Churchteams Software

Churchteams church management system (ChMS) supports membership management, check-in, mass communications, contributions and assimilation for churches of any size. Web-based and optimized for mobile, the solution can be accessed on any device.

Churchteams' architecture is based on group membership. When a new member is added to the system, that person is assigned to one or more groups defined by the administrator—for example, small group leader, ministry team, Sunday school, event volunteer and home group. That person then receives emails and texts sent to that group.

Churchteams also enables church leaders to collect custom member attributes—birth dates, interests and class attendance, for example—as well as take pastoral and coaching notes and prayer requests. This data is then used to track assimilation, create reports and maintain complete profiles.

Check-in tools also offer a secure way to streamline attendance at classes, events and worship services with support for an unlimited number of check-in stations, barcode scanning and name tag printing.

Best Church Software

Ease-of-use

Functionality

Product Quality

Customer Support

Value for Money

Church Teams is the best software I've used that combines database management with event management. You can see with one click if your member or prospect is active in any organization within the church and if they contribute financially to ministry. Within the groups you establish with CT you can see in real time who has registered for an event and how much they paid. This system makes it very easy to manage mission trips or camps, especially for youth. The communication with parents of students within a group is very easy. We could not do this in the previous software we used unless the parent was the person you selected. Thank you Mark, Boyd & Company for making our jobs more efficient!

Pros

Event income, contributions and activity is all contained within the software and is easily viewed and managed via individual records or as a category of income in reports. The developers of the software are very responsive to individual church needs and will add or change properties of the software to suit your needs if it also benefits the overall usefulness of the program for others.

Cons

Nothing!

Advice to Others

If you've used Shelby in the past and were frustrated at the lack of flexibility you will enjoy using this software! A plus is that is much less expensive!

ChurchTeams is a powerful tool!

Ease-of-use

Customer Support

Value for Money

ChurchTeams is customizable to your own unique environment. Provides a powerful tool to keep people connected. Has easy to use reporting features and email functions.

Pros

Absolutely love the online registration feature, has made collecting fees and signing up for events a breeze. Customer service support is the best I've ever had in the software industry. As I mentioned it's highly customizable and easy to make changes on the fly.

Cons

It does require significant planning and setup on the front and in order to get good utilization and data on the back end.

Advice to Others

Don't skimp on the training. Make sure you have a good training program for staff. Involve your end users as you are designing the system. Get their buy in upfront..

Value for Money

We recently converted from a major platform to Churchteams and could not be happier. We get more value and functionality that is accessible across the entire ministry team - paid and volunteer. The communication aspect is also great! I can't recommend enough that you test drive Churchteams! You will not be disappointed.

Pros

Functionality. Usability. Not just for the church secretary. So easy even the non-technical can use it.

Cons

Financial reporting for contributions could use a few improvements but support has been very helpful and open to our questions and suggestions.

Advice to Others

Don't wait. Try this. It was designed by an Education/Discipleship/Small groups minister for ministers to utilize to track more than data on people. It is designed to manage people's journey with Jesus and helping them continually take closer steps to Him.

We cannot say enough about how we have been blessed by this software and the people in Customer Support. This software has put so much control into the hands of the people who need it. We have been able to equip groups with an abundance of information on a 24/7 basis. They are no longer dependent on 'office hours' to receive important information. They are able to access this information from anywhere and any time. Our ability to know what people are involved in, what their current contact information is and where they are involved has allowed us to care for our church family in a way that is organized and immediate.

I love that you can auto send out the attendance sheets for each week and that the people are included on the sheet, so it's a simply click and submit process.

Inability to communicate with our current church database. We use two systems because ChurchTeams does not have all of the features we need out of a church-wide database, resulting in a duplication of tasks/steps.

Recommendations

Would love to have the ability to book resources (rooms on campus), manage finances, tack and track online giving and text giving, check out library of studies the church has (and what is currently "in" and available to check out) . . . all in the same program.

Churchteams is uniquely designed to support and grow a church that is built around small groups. It has some very intuitive features that help you support and track group life and group health. I have also found their tech support to very responsive and open to new improvements to their system.

If you are truly desiring to connect people in groups, track group health and design a process that tracks people through a spiritual growth road-map, this is truly a great software. Because of the wide array of customize-able options, it is good to compare these specific features, before landing on a final software for your church.

One thing that I really like about churchteams is that it is easily accessible. So often, I find myself needing a person's contact info while I'm on the go. Using both my laptop and smartphone, churchteams is always available for me, allowing me to better communicate and meet the needs of my parishioners, volunteers, and friends.

Likes Least

The only thing I don't love about churchteams is that it takes sometime to master the full capabilities of the site. Once you understand how churchteams works it's a huge aid, but it can be a bit intimidating for the first time user.

Recommendations

I would encourage other pastors and leaders who work with many individuals to simplify their lives by streamlining their contact info and data. Churchteams saves me from many headaches, tedious legwork, and even lets me benefit from the relational connections made by other employees because we all share one platform for communication and contacts. Don't pass up this chance to jettison your communication databases to new heights.

Churchteams provides such an amazing way to keep up with the various ministries here at Valley Real Life. I have the opportunity to call on the first time visitors plus 5 other areas of connect ministries...Churchteams makes this a simple & organized process. It's like having a 24/7 administrator on call anytime I need it. The reports area in Chruchteams is very helpful to get an overall view of how attendance is going in the small groups or to be up on many of demographics we might need to monitor growth or a variety of different things.

Likes Least

Sometimes after writing in the notes window it won't return to the roster list and I'll have to go through the group list to find the group I was in last. Hopefully that makes since.

Recommendations

It is a great system for keeping on top of things and I would highly recommend it for any Church needing a tool to keep track of numerous things.

I love the automated emails that go to group leaders. It makes it easy for them to respond and keep us in the loop regarding who is staying connected and who we may need to reach out too! There is no sign in process with passwords! Churchteams makes it easy by eliminating all the road blocks that would keep people from entering information about their groups.

Likes Least

As a youth pastor, I would like a couple more key pieces of info that would automatically drop people into certain "smart groups" so I don't have to create a bunch of groups. I would also like to see more text message options. Needing to have a persons provider is a constant roadblock we face.

Recommendations

Try it and talk to the leaders if you find practical improvements. They are always working harder to make ChurchTeams a leader in group management.

The notes options at each group level and for individual accounts is an amazing feature!
The automatic prompts for group meeting reports makes it super easy for leaders to complete weekly reports.
The report builder features is AMAZING!! Being able to select exactly what you want to see on each report (and save them for one-click use) drastically reduces the amount of time spent compiling data, and frees leaders up to focus on people.
And on top of all this, the support and development teams are constantly looking for ways to improve the software. They are open to feedback and suggestions and always ready to help when called on!

Cons

Solid database and information management for our local church.

Pros

The pricing structure is good, based on the size of the church. It's nice to be able to login and find member or attender information quickly, or segment reports based on criteria (e.g., what class a person has taken or not taken). They keep adding functionality over time making it more and more useful. It has come a long way in the 5 years since we started with them and now can handle about everything we would need it to and then some.

Cons

The layout and look are a little lacking, but that is superficial.
I don't like how they call anyone in the system a 'member' when as a church we have 'members' and various other levels of involvement (attenders, etc.).
Keeping it 'clean' and to a manageable size has not been easy since someone who visited one time will stay in forever unless you remove them. But it's possible we are not handling this the best way.

We are just a couple days away from our biggest event of the year and I just wanted to say that Churchteams has been integral in our registration and follow-up processes. We have been able to coordinate several different teams, run a myriad of reports and even handle registration for 125 guests and 235+ volunteers. Last year we had about three different tools and a variety of spreadsheets to handle things. This year CT has done pretty much all of it.

Yes our children's ministry and others use it weekly but this has been one of the biggest benefits for me personally in overseeing this event. I've been using CT for 7-8 years total between two churches and it has served me well all along the way. Any time I run into a question I can contact our rep and he gets back to me promptly.

Cons

Given the plethora of features some really are not applicable to our situation. Similarly some of the more advanced features take a bit of time to figure out.

I benefited from having member information all in one database and not logging into or searching multiple places for all the information I need.

Pros

Churchteams allows customization of records. If there are details we want to keep track of I can easily (after learning how to do it) create a new field for this record. There are basic/similar records probably every church keeps but this programs allows churches to add their specific needs.

Cons

The label creation process is the most difficult thing to figure out. I would like easier access to the explanation as to what each field means. It would be nice to use the label maker for church attendees each week rather than printing off nametags that don't get used but I would like to customize the nametag labels to fit the theme we have at church.

It is very easy to use, and the videos are a very helpful training tool. There are a ton of cool features...love the new texting features.
We use it for children's check-in and have never had an issue. Our previous vendor's software crashed all the time on Sunday morning.
Support is top notch. I love the ability to text for support. to get back to me right away and always make sure they have fixed the issue, no matter what it takes.
We use it to email our congregation and were able to eliminate an emailing service, thus saving money.
We use it for online giving and for tracking member contributions and have not had any issues. We had issues with our previous vendor's software all the time.
We continue to utilize more and more of the features and it is keeping me busy.

Cons

The only thing I would suggest is to better organize the Knowledge Base (help center). It is sometimes hard to find information, i.e., the new texting features.

I would like to see more flexibility to be able to make longer notes in the "Connections" area of the members page on CT, if possible.

Hi Jeanette,

Thanks for the review, kind words and suggestion. All are very much appreciated. Touch base with us about the more space for connections. Are you using "Notes" for that? If so, those are pretty much unlimited. I am wondering if you might be using a text attribute rather than notes. We can definitely help you with that.

Thanks,
Boyd

We are looking to replace our current system. ChurchTeams is a robust program with many services.

There are so many benefits for having 1 software that manages so many facets of the church. While there are many good programs that serve one focus of the ministry, ChurchTeams serves multiple areas.

The event registration, and child check in that is incorporated to the overall membership list are some of my favorite features. Being able to manage one list in one place is priceless.

Pros

I love the many services ChurchTeams provides across different ministries, programs, and office. Instead of learning and using multiple programs, this offers everything in one place. From giving, to check-in, to event registration, and even for ministry leaders or small group leaders, it provides access to appropriate information to empower them to minister.

Cons

ChurchTeams does take some technical know-how to incorporate into one's own church web-site. For many of our leaders or are older, this can be a challenge.

People management. Communication management. Supporting our ministries in there projects.

Pros

The people management. It's going to make connecting people, communicating with people and keeping track of our congregation way easier!

Cons

I'm still learning the system and how it works (although its only been a few days). I had to make a change to the computer settings to get the software to send emails through my google account. But the support team was really helpful in providing the external information on how to do it.

Pros

I appreciate their very attentive Customer service and the one-on-one attention that you can receive from the software developers and their support team. They have many videos that you can watch to help you learn on your own time if customer service is not available. Always super friendly and helpful. They operate with the philosophy that no question is a stupid question.

Cons

I do not like the fact that trying to use the database on a mobile device can be a bit clunky. I would like to have an easier sign in process than using my browser application.

Hi Eric,

Thanks for the review. I appreciate it and pray that we serve you well. Have you played around at all with the text to church feature? I have a blog post tomorrow on what we are calling text to me. It essentially takes you to all your stuff by texting ME. We feel this could be a really helpful way to engage your people in all the features of the software.

It¿s a privilege to serve you guys.

Thanks,
Boyd

Easy to use, easy to train others on, and their customer service is the best I have ever encountered.

Pros

We use Churchteams for Small Groups, Sunday School, Children's Ministry check in, Service Groups, Children's workers and background checks. It is a great one stop shop for the church at a decent price. We love that it works on all plateforms as well from PC to Mac and tablet to cell phone. We are always finding new ways to use it and are satisfied with it.

Cons

Yeah it may not come with all of the bells and whistles of social media style connections, but it works well for management and organization. Some of our more tech savey youth would prefer a newer updated software but those others are too expensive and complex.

Hi Don,

Thank you for the excellent review and kind words. Serving you well really is our passion. To that end, any specific ideas related to your younger staff wanting a "newer, updated software" would be really helpful. We are constantly retiring technology debt as we call it to upgrade. Our text driven UI for example is leading edge stuff. If you have some thoughts on that, email me directly - boyd@churchteams.com. I would love your input.

Again, thanks for the gracious review and privilege of serving you guys!

Church teams is so easy to use! We were using a much more complicated (and more expensive!) database prior to church teams. I say "use" lightly, because really no one was using it because it was so complicated. Now that we've switched to church teams, all of our staff is actually using it! It has made their jobs so much easier and has helped us to meet our members needs and get them plugged in. The customer service is amazing! I contacted church teams A LOT when we first started using it. They always got back to me immediately and explained things in a way that was easy to understand. Also, our staff can call them anytime as well. With our old system only the administrator was allowed to contact them (and that was only through email - you couldn't even talk to a live person! Church teams has been transforming!

Cons

I had to get used to not having a calendar feature. It would be nice to have that to track facility use.

I oversee most of the ministries in our church and churchteams has made managing all of those groups a breeze. Can't imagine going back to a life without this management software!

Pros

Churchteams is very user friendly and intuitive. Great for every aspect of managing groups including sign-ups, attendance, reports, follow-up, scheduling volunteers w/built in reminders and so much more! Very helpful in tracking an individual's involvement and spiritual growth indicators. As an added bonus, we recently began using their online giving feature which is less expensive than our previous provider. It has streamlined our book keeping process and made registering and paying for church events an easy one stop process. All that being said, the Churchteams feature I most appreciate is their support team. Very friendly, knowledgeable people who are super responsive - always get an email or call back within 24 hrs. and usually much sooner.

Cons

Technology and I don't normally get along very well and there have been some instances where I had some difficulty running a report I needed. The nice thing about churchteams, however, is that in the few instances where I've run into that issue, I just contacted support and they ran the report I needed for me and then took the time to explain how I could do it myself the next time. Probably will not be an issue at all for someone who knows their way around a computer.
