Certify is a web-based expense management solution recommended to companies in any industry. The solution can be used to track, approve, and reimburse expenses; book travel; and analyze spend.

With Certify Mobile, users can capture receipts using the camera on their iPhone, Blackberry, Android or Windows Phone. The offline-syncing mode enables travelers to log every expense instantly even when they are in areas with no or limited internet connectivity. A receipt parse feature will automatically extract data from receipts and an auto-fill feature automatically fills out the expense report with that data. Electronic receipts can be scanned, uploaded, faxed, or even text-messaged into the system. The system will generate expense reports on specified dates and reimbursement can be automated.

Certify integrates with accounting systems such as QuickBooks Pro and Enterprise, SAP, Oracle, and Microsoft Dynamics. The system also receives data directly from credit card platforms through a PCI-compliant connection.

It has a mobile app, which is awesome for submitting expenses while travelling. You can take care of each receipt right away, and then submit a full expense report later. I like to be able to take the image and get it in the system, and then create a formal expense report once I have the time to do so.

Cons

The artificial intelligence that pulls information from the receipts is good, but not perfect. It is also not easy to separate receipts into two separate categories--for example, pulling food expenses from a hotel bill and pulling lodging expenses from the same hotel bill requires you to upload the same file twice.

Some of the initial set up takes a little bit of time because if it is done wrong the errors will compound with time. Initial set up is key.

Pros

The software is easy to use, both for the back office and for the people out in the field. The processing of expense reports and the integration into out Quickbooks is much quicker than doing it all by hand.

Cons

We had some errors in the beginning of our use with Certify, in that the software would not allow us the ability to process credit card payments for some of our "Current Assets". I find this strange that nowadays with the use of credit cards for so much of purchasing in the world, that there would be a category of expenses that the software would not recognize. Certify was very helpful in tracking down this issue and explaining it to us.

Cons

Pros

Ease of use when submitting for approval, uploading of receipts, and the merging/linking of receipts. The Help Topics provide useful information in when unsure of what to do.

Cons

Attaching your receipts is confusing and not clear.

Fix the attachment process. Make it clear. It is not a clear step process. It should be a 1, 2, 3 step and it is not. It is confusing when in the process do you attach. Plus, my company only covers a certain amount per month and your software picks up the WHOLE value of my receipt so I have to go back and manually change it. Horrible!

It auto populates in a few areas. It remembers my vendor and what I call my report. It appears to be easy until you have to attach a receipt.

It appears to be easy until you have to attach. That steps messes me up every month. It should be easy but the steps are not clear and I have to redo every time. Why can't you make it go.....1, 2, 3. It doesn't. No instructions on a step process that makes it easy to attach. I'm not a stupid person and it confuses me every time I do it!.

Don't waste your time. This has a long way to go until it is mature enough to be a helpful tool. I suppose if you only have a handful of expenses and they are very straightforward, then maybe it would be OK. If you have ore than 5 receipts or any sort of complicated transactions, I promise that you will spend far more time clicking your mouse on the Certify website than you would by creating an expense report manually (which I hate to do, so was initially excited about Certify - after using it, I can see that my old manual method wasn't so bad after all).

Cons

Basically everything is terrible about this web service except for the mobile app. The website is where you will really do most of the work, and it is a real mess.

In the long run this will definitely pay for itself in production hours as well as copying and postage expense. This has also streamlined our process.

Pros

The mobile app is the best part. The screens are user friendly and easy to follow. The customer service team during implementation was great. We had a template issue with our software and they were able to make it all work once we provided the correct template.

Cons

We received a bill starting from the time we signed the contract. We weren't even through implementation for another 30 days so we weren't using the product yet. We had to dispute the charge to get a grace period while our employees were getting setup in the system.

The ability to keep track of every mileage reimbursement that I had ever had!

Pros

When traveling as much as I used to for work, Certify gave me the ability to not only keep track of where I went, but the notes feature allowed me to keep track of why I was going there.
I actually had an error occur at work which caused me to have to go back 3 YEARS and give the accounting department a list of every time I drove to headquarters. Being able to go back into Certify to find specific times/dates/mileage/etc. helped me prove that I was actually owed a few hundred dollars! It was no fault of my company or myself, just one of those oversights that could have been missed by anyone. But had I not had Certify and it's ability to keep track of EVERYTHING, I never would have been able to prove the error had occurred!

Cons

Even though I used the app on my phone for years, I still found myself getting confused when it came to determining whether I needed to create an "expense" or a "receipt" - I think there should/could be an easier way to label these two options so that it identifies more with what each one actually means. While it may look as though it should be self-explanatory, there were times when I would just forget.

Sometimes the expense items and receipts I send via email do not read properly the first time. We also found that the status of the completion is not always correct as I can have my expenses submitted and be reimbursed, however Certify may not have this updated to reflect that.

Certify is the only non-paper form system I've used for expense reports. I can't compare it to other systems but it's definitely a big improvement over an unwieldy paper form based system. The system works well, and it's nice that they support uploading receipts from whatever device you are using. Notifications for approvals are helpful too.

Cons

Myself and the employees under me don't use Certify that frequently, so sometimes it feels like we have to fight with the system to do what we want, but I'm sure some of that is us forgetting how to do something since we don't use it that often. One example is that I've noticed several times that after trying to use a receipt on a new expense report, there will be a problem with the receipt and it won't be usable until I click the "Cleanup Wizard" button on the top of the screen. Cleanup Wizard ends up fixing the problem, but if it was able to fix it why not make it automatic?

I love that it can often pull amounts directly from the receipts, so that when I add the receipts to the report, the amounts are often reflected. It doesn't happen all the time.

Cons

I find that the "Add Receipt to New Report" feature, creates two reports, one with the receipt and one without. But when in the "New Report" mode, all edits go to the report without the associated receipt. I tried different ways of doing this, but it was not intuitive.

Cons

It can be easy to make an error and not know how to correct it without support. I am not sure if there are any tutorials with videos that could help. Since each company has its own criteria it can be tedious selecting or using just the features you need for your individual company.

Ease of use I use the app for 90% of my certify time it's great. Only go to PC when I submit end of mont report

Cons

Doesn't always match up correct with receipts Would be nice to create a report on the app. For when I am on the road

very user friendly. super easy to have it available on my phone direct from an app. also liked that is very self explanatory and have several ways to upload receipts

Cons

if you upload too many receipts at once the app crashes.
I usually would do each receipt as I got it, but I know some people tried to sync a lot at the same time an the app crashed
