Coolfront Software


 

Coolfront is a cloud-based HVAC solution that allows users to carry and access their flat rate pricing and repair database on a mobile device. It caters to small sized plumbing, electrical and HVAC contracting businesses.

Coolfront leverages a consolidated contracted service workflow. Users begin by entering work order information and assigning the service call to a field technician. Field technicians receive the work order on their mobile device based on which they can select repair plan from the existing database.

Invoices are automatically delivered to the business office and the customer as soon as a repair work is done. Coolfront can also capture customer approval and signature within the mobile app. It also offers QuickBooks integration and carries over 25,000 repairs in its database.

Coolfront is a zero-cost solution that charges per work order generated. Training, demos and cloud-based meetings are available to support Coolfront’s users. Coolfront’s mobile app is available on iOS, Android and Windows Phone.

Overall a good program and handy for service technicians. So much easier to read than the hand writing of some of the technicians out there.

Pros

I like that my technicians can get glance backs of previous visits to customers homes. Also like that there is a spot that we can share information with our technician on the ticket that can't be seen by the customer.

Cons

I would like to be able to time stamp start and stop times of tickets as well as search past ticket by typing in a date rather than have to scroll through months and months.

Actually they will announce the new QB online integration in about a week or so. I just got lucky today. I figured I would ask, again, if and when they were going to add this feature and I was extremely happy to get a yes, next week. But luck on my side again, they called me and walked me through the set up of the process to connect my Coolfront & QB online accounts; I agreed to be a ginea pig so I don't have to wait. It could not have been any easier. Thank you to the representative at Coolfront! I am extremely stoked!

Pros

Extremely easy to use. Flat rate billing=wonderful. Has plenty of "add-ons" to integrate with to meet your needs. The price is right!

Coolfront does offer an affordable way to send electronic invoices to customers. The product does integrate with QuickBooks. If you do small amounts of invoicing from a mobile device this is an affordable option.

Likes Least

After you create the invoices, they can be complicated to search through. The process for adding products and services is laborious. If you are writing many invoices you would be better off with a full fledged scheduling tool that allows you to send bids and invoices.

Recommendations

If you are doing very much business or want to, look at tools that integrate scheduling and other features with invoicing.

Easy to use, and the work order immediately shows up on the techs device, eliminating the need for the tech to drive all the way back to our office to gets their next work order

Pros

It is super user friendly & easy to use. I love that it can be used on a computer, cell phone or tablet and there is no subscription. You only pay for what you use.

Cons

I wish it would show the price of repairs before you select it..... sometimes our techs aren't sure which repair to pick until they see what the charge will be & then they have to go in and delete it if its way out there.

Quick repair pricing for our technicians.

Pros

The streamline pricing for our technicians is great. Realtime approval from the customer via signature. Quick transfer between technician to office staff.

Cons

The software is very time consuming for office staff. Having to click back and forth between work orders, home and add ons needs to be streamlined. The sales tax is very clunky between Quickbooks and CoolFront.

Pros

I like that it syncs with Quickbooks and makes dispatching easy. Adding repairs is easy and all the technicians are using the same prices by using Coolfront.

Cons

It needs to have some kind of notification to the technician when a work order is added to their schedule. As it is, they have to remember to check for new work orders.

In-field invoicing & pricing. Ease of scheduling. Parts reorder simplified.

Pros

I like that it syncs to Google Calendar & Quickbooks. I also enjoy the Parts Cart for resupplying the technicians. I enjoy easily being able to find repairs to bill them to the work order/invoice. I like being able to add custom repairs, discounts and pricing.

Cons

I don't like that the billed time/cost of part don't show on the internal view of the work order/invoice. I don't like that I can't run a report of average hours/dollars for each technician, since those values don't sync over into Quickbooks when the invoice does. I wish there was a way to "Pause" a work order so that the technician can return to it later due to possible part delay, weather delay or other circumstance. I wish we could customize the line item field for repairs other than creating a repeat custom repair for those time that it is an unusual circumstance or repair. I would like to be able to run some sort of report of what dollar/hour per work order/invoice we are tracking within the app itself.
These are just a few of the items I would like to see within the Coolfront App.

The flat-rate for our tech's. They say it's very easy to use and the best program they have seen. Very impressed!

Cons

I wish there was dispatch board where we could see all the calls on the different tech's. We generate sometimes 50 calls in the summer so that would be nice to see.

Cons

When looking up repairs the feature will not let it auto fill the repair, the feature for open work order can be confusing on how far back to check.

Integration & simplification.

Pros

I enjoy that it allows technician to quote and bill at the location. Also that they can request the parts they used to be replenished. I like that the invoices sync with our accounting software (Quickbooks) for billing and our Google Calendar for scheduling. Each tech can see their scheduled day laid out in order with location & what the service to be performed is. Very simple to employ. Having each tech, office admin and manager being able to use an individual login takes much of the scheduling confusion from the service techs.

Cons

I don't like that there aren't any reports that can be run to find work orders outstanding that fall outside the parameters of: Last 30 days, This month, This week.
I don't like that the hours required for the selected repairs aren't shown on the "internal version" of the printed invoice/work order. That would be very helpful for payroll and flat rate billing.

Cost. It may be "built in" but the volume of calls we do annually would have pushed the annual cost of the program every year. It also doesn't integrate with our new CRM software.

Simplified my daily efforts.

Pros

The fact that it can be remotely approved by customers is my favorite feature.
Of course it all looks good and very professional no matter what.
I like the customizable ability for both installs and repairs, but wish there were more and that once you select an item from the saved customized list or from the database list even, that there was an easy way to make a custom amendments in at least the description so you could have the ability to make slight adjustments in model numbers and or the description to fit unique job circumstances (and be able to keep up with ever changing model numbers and even AHRI match data)

Cons

There is no way to type in any kind of a direct dollar value discount at the end of the work order which would fit in with my finance options.
I would also like to be able to add a line for a tip to be added for the techs.
If there was a way to add pictures of the customers system or work in both the customer noted and the internal noted that would be phenominal. The ability to add a pdf attachment for special contract would also be nice.
I like to add standard statements that are often legally required to include in various jobs we do. It would be nice to have the ability to add a list of customized standard statements that need to be approved but don't have any money value attached to them. As it stands I put my customized statements in the install custom list and just added zero dollar amount with it. I also think that the standard statements added to a work order should not be counted toward the cost of the work order.

Pros

I like each description is well scripted and detailed. I like that overhead cost, labor, and product price is all included in service charge. The software continuously updates service pricing and markups.

I use coolfront on a daily basis and without it there would be a lot of lost jobs. We can quote water heater replacements and some repairs directly from the office. Our technicians use ipads on the site to run the program and collect payment - it is simple for them and gets payment quickly.

Cons

The new search feature is worse than the previous search feature. However the Coolfront team is constantly making changes, updates, and actually listening to customers in making improvements.
