MINDBODY Software


 

MINDBODY is a cloud-based club management and appointment scheduling solution designed for the needs of small to midsize businesses. The product is primarily used by gyms, fitness and personal training centers, salons, spas and massage centers, wellness centers, dance schools and yoga studios.

MINDBODY offers features such as scheduling with wait list management, appointment booking through Facebook, automated scheduling of email and texts and online bookings. Memberships can be managed through MINDBODY as well.

MINDBODY also features a toolset for marketing management. With MINDBODY, notifications and alerts can be set up for customers, targeted marketing campaigns can be launched and marketing reports can be generated and assessed.

MINDBODY also offers staff management features, which include check-in and check-out management, role-based permissions, payroll management and calendar integration.

MINDBODY offers custom API access that enables third-party developers to integrate their platforms with the solution. The product offers a marketplace for applications that can be integrated with MINDBODY, such as Spafinder Wellness 365, Xero, Perkville, RelateLOOP, Zcubator and WaiverKing.

It looks overall their reviews are not that great.

Pros

Has a lot of good reports that can be downloaded in an excel file. Interfaces with Constant Contact.

Cons

The eliminated the Plan that I was on, renamed it, and then raised the price 50%. If I want to stay where I am at, it costs the same as I was paying and provides basic services.

I only use about 6-7 reports but now I have to pay more for them.

Their CC processing fees are higher than most other companies.

If you are just starting your business, look into price increases. You'll feel like you are forced to go along with the price increases because of the headache of changing to something else.

Pros

Easy to use. Our customers like it and I like how easy it is to set up classes (for the most part). Customers are able to purchase services using the app or in our gym.

Cons

When I started using MINDBODY in May of 2016, my simple plan charged per month. One year later they raised my monthly fee but didn't change my services at all. Today I learned that my plan would no longer be offered. I'm being forced into a bigger plan which I do NOT need and next month my monthly fee is increased hugely. I am a very small business and, now that I'm relying on their software, they are taking advantage. It will be a huge headache, but I will be looking into other gym management software.

I’m sure they software would have been great however problem after problem with the support team on setting up days to train to management over charging us and refusing to work with us regarding that’s it was a nightmare and a huge waste of moneys.

Problem after problem with support trying to get the software going, we were very excited to change to this system, however, being billed for a system that we couldn’t use was a little more than silly. We assigned to a tech that couldn’t work with the hours we need to have staff training, we were not offered another tech with hours that worked for our salon team.
Ever month I tried to get this going excluding canceling clients to accommodate ... so silly?!! Yes.
In the end, I canceled and the company overcharged me a month.
One of the sales members reached out about a year later and offered to help to get me back on the system, I was very greatful and happy as I had heard great things about the software. In the end, I ended up speaking with a very condescending manager about what not only what they were not willing to offer any support for the 7 months of paying and no software but he charged my card twice saying I owed money and didn’t follow threw with providing me access to the site when promised. Very stressful to deal with people who take your money and you can’t get ahold of. I would recommend using another provider if you care about your money

I think these guys have failed to move with the times and keep up with the market. The new price rise encouraged me to look around and I found many options with more features, easier user and customer interfaces and much better customer service. Our business is an appointment and class based health business and mindbody used to be the only software that could cater to both. There are lots of options now with better features for less money.
Customer service has been extremely dissapointing as well. Long holds, no replays to emails no accountability.

Pros

The app is useful though wry limited. Automatic payments and class passes make life easier but now lots of other softwares are offering this too

The backend is not intuitive at all, after 3 years I still need to google questions to work out how to do things.

We used Mindbody for several years with our salon. It is a great software for salons with up to 15 providers. We began to feel constraints however once we grew past that point.

Cons

Mindbody has come a long way with development, and is a great resource for any small salon. It lacks some of the more advanced features found in the top salon softwares out there, but it is sufficient for most salons, and extremely cost effective.

I like that if I have an issue it can usually easily be fixed by an instructor or someone who has instructor access. Logging in for classes is easy and quick.

Cons

The app isn't very easy to use if you want to check your account balance and purchasing things isn't very easy either. You can find everything if you log in on a desktop but even then, the interface isn't the easiest to use.

I love this software. The people are super nice and easy to work with. I use this to run my medical practice. Much easier and cheaper than using a traditional medical billing software application.

Pros

Handles a wide variety of tasks including scheduling, contracts, billing, commissions, reporting, time sheets, and client communications.

Cons

The CRM UI is a little "cludgey". It's hard to view purchases and contracts easily for clients. Integrates easily into your website for appointment scheduling and product purchasing but is very hard to customize fonts.

The customer support was really good. That's about all I can say good about this one! Anytime I needed to ask a question, they were always willing to walk me through the technical side of the website.

Cons

They have a ton of integration with other apps, so, for every tiny little thing extra, you have to pay extra. It's super expensive for what it does. It's tough to learn, and I am super technical. So, if I had trouble with it, the typical business owner will too. Way overpriced!

Takes forever to set up. Trying to figure out the different technical terms that are being used is difficult. They are trying to cater to many different business types and for that reason this software is pretty bloated with things that either don't make sense to us or are not relevant to us. It's also waaay to expensive and they don't offer a trial period.

I think they are too big and can't handle their growth. I started with Mindbody in 2008, and loved it. However over the past 5 years the service and quality has deteriorated to the point where it's painful to try to reach anyone for help. I had to finally call it quits when they more than doubled my rate this month with less than 30 day notice, and even reaching someone to cancel my account was difficult. Good luck to anyone who wants to to try them out. I think there's better options these days. I certainly found one.

Pros

Nice user interface, easy to use once it's set up, easy for client to schedule online, graphics are pleasing.

Cons

Price keeps rising and customer support keeps going downhill. Hold times are impossible, the app continues to be semi-useful, they have failed to integrate decent EHR, very difficult to get help even when you want to close your account. .

Mindbody is great to really enhance the inventory levels at the Spa I managed. It took us from paper and helped us manage inventory and ordering. Made it so much easier for our therapists to see their own schedules and alter them if they needed to.

Set up can take a while, although support was always helpful. Importing information was a project and took a while of course!

I can schedule appointments with clients from my MindBody app on my cell phone, which is then synchronized to the schedule at the site. The saves me the trouble of having to communicate to other staff about scheduling and allows for the site staff to be aware of the place/time I plan to meet with a client.

Cons

It is not easy to add a new client to the system using the phone app, so if someone is not already in the database, there is limited information you can input from your phone.

Very expensive and it takes an arm and leg to make any business changes. When your month is up make sure you get all your schedule/client information because they will lock you out completely and make you submit all this information through email just to see your schedule again. To change bank deposit information you have to go through an insane paperwork process and get charged 100 dollars.

Physical Therapist from a Multi - Discipline Practice

Coming from a practice with many different services, it would be really useful to have different tabs in the documents section that were specific to the specialties. IE have a physical therapy tab for X rays, outcome measures or referrals, and a personal training tab for body comp results.

Pros

Able to schedule physical therapy, personal training, massage therapy and manage group fitness classes and group personal training.

Cons

From a physical therapist standpoint, the SOAP note functional is virtually unusable. Unable to track many key aspects of physical therapy practice (visit number for specific diagnoses, approved visits from the insurance company, approved visits via direct access). We have sought out other services to try to solve this i.e. QuickerNotes without much luck and have ended up taking PT notes completely out of MindBody and in google docs. One of the main features that would help with this would be the ability to export SOAP notes as a pdf as many of our notes need to be sent to insurance companies and physicians. The current system should involve copying and pasting each individual SOAP box and re-formatting, which is incredibly time consuming. The ability to track visit numbers for a specific diagnosis would be incredible and the ability to program in visit limits to stop patients from being able to schedule PT online until visits were approved via insurance of physician signature on plan of care would really set MINDBody online above all other competitors for multi-discipline practices.

quick and easy massage booking late at night when no businesses are open!

I love how easy it is to save my favorite massage clinic in this app and check their availability. Everything is fast and efficient. I also love that they offer discounts from other businesses nearby.

Cons

None of the vendors seems to have bios or photos of themselves in the app. There are logos, but no employee pictures. Would be nice not to pick someone creepy for a massage.

Rates more than doubled after I signed on. As I leave, they charge to retrieve your data and an additional months fee from cancellation date. I really wish I didn't sign up. I spent weeks entering 10 yrs of data from my practice in order to have a cohesive location for my data. Mindbody made a lot of money off of me. This program is intended for multi-users and class schedules.

Easy to use scheduling soft wear. All employees have access to the system and can very easily schedule all clients ongoing appointments.

Pros

I have been using Mind Body Online now for almost 3 years. It's used in my business for scheduling client appointments and for billing purposes. The plate form is very user friendly and enables me to schedule clients for all types of appointments that we use. The fact the we can also bill clients using MBO is a big benefit. It's a perfect fit for my business. They also have an excellent support center to help with any soft wear issues.

Cons

From time to time there are system upgrades that come as a surprise that can take some getting used to. If there are any issues, the support center is great at helping out.

I help manage parts of a local yoga studio that uses MINDBODY to allow their students to book classes. As a student, it's incredibly easy to use. As someone who helps manage the studio, what I really love is how easy it was for us to integrate our real time schedule onto our website. Now we don't have to log on once a month and upload a new schedule. So amazing!

Cons

We have had some students (some who may not be quite as tech savvy) have trouble with booking through the app. Most of the time, though, I believe it to be user error.

It doesn't matter. They stole my money.

Cons

The company is taking an aggressive stance and wants your money and not your loyalty or continued support. In February, the company increased their fees and felt sending a couple of emails justified their unilateral decision about the increase. The refuse to refund citing policy.

This helps me to organize my schedule!

Pros

This product inspires me to try new places to workout! It's also super useful to have many different sports clubs schedules in one place as these can be hard to come by online!

Cons

It would be useful to have a map feature as opposed to just listing the nearest available locations for your search

I like how easy it is to use, you can easily see class times/days and see how many slots are taken/left in each class.

Cons

I wish there was like one universal login for all companies using mindbody. it gets confusing to have to log out and log back in with specific companies links and login information.
