I used Greenhouse for over a year and found it to be a good, reliable ATS for managing candidates and supporting a structured hiring process. Its integrations, automation, dashboards, and communication tools were a significant improvement over the simpler systems I had previously used. At the same time, my experience may not represent everything Greenhouse can offer because the platform did not appear to be fully configured for advanced recruiting workflows at my company. Access restrictions also meant that recruiters could not use many features without administrator or manager permissions. Overall, it handled the core ATS functions well, but my experience with it was less flexible and advanced than with some newer platforms.

Greenhouse was the first ATS I used with meaningful automation and integrations, after previously working with much simpler systems. Its LinkedIn and email integrations made candidate management and communication easier, while its dashboards provided useful visibility into recruitment activity and the hiring process. Overall, it offered a more structured and efficient recruiting workflow than the basic ATS platforms I had used before.

Greenhouse does not offer native candidate outreach sequences, which limits its usefulness for sourcing and managing follow-up campaigns. Recruiters may need to use a separate tool for automated, multi-step outreach. My access as a recruiter was also quite limited because many features were only available to administrators or managers. Greenhouse ATS has added structure to our TA process. It is intuitive and recruiter friendly. Interview plans and scorecards raised the bar for both candidate experience and how our team interviews. All tasks and communications are well documented, including screens, interviews, scorecards and offers. Access level can be customized so hiring managers don’t get to “do their own thing” anymore, which is a net positive and helps with data integrity. They have a responsive tech support that quickly responds to help resolve issues.

Reporting is fine for basics but not as robust as we'd like, especially when leadership asks nuanced questions. Candidate satisfaction survey needs improvements for reporting and CRM, and rediscovery are weak compared to other tools.

It does what a modern ATS should do. The gap is adoption — the tool is only as good as the discipline of the team filling it in, and it doesn't do enough to reduce friction for occasional users.

The structured interview kits make it easy to standardize feedback, and the integrations with our existing tools fit into the workflow without much friction. When everyone uses it consistently, it's one of the better tools for keeping searches organized.

Scorecard submissions are too easy to skip for people who aren't in the tool daily. Feedback ends up scattered in other channels instead of centralized in Greenhouse. Better nudges after interviews, especially mobile-friendly ones, would go a long way toward driving adoption.

Greenhouse is the best structured hiring system of record on the market, but it currently feels more like a static database than a proactive system of action. For a team like ours at Built, currently moving to a 65% strategic/35% reactive split, we find ourselves having to build external AI orchestration or buy third-party tools to handle what should be native: high-volume fraud prevention, complex auto-scheduling, and bulk workflow efficiency. It provides the essential data foundation, but the manual 'tax' required to operate it daily is becoming a bottleneck for a modern, lean People team.

-Fraud & Spam Vulnerability: The 97%+ fraud rate in Engineering applications is a massive operational tax. I am disappointed that solving a baseline security and quality issue requires a significant financial upgrade to "Real Talent". -Automation Gaps: Native scheduling still lacks the complexity needed for an AI-native function, currently consuming 1,000–1,700 hours of team capacity annually. -Bulk Action Friction: The inability to easily mass-reject candidates after applying specific filters (required skills, etc.) creates unnecessary manual work. -UI Inefficiencies: Small but frequent friction points, such as only saving the last 5 pasted URLs, add up to significant time waste when trying to personalize scheduling confirmations with Hiring Manager LinkedIn profiles. -We don't have a talent coordinator or anyone in recruiting ops, meaning our recruiters have to do all the manual setup. Greenhouse is extremely "click-heavy." It takes a lot of manual effort to set up a job properly, or to do something as simple as pulling up a job description, and its internal reporting often requires exporting data to Excel to get real insights.

Our experience with Greenhouse has been very positive. We implemented it to replace a limited ATS that lacked scheduling, automation, and reliable reporting. Since switching, we have significantly improved hiring efficiency, candidate experience, and internal alignment with hiring managers. It has allowed us to scale recruiting across multiple markets while maintaining consistency in how we evaluate candidates. Structured interviews, automation, and better pipeline visibility have been the biggest drivers of impact. It is not a plug-and-play solution. You need clear processes, training, and ownership to get the most out of it. But if implemented correctly, it becomes a powerful system that supports both high-volume hiring and more strategic roles.

Greenhouse has been a major operational upgrade for our recruiting team. The biggest wins are structured interviewing, scheduling, and overall pipeline visibility. The scorecard system allows us to standardize hiring across markets and reduce bias, which was a major gap in our previous ATS. Automated reminders for interview feedback have improved hiring manager accountability and speed. Scheduling is seamless compared to legacy systems. Candidates can self-schedule, which cuts down on back-and-forth and improves time to fill. The CRM functionality is also a strong addition. We can proactively build pipelines, nurture candidates, and run targeted outreach campaigns instead of relying solely on inbound applicants. Reporting and integrations are another highlight. Customization can sometimes feel rigid. While structure is a strength, certain workflows or reporting views require workarounds. The reporting is powerful, but not always intuitive out of the box. You need to spend time building dashboards or exporting data to get exactly what you want. Cost can also be a consideration, particularly for smaller teams, though it is justified if you are hiring at scale.

I am a daily user of GH and use it to hire and source all of our candidates and now employees. I have used LinkedIn recruiting before and it blows LI out of the water. This makes hiring and keeping track of all stages, responses and resumes in one place. You also have the ability to tag other hiring managers and ask for their opinions instead of having to email them separately. Everything is in one plane.

It offers solutions for most recruitment activities, and detailed reports. Although it sometimes has deficiencies in terms of aesthetics, for the company's needs it is more than ok. In order for this to work correctly, the Recruitment team needs constant training.

The most disappointing thing was their way of negotiating contracts. After a 2-year contract, instead of building our loyalty, they bombarded us with an astronomical price offer. In the end, we managed to reach a conclusion, but the people we were in contact with seemed to have no interest in keeping us at the beginning.

One of the biggest downsides of the platform is that there are limits to customization, especially when trying to scale for bigger companies. One thing I noticed was that the custom parent fields are only limited to 25 options. Another is the reporting function. While custom reports exist, there are many limitations that cause me to have to pull multiple reports and put them together instead of just doing one report. The reports don't get as granular as I need them to be sometimes.

I like that you can add notes and track the candidate's process. I like that you can integrate DocuSign for the offer letters and that you can do lots of customizations. I also like the direct feed into LinkedIn.

What I like most about Greenhouse is the user interface. It's very easy to navigate making it user friendly to all who use it.

#### Cons

Regarding what I like least about Greenhouse is how sometimes information may not be displayed and while it's a very small technical error, Greenhouse still remains to be preferred for us.

#### Pros

Very rarely any outages, maybe once in the last 3 years that I've been using it. I like being able to email candidates, schedule interviews, post jobs, etc. all from one main source of truth.

#### Cons

It can be disjointed and not very logical at times. For example, the new notes section that highlights if there is a duplicate profile or general warning note about a candidate is hidden in a tab on the bottom right now, vs. automatically showing it when you open a candidate's profile.

Overall very good. And more recently I feel they have listened to the customer and made some good product updates such as Talent Rediscovery.

Great support and chat bot when you need to update something from the admin side. To be honest the person on the team that was more our Greenhouse expert has left and I am now in the tool alot more and overall I find it not as difficult as I expected.

#### Cons

Its not super intuitive at times in regards to the configure settings. Its not a problem though because the chat bot and support has always been extremely helpful.

It simplify a lot the recruitment process, also, the reports are very helpful to show the managers the progress that we do in the different positions that we have open.

I would like to have the option of customize statistics to the reports, not only create charts and generic statistics.
