Rota Cloud admin user review
Positive, has helped these businesses manage rota's and staff working across multiple locations with variable hours, cloud-based platform is better as staff can access the rota at any time, from any internet enabled device

Best Rotating System out there
brilliant, a rota system game changer
PROSRota cloud have been a massive influence on making my job easier and quicker, I've managed to run a payroll not being at an computer. i use two separate accounts one is for staff 22 user and the other is volunteer of which we have about 110 users. For both of the two accounts i manage its has been really easy for people to pick up and because i work we people with different strength almost all have pick it up straight away.

It was easy to set up and for all stakeholders to use and understand. It has definitely filled a much needed gap for communicating working hours, absence management, payroll reporting and has increased the availability of management information.
PROSThe functionality to get effective information for processing payroll and support business management analysis.
CONSIt lacks a little flexibility as not all our workforce are rota-based and so functionality and reporting can be limited for parts of our workforce.

Excellent Product
Great - staff starts and finishes, holiday accrual - vital. Ease of use. Just a really great product.
PROSUK based- rapid response to queries. Very user friendly - extremely reliable. Employees can use it easily. Easy administrative function. Multiple sites and roles and staff can be managed.
CONSStaff have to use 'Other Leave' for appt requests or shift swaps. Maybe a different tile? Not sure what. 'Request' - don't know

Uk based - seemed smaller - was based in Yorkshire - I think new grads who were enthusiastic and when contacted always an immediate response. And it is a jolly little user interface and easy to use and oddly flexible.

Great system, great customer service!
Overall, RotaCloud is our life saver! All of our team benefit from each feature on RotaCloud, from managers to HR to care coordinators to our health care assistants.The customer service is one of their greatest features, as all the team are so helpful, friendly and professional!
PROSFirstly, the customer service from RotaCloud is outstanding, they are always on hand to talk, they are friendly and always do their best to help you via their chat service. It's a great balance between professional and fun, myself and the team will send funny gif's and memes!The system itself is put together very well and is very user friendly - its very easy to schedule shifts on the Rota, to complete time sheets and monitor annual leave. The reports system is an amazing feature, it breaks down everything from sickness reports, to how many hours worth of shifts per month. It saves us a lot of time working it out individually. It is my favourite feature working with HR. Another great feature that we use all the time is the bulk action tool, which allows you to move shifts from one employee to another in one go, rather than one by one. It saves the company a lot of time!
CONSA feature that would need to be improved on timesheets would be that it would be helpful if when there is a missing clock in record, it flags up which clock in record is missing, rather than flagging up the day. Due to the nature of our business (community care) our staff can have 10+ shifts allocated per day. So when it flags up, it becomes quite time consuming to go through each one to check where the missing record is! We are currently experiencing a bug with the bulk action tool whereby we are unable to bulk action any shifts from the "open shifts". However, this has been reported to Meg and she has been a great help in getting this looked into!

RotaCloud for performance venues
After struggling with a very complicated spreadsheet that was difficult to update, share and distribute, Rotacloud made a huge difference to our calls system.
PROSIt is easy to create calls and shifts and to then use Rotacloud to check that there are the right number of people with the right skills in the right place at the right time.It also allows employees to see notes about the shift and what will be expected of them.Rotacloud was recently updated which made it even easier and more effective to use.
CONSTo access the Bulk Edit feature meant upgrading to the next level which was more expensive and unlocked many features that we don't need. So a more modular upgrade system would be nice.

Rota Cloud for Heath Care Sector
Very good. Customer service is great but as we grow we would like weekend support as well. we are a 24/7 operation
PROSEase of implementation and ease of use. Very Very easy to use
CONSSome areas are being developed. Would like to be able to put staff changes on in advance so they come into action on the specified date. At present have to sent a reminder in my calendar.Not able to control who picks up available shifts - so don't use this function. We have to consider skill mix in our rotas.We would like a HR option as well but cost is a factor - we are a charity.

Generally much much better. Easier to use. As a company they listen to your issues and see where they can develop and help. People planner had no flexibility.
Reasons for switching to RotaCloud
Old system - very hard to use and they wanted lots and lots of money to update.Rota Cloud integrates with payroll really well. We liked the way the development team listened to us.

Really helpful on a day to day basis
Rotacloud provide me with great customer service when I've needed to reach out to check different access levels or if i've ever had any queries I couldn't manage myself. They're always friendly and polite and help me within a really quick timeframe which is amazing. Everything on rotacloud is very simple and does not require a lot messing around on the system and is straight forward for every employee to use.
PROSThe software is easy to use, it's easy to manage your employee's scheduling and whereabouts daily, even able to separate them via their teams and view as a team. One of the easiest online systems I have used. Also really like the report format of Rotacloud so that took a huge part of my day back being able to run reports easily via rotacloud.
CONSNot being able to share the teams holidays with individual teams as each team would see every employee's holidays not just their own team.

Would recommend to all
We are saving time which is the most important feature of all.
PROSWe are only using the scheduling feature at present but it just works so well! We are looking seriously into upgrading and potentially losing some other systems as RotaCloud seems to do it all. one of the best features of RotaCloud is the customer service, whenever we have had questions they have been answered swiftly and professionally and always followed up.
CONSI can't think of anything to add here at present.

Not perfect, but pretty good
The cons I describe above are really small, and are 'enchancements' or dev requests more than problems. I could not run this business without RotaCloud!
PROSBeing online means I can create rotas at home or work, and the app means team can access their rotas in the way that's easiest for them. I like being able to copy a shift from one day/person to another, and being able to copy a week's shift from one week to another. The reporting is good also, enabling me to do payroll easily.
CONSA few things are bit fiddly and could be improved. 1. having to change between publish mode and rota mode. it would be better to be able to publish a week with a button, or a right click for just one shift. 2. it is cumbersome having to create holidays in a different screen. it would be better to be able to do it from within the rota screen. 3. if I'm creating a rota for next week, and then navigate away to, say the holiday screen, when I go back to the rota screen it will go back to THIS week not the week I was editing. On more than one occasion I haven't spotted that and erroneously then edited THIS week instead! 4. it would be great to be able to include paid leave in the report so that I know to include that person's day in a pay run. At the moment, I have created a role of 'paid leave' so that their holiday hours get included in their hours for that week 5. I like being able to see how many shifts a person has for that week (ie in a row) but it would also be helpful to see how many shifts are logged for each day (ie in a column).

Transformed our rota system
Prior to RotaCloud we used an excel paper copy of the rota. This was 'messy' and difficult to see exactly who was working what throughout the month. By the end of the month the paper version had numerous alterations as employees have time off through sickness or other personal issues / appointments. RotaCloud allows efficient changes to be made meaning any regulatory bodies looking at rotas have a clear and concise view of events. Time has been saved as when shifts change the system notifies all employees of availability at the home. This means that we are no longer calling round all employees which had impacted on their down time. Employees have also embraced the system using this to pick up additional shifts where they are available. Internal monitoring has improved as the management and HR team are now able to see 'real time' data of employees working patterns as well as any HR issues. The ability to add leave onto the system means creation of rotas is now more efficient with less mistakes made as well.
PROSThe ease of use of the system and the short amount of time that is required to set up. I was able to implement the system for our company within 1 day which included inputting of the rotas 4 weeks in advance. Employees are now able to see their shifts at any time through the mobile app or browser and are able to see any shifts which need covering. The cost of the system pays for itself purely from an administration point of view as we do not need to call round all employees for availability.
CONSThere are different price structures for different features and from our point of view it would be easier to have one price for all access.

Not applicable - RotaCloud is the first online system we have implemented after researching a number of options. RotaCloud was not only the most suitable to our business, it is also very competitively priced.

Rota's made simple
We have been using rota cloud for a few years now, and it has really helped our business become organised with staff rotas and has been a very easy and straight forward transition from excel spreadsheets to rota cloud. Customer service is excellent. Easy for managers and employees to use! Building a rota is so simple and time efficient.
PROSRota cloud is a really easy to use and straight forward app. When ever support is needed to make changes on rota cloud, the Q&A and help tool often has all the answers your looking for, however for those times where the query is more complex, the live chat service is very useful, and the team at rota cloud give very speedy responses and resolve any problems almost instantly! Excellent customer service
CONSI have had a few problems in the past with rotacloud syncing correctly with peopleHR and the process to link the two correctly can be a little confusing if information isn't coming across from peopleHR. The reporting of employees is a basic overview and would be nice to see some more straight forward in depth reports

Very handy app. Love having all the information I need all in one place and super easy to use
Having all the information all in one place makes everything so easy. It has completely cut the time it take to do a rota, the lay out makes it all so straight forward. I use the staff more efficiently, instead of having 6 staff on in one day where they are not needed or not having enough staff for a day. I have been able to move them around to times when they are needed because the layout makes it very clear who is on and who you need.
PROSWhenever I need help or have a question one of the lads will reply more or less straight away, they talk me through what I need to do. Its great not having to go through diaries or spreadsheets trying to figure out when people are on holidays , with one click I have all the employee holidays in front of me. I never go over my hours limit, it adds it up for me itself which saves the company I work for money. It used to take me roughly a full day if not longer to change peoples hours around and have it all right. Then insure that all staff knew when they were working, now all they have to do is check the app once they have been notified by the app itself. It really is a great app, and it really helped me out when I took on role of manager, I was looking for an easier way to do the rotas as it was taking to much time the way the previous manager had been doing it. I came across the app online 3 months into my role and that was over a year ago now and all the staff much prefer it this way. Its quick easy and to the point.

Invaluable tool for flexible rotas
RotaCloud have been great to deal with. They have great documentation, and on the rare occasion we have needed support, it has been brilliant; fast and effective.
PROSWith a mix of full time, part time and seasonal staff working across 3 locations, preparing rotas was a nightmare. Rota Cloud makes this so much easier, faster and more accurate. It is incredibly flexible and easy to use and we can prepare in minutes, making sure the rotas are fair to staff, take account of holidays and other working restrictions, and monitor our labour costs as we do so.
CONSThere are some additionas we know are on the product road map we would like to see sooner, especially a daily hours total on the weekly rotas which would help us check we have the coverage we need, and a lock on current and old rotas to prevent accidental changes. However, there is virtually nothing we don't like about it.

The best decision we ever made with the roster!
Time and money saved
PROSI looked at many different types of rostering software and Rotacloud looked like it fitted the bill. I have been so impressed with the functionality. It is easy to use and has some great features. The support is excellent and they reply almost instantly. They are very responsive if you request new features and are always looking to develop the product. I cannot recommend them enough and personally it has saved us hours of management time, in effect leading to a cost saving for the business. We also rolled out Rotacloud to other divisions within our group as it was so successful in our business.
CONSI would struggle to give any negative feedback on this product. I cannot think of any problems I have had that they haven't rectified immediately.

PROSI love the ability to copy and paste weekly rota's I love the fact that I can see where my staff are when they clock in using the GPS, most of my staff work remotely in other people's home caring for them this safeguards them that staff are there providing the correct levels of care which the client are paying for, all in all its such a great system
CONSThere is no negatives this has made my life so much more easy, it allows me to manage staff , sending them tasks on their allocated shift, it allows much better communication, it safeguards my clients.... Its just BRILLIANT !!!
