Certify Software


 

Certify is a web-based expense management solution recommended to companies in any industry. The solution can be used to track, approve, and reimburse expenses; book travel; and analyze spend.

With Certify Mobile, users can capture receipts using the camera on their iPhone, Blackberry, Android or Windows Phone. The offline-syncing mode enables travelers to log every expense instantly even when they are in areas with no or limited internet connectivity. A receipt parse feature will automatically extract data from receipts and an auto-fill feature automatically fills out the expense report with that data. Electronic receipts can be scanned, uploaded, faxed, or even text-messaged into the system. The system will generate expense reports on specified dates and reimbursement can be automated.

Certify integrates with accounting systems such as QuickBooks Pro and Enterprise, SAP, Oracle, and Microsoft Dynamics. The system also receives data directly from credit card platforms through a PCI-compliant connection.

It has a mobile app, which is awesome for submitting expenses while travelling. You can take care of each receipt right away, and then submit a full expense report later. I like to be able to take the image and get it in the system, and then create a formal expense report once I have the time to do so.

Cons

The artificial intelligence that pulls information from the receipts is good, but not perfect. It is also not easy to separate receipts into two separate categories--for example, pulling food expenses from a hotel bill and pulling lodging expenses from the same hotel bill requires you to upload the same file twice.

Some of the initial set up takes a little bit of time because if it is done wrong the errors will compound with time. Initial set up is key.

Pros

The software is easy to use, both for the back office and for the people out in the field. The processing of expense reports and the integration into out Quickbooks is much quicker than doing it all by hand.

Cons

We had some errors in the beginning of our use with Certify, in that the software would not allow us the ability to process credit card payments for some of our "Current Assets". I find this strange that nowadays with the use of credit cards for so much of purchasing in the world, that there would be a category of expenses that the software would not recognize. Certify was very helpful in tracking down this issue and explaining it to us.

This is a very visually appealing program that lets you keep track of all your expenses. Text updates are available so you can check on the status of your expense reports in real time.

Cons

There is no way to change your route when mapping for travel mileage expenses, which decreases the accuracy of the reports.

Only able to delete projects one by one instead of multiple.

Pros

Cons

Attaching your receipts is confusing and not clear.

Fix the attachment process. Make it clear. It is not a clear step process. It should be a 1, 2, 3 step and it is not. It is confusing when in the process do you attach. Plus, my company only covers a certain amount per month and your software picks up the WHOLE value of my receipt so I have to go back and manually change it. Horrible!

It auto populates in a few areas. It remembers my vendor and what I call my report. It appears to be easy until you have to attach a receipt.

Cons

It appears to be easy until you have to attach. That steps messes me up every month. It should be easy but the steps are not clear and I have to redo every time. Why can't you make it go.....1, 2, 3. It doesn't. No instructions on a step process that makes it easy to attach. I'm not a stupid person and it confuses me every time I do it!.

Don't waste your time. This has a long way to go until it is mature enough to be a helpful tool. I suppose if you only have a handful of expenses and they are very straightforward, then maybe it would be OK. If you have ore than 5 receipts or any sort of complicated transactions, I promise that you will spend far more time clicking your mouse on the Certify website than you would by creating an expense report manually (which I hate to do, so was initially excited about Certify - after using it, I can see that my old manual method wasn't so bad after all).

Cons

Basically everything is terrible about this web service except for the mobile app. The website is where you will really do most of the work, and it is a real mess.

In the long run this will definitely pay for itself in production hours as well as copying and postage expense. This has also streamlined our process.

Pros

The mobile app is the best part. The screens are user friendly and easy to follow. The customer service team during implementation was great. We had a template issue with our software and they were able to make it all work once we provided the correct template.

Cons

We received a bill starting from the time we signed the contract. We weren't even through implementation for another 30 days so we weren't using the product yet. We had to dispute the charge to get a grace period while our employees were getting setup in the system.

This program is a great improvement to the old way of submitting paper receipts via inner office mail. By scanning receipts as soon as I incur the expense, I can worry less about losing receipts.

Pros

Easy to use - and multi-ways to access the reports. Also, as a supervisor, I can quickly approve and correct expense reports on my iPhone without having to open my computer.

Cons

There are several steps (work a rounds) we have learned to access old expense reports via the iPhone. Another concern is I often forget if I submitted certain monthly expenses (i.e. cell phone bills) and finding them in the archives is not always fast and easy.

Advice to Others

For sales forces with smartphones, this is a great way to reduce paper, increase speed and reduce lost receipts.

It has really made tracking expenses and travel costs a breeze to track, leading to more efficiency and accuracy within our reporting. All of our outside customer sales reps use it daily.

Cons

Scaling to a larger business can seem complicated through the web app in the very beginning but they have a great service team that can answer all your questions. Also things like expense reporting and creating spreadsheets can sometimes take a few moments to load entirely but that's normally due to network issues and rarely has to do with the app.

Image recognition is poor for automatic filling. Often doesn't tell you what is a required field. App sometimes errors in odd ways, such as moving right from taking a picture of a recipt to returning you back to the main scree, without letting you fill in details.

Software is very easy to use, and it comes with great features. One is the ability to send receipts from an e-mail directly to the date certify email, which this provides a receipt that automatically is in your wallet. Also there is a software feature where you can automatically input receipt amounts, but we have had some issues with but it does the job.

Cons

One tiny issue is that if the expense approval process requires two or more signatures, the user receives an email update about the approval process which in my opinion causes too many emails flowing back and fourth.

Makes creating expense reports so much easier.

Pros

Used to complete my expense reports by filling out a form and mailing in physical reciepts from traveling. Now with Certify, you just take a picture and the software will fill out the rest. Creating an expense report is now so easy and there is no need to hold on to physical copies of reciepts on a picture is taken and uploaded onto the platform.

Cons

The only issues with the software is that the auto-fill feature does not always work well, so have to make sure and double check all information is correct.

Pros

The option with taking a pic of receipt and submitting autofill. It does a good job filling in the fields for you from the picture taken.

Cons

The syncing with credit card company isn't the best. Not sure if this is Certify's end or the CC end. Also, takes a little time to get used to nagivating & submitting receipts but once one does it a few you get used to it.

I like that Certify automatically adds the charges from my corporate card to my wallet. This makes it easy to make sure I don't miss an expense. I also like that you can upload receipts from the app, which is good when we are on the road.

Cons

I don't like that in the Certify app if I upload a receipt, I can't label that receipt so that when it shows up in my wallet I know which expense it belongs to. And when I sync my app, I wish that my uploaded receipts would automatically sync with the charge.

Keeping track of your receipts

Pros

Not having to save paper receipts . Before I use to keep track of every receipt some times up to five in one day . And hope you don't lose one . But now all is good

Cons

Date change . Last day is on the 10 but it stops on the 5 . The turn off date is set for the tenth day of the month. However the computer stops after the five day of the month so , you have receipts in your wallet for over a month sometimes two
