I've been using OnPay for 6 years and have never run into a problem. I was able to purchase the platform online and complete setup with no instruction or additional phone calls. It is much cheaper than the big payroll companies and has all the same bells and whistles.

- Customer support: 5/5
- Functionality: 5/5

#### Pros

OnPay is a great solution for any size business. It is a great value for the money. It's easy to setup and even easier to do a payroll run. You can run your 401k, loans, medical, etc. deductions easily. You can track attendance and run reports.

#### Cons

I haven't run into any cons yet. I love that a payroll run takes me less than 5 minutes and I can adjust/control everything on my end without phone calls or support chat.

#### Reasons for choosing OnPay

It was the best fit for our small business.

#### Reasons for switching to OnPay

Overall, OnPay has proven to be a reliable, secure, and highly effective solution for payroll and workforce management. Its combination of strong performance, excellent customer service, valuable HR tools, and affordable pricing makes it an outstanding choice for organizations seeking a comprehensive payroll platform. We highly recommend OnPay to other small businesses, healthcare organizations, and nonprofit agencies looking to streamline payroll operations and enhance workforce management.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

OnPay has been an outstanding payroll and workforce management solution for our organization. As a growing mental health agency, we needed a platform that could efficiently manage payroll while also supporting employee administration, time tracking, and compliance requirements. OnPay has exceeded our expectations in all of these areas. Security is one of the platform's greatest strengths. We appreciate the confidence that comes with knowing sensitive employee and payroll information is protected through secure systems and controls. The platform provides a safe environment for managing payroll records, tax documents, direct deposit information, and personnel files while maintaining appropriate levels of user access and privacy. From a value-for-money perspective, OnPay delivers exceptional functionality at a competitive price. The pricing structure is transparent and easy to understand, without many of the hidden fees or costly upgrades often associated with other payroll providers. The inclusion of payroll processing, tax filing, employee self-service tools, onboarding capabilities, and workforce management features within a single platform makes it a highly cost-effective solution for small and medium-sized organizations. Customer support has consistently been responsive, professional, and knowledgeable. Whenever questions arise, the support team provides timely assistance and practical solutions. Their expertise in payroll processing, tax compliance, and system functionality has helped us resolve issues quickly and maintain confidence in the platform. OnPay also integrates well with our accounting and expense management processes. Payroll information is organized clearly and can be easily accessed for budgeting, financial reporting, and reconciliation purposes. The system simplifies administrative workflows and supports accurate financial management across the organization. The time tracking and attendance features have significantly improved workforce management. Employees can easily track hours worked, monitor attendance, request paid time off, and review leave balances. Managers benefit from streamlined approval processes and real-time visibility into staffing and attendance information. These tools have reduced administrative burden while improving accuracy and accountability. User access management is another area where OnPay performs exceptionally well. The platform allows administrators to assign appropriate levels of access based on employee roles and responsibilities. Employees can securely access their own payroll and benefits information through the self-service portal, while administrators maintain appropriate oversight and control of organizational data.

#### Cons

Customization is a bit limited. While OnPay offers standard payroll and tax reports, some users report that highly customized or sophisticated reporting capabilities are not as extensive as those available through larger payroll providers. Organizations requiring complex data analytics may need to export data for additional analysis.

#### Reasons for choosing OnPay

OnPay tends to provide most of these features in a single package without requiring numerous add-ons, which is why many small healthcare, counseling, and nonprofit organizations find it attractive compared to larger enterprise systems. For Joi Counseling Center specifically, the strongest competitors would likely be Gusto, QuickBooks Payroll, and Paychex Flex, with the decision largely depending on whether the priority is accounting integration, HR functionality, or overall cost.

#### Reasons for switching to OnPay

Joi Counseling Center transitioned from QuickBooks Payroll to OnPay after evaluating the organization's evolving payroll, human resources, and workforce management needs. While QuickBooks Payroll provided adequate payroll processing capabilities, OnPay offered a more comprehensive and integrated solution designed specifically for payroll administration and employee management. One of the primary reasons for the transition was OnPay's enhanced human resources functionality. Unlike QuickBooks Payroll, which focuses primarily on payroll processing and accounting integration, OnPay provides built-in tools for employee onboarding, personnel record management, document storage, time and attendance tracking, paid time-off (PTO) administration, sick leave management, and workforce reporting. These additional features allow the organization to manage a broader range of employee-related functions within a single platform. The organization also found OnPay's pricing structure to be more transparent and cost-effective. Essential payroll and HR functions are included within the standard pricing model, reducing the need for additional subscriptions, upgrades, or third-party integrations. This has allowed Joi Counseling Center to access a wider range of workforce management tools while maintaining fiscal responsibility. Ease of use was another significant factor in the decision to move to OnPay. The platform's user-friendly interface simplifies payroll processing, employee onboarding, leave management, and administrative reporting. Staff members require less time to complete payroll-related tasks, reducing administrative burden and improving overall efficiency. Additionally, OnPay's workforce management capabilities provide greater visibility into employee schedules, attendance, PTO balances, sick leave usage, and other personnel information. These features support more effective organizational planning and decision-making while improving accuracy and accountability. The transition to OnPay has enabled Joi Counseling Center to streamline payroll and human resources operations, improve workforce management, enhance administrative efficiency, and provide employees with a more accessible and transparent self-service experience. Overall, the move has resulted in a more comprehensive, cost-effective, and scalable solution that better supports the organization's current and future operational needs.

#### Pros

OnPay provides all the payroll, tax compliance, and vacation tracking services we need, in an easy to use interface. Our previous payroll company had no way to denote a QSEHRA, and provided poor customer service. OnPay is responsive, helpful, and innovative, especially around many COVID changes and services.

#### Cons

Sorry that the price is increasing, but I get it.

#### Reasons for choosing OnPay

Price and ease of use

#### Reasons for switching to OnPay

No ability to document QSEHRA payments.

We've had a great experience with OnPay. Their software has been exactly what we needed especially with a small administrative team and not wanting to spend a lot of time on the payroll. In addition there have been times where I've needed support from them and I was able to get it in a timely manner and they handled the issue that I had.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

OnPay is very simple and straightforward to set up. It handles the different situations we have between W-2 employees and 1099 contractors. It also handles the complexity of W-2 employees across multiple states, dealing with different tax situations.

#### Cons

I would like to be able to automate the payroll process. We have some employees who are salaried and always on the same pay scale so it would be nice to be able to automate that. At this point I'm not able to do that.

#### Reasons for choosing OnPay

I've used this product before and found it to be bloated and not really sticking to the core of what a payroll software is.

Overall, OnPay is a fantastic company and I enjoyed utilizing their services. If it weren’t for the fact that our new POS system contains an all-in-one payroll, time keeping and taxes app, I would probably still be with OnPay.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

The ease and convenience that OnPay provided was fantastic. I never had to worry if employees got paid on time or not. And then automatically taking care of payroll taxes and filing everything for me was great!

#### Cons

The only thing I didn’t like is that if there was anything wrong with payroll in any particular week, they completely lock you out of the account until it’s fixed. It makes it difficult to be able to tell exactly what’s going on when you can’t access your own account.

#### Reasons for switching to OnPay

Toast was far too expensive and not nearly as easy to use and understand.

Everyone is nice but this has been a frustrating process. If you have never done payroll before I would use a different company, this has been a lot.

#### Ratings breakdown

- Ease of use: 1/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

Everyone I have spoke with has been very nice, pricing is decent and the website seems to function well

#### Cons

It is NOT a one stop shop, I have to speak to 1 person/department for this, another person or department for something else and another for something else. It is a lot of transferring and not sure I am doing it right because there are so many steps and people to talk to. I am sure once fully set up it will be fine but not an easy/user friendly process for a first time person

#### Reasons for choosing OnPay

The ads where misleading, it labels itself as easy to use and a one stop shop. If that were true I would not have had to set up 4 different appointments with 4 different companies or departments

We have had a good experience with OnPay. There are very few issues or errors and, when there are issues, the OnPay team has solved them in an expedient manner. Over the years we have realized significant cost savings due to the ease of use of OnPay. General business or managerial staff can easily run the system instead of paying a service or hiring a payroll professional to manage payroll for larger groups.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Functionality: 4/5

#### Pros

OnPay is easy to use with an intuitive interface. It was a good product for a small company of just a couple people and it has continued to work for us as we approach 20 people. It is also reasonably priced and does not overwhelm users and administrators with too much complexity.

#### Cons

The thing we like least about OnPay is the way paid time off (PTO) accrual growth is calculated. We grow PTO accrual every year of employment up to 20 years and that requires employees to be moved into new PTO growth categories every three years. We could just choose to do our PTO differently, but we wish OnPay had the PTO growth flexibility to accommodate our preferred methods.

#### Reasons for switching to OnPay

We were very small and ADP was too difficult for our staff to handle at the time. We also did not want to pay for the payroll service at the time due to the cost.

Our office has cut out hours & hours & hours of being in hold with our previous payroll service. This also cut out our frustrations and has helped our sanity and enjoyment of processing payroll. When your IT works, you are happy and when it doesn't, you pray for good customer service.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

Customer Service is top-notch. They help you set up new clients. They respond to emails quickly. The Chat area is just as knowledgeable as the phone service. Yes, I did say phone service. They still answer phone calls!

#### Cons

Not as easy to set up if you are paying one employee multiple workers comp codes and on salary. Also, I have not been able to set up my Farm that pays "picking by pound" & "picking by crate" prices.

#### Reasons for switching to OnPay

QB customer service has steadily gotten worse over the last few years. Their Payroll Tax employees started paying our payroll taxes incorrectly, filing forms late and then the experience in working with them to fix it is a NIGHTMARE. Also, QB charges more than OnPay.

I have an employee with two local city withholdings and a school district withholding that I thought I was going to have to manually withhold for---turns out that a few minutes with online chat support is all it took to get Onpay to handle it.

#### Ratings breakdown

#### Pros

Easy to Use Great Support Inexpensive Handles multiple local withholdings easily Saves me a lot of time dealing with multiple tax filings

#### Cons

I didn't like that there might be multiple w-2 forms for one person in some cases, but honestly it wasn't a big deal to just add them together for tax prep.

#### Reasons for choosing OnPay

Ease of use and low cost.

#### Reasons for switching to OnPay

Paychex was more expensive and I had to deal with some tax filings that Onpay takes care of for me.
