fixed by coming back to it later. Sometimes though, people's work would be deleted and that isn't fun if you have a lot of expenses. We also had a hard time getting Certify to pull data accurately from employee's corporate cards.

Good for receipt uploads - clunky during report creation
Our company uses Certify to track and reimburse all work-related expenses. Whether that's a hotel bill for a conference in another state, to the meals and snacks you purchased during your annual off-site retreat, Certify is the way to break everything out by line item and have Finance approve.
PROSCertify allows the user to upload receipts and put the date of the purchase, which helps Finance get an accurate picture of your work-related spending. You are emailed a notification once your report is submitted, and also when it's been approved. A great feature is the ability to just email the pictures of your receipts on your phone to one email address, which automatically uploads them for you into your account. From there you can fill out the info related to the spend.
CONSHonestly - Certify is not very intuitive at all. The first time I tried to create an expense report I ended up creating 3 separate reports before noticing that something was off. The platform seems a little buggy, and you can't fix one thing without bulk fixing multiple things. It won't let you move forward unless everything is perfect, and most of the time, it is not clearly communicated what you're missing. You need to upload receipts one by one, but they don't filter into the same report. It's very manual and I dread creating expense reports at the end of any trip because it just takes me forever.

Certify Expense Reports
Some of the initial set up takes a little bit of time because if it is done wrong the errors will compound with time. Initial set up is key.
PROSThe software is easy to use, both for the back office and for the people out in the field. The processing of expense reports and the integration into out Quickbooks is much quicker than doing it all by hand.
CONSWe had some errors in the beginning of our use with Certify, in that the software would not allow us the ability to process credit card payments for some of our "Current Assets". I find this strange that nowadays with the use of credit cards for so much of purchasing in the world, that there would be a category of expenses that the software would not recognize. Certify was very helpful in tracking down this issue and explaining it to us.

With Certify our expenses of booking travel are down and it is also an accountability tool in managing our travel policy.
PROSThis is a very intuitive easy to use software but the biggest Pro to this is their customer service. i can't say enough about their service especially on the travel side. Any problem we have ever had in the travel side was immediately taken care of. Very personable. As a user who does travel for the team almost weekly it is such a timer saver to have a service that keeps every ones information on file and provide you with every travel option on one screen. Booking travel is a breeze with certify and the reporting comes directly into the system without having to capture those travel receipts for air, hotel or rental cars.
CONSOccasionally when you upload receipts it puts the receipt in as a separate entry. I have not figured out what I do to make that happen but it seems to do it most if I don't autofill my receipts. It's not a big issue but more of an annoyance when it happens. That said, its a great product.

It's Okay
This is a good stand alone product it just doesn't really work well with my accounting program. Right now we are just using it to capture mileage reimbursement but I'm not sure that we will continue using the program because again I'm not sure it is worth it to keep it just for mileage.
PROSWhat I like about this product is that it can record mileage, the customization it has available. There are plenty of resources available on their website to help educate customers on the product. The Certify Team is really helpful and always have a positive interaction.
CONSI don't like how this product syncs with Quickbooks. There is alot of manual input which is what I was trying to avoid and why our team ultimatley ended up signing up for certify. Certain data doesn't transfer over like billable expenses to customer/job. Additionally, it doesn't recognize duplicate entries that were synced over so alot of work was duplicated. I don't like how you can't split expenses until you create a expense report. Also the auto expense feature doesn't work very well very often my expenses were recorded incorrectly and synced to my books incorrectly so it actually created more work for me to go back and try to correct the issue. Lastly, when my team submits a expense report it always flags every transaction so that all the fields are entered. I wish there was a way to turn off some of the insignificant sections like location.
