Use of Omtrak for Defects and O&M's
Ease of use, very fast customer service (we're constantly reacting to subbies needs in the field and Omtrak are all over this). Flexibility of exporting and ease of information received.
CONSOnly able to apply Defects to one subbie, for example some issues need two or three subbies to complete a job. Need to create defect workflows. Exporting PDF's can take time when Omtrak says "you will receive a link"
Reasons for switching to OmTrak
Aconex constantly crashes, very frustrating, Field is unusable in the field, Smart Manuals converts all files into machine code references which are unsearchable.

Omtrak - Defects Management
Providing an easy to use system, it has helped us to manage our defects through simple notification and clear advice around management of same. This has provided a great help in closing out defect issues, and assisting in management of client relationships through prompt action.
CONSA fair amount of subcontractor training is required at the beginning of their use, however OmTrak does provide a simple and easy to use help and training section.

OmTrak Review
The idea of the software works is good. However the program needs a complete redesign to make it more user friendly.
PROSOne stop shop for Operation and Maintenance manuals. Takes the pressure off contractors to organise OMMs for Defence regarding GEMS etc
CONSThe program is very clicky. The program doesnt give you enough features or functionality. There are times where ill be in a section and the pop up text box will pop up on my screen but there will be no scroll bar. Basic text editing is needed. Having the ability to resize text boxes is needed. Let project admins add users. Simple task and will take pressure off WebFM Asset section so clunky and clicky. Not very user friendly. Needs to be compatible with multiple resolution/screen sizes. Remove the pop up text boxes all together and have a drip down system. When you click on something - it opens a section on the same screen - with all functions still accessible. Not a pop up text box where you can only do one thing and one thing only.

Easy to use and understand
Omtrak was used by our team and the building contractors. It was used for identifying defects and reporting to the builder for rectifications. On many occassions, simply calling was not an option. We could open Omtrack and get an almost immediate response. I was very pleased with the simplicity.
PROSThe redeeming feature of this software is it's ease of use. Anyone can easily navigate and implement this software. I found that is is much more refined and user friendly than the programs that are used by my company. We used this software during our DLP ( Defect Locating Period). Correspondence between my team and the contractors was enhanced by speed and eliminated the game of phone tag.
CONSI cannot say there was anything negative about my experience.

OmTrak-Start to Finish
We have used OmTrak on numerous Instituitional, Government, Commercial and Residential Projects in Australia and Asia and found it consistently superior to other alternate document control software.
PROSThe ease that documents and project communications can be written, uploaded and delivered/reviewed
CONSNothing comes to mind in regard to negative issuses

Landscape maintenance manuals
Our only involvement is reviewing operational manuals submitted at Practical Completion of landscape projects. The manuals are submitted by builders, landscape contractors or irrigation contractors for approval. These are often incomplete and it is frustrating to get responses from contractors when portions of manuals are rejected.
PROSNothing. Note that we don't choose to use OmTrak - the choice is made by builders that we work with.
CONSWe are currently administering a landscape contract with a 12 month maintenance period after Practical Completion. We are sent a monthly OmTrak submission even when there have been no changes made. The program is not easy to navigate for an occasional user.

It would be a great help if you could tell us what would make the UI easier to navigate so that we can use your feedback for improvements. We already have a mobile app for onsite access and training opportunities with our Business Managers. In relation to your frustrations with the other parties using the software, there has been a lot of industry talk around compliance and stricter rules for Builders managing their O&M Manuals and Building Information. I dare say that stricter compliance will mean contractors need to be on the ball when it comes to submitting complete and accurate operations manuals. OmTrak Review
It has some good features but lacks smoothness of other similar products.
PROSThe custom-ability of folders and stages.
CONSReviews only being pass or reject. Would rather give them a comment to fix something up to allow a pass review rather than an outright reject. The inability to stay logged in. Having to explain that I am not a robot every time time I log in. The clunkiness of moving between stages and disciplines.

Pass or reject - You can send an email without passing or rejecting with instructions to fix something and once it is fixed, you can pass it. 2. Stay Logged In - We follow security processes to keep our customers information safe. We use this process for now, but will look at other options. As long as we don't compromise security. 3. Clunkiness - Unsure what you mean. If you are referring to cross checking. We suggest duplicating the tab in your browser and cross checking stages with disciplines this way. 4. Lacks Smoothness - again not sure what you mean. We have simplified the OmTrak UI as much as we can whilst keeping the features accessible. This, we hope, allows a smooth Ease of Use. Intuitive to use
Had OmTrak been used from the start of the project the benefits would have been even greater with respect to document management and communication protocol. It's easy to track emails, RFI's. We love the Siteworks module for managing defects

Great product. Needs minor tweaks
The ease of use and the site works template is customisable making it fit multiple uses.
CONSThe mail review process is not very project friendly and can cause issues when trying to work on major projects with multiple threads.

Web Fm Manuals
We are a fire protection company that does design and install. Using OmTrak is easy to use and easy to teach to anyone who is unfamiliar with the soft ware.
PROSEasy to use, separate sections that clearly set out project design elements and materials. Maintenance section is very easy also as it has a choice to have industry standard template of maintenance or you can input a custom one. When you have finished inputting the data you can select to have a copy in pdf sent to your email.
CONSReview of the sections could be better with comments of sections in larger writing. Being able to unlock a section to edit would be better than having to email the system administrator.

OMTRAK for Maintenance
Allows for all assets to be tracked. Useful for large projects with 1000's of maintainable assets.
CONSReview process can be cumbersome as new information cannot be added until review has been rejected back to stage 1 of the process.

OmTrak for Electrical Services Design
It is a good platform especially for O&M Manuals review and sign-off. It has features for users to add/track history of and review. The software allow documents to be organised to suit user preference.
CONSThere isno option to open an item that has been reviewed/approved. Which mean, once it is approved, it cannot be changed. There should be a feature to change even if the item is reviewed.

OMTRAK
Information being contained to the one system instead of documents being sent at different times to different people has been a great time saver.
PROSThe "Site Works" function is good as it keeps an accurate list of defects to be completed. Being able to upload all of your documentation on the one system is valuable and saves time.
CONSNot clear when you upload information whether it has been sent or seen by anyone. I haven't received training on Omtrak, but I found it hard to discern if I'd uploaded correctly and the information had been sent to the appropriate people. It's not clear.

Total understanding and control from cradle to grave product and service
Ease of understanding with control and monitoring on the whole development on a daily bases. With added value, you can control all soft and hard FM functions up to 50 years keeping your but mainly The client in control whilst keeping costs down.
CONSAt this time I can't say but I can see why subcontractor or suppliers will not like this product and the services it can offer not only to the main contractor or the developer but the end user.

Pretty happy with the software and I would continue to use this into the future.
PROSFunctionality and ability to use it for document approvals - makes the process easier to manage rather than using emails where it is difficult to track and administer. Overall the functions are very well thought of for managing documentation.
CONSIt was a little slow or laggy - I suspect this is more to do with the size of the content rather than the software.

Makes O&M's Professional
Trackability, usability and professional result have all been improved with the use of OmTrak.
PROSMultiple people can work on it at the same time. You can see what you've achieved and what is remaining. Excellent reporting and exporting.
CONSSome inflexibility in moving sections around, but this is only a problem in some areas not all.
