Budgetly has saved us a lot of time
Budgetly has been fantastic. Their Support team is very professional and flexible, providing ongoing training and support whenever we need it. I definitely recommend them to anyone using petty cash cards.
PROSWe were previously using Vascoe Pay cards (petty cash cards) and our staff couldn’t upload receipts with these. This meant we had to send a report to staff each month and then reconcile everything manually, however sometimes transactions were missing if they hadn't settled yet etc. Budgetly now allows our staff to upload receipts immediately via the app and we have real-time reporting on everything. We've saved at least a day a month in admin work and even more for our teams.
CONSIt would be helpful to be able to select certain date ranges when syncing transactions to Xero.
Reason for choosing Budgetly
We were introduced to Budgetly by another company that's using it and really liked what we saw when we looked into them. It looked very easy to use and we loved that users could download the app and upload their receipts in real-time.
Reasons for switching to Budgetly
Our old process involved a lot of manual reporting and reconciliation with minimal visibility.

Budgetly solved our problems
Before Budgetly, we had about a dozen credit cards and a centralised spreadsheet. Each month, we were meant to fill it out with each transaction (how much, what it was for etc.), however our Accounts team usually had to chase up multiple people with missing information every month. We don't have to worry about any of that anymore
PROSGiven how flexible Budgetly is, users now don’t have to worry about manually filling in spreadsheets and we’ve saved a lot of time on admin work. Staff were often sharing cards etc however we don't have to worry about card security anymore. We've also saved at least a day a month in admin work.
CONSI honestly can't think of anything we don't like about Budgetly.

I was actually in a meeting with someone who was using Weel (previously DiviPay). I looked into them and while doing so, found Budgetly. I liked what Budgetly did and booked in a demo. After the demo, the interface and flexibility was great so we signed up.

Saved time and money
We needed approval for spending from directors before Budgetly. Booking flights and accommodation is much easier now and no more reimbursements for personal spending

Budgetly's great so far
It's been very easy to use and we've had fantastic support, especially when we were getting things set up.
PROSWe were looking for an easier way to manage our expenses which we've found with Budgetly. We now have more control over what people can spend, more visibility on what they're spending and less admin work around reimbursements etc.
CONSSo far, Budgetly has done everything we need it to do. No real cons at this point.
Reason for choosing Budgetly
Volopay charged based on the volume of transactions which didn’t appeal to us as the cost-to-benefit wasn’t there. It also had less control over actual spending and setting limits etc.
Reasons for switching to Budgetly
Concur was quite clunky and a little too complex for what we needed it for.

Budgetly saving time over 15 childcare centres
The support we've received has been great and we're saving a significant amount of time by not having to chase staff/centres for receipts etc.
PROSWe have an individual account set up for each of our 15 childcare centres, each with a few cards. Everything is now much more centralised and we can easily see all of our accounts in one spot. Budgetly has saved us at least one day per week, per centre as we no longer have to chase receipts and manually reconcile all of this.
CONSAt the moment, there's nothing that we don't like about Budgetly.

It's been a lot easier to deal with someone who's not based overseas, Budgetly has been great.

Budgetly Review
We were using two different providers prior to Budgetly and their online platforms/functionality quite limited. Since moving to Budgetly, we've saved 5-10 hours per week across the business with smoother processes in place for all frontend staff using the cards as well as backend staff who had previously worked on reconciling receipts etc. Through being able to track spending across the business, we've significantly reduced overspending in our SIL houses and are now able to better incorporate budgets etc into our strategic planning for our business.
PROSUser-friendly platform with functionality that allows us to create what we need in existing systems.
CONSCreating budgets/cards/users can get a little confusing when working out the requirements between them all

Limited functionality, Budgetly provides far more flexibility to the point that we can enter what we want on our cards etc.

The training and onboarding process was excellent. We were provided 1to1 training, customer help videos and free telephone support. We've barely needed to call since the initial training though.
PROSWe no longer have to do any expense claims or reimbursements. We issue cards whenever we want and all spending is controlled and tracked.
CONSOnly thing we've found is we still use a CC for google paid search spend. Otherwise we've been able to remove all other credit cards from the business.

We considered Weel but the Budgets functionality in Budgetly was much more powerful plus we wanted to issue physical cards.

Budgetly has saved us at least 5 days a month
Budgetly has made things so much easier. We can now issue cards and get full visibility over our expense management with a click of a couple of buttons.
PROSBudgetly is absolutely wonderful. It’s amazing to have instant cards when we need them. Had we not moved over to Budgetly, we would still have a time-consuming process wasting time. We wouldn’t have known what was possible and how much better the process could be. No more reconciling and no more dealing with the banks.
CONSI would love to see an integration with QuickBooks.

No more cash
Fantastic support, 10/10. If we need help, we always get it. It's neat, clean and tidy and really easy to manage for auditors.
PROSOur reconciliation process is so much easier now. Staff no longer have to carry cash which has mitigated a lot of risk.
CONSThe system works great, however would be great if we could integrate with MYOB.

Budgetly's amazing
10/10 customer service, we've loved using it.
PROSHaving multiple cards now means we can operate in multiple places at the same time without these time delays and had to manually process receipts etc. This is now a lot more efficient and saves us between 1-2 hours each and every day. We get instant access to transactions in the portal, massive time savings and it’s very reasonably priced. Having multiple cards on one account is very handy when there are multiple people out on the road. Being able to top up budgets straight away is perfect as we can get funds to staff when they need it. Budgetly is also really secure and we’re not worried about our funds going missing as the risk of getting scammed etc is a lot lower.
CONSNo real cons at the moment, Budgetly does everything we need it to do.

Budgetly's amazing
It's been amazing. Their customer service is great with very fast response times, we have full visbility over what we're spending and it's easy to track if our staff haven't uploaded a receipt.
PROSBudgetly allows us to easily capture receipts, monitor the balances on our cards and really understand what we're spending money on. Being able to integrate with Xero has been amazing and their customer service is 10/10. We've saved at least 5-6 hours a week in admin work.
CONSWe'd love to be able to utilise an API however we're aware that this is likely something we'll be able to do in future.

We're loving Budgetly
As a small school, it was very difficult to get cards with our bank for individuals as they had to be an approved signatory for the actual business account. We tried pre-paid cards for a little bit as well, but these were hard to maintain as it wasn’t straightforward to top them up, hard to get statements etc. A clunky process. This is now such an easy process and a really good fit.
PROSNot having to worry about reimbursements is amazing. we've always had great support, very responsive. The value for us is in the time we’ve saved that means we can focus on other tasks. We’ve saved at least 3 to 4 hours a week.
CONSNothing major comes to mind, however receipt reminders would be amazing to help chase up staff who haven’t uploaded their receipts yet.

Budgetly has saved us at least 2 days a month
Budgetly has been amazing. We know have transparency over what our staff are spending and no longer have to rely on manually reconciling receipts etc every month. I can call Budgetly straight away and get help as soon as I need it, great customer support.
PROSEase of access across the platform and no restrictions on who can actually use the cards. Express Post makes it easy to get physical cards in a couple of days and virtual cards are available instantly. We've saved at least 2 days a month in admin work alone.
CONSI'd love to be able to set funds to specific budgets, not from the main bank account. As we have multiple different sources of funds coming in from participants' families etc, this would help provide more information to our clients.

We had gone to several banks to try and find a solution however they just didn't exist. We then found Budgetly and it's solved our problems.

Budgetly is great!
We used to have some issues around fraud when dealing with Australia Post Load and Go cards, but that's not an issue any more. Customer service is at least a 9.5/10, I'd definitely recommend it.
PROSWe've previously had a very manual process that included a lot of paperwork. Budgetly has fixed this by saving at least 20 hours a week across multiple teams. The way Budgetly's been designed makes it very easy to use and we're loving it.
CONSThe only thing I can think of is being able to rename files when downloading receipts. That's nothing major at all, loving everything else.

Budgetly has been a life saver
Before budgetly, we were using gift vouchers for our staff which was a pain as we could only buy five per person, so had to get multiple people to purchase these. Unfortunately these gift vouchers provided no oversight on what people were spending and while we could tell them how much they could spend, we had no way of enforcing this. With Budgetly, we’re now able to set up specific budgets and allocate spending rules when we like.
PROSBeing able to track our staff’s spending and having the flexibility to create budgets from my own desk.
CONSNo cons at this point. Budgetly is doing everything we need it to do.

Budgetly solved our problems
It's been great. The support and training has been amazing. They are so helpful. You can tell they really put a lot of time and effort into their customer service. Phone calls, custom help videos and email support have all been quick and didn't cost any extra.
PROSHaving a solution such as budgetly has meant that we are not scrambling to get credit cards for new team members and have the ability to manage travel, expos, customer outings with ease. Everything is reconciled quickly and saves us from chasing team members receipts because we utilise the app and capture them on the go.
CONSNone that we've discovered so far. Been a happy customer since November 2021.

We've saved a day a week in admin work
10/10 service, we'd definitely recommend them. Budgetly was easy to understand from the beginning and the support we received around implementation was very quick.
PROSWe now have a lot more control over our spending. Being able to set our own spending limits, freeze or cancel cards at the click of a button and re-order these without having to deal with a bank is fantastic

Best Decision Ever!
Amazing from start to finish, the budgetly team have been so helpful and supportive from implementation with set up and training material and advice. the software has helped us manage our expenses and cards in a way that no bank ever could with a really easy to use interface that has helped to solve all our card/banking challenges.

Budgetly fixed our problems
We've saved at least a day a week by no longer having to chase receipts and the Xero integration works perfectly for us.
PROSBeing able to upload receipts at the time of purchase is massive for us. Also being able to automatically assign categories with the Xero integration is amazing. 10/10 customer service, especially during the initial onbarding while we got used to the system.
CONSNo real cons for us, it does everything we need it to do.

Loving Budgetly
We originally had bank accounts with a similar cost to Budgetly per card but now we’re saving a lot more time. Without manually reconciling receipts etc., we're definitely ahead cost-wise. Their customer service is very good! We don’t necessarily need too much support but it’s great to know it’s there if/when we do.
PROSWe’re currently operating with one card per participant which provides a bit more independence. Budgetly has definitely helped solve our initial problems, and we continue to get a better rate of receipts being uploaded. Being able to freeze cards directly from the app has also been really helpful. With the Xero integration, we're now saving a lot of time.
CONSNo real cons at the moment for us, we're really enjoying it.

Admin can check the budgets for each card in real time and look into the spending. App users can also help to upload receipts and that can be synced to Xero easily.
CONSSetting up cards to share the same budget can be difficult.

Budgetly has saved us 50 hours a month
We’ve definitely saved a lot of money. 50 hours saved across the month in bookkeeping fees is massive. So much easier to sync straight into Xero, the time saved is amazing. We’ve had a lot of help whenever we’ve needed it, it’s been great.
PROSOur setup is a little different with Budgetly compared to a standard account. We have 5 accounts in total, one for our head office (senior leadership) and four individual stores. For the stores, each store manager had a bank card and would often pull money from the till to buy essential, smaller items. Budgetly has completely removed the operational risk by no longer having to reconcile and manage cash. It’s also a lot easier to collect and manage receipts with the app and our store staff are empowered to buy larger, ad hoc purchases with suppliers etc. Times this by 4 stores, it’s a huge help. Our head office team uses Budgetly a little differently to the stores. It’s been great for things like software subscriptions, larger purchases for maintenance for stores etc. For example, it’s very easy for our marketing team to make payments online for different services as the cards offer everything that a corporate VISA card would. The fact that it all then flows straight into Xero saves hours of admin work.
CONSI’d love to be able to sync all deposits into the Budgetly account when syncing to Xero, not having to add these manually.
