SmartCare is a cloud-based childcare solution that connects childcare center owners, teachers and parents in real time through a web interface. SmartCare is fit for childcare centers and K-12 schools in the US. It helps parents track their children's activities while at daycare. Parents can connect through social media platforms to share photos and videos.

SmartCare offers a billing and payment feature that includes account setup and approval, a fixed credit card processing fee, split payments and mobile invoices. Parents can create digital libraries for their children, upload special childhood moments and share their content with other parents on social media platforms.

SmartCare stores all records in a centralized database and allows users to look up child or family information. The solution sends child arrival and pickup alerts to parents' mobile devices.

Other features include child and family enrollment and accounting. Pricing is per center on a monthly subscription basis. Support is available via phone.

Nothing. Other than the concept of how it is supposed to work to help me as a parent feel better and more knowledgeable about my child's day at daycare.

Cons

I have had more problems with this than I can probably list. I have installed/uninstalled the app on my phone several times due to it not working properly. The app tells me my son's teacher has not posted to the timeline, meanwhile I just got and alert 5 minutes before that something new was posted. The pictures sometimes take forever to load on the timeline, and then it just times out and and says something like "aww snap, there was a problem..." Currently, after last uninstall and install of the app, I can no longer get into my account, so therefore do not know what is going on day to day (this was in March 2017). When I try to login it tells me my password is incorrect, even though I know it is not. When I request the password using my mobile phone I get the "aww snap, there was a problem..." message. When I request the password through my desk top it tells me an e-mail was sent; however, nothing ever comes to my inbox or spam folder. Frequently, the times of drop off and pick up are WAY wrong...i.e. drop off at 12 a.m.? I really want to embrace your product and this new system at daycare, but there are quite a few glitches that need fixed. These problems are unacceptable and this system is not helping me know anything more about my child's day. In fact it is harmful, since the daycare is relying on me getting information through this and it is not working, I am not getting any information. When I contacted customer support in March 2017 they blamed it on my Android phone. Then, on an app update. Then, told me to use my husband's phone (you know just assuming). And, then just told me to use a desktop, which I have been doing ever since about 3 weeks ago. However, despite using a desktop now months later, I now no longer can get into my account. Customer support e-mail sent me a link to update my password and the link doesn't even work. Ridiculous!

Pros

Love electronic sign IN/OUT, attendance and meal tracking, and the ease of communication with one or all parents. Smartcare has always been there to help when we needed it. They are quick to respond to bugs reported.

Cons

I wish you could maintain families from one screen instead of having to do billing from children, account maintenance from accounting . I don't like swapping from listing by Last name in some places then first name in others, We do not use the Payments tab that shows family icons due to them being in random order. Our center is large so we would have to look through 22 rows of 6 icons to find the family that is trying to pay. PDF reports waist too much paper, need to economize. Excel reports do not have totals, and often have excessive amounts of data making them impossible to print all columns on one page without changing column widths and manually deleting columns. We cannot accurately maintain agency ledger cards due to not being able to charge and credit them. We will have to wait until August or September for the update to fix this. In the mean time my list for adjustments is getting longer.

Most of the information was transferred over electronically from our old software to this software without us having to do it manually.

Pros

Still trying to figure this out. There are more cons than pros right now. The first impression I had of the screens was that it was pleasing to the eye as far as the layout however when I started working in the program, I don't understand why I have to go through so many steps to get where I need.

Cons

The reports are not user friendly...having to download reports each time and then needing to tweak the excel reports for our needs is very time consuming. We have had to send a lot of questions and requests to Smartcare to fit our needs and the solutions are not always easy to follow. The fees associated with parents using their credit card are out of hand. A parent was charged fees 2 times on the same transaction which resulting in over $20 in fees that they had to pay. That's ridiculous! Smartcare has a lot of work to do to improve their program. We hope they listen to the voices of those that work with the program and continuously change it to fit our needs.

We like the easy access for all parties and the ability to easily communicate with our parents. We also like the billing. We have not yet gone through a billing cycle so we are very curious to see how the parents do with the new billing format. We used to hand out paper bills and we are very happy to go paperless. Also like that we can work on accounts from anywhere. Customer support has been outstanding

Cons

The software feels a little rigid in that we were previously able to batch bill ourselves, etc. however I think we will feel differently as we get to know the software and work with it for a while. After working with one software package for 10 years, this is just a learning curve issue. And SmartCare is pretty easy to figure out.

We like the parents ability to set up accounts and manage funds on their own. I like the reports of children not signed out of the school and the employees not signed out of the school. I like the ability to log on and see our data anywhere.

Cons

This system does not feel very streamlined. It feels cut and paste. When you are dealing with children and families, you should be able to go to the parents last name see.the children, the accounts, etc and do your functions - adding credits, changing billing items, making notes...all in one place. One stop shop. Not ten clicks to see it all and to do what you need to do.

With the transition from CCM to Smart Care some of the functions needed additional finesse to get working - the primary /secondary sponsor was a huge issue. It would be better if the parents when signing up could choose the family sponsor. Instead of us finding billing issues because this was not configured right from CCM.

Reports - Smart Care assumes everyone is going to be on tablets but unfortunately this is not the case with all preschools including ours. We need to be able to generate paper copies of all reports like we did in CCM. The reports are not as professional looking as those in CCM.

Door Access not yet an option - waiting.

Text Message notification - not everyone has the app or will put it on their phone. We need this function to work for mass text messaging. Grandparents can get texts they haven't all embraced the app.

All searches and displays should be the same. I prefer families and children listed by last name so siblings will be underneath siblings. Also, a search bar should be on every single page.

The most advantageous benefit is that it is web-based! As noted in the 'pros' I have found many benefits to the program.

Pros

I love that SmartCare is web-based, allowing families to see their account in real time. The 'bug' feature is very user friendly and a simple way to make suggestions for added features. New features are added regularly to make the program work for the child care industry. The customer service and support in the transition process has been incredibly helpful while transitioning to this program. I have been amazed with the response time from customer support and account managers. My families have been very positively responsive to the switch to SmartCare and seem to prefer it to our previous two programs. Overall we are very happy with our decision to use SmartCare!

Cons

There are a few features that I would find very helpful (such as a notes section for each family) and the option to add a start and/or end date for a family's tuition plan. However, I know they take customer suggestions seriously so I am hopeful that it is only a matter of time before some of the features are added that I currently consider a 'con'.

The only other con is that the billing periods are not super clear. When a family receives a weekly tuition charge it isn't clear what dates the charge covers.

Accessibility and ease are great. Works great for time keeping, employee records, student records and other things that are required.

Cons

Needs to be better able to manage students locations and is often hard to add a teacher that is also a parent. Once the email address is in there is no way to remove it.

Real time visual as the director to each center and maintains a running timeline for each child in the classrooms

Cons

No door locking system that goes with it to allow parents access to the building. I have to have two separate softwares and systems to allow parents access.

SmartCare offers many reports that our center will use on a regular basis. The customer service has been excellent each time I had a question.

Cons

I would like to see a feature added that allows for adding charges to an agency account. This would allow for us to add things like registration fees that some agencies will cover.

Promptness and availability of info everywhere and direct communication to parents regarding their billing.

Pros

Adding items like family/children and billing items are easy. A lot can be learned by self discovery by just navigating the whole software/app.

Cons

Billing section is set to default. Our center's rate depends on how many days a child attends and the rate changes even though they are enrolled as paying the weekly tuition. But we cant bill them the whole week when they only attends 2 days. Hope you can do something about this.

the update technology to include the parent app. The quick response you get from customer support . Overall I feel the app is a wonderful for our child care center.

Cons

the reports do not print friendly. the staff should be able to review their time. Ive had some issues with the enrollment portion in the lead tracker.

Real time access , easy to read and navigate . What you put in there is what it is . The parents can also have access, children information is clear and helpful . Reporting needs some more options .

That at times it takes too long to load , also it need to be able to automatically identify parents on vacation status and not billed them . Parents should be able to use two tender types if they choose to make monthly payments

Cons

My biggest complaint would be the lack for a place for parents to message teachers and teachers to message back within the app. It lacks the ability to charge in 15 minute increments for billing hourly.

The simplicity of it on the parents' side (allowing them to sign in/out and pay online) and the time well spent on the office side (creating more time for other important tasks).

Cons

Not being able to enter some of the information on the web portal that can be added on the center app. As an administrator, using the web portal is key. Also, it sometimes takes too many steps to enter information.

I love how easy it is to use, both with the kiosk signing kids in and out and with the enrollment/billing process. The ability to pay online for families has been so helpful and out families love it!

Cons

The features are not yet as customizable as we need and parents cannot go online to enter there own information where we need it entered for a DEL License.

The only benefit our school gains from this software is that parents have the ability to pay through their app, taking some of that responsibility out of our hands.

Pros

Smartcare has great features such as signing children in and out, and allowing parents to pay through their app.

Cons

Smartcare is a great concept for schools, however the inability to individually customize certain features to meet the needs of your own school creates a headache. For a company that bought out another company (Childcare Manager or CCM), I would've thought that more of CCM would have been imported. The thing I like the least about Smartcare is that there are too many different platforms that you have to use (iPad for scheduling, etc., Desktop which doesn't include all features, Andriod for Kiosk). The amount of different tablets we had to get to be able to be a functioning school is unrealistic. And there is no app for teachers which makes it difficult to communicate with parents for us--we decided to go with a different software for communication purposes. Smartcare has a long way to go to be more user friendly and to be realistic for early childhood programs.

Everything is online. You can access it from anywhere as a director.

Pros

I like the sign in/out for students and staff. I like that you can communicate to parents through the app and they can respond right on it. I also like the center app on the ipad with the ratios. I like how it shows birthdays.

Cons

I did not like that we couldn't enter a lot of information ourselves. We had to send a lot into the team but it took them so long to do. Accounting - A LOT. It takes a while to have it all set up the right way. I wish we could do more of it ourselves so we know it is set up the way we would like to use it. I also wish the paper sign in and out for children in classrooms was easier to read and separate classrooms to print and use as a hard copy sign in/out.

Parents love the ability to receive notes and pictures about their children. Paying through the app is very convenient.

Cons

Completely internet based, so when the internet is down, you aren't able to do anything. Parents complain about the app not working frequently.
