Vagaro is a cloud-based salon, spa and fitness business management solution that allows professionals to book appointments and manage various facility roles. It offers an integrated solution to manage bookkeeping, payroll, client databases and inventory management, as well as featuring email and text notifications to clients and automated email marketing.

Users can list available appointment slots, and customers can then look for salon facilities nearby and book appointments through Vagaro’s website or the Vagaro app. VagaroPro, the business app, is available for Android and iOS smartphones.

Users can create customizable promotional web pages to showcase upcoming events and special offers through Vagaro’s website or connect with their customers through email and social media platforms. Customers can also create personalized profiles with their contact information, booking history and feedback. Users can keep records of their customer service histories and generate customizable reports with graphs and charts to track business performance, customer retention and more.

membership auto renews even though that option is turned off, suppose to get credit card before letting the customer book but doesn’t sometimes and then if you have a no show you aren’t able to charge them. Glitches and says error A LOT. I have had to manually run a lot of cc on my Square app bc it’s busy and this freezes up and we have line of customers trying to check out. If you are a one person salon and not busy this will work ok but if you are busy get ready for a lot of frustration.

Pros

I like the payroll function and the membership option (when it works) other than that it glitches A LOT

Cons

I’m convinced after using it and reading REAL reviews that a massive amount of positive reviews are fake. GLITCHES ALL THE TIME

The app is somewhat easy to navigate, once you familiarize yourself with it. Though it seems dated for 2017.

Cons

Customer service is not very helpful for getting started or for navigating the system. They are short and unapologetic on the phone. If you don't stay with the service for a year, you are charged for the simple iPhone card reader that most other companies provide for free. The system is often down and credit cards are not accepted. It's an embarrassment when you have to later call a client to run their card.

Their customer-service department seems to be filled with condescending 20 somethings who enjoy attempting to make users feel inadequate. The last 3 times I've had to call-in and ask a question or have voice a concern about the product, I've been spoken down to by someone half my age.

Pros

The calendar is easy and self explanatory. It seems easy to use Even for people with no computer experience . If you're still using pencil and paper , this is way better than that . Probably a great product for both renters. Clients like notification system.

Cons

If you've used any other salon softwares that are in a high performance category as far as reporting and/or user experience this will not suit your needs . It is very rudimentary in its performance . It does not allow for any customization in reports or in applications .
Many features are archaic and need updating. The feature to logout users after a certain amount of time can't recognize the difference between idle and not idle so it will log you out and lose your work in the middle of a session . The "marketing" section is mediocre at best . IF you've already been running a computerized operation for 5 yrs or more, you will find the software completely inefficient . It does not save your work if you're in the middle of procedures when it logs out . It cannot tell the difference between tasks in progress and idleness . If you leave the program wide-open and it doesn't log anybody out automatically, then your separate users have no recognition within the system, Unless they individually and manually log themselves in-and-out every time . SO MANY SILLY TIME WASTING things that MUST be done manually every session. Yuck.

I didn't find anything great about this maybe that they will make you a website if you need one but honestly nothing really great

This software is not user friendly I realize it is very inexpensive but the customer service is horrible we needed help with certain things and the people that we would talk to pretty much made us feel like we weren't important and didn't care about our problems they were very ignorant it's unfortunate that it didn't work out seeing that everyone speaks very highly of them but I feel as if they need a lot more growing to do especially with the calendar itself and the people that are helping the customers ! They make everything harder then it needs to be!

There are several other app options that are better. I trialled several of these type of app/programs. They were the only one that asked for a credit card to do a trial. The other programs emailed and stated the trial was almost over and do I want to continue. Vagaro sent me one email, when I signed up, and one more 30 days later stating they have charged me the monthly fee. They didn't email stating my trial was almost over. And dealing with several, it's hard to remember them all. I couldn't believe it when I received an email from them saying they've charged me money... without even informing me they would do so.

There are far better programs out there. No need to use this one that will steal money from you. And, they have no option for a refund. I tried their program for only a few days before finding better alternatives. I still can't believe they took money without informing the customer. That is fraudulent.

Pros

None. There are identical options that do not ask for a credit card during the trial period.

Cons

They will steal your money! Do not give them your credit card details to trail.

I have used Vagaro as a Day Spa Manager and as a client. As a Day Spa Manager, the software made the chaos of scheduling seem like an easy task. Employees loved that clients could book appointments online, and the employee could verify the time slot before accepting the appointment. Anyone can access their schedule via smartphone, tablet, computer, etc. Clients loved that they could book their appointments 24/7 via their personal devices. It really is a win-win for everyone.

Nothing.

Advice to Others

Less no shows ! Can make appointments on phone from anywhere! Its just a great all around software! and easy to use once you get it all figured out.

Pros

Sends reminders to clients and can customize reminders. Our clients and all of us love the option of online booking! We don't have many No Shows anymore.

Cons

WHEN IT DOESN'T WORK because you can not see any appointments or notes. When you have a price change it does not automatically change prices for already scheduled appointments and clients that book ahead of time you have to go in and change series.

I love that I can customize my software to my needs and send automatic reminders, emails, etc. It very easily compares to Mindbody which is extremely overpriced, has tons of glitches, and used to have poor customer support.

Cons

I dont like how they split the features in such a way that you wind up paying way more than is needed for email campaigns, gift certificates, etc.

CUSTOMER SERVICE IS BAD. I was told 10 DAYS ago by rep he would get back to me next day....10 DAYS AGO! Won't return phone calls or emails. My customer memberships are AUTO renewing and we don't do that, in 15 years we have NEVER auto renewed and in the last month, it has started automatically doing that and I have a LOT of customers. Vagaro won't respond. My customers HATE it. I used Schedulicity before and never had problems, if it wasn't for the payroll function, I would DEFINITELY not stay with this company.

This booking system makes my business so much easier to run as a soloprenuer . It is so much more than just a booking system , it is my website and POS as well. I love how it sends out multiple reminders to clients (3) I believe . My clients love it as well for the ease of use and the reminders. I get compliments on this and how the website looks as well. I love that Vagaro listens to its clients requests and adds new features from time to time . There is also a chat feature for help and on the phone assistance as well. I love the fact that I can sell gift certificates, and cc cards as well . Today I got an email that now if we wish we can have clients pre pay for services. The customer service is just wonderful. I revcently changed the template on my website to something that reflects my business image now . I love how it is easy peasy to do so , without assistance. Many of my clients like the option to book online themselves. I love how to make reports for my accountant is easy as well . Another benefit is email marketing. If you want to know more sign up for the free trial .

Cons

I wish they had an answering service. Maybe one day . They do have a place where you can put a clients formula which is great . But if a client gets multiple services it would be nice if there were multiple type cards for them for , facials , lashes , hair , etc . I wish they also had online forms for clients to fill out and sign . But these are not really cons just potential features that haven't been created yet

Scheduling appointments is easy. You can log all of your clients information. Being able to view the schedules of other stylist is beneficial for all of us. The system sends out automatic reminders to the customers for upcoming appointments. I love that each of our staff members have the opportunity to make a personal profile for customers to view.

I love the fact that i can store all of my clients information into the system! No more paper records!

Cons

Clients can't rate our salon on Vagaro unless they have booked through Vagaro. We're new to Vagaro but already have many clients who would love to help promote us by giving us online reviews for other potential clients to see.

Some of my guests have difficulty maneuvering the online booking feature, it needs to be simpler, having to hit the search button without being prompted to causes confusion. Also, once you're in the checkout it would be good to be able to add additional services to a guest.
