Hiretrack NX, an all-in-one solution for your rental operations

All in all we are very pleased with the Hiretrack NX software, the team and the support from Navigator systems. They have come a long way developing the ultimate rental software and continue to improve with every major update. When all data is set up correctly, and all reports (either standard, tailored or completely custom-made) are in place, it really improves operation speed and insight from every desk in the office or warehouse. Already happy and eager to learn what the future will bring.

PROS

The software is very extensive, meaning that there are a lot of options and functions available to all users. Whether you have a one warehouse, 10 crew or twelve warehouses 200 crew business, the software is the same and you can 'pick and mix' the parts of the software that you need for your operations. I still find new functionality every time I dig deeper, although I have been using Eclipse (the predecessor) and NX for 12 years straight. For smaller companies, the latest updates have improved warehouse operations and reduced the number of clicks needed to get 'simple' jobs out. Then, the support team is out of this world. Reply's are always swift and to-the point. They never failed me coming up with a solution for a problem I encountered.

CONS

The learning curve for new users is quite steep because of all the options and extended functionality. Tutorials are available, but are understandably never exactly tailored to the way we work in our company. For the future, I am very curious what possibilities Hiretrack will be using from mobile technology. I feel this part is, until now, under-developed in comparison to other software packages on the market. I would love to see our warehouse guys being able to use their mobile phone or tablet to scan out lists of equipment.

A great software and excellent service working with the Navigator team behind the scenes.

PROS

We very much like the flexibility about Hiretrack NX. I do the admin for several regions and all regions have very different needs, hence we customized the settings of Hiretrack to suit each region's requirements to make sure NX is an advantage and not a burden to use. In some areas NX is very flexible to use but in others such as warehouse processes it has very strict processes, which benefits the business very well. Hiretrack is a very organic product and the developers do a lot to make this software successful and competitive, there are continuous enhancements and most of those are free of charge. Additionally, I very much enjoy dealing with the support team. Responses are spot on and most of the times solutions are offered within hours or at least within 24 hours. There is also an option of getting reports programmed by the Navigator team and while other companies take ages to program new reports, most of our reports were done within 1 up to 3 weeks depending on the complexity of the report and the length of the testing phase. All in all, we enjoy using Hiretrack NX and are happy to recommend this tool.

CONS

In warehouse operations, we do like all the options of considering equipment, sub hires and loans but the number of clicks is just too much. There is a new Easter update to come which should address most of these issues and we are looking forward to working with this new feature. I'd very much enjoy seeing one way transfers so one warehouse can send items to another warehouse and the items will be available at the receiving location (same as an item and barcode transfer but within a job). As soon as the transfer is confirmed the items should be available at this location starting from the receiving date. With more than one warehouse, it would make sense to exchange equipment when needed and not when the system is expecting it back a one way transfer would also save logistics cost.

Review Hiretrack NX

We as PSAV have decided to go for a BETA version program with Navigator Systems using HireTrack NX. At the beginning due to the Beta testing we have had some issues but these were addressed quickly and almost solved the same day. The customer service of the Navigator Systems team is outstanding and I really enjoy working with the team. No matter what all my requests were treated in a timely fashion and the team delivered appropriate solutions. When comparing both systems Eclipse and NX I can only say that it is now a pleasure to work with NX. There is a lot more flexibility when writing proposals while still being very strict on equipment management. We as a company don't use all areas of NX but the ones we do work with operate to our full expectations - as mentioned if there is any bug the team will always help solving the problem. Additionally I very much like the management tool being now within NX plus the reporting side which provides us a lot more analysis of our operations. I believe there are still some minor areas to be developed such as the CRM tool and some items we added to the wish list of the Navigator Systems team. NX is a very organic product that is developing and personally I very much appreciate these developments as we as PSAV will benefit from this and improve our operations . I look forward to being part of any new implementations to NX. Thanks to the Navigator team!

Complete Hire / Production / Installation & asset management solution

Enlightened have been using Navigators software for over 15 years. About 3 years ago we upgraded from Hiretrack Eclipse to Hiretrack NX and have never looked back. Hiretrack NX is a very powerful company management software solution and really is now at the heart of everything we do at Enlightened. This includes hire, production, install, sales, testing & repairs along with full inventory and asset management. Hiretrack NX is only as good as the information you put into it. Keeping the inventory accurate is essential to our daily use - but once correct means that you know where every last cable is, and possibly more importantly where it is coming back from for the next job. At Enlightened we have taken on board a lot of the features and facilities. We barcode scan about 90% of our equipment, we manage transport and crew allocations. All our PAT and LOLER results are loaded in too. It really is the centre of our operation. Navigator Systems support has been incredible. On the occasions that something strange has happened, they have been very quick to respond and resolve. Access to the SQL engine is a breath of fresh air. We can create queries and reports with ease to show whatever information we can imagine. We are frequently approached by other companies trying to sell us rental management solutions - to date no one has got close to offering the functionality let alone the cost. Hiretrack NX really is invaluable to us.

PROS

NX holds all our information, so is the central point for everything we do. From kit availability to invoice history, crew phone numbers - it is all in one place. Being able to write our own reports and queries is also incredibly powerful.

Excellent rental management software with peerless customer support

We have used Hiretrack NX for several years and prior to this we used its predecessor Hiretrack Eclipse. We couldn't run our business without Hiretrack, it is an excellent piece of software which pays for itself time and again in reduced running costs.

PROS

Hiretrack NX is the beating heart of our rental operations-quite simply there isn't a step in the process of hiring equipment out which doesn't touch Hiretrack NX. We quote, check availability, order subhires, book crew, invoice jobs, prep, dispatch, return and check in our extensive rental stock all within one package. Powerful business tools such as easily customisable reports, ad-hoc queries with QBE and the ability to create powerful web apps help us run our successful rental business. Financial information is collated per job which allows Project Managers to maintain an eye on margins in real time. The server is rock solid and copes with thousands of barcode scans every day without missing a beat. The support team are a joy to deal with helpful, responsive and excellent value for money. Updates happen with reasonable frequency and bugs are addressed in a timely fashion.

CONS

We have very few problems with NX, and those we find are addressed rapidly by the support team. Suggestions are taken on board and implemented so the software continues to evolve and get better.

An outstanding piece of soft but you have to customise it to get the best from it

Improved ROI, asset control, client control, multi site operation and reduced support requirement.

PROS

Extremely powerful; totally customisable; very stable; works well with multi-site operations; incredibly versatile. Excellent asset control. We have been using Hiretrack now for approaching 4 years and have used their custom reporting services to totally individualise our program. We work across 3 sites and the system works beautifully with a very find degree of finesse. The quotes that it produces look great and the system keeps track of a wide inventory and client histories. Best of all is that the system has 3 x databases - customers & Suppliers; venues and client contacts and these client contacts can be spread across many customers and suppliers. Jobs can be from a single hire to a full production series with multiple equipment lists, contact, job reservations over multiple dates. Invoicing is equally versatile with the possibility of invoicing a large job over a single or multiple invoices. 5 stars from me.

CONS

The system in its purchased form does not have many built-in reports, so the user has a lot of customisation to be done ahead of implementation and perhaps this is more than most systems. In my experience, this is definitely worthwhile.

The one stop shop of software for your rental/production company.

Hiretrack NX is a powerful company management software solution and is now the heart of everything we do at MSP Global Ltd. We try to use all sections of the software including equipment hire, crewing, transport, testing & repairs along with full inventory management. We have barcoded our equipment and around 95% of this is now scanned out and back on all events. Within the crewing section, we charge, allocate all crew and create PO numbers to confirm them. Then within the transport section we have all our vehicles and allocate each vehicle to a specific job.

PROS

Hiretrack NX is really easy to use, easy to find your way around and I like the fact the each tab or section is controllable with who can see the data. For example, warehouse not being able to access client or account information etc..

CONS

I don't really have any negatives for Hiretrack NX, other than future updates that would help us run our business even better. For example being able to sign for a delivery or collection on a phone/tablet when out in the field. Maybe even an app that allows our techs to view what jobs they're on coming up/maybe even being able to track each technicians hours.

Great System

HireTrack is a great system and covers all the areas we require and Navigator are always developing and listening to feedback from users to make the programme even better. I do not believe we are using all features to their full capacity yet but we are always learning new ways to improve how we work as a company. The ability to create custom reports, some ourselves and others from support (chargeable) is great. The online knowledge base and videos are a useful tool and often answer questions, but if not the support team are brilliant and will get back to you pretty quickly with an answer or simple instructions on what you could do. If starting from scratch and not upgrading from Eclipse the setup is time consuming, inputting all equipment, clients, suppliers, venues, freelancers but it is worth it in the long term. Everyone working off a live system, means less chance of error and things getting missed, different access levels for different departments on the system is a bonus.

PROS

All information in one place and everyone working off the same live system and the support team are amazing.

CONS

Setup is time consuming if from scratch and there is a lot to learn.

Excellent rental management software

We have been using HireTrack NX for about 5 years now. It is our main program for booking, prepping and invoicing jobs and is used by all of our office and warehouse staff. The HireTrack team have been great, from start to finish and even with on going support. We had some custom reports created to start with and these have been very handy.

PROS

Easy to use once you have been trained on it. Customisable reports and functions. Stock management as well as invoicing and job preparation.

CONS

Looks complicated at first glance, but once you start to use the system it all makes sense.

Reason for choosing HireTrack NX

Before we started with HireTrack NX, we looked at other products. At the time, there wasn't much in terms of equipment rental software. We were recommended HireTrack to us and I feel it was a very good move.

HireTrack NX a must have software

PROS

- Ease of use - Ease of access - Having everything under one app, eg: equipment pricing, listen, job forecast, job report, invoicing etc. which saves a lot of time. - Database search for old jobs. - All client details are saved which makes it easier, when you have to make quotes for the same clients again.

CONS

- When required, there is no option to export the quotations to excel format.

A very comprehensive system for dealing with our eclectic mix of hire items!

Organisation

PROS

Ease of use. Functionality. Customisation. Quite how it manages to deal with all the items in our inventory and let us know where they all are at any given point is fantastic. The PAT testing & LOLER tracking is essential for our business. We run ours on a cloud server with 20 users.

CONS

I don't really think there are any negatives to mention, any issues we have had have been hardware related (pc crashing and damaging the data base in the early days) and unavoidable. Any other issues have been self inflicted!!

It takes time to train new users difficult to find 'work-arounds / shortcuts' when not using all options (i.e. sales, warehouse and technicians are sometimes combined functions in a small company, but need to use different 'books'. Need to outsource new 'layout's'.

A dependable package backed up by a top notch team

As long term HireTrack users the NX release was a complete breath of fresh air. It just works and works well. Stability of the server has been rock solid since first deployment and requires very little management. The application has an every growing feature set so obviously there is a learning curve, but Navigator are incredibly supportive of this and it doesn't take long to get new staff comfortable. As long as you put the effort in to maintaining a good inventory everything else just seems to fall into place. We know exactly where our equipment is, where it's going, when it needs servicing and how our revenues and costs are looking. One of the most important features for me is the ongoing support and I can't recommend them highly enough. Simon is an excellent trainer and is more than happy to just have a day of consultancy, bringing his real world experience into discussions around how we and others use the software, how we might implement these and what could be developed in the future. The continuous development is refreshing and the team are very open to constructive discussions about getting the most out of the package. Obviously the trade off with continuous evolution is the odd quirk or bug but the team are incredibly pro-active in providing fixes with the long-term update always following shortly after.

Very Steep Learning Curve to Master A Powerful Program

This is a very powerful program and can manage most aspects of a hire company requiring multiple users and equipment tracking. It goes well beyond our needs, so I can only review based on the facilities that we currently use but it manages the basics of equipment ins and outs very well, ensuring that double-booking is avoided, and items can't be forgotten about and not returned. The complexity of allowing for so many features makes for a steep learning curve, and there is a considerable investment of time required to input all the equipment and stock it in, but once this is complete, things get a little easier. It's not necessarily intuitive, and certain non-core operations can be fairly clunky, but the manual and support is very good.

Crewing Module and Great Customer Service

As a long term HireTrack user, moving to NX went relatively easy. We rely heavily on the NX program for writing proposals, inventory management, show management and invoicing. It was in many ways a new program and there was some learning that needed to happen, even after we went live. The training, custom reporting and customer service provided by the NX team has allowed us to overcome those bumps in the road seamlessly. One unexpected bonus was the crewing module. For coordinating labor, the Crewing function is invaluable. Not only does it allow us to report on who we have out as a company on any given day, if one of our sub-contractors is in need of their schedule, we can easily export a report showing everything they have coming up. In addition, our project managers can see at a glance their profit margin on each position.

HireTrack NX Review

HireTrack NX is easy to use and features a modern UI that our Project and Account Managers enjoy to use on a daily basis. With its new features it has allowed us to provide a better experience for not only the people using the application on a daily basis but to our customers as well. We were nevrous at first about the built-in report designing software but after using it we are more than confident the right choice was made. The Customer support experience is excellent and we receive feedback well before the expected time and the developers are more than accommodating with some of our requirements. Overall the application and its features are great, the behind-the-scenes requirements are accomplished for the IT Department and the support is excellent.

Very easy to use, great support team.

Been using the software for nearly a year now, took a while to get it all setup how we wanted, but we were moving from using a paper diary, to HireTrack NX. Good for stock keeping, booking items out for events and keeping an eye on future shortages. Also ideal for invoicing and account tracking. Some items are harder to configure, but once you get used to the way it works, they can be setup easily. Navigator have a great team, and for a small fee custom reports can be setup so that HireTrack works just the way you want it to.
