Indispensable Tutoring Management Software | Highly Recommend!

I came across Oases a few years ago as I was looking for ways to grow my business. I learned a lot from reading their 'tutor report' blog. I finally decided to subscribe to their service a year ago and I am so happy I did. Here is a breakdown of why I love Oases. 1) Stella Customer Service: I was highly impressed that Oases took the time to train me on their software. They scheduled one on one training sessions and worked with me to set up my program! 2) Intuitive Software: Oases is the iPhone of management software. 3) Personable Staff: Oases has a very responsive staff. They are always willing to walk you through any questions you may have. They are very responsive to customer request tickets. They are easy to talk to and very efficient and effective! 4) Value: Oases is priced well and worth every penny! 5) They have an app! My tutors can sign in with the app to checkin about their session, they can also access student information and contacts through the app. I can also approve tutoring sessions, look up tutoring contacts on the app making this a good 'on the go' tool. I have not even scratched the surface of all I can do with Oases. They have taught of everything! They continue to add more beneficial features that are always on point. I will highly recommend Oases. Tutoring is a very saturated market with big players! Oases help me remain competitive in this market!

I like that the software is easy to use abs that it covers everything from testing students, creating learning plans, scheduling students, scheduling tutors, billing clients, automated emails, paying tutors, and everything in between. This software does everything and more! It helps me organize my data so that I can focus on providing the best tutoring experience than my competitors. They have an app!

Challenging Software

If you have a background in accounting and other advanced online software's, this may be a doable system. The system is too technical for the average user because it requires layers of applications to get to the end point. Customer service was contacted too often and training was not empathetic, kind, or respectful of learning differences and needs. If you have lot of time to play with it or you have the time to hire a system engineer to install and train, this is your system. If you are the owner of the company and need to use it daily, it isn't fictional because it takes too much time from other aspects of the your job running a company.

CONS

The system is very challenging to learn and requires a lot of customer service assistance and or researching their knowledge base applications.

Reasons for switching to Oases Online

Tutor Panel was an excellent software but we needed more applications to sustain our growth.

Review of OASES software

We have worked with OASES for the past 8 years and used the software for that time. After using excel spreadsheets and Cayen, it was a relief to finally see a demo on this product. We always used all functionality except the payroll module, therefore, we cannot comment on it. The operational aspects of OASES software are outstanding and very flexible, no matter how your operation runs. Once we started using this system, we had an all inclusive system, which could management the tutoring schedule and our staff. Flags can be set to remind all shareholders of upcoming deadlines and activities, which are overdue. For people who want to doing testing online, this module is very effective and again keeps all the information in one spot for a student. The customer service department is wonderful and demonstrate their interest in all clients, regardless of size. If you are in the tutoring business or after-school academic activities, you cannot go wrong getting a demo from OASES. Responsive Support

PROS

We have used several scheduling and CRM platforms to manage our tutoring operation. We find that Oases has the most options for generating reports and custom reports. This helps us better understand the health and trends of our business. Intelligent match is also a great feature which allows us to filter our tutors based on different skillsets which helps us ensure a great match for a student. The billing integration is also a feature that we use frequently and have been pleased with. Customer support is excellent.

CONS

The scheduling calendar is a bit complex. It would be nice if there were less steps when scheduling.

Perfect solution for managing tutors, students, school districts, and staff.

We have been in the tutoring business for over 10 years, and have worked with various systems such as EZSES, Cayen, etc, and Oases is bar none the most comprehensive and easiest to use solution for managing a tutoring business. The staff at Oases was extremely responsive in helping us set-up Oases to our specifications (including bonuses, various pay grades, dozens of different school districts, schedule restrictions, etc). They remained very responsive to any issues or questions that arose throughout utilization of Oases.

PROS

It's easy to set-up accounts, manage day-to-day, and tutors learn it fairly quickly.

CONS

The software is set-up for the most part with group sessions in mind. This isn't a problem per-se, but it takes a little bit of training to make sure tutors understand how to log "one-on-one" training sessions.

We have had a great experience with Oases. It helps immensely with simplifying our record-keeping.

PROS

The software is easy to use with minimal training. You can do everything in one place from testing students, creating learning plans, assigning tutors, billing clients, automated emails, tutoring hours, and so much more. We are able to stay organized and on top of all aspects of our tutoring company.

CONS

The only issue we have ever had is with the tutors entering data on the app on their cell phones. It is not as straightforward as the webpage. As long as the tutors enter data on the webpage, all is good.

Best all in one

Overall the benefits far outweigh the cons.

PROS

I run a local brick and mortar tutoring business. As my business grew I struggled to keep up with the demand. Oases allowed me to automate many tasks which freed up time to focus on more important things. It is also more cost effective and efficient than hiring many employees to handle scheduling, note taking, student assessments, progress monitoring, etc.

CONS

The only improvement suggestion I would make is with the overall ease of use. Oases has so many great features, however, the format and functionality make it a bit challenging to use at times. It is also hard to train new employees as they need to devote a lot of time into learning the program.

Robust functionality accompanied by a responsive and helpful team

Overall, Oases has helped our business to realize its goals in ways we couldn't have foreseen. Oases is able to meet whatever changes we make to our business model. Its high degree of customization means that it is suited to any number of tutoring or education management companies, whether they be traditional in-home tutoring or something else. Oases has become central to our day-to-day operations, and we are excited to continue to use it as we grow.

PROS

Oases makes it simple to manage students, staff, and customers with their extraordinarily deep and well-thought-out software. Two years into using this product and we are still discovering helpful functions and tricks that have made managing our business more streamlined. It seems that for every enhancement question we have, the Oases team has already addressed it. Features that stand out are the Sessions and Schedules functions, that make managing student/tutor relationships a breeze. For those focused on data to help improve their business, Oases provides comprehensive data reports on a myriad of topics, even giving users the ability to generate custom reports specific to their needs. The invoicing feature makes billing simple, and provides our team with yet another level of customization so that we can cater to the needs of our clientele. Our team is also very excited by the recent addition of TutorPlace, which will streamline the experience of our tutoring staff as we continue to grow. It is encouraging to see that the Oases team is still finding ways to improve their product. Finally, we wouldn't have been able to make such use of Oases were it not for their responsive team. Whatever our needs, they are quick to respond and provide any assistance they can.

CONS

For all its robustness and depth, Oases can be a very confusing piece of software. Because it is so complex, contains so many moving parts, and is able to be modified quite significantly to each company's preferences, one can become bogged down along the way to figuring out how exactly each piece fits together. While much helpful information is contained in the Knowledge Base, it often lacks details that would expedite understanding, being somewhat brief. This is exacerbated by the large amount of product-specific jargon needed to fully understand Oases (e.g. what is the different between a Session Type, and the different types of Session Types?). I was not present for the selection of Oases and thus cannot speak to whether a video tutorial is included as part of the initial purchasing process - however, if not, I suggest that such a tutorial be included so that users can receive a first-hand demonstration of Oases to mitigate potential confusion down the line. (Please note that Oases is willing to do video conferences if requested, which is very helpful.) Lastly, a common complaint among staff is the appearance of Oases: it feels clunky and outdated, and its design is, I believe, a key source of misunderstanding about its functions, especially for those who do not use it daily. We are encouraged by the recent addition of TutorPlace, a simple and intuitive UI that will improve end use for our tutors - and eagerly await such an improvement to the rest of Oases.

Robust, be ready to work

You definitely have to be willing to fight through it for it to make sense and to find a way to get it to do what you want it to do. If you're a single operator, it might be worth investing time and resources to an implementation manager or paying Oases to do the work for you in terms of setup. There's lots of help documentation (almost too much). It's not as intuitive - out of the gate as you might expect or desire. That's neither good nor bad. If you don't have the time and patience to go through the documentation, definitely revaluate your tutor management system needs. There's lots in this system (good). You have to do the work to unlock its potential (could be the not so good).

PROS

Oases is full of features and functionality. I love the fact that I can manage multiple client types. Looking forward to getting this integrated with Autorize.net and to see what the mailchimp integration allows.

CONS

Mobile experience could be better. Personally, I like "help tips" when I encounter a problem. That is, when something doesn't appear, the help text on the screen would prompt and tell me what's missing or what hasn't been done. Otherwise, you have to comb through the documentation.

Oases Online Review

My overall experience has been very positive. This is my second go around with Oases and I came back because the software has been effective in helping my company manage our tutor and the entire tutoring process. They have many features that I have not used and I'm sure if I did it would be even more effective. Oases also does an excellent job with customer support. They trained me well and they are available to help my company navigate our unique needs. They are super responsive which is of utmost importance to me as I have clients who typically must have answers sooner than later.

Club Z Tutoring

Its pretty poor I am not impressed with it at all. I would not recommend them you can only get support via email and they charge you for training.

PROS

It is not user friendly our tutors get frustrated easily.

CONS

You as the consumer are charged by student. You have to deactivate all student not actively tutoring in order to access them if needed you have to reactivate them and be charged.

A student needs to be active for scheduling and testing. A student does not need to be active to view the record, edit the record or perform any billing or emailing functions. Once they have finished tutoring you may deactivate the student but continue to work with financials and email them should you wish to re-engage and sell additional services.

OASES Online Scheduling system is amazing!

As a small business owner, I ofttimes found myself losing valuable time each and every day attempting to manage the scheduling and invoicing aspects of my business. In short, I was being held hostage to an unproductive and outdated paper system that resulted in numerous lost hours of productivity. And then one day I happened across the Oases Online scheduling system and my life as a small business owner was forever changed for the better. This system streamlined my invoicing and scheduling operations and consisted of the added bonus of offering relevant common core testing for my students and the ability to communicate student progress with my parents as well. It should also be noted that the IT team and customer service department for Oases provides small business owners with cutting edge up to date technology enhancements not usually affordable for small business owners. They are quick and responsive to all issues and have the added capability to meet your the individual needs of your specific business. I love the Oases scheduling. They have allowed me to spend more time working "on" my business instead of wasting time on unproductive tasks "in" my business.

Oases has been great for my business!

This software is what I needed to help me expand my tutoring company. I wanted a software that would make streamlining all of my business processes easy and I have found it! Although I still have not scratched the surface of all of Oases's functionality, I am eager to continue to delve in and learn how to fully use this software to support my business. In addition, customer service has been excellent! They have always come to my rescue when I needed their support.

I have not been able to master how to smoothly conduct recording hours, invoicing and billing for all of my clients with multiple children that we service.

Perfection

As a provider of corporate training programs, we struggled with providers that catered only to tutoring. Oases is a fantastic service, made even better by a team of responsive programmers and client support that have helped us make the program work perfectly for us.

OASES is a great program and is very comprehensive.

PROS

It provides the functions we need to effectively run our educational business. OASES has many features so I am sure it is a great tool for tutoring companies that are both large and small. Customer support is amazing, helpful, and extremely responsive. That alone makes it worth using.

CONS

My only complaint is that the interface is not so easy for our tutors. There are have quite a few (especially some of our middle-aged folks) tutors who have struggled learning it. So extra training is necessary for these folks.

My Oases Experience

I haven't yet used all the different segments of the oases software. There is much more that I can do with the software to enhance my business and I intend to do that. So far my experience has been good. The software helps me to be more efficient. I can provide information quicker and easier to clients. It helps me to keep proper record and makes reconciliation more manageable and less time-consuming. I am still learning the product. There is much more to explore.
