About Dropbox Business

Dropbox is a cloud-based file sharing software system that caters to individuals and businesses of all sizes. This solution allows users to share files and send file requests to people even if they don’t have a Dropbox account. Multiple users can leave comments on files and can collaborate with Microsoft Office. The solution can recover deleted files and maintains version histories in case users want to recover old file versions. It also keeps track of all actions performed on specific files. Advanced sharing enables only selected users to see important files, and files can be remotely wiped if sensitive data gets compromised. Dropbox can also back up all photos as they are added. Dropbox also provides an admin panel to control files centrally. User licen...

Dropbox, an incredible platform to protect and store documents, to share them with coworkers.

I have used Dropbox in both Windows and MacOS environments and its behavior is extremely stable. A learning curve is not required for its use, since it is quite intuitive, and frees us from worrying about the protection and correct storage of our documents, to deal with the most important thing, which is precisely the operation of our company.

PROS

One of the features that I have loved the most is selective synchronization, since it allows me to keep the documents that I work with regularly updated, and not occupy additional local space on my device for those directories that have documents that I am not working on. So, when I spend periods of time on my laptop without connecting and I decide to access Dropbox, the synchronization will be fast and effective.

CONS

There are great features in Dropbox that we learn as we use it or investigate how it works; for example: a blue folder with a person symbol is a shared folder, maybe with some difference for mobile apps or desktop app. In the same way, we have excellent icons that let us know when a folder is shared with others or that it has been shared with me instead. In general, it is very intuitive and its usability can be described as excellent.

Reasons for switching to Dropbox Business

It has many features that allow you to organize corporate documents in a more efficient way.

It lacks some improvement, even so, I think Dropbox surpasses its competitors

To give a simple example. I recently implemented it in a company that depended on a server, with its access permissions to each folder based on windows permissions for each user. One less team to maintain in the company, it is not necessary to have a server on 24 hours a day, permission management is simplified, simultaneously you have everything with a backup in the cloud and also a catastrophe recovery system. The change has been almost transparent for the employees, who in an hour were already working at full capacity without appreciating changes in the way they work, and with the improvement of being able to work simultaneously on documents.

PROS

Let's start with the basics, it is a good backup system in the cloud, with version control and the ability to restore in case of any disaster.Let's continue with the fact that it is not linked to companies like Google or Microsoft, so it allows us to work with any type of document, integrating some complements in a very simple way.The management it makes of the use of documents that are only online (those that we rarely access) and those that we actually have on our computer for daily work is great, so for example, we can have 5TB in the cloud and that we only have 100GB on the computer, which allows us to use computers without much storage capacity or rely on external drives. And you can't miss being able to collaborate in the creation of documents, manage access permissions, share files or folders with third parties, transfer large files, be able to work from any device...

CONS

More permission control is missing, it leaves a lot of freedom of action to the team members and sometimes you have to act on the computer of each one of them so that everything is well managed.I would also need more folders, besides the basic system ones, to be able to be added to the backup when they cannot be located within the Dropbox folder.

Reason for choosing Dropbox Business

More storage at a lower cost, and being able to work with Microsoft 365 or Google documents or any other type of document.

Reasons for switching to Dropbox Business

It was complicated for a normal user to be able to manage the services, it required a server on 24/7, a backup and disaster recovery service that exceeded the cost of Dropbox itself, server maintenance, expanding its storage capacity over time and We cannot forget that at the moment the energy cost is very high.

Dropbox is a solid 9/10

Honestly a solid 9/10, apart from some of the small bugs I've found here and there this works perfectly. Never had any issue with this app whatsoever

PROS

The fact I can share, view and move files on the go using the mobile app, as well as the fact sharing is as easy as it is.

CONS

Sometimes Dropbox has spikes in which it's not as fast as loading files, but this could be an issue regarding internet speeds.

Reasons for switching to Dropbox Business

Dropbox allows me to store more for less.

Still A Clunky Product After 5+ Years of Use

Dropbox Business has, for the most part, been our media company's go-to file storage and sharing application since we began primarily working from home a little over a year ago. But after 5+ years of consistent use, I can't say I've noticed a significant improvement in the software's usability. We still seem to experience the same issues we did when we first began using the software. We've been on the lookout for a software to switch to for some time, and may just officially make the move to Frame.io some time in the near future.

PROS

In terms of basic file sharing (documents, videos, or audio files), Dropbox Business gets the job done. There are some basic features available which allow you to customize the files you've shared (you can set files to be non-downloadable, password protect them, or even set the shared link to expire after a certain date). One of the features we've found the most useful as a media company is the ability to send out a File Request. This is a feature that allows you to create an upload link that can be shared out to as many people as you need. Once members of that group have uploaded files to your Dropbox using the link, the files will appear on your Dropbox, in a folder that you've preconfigured to be associated with that file request. Users cannot see what exists on your Dropbox on their side, but you're able to secure the files you need. While there are some helpful, advanced features, all in all I would say Dropbox Business will probably work just fine for your purposes if you aren't too concerned about having a bunch of fancy features.

CONS

I seem to constantly run into strange issues when using Dropbox. For example, although you are able to see all of the files that you've recently deleted in the Trash, you are not able to search the Trash. You can only perform a search for files that are still technically "live" on your Dropbox account. So if you need a file you think you've deleted, you have to scroll through the Trash and search for it yourself. I would think that regardless of what exactly you or your company is using Dropbox for, a search bar feature for the Trash would be useful, and would save you a ton of time. Additionally, more often than not, the progress bar on the bottom of the browser might say a file has completed uploading, but the file won't display on the screen. A refresh seems to do the trick, but this is a longstanding issue we've run into, and contributes to my overall perception of Dropbox as a "clunky," outdated software.
