Very easy to use and provides an interesting experience

We choose paid software so that all our financial activities are encrypted and not just anyone can open them. Apart from this interesting expensify software, our company data is stored safely and can only be used by professionals in our company.

PROS

During using this software, I learned more and more about how easy it is to manage company finances. Just by taking a photo, all data will be processed automatically. At first, I was very skeptical about buying it, but after I tried being recommended by my friend, I finally decided to buy it. Since then my thinking has changed 180 degrees.

CONS

The form of reports varies from country to country. Likewise, reporting standards in Indonesia are not the same as those often used in the US. I see the results of the reports made by Expensify are less professional. But no problem, this can be done manually by our team. Besides, it's free.

Reasons for switching to Expensify

Google sheets can work on reports with good templates and work together.

Expensify - The Easy to Use & Manage Expense System

PROS

Expensify has a great UI for users and is a very easy system to manage. It's easy and fast to submit and approve expense reports, including when staff are traveling. Expensify is so much simpler than some of the other expense management software (e.g. Concur). Some Finance Teams seem to think that going with a more complex software. However, I've found that while Expensify does not have as many "lock down" features as other software, allows us to easily manage expenses and move things forward quickly. When you balance administrative features and user UI/expense management, I would always go with the latter. Getting those expense reports is the most important, and Expensify makes that easy and simple!

CONS

Expensify's largest drawback is their customer service. For smaller companies at least, there is no account manager and we can only receive support via chat/email. This can be a huge challenge when the integration breaks or something complex needs to change.

Reasons for switching to Expensify

Concur was very expensive and had too many features for our size company. Concur was also not user friendly at all and was very difficult to navigate. Expensify was a great replacement and we've been happy since our switch 4+ years ago.

Good enough large expenses software

PROS

Expensify makes it pretty easy to manage expenses, especially in larger companies. It integrates well with other software and is self-explanatory for people to use.

CONS

It doesn't have the nicest interface and some of the features could be streamlined. It's not as delightful to use as other competitors, like Pleo.

Affordable and Convenient , yet I plan to leave expensify

it is worth trying. but unlike even a year ago the competition is finally offering similar features for similar pricing.

PROS

due to popularity it is easily assesable and offered many ways to upload an expense. I like how unlike most app/software companies gets it as they make if affordable and capture the biggest marketshare.any companies think their software is be get tham it is and is cost prohibitive or have user minimums which usually are not applicable for small business. I love how they are one of the few to offer personal credit card integration feeds. Believe it or not most do not and actually expect us to upload statements

CONS

buggy at times, doesn't transition from mobile to desktop or we based version. mobile app.has far less ability. mostly if fails at the main purpose, saving me time. every months nearly every expense is duplicated, failing to match itself to the credit transactionnand this takes forever to fix. It only sycs properly to the credit transaction if the receipt photo is taken from then app. if you try to upload screenshots? email you invoiced and use the ios "Sent too function" it duplicates the transaction..tech support actually told me to wait for the bank before uploading the receipt. This eliminated the entire point of the product.

A Comprehensive Review of Expensify - An Essential Tool for Businesses

Expensify has been a great tool for our business and has helped us to quickly and easily manage our expenses. The user interface is intuitive and the reporting features are great. However, we have had some challenges with customer support and the cost can be quite high for larger businesses.

PROS

Expensify is an incredibly easy to use, user-friendly expense tracking and management system. It has an intuitive interface and allows us to quickly and easily track and manage our expenses. The reporting feature is also great and makes it easy to generate reports for our clients and other stakeholders. Overall, it has been an invaluable tool for our business and I would highly recommend it!

CONS

While Expensify does have some excellent features, the customer support can be quite slow and unhelpful at times. Additionally, it can be quite expensive for larger businesses with many users.

Good Product - Truly Awful Onboarding and Support

While the product is good if you don't have any complications, the onboarding and support are probably the worst I have ever experienced. After a brief training session, there is no longer any phone call support allowed (only email and chat and the delays could be many hours and often days). More recently with the COVID-19 situation, their usage has plummeted so they recently announced a doubling of pricing (100% increase) to all users if they don't switch to using their credit card which for many companies (including ourselves and including reasons like the cc syncing problem) will not work. The message about the price increase was hidden in a very very long email from the CEO titled something about support improvements.

PROS

It is easy for the end user to use, particularly given the mobile app. It has a lot of good controls and notifications for potential user errors or abuses.

CONS

The credit card sync features often don't work or are significantly delayed (days, weeks if at all) which causes unintended reimbursements for non reimbursable expenses and messed up accounting.

Reason for choosing Expensify

It seemed to have the controls and ease of use that we needed and it charged per active user per month rather than a per expense report submitted which fit our needs well.

Super Easy to Use but Wish Quickbooks Integration Was Better

Use it to capture all expenses among our team. Works great on business trips. No more receipts stuffed into a suitcase on the way home. Does a good job of importing chart of accounts from Quickbooks. Easy to set rules (i.e. must have receipt for expenses above $25). Helpful having 4 options to add new expense - photo, email to Receipts@Expensify, upload receipt file, manually create. Great digital record capturing photos of all receipts. Nice to only pay per active user per month.

PROS

This is a great tool to capture your expenses. The interface is super easy to use--just taking a picture of a receipt and letting the tool fill in the necessary information.

CONS

Haven't been able to get the online version of Quickbooks to integrate with this, so our accountant still manually enters / uploads the expense report info every month

Ajera was our parent company's software. Extremely expensive and more complex than we needed for a small company. To my recollection, they also didn't have the user friendly options to capture expenses on the fly.

Expensify is great

Really positive experience and will definitely be using the product for the foreseeable future.

PROS

I liked how easy this system was to deploy. Our team was using it fairly flawlessly within about a week of adoption and that was a big win for us.

CONS

Expensify works in all the ways that I want it to. I wish the system would send email reminders for people to review their spending because that would help us stay on top of it

Expensify overcharges for their "Corporate" platform and becomes useless once your bank feed breaks.

Was ok and saved time, before it broke.

PROS

Ease of launch, mobile app works decently well. Onboarding support was decent, but sadly short-lived. They still offer monthly pricing. If you're tempted to try their Corporate or higher plan, DO NOT sign on to their annual pricing plan, see below for why.

CONS

Google "expensify known issues". Review the list of the corporate cards that they don't support. Be aware that they are not disclosing the many other corporate cards that their platform doesn't support. If you're lucky enough to use one of the corporate cards that they are currently supporting, be aware that their connection to your bank feed can break at any time. Generally, this will happen after your promotional period has ended and after your onboarding support contact has moved on. Once the bank feed breaks you're left with only chat support, which will take an average of 12 hours or more to respond to you. When chat support responds, it's clear that they are pasting from support scripts that have no relevance to your situation. Most responses will assume you're on a Team plan, and initially offer troubleshooting steps aimed at those clients. You'll have to explain that you're a Corporate client. Once you explain this, you'll wait another 12 hours for a response from someone who hasn't read the prior communication chain and you'll have to explain yourself again. this sort of back-and-forth goes on for some time. Eventually you'll get them to admit that the only work-around for a broken corporate card bank feed is a manual CSV import through each individual's account. Don't expect any meaningful response or acknowledgement if you bother to question the fees you're paying for broken corporate access. They will not listen and will not offer any discount or refund.

Bank connections may break for any variety of reasons, including (but is not limited to) bank maintenance, connection issues, changes in usernames/passwords, and more. Unfortunately most of these are out of our hands, but we do keep an updated list of known issues here: https://docs.expensify.com/setup-for-submitters/advanced-configuration-for-submitters/bank-import-faqs-and-known-issues. Re help responses. We definitely don't want to have you waiting 12 hours for a response and it doesn't help that there are a lot more help requests coming in at the end/beginning of a month around billing time. I've let the team know of your concerns and will continue to improve on our response times, especially during busy periods. Thanks for bringing these issues to our attention!

Go-to Expense Reconcilliation for wide spread and remote working mid-sided companies

Overall the software is pretty good, and comparable to many direct from Banking institution programs, with the added funtionality of being able to claim reembursement for out of pocket purchases. Outside of the software itself, I would caution that the company has used used the software and associated email communications as a platform expressing their social and political views which is rather unbefitting and could be off-putting to parties who may not prescribe to the same views.

PROS

Software features multiple ways of uploading receipts and Coding spends for expenses. Application AI is very good at autmatically assigning cost codes and verifying receipts to actual spend backups. Software also allows for modification of these auto-entries in case of recoding requirements and the mobile app is very easy to use. Attachemnts are drag and drop on the Browser portal, and mobile device attachement is integrated in to OS gallery lookups. they have a good system for flagging un-filled required fields wbefore allowing the spend reports to be transmitted for approval by the designated approver.

CONS

Bank feed syncing can be delayed and charges do not appear for a few days; especially with Canadian banking services even with Tier 2 banks like HSBC. Some sysnicn issues arise between the mobile app and the browser portal if the app is left open on the mobile device - the system lags out and does not save some of the information which then requires re-entry. Fortunately this is flagged as part of how the software works so is not missed if lost, but still requires to be re-entered.

Convenient Expense Reimbursement Software

Overall great employee expense reimbursement system for small/midsize business. Easy to use and implement. Would definitely recommend!

PROS

I love using Expensify to reimburse our employees. It is super easy for employees to create expense reports. Expensify also has approval workflows which allows employees to submit their expense reports to their managers for review first before submitting to finance for reimbursement. Expensify is also integrated with our accounting system which allows me to sync expense reports without having to manually enter expenses again. The payout process is also super simple and can be done directly through Expensify by connecting your company's bank account.

CONS

I wish reporting was done easier in Expensify. Creating a report could be tricky (Expensify requires you to use formulas) but overall it is manageable if you learn a few tricks.

Avoid at all costs!

Overall experience has been *terrible*. I will never ever use this service again nor recommend it to anyone.

PROS

I am the founder/CEO of my company, and adopted expensify because it was simple and easy-to-use, and largely automated expenses/reimbursement and financial reporting of same.

CONS

Unfortunately, something bad has happened to this company since those early days.First, they started putting up these really confusingly-labeled buttons which, if clicked, would automatically opt you in to using their new credit card product. And after I accidentally clicked one of those buttons, there was *no way* to undo it and every employee at my company was emailed a credit card! It was a huge fiasco.We decided to stop using Expensify due to these issues, as well as poor support, at the end of 2022. However, since our cancellation request arrived a few days *after* Jan 1 2023, they refused to cancel our account and continued to charge us over $1400 despite us not using the service at all. Eventually I had to contest the charges and ask our credit card issuer to deny future charges from expensify.

Great in theory, from a bookkeeping POV

PROS

When working properly, it easily brings account codes, jobs and copies of receipts into accounting software. It links to various credit cards with the paid version for easy reconciliations. The biggest benefit for my application was having the individual card users coding and providing backup for their transactions with the ability to then very easily reconcile in the account software (I use Xero).

CONS

The customer service is the worst I've ever encountered, of all companies I've ever worked with in my life. All questions are submitted via chat with a minimum of 2-4 hours between responses. This makes a conversation impossible. There is no help with initial setup or training, which would likely reduce all subsequent problems. Even for an accounting firm who wants to implement the software to a number of clients, there is no personal help. There are constant issues with the credit card links and the sync needs to be manually updated to reconnect. This is not apparent until the user realizes that transactions are missing. From a workflow perspective, these issues should be resolved automatically or a notification received. There are constant changes within the software without forewarning. This makes using this product a constant battle with regularity. It's also not as intuitive as it should be. My clients often tell me the same, that the software just simply doesn't work well. As a small addon to a much larger web of integrated softwares, the amount of issues I had with this software makes it not worth using for my firm. My frustrations with getting it set up properly for my clients was met with indifference by the staff. Ultimately, in a world with many other options, I was forced to go elsewhere.

Expensify to the Rescue!

Organization. Receipt management.

PROS

I work overseas. Mostly in Europe and my company is based in California. I work for an international charter school organization basically travel for a living while meeting with government entities about educational opportunities. My whole life is expenses. I spend my own money and get reimbursed so it's critical that every receipt, every lunch, hotel, meal, every expense is documented and saved. I'm not the best with money and I struggle with organization on the road. Fortunately, Expensify helps me with both. Every receipt I collect can be instantly scanned and saved. There is no limit to the number which is great because someday's I have in excess of 20 receipts. Expensify tallies my receipts as I go which assures I stay on budget and don't overspend. If I overspend or go over budget I don't get that money back so this feature is critical. My company uses Quickbooks for accounting and Expensify integrates with Quickbooks effortlessly. For those who do not use Quickbooks, rest easy; there isn't a popular (or unpopular) software that Expensify doesn't integrate with. If managing multiple receipts and budgeting is important to you, you MUST give Expensify a try.

CONS

Nothing. Expensify is the most complete travel expense app on the market.

Say Goodbye to Paper Receipts with Expensify

Overall, Expensify is a great option for businesses of all sizes looking to simplify their expense management process. Mixed bag of tricks

PROS

Good for keeping track of and reporting basic expenses incurred for your business. If you need it to do anything extra, not so great. Bells and whistles break frequently and at the worst times.

CONS

If you need customer service, start by asking someone else. If you submit a ticket or an email for an issue you may be having, they will respond (never sooner than 12-24 hours) with a copy of that topic's Help manual. In other words, their customer service gives new meaning to terrible. If you try responding to that copy/paste answer, they will copy/paste from another part of their Help manual. It's truly frustrating and you have to get stinking mad before an actual person replies to your issue, usually with a sorry for your troubles reply. I've given up asking them for help. Oh, and if you have a broken bank connection, they love to blame it on your bank instead of actually looking to see if it can be fixed on their end. And no, this is not the free version.
