Coolfront Software


 

Coolfront is a cloud-based HVAC solution that allows users to carry and access their flat rate pricing and repair database on a mobile device. It caters to small sized plumbing, electrical and HVAC contracting businesses.

Coolfront leverages a consolidated contracted service workflow. Users begin by entering work order information and assigning the service call to a field technician. Field technicians receive the work order on their mobile device based on which they can select repair plan from the existing database.

Invoices are automatically delivered to the business office and the customer as soon as a repair work is done. Coolfront can also capture customer approval and signature within the mobile app. It also offers QuickBooks integration and carries over 25,000 repairs in its database.

Coolfront is a zero-cost solution that charges per work order generated. Training, demos and cloud-based meetings are available to support Coolfront’s users. Coolfront’s mobile app is available on iOS, Android and Windows Phone.

Overall a good program and handy for service technicians. So much easier to read than the hand writing of some of the technicians out there.

Pros

I like that my technicians can get glance backs of previous visits to customers homes. Also like that there is a spot that we can share information with our technician on the ticket that can't be seen by the customer.

Cons

I would like to be able to time stamp start and stop times of tickets as well as search past ticket by typing in a date rather than have to scroll through months and months.

Actually they will announce the new QB online integration in about a week or so. I just got lucky today. I figured I would ask, again, if and when they were going to add this feature and I was extremely happy to get a yes, next week. But luck on my side again, they called me and walked me through the set up of the process to connect my Coolfront & QB online accounts; I agreed to be a ginea pig so I don't have to wait. It could not have been any easier. Thank you to the representative at Coolfront! I am extremely stoked!

Pros

Extremely easy to use. Flat rate billing=wonderful. Has plenty of "add-ons" to integrate with to meet your needs. The price is right!

Coolfront does offer an affordable way to send electronic invoices to customers. The product does integrate with QuickBooks. If you do small amounts of invoicing from a mobile device this is an affordable option.

Likes Least

After you create the invoices, they can be complicated to search through. The process for adding products and services is laborious. If you are writing many invoices you would be better off with a full fledged scheduling tool that allows you to send bids and invoices.

Recommendations

If you are doing very much business or want to, look at tools that integrate scheduling and other features with invoicing.

I think it saves the company and makes the dreaded end of the month billing obsolete.

Pros

Being able to bill the customer right on the spot and collect the money is great. This keeps the cash flow going and we have less bad debt from customers that refuse to pay later. It is also nice that all bills are consistent, just in case neighbors would compare. I also like that it will prefill info from our QuickBooks database. Very easy to set up new customers and add or change information. It is nice it will show previous service call information on the form for easy reference.

Cons

Sometimes the program can run slow. This can cause our guys in the field to have to wait until the changes come through to their I pads.

It really is pay as you go - no upfront costs, it does exactly as it is promised. I like the fact that it really costs me nothing in terms of money, time and personnel.

Cons

The search engine is getting better but I would really like the ability to look jobs by model number of the unit

Pros

What I like most about this software is it's quick, accurate, and easy to use. For the most part the customers love it and the service technician enjoys it because it's so very easy to use.

Cons

What I don't like about this program is sometimes the customer gets confused on the charges and sometimes the keypad is hard to sign.

When looking at flat rate books vs coolfront's mobile software, it was clear coolfront was the way to go. The database is always updating with market fluctuations and with the ability to add custom items it is a great fit for us.

Cons

The new search engine is pretty rough and seems to be lacking compared to the previous version. The ability to add a custom discount to a ticket without having to add it to the whole system first would be great. And the ability to change the order of items on the ticket would be fantastic.

It integrates with quickbooks. It's easy to use. It's portable, all our techs have the app on their phones and tablets.

Pros

It's nice to see where the techs are. It integrates with quickbooks and allows payment from Payzer.

It's sometimes complicated to set up special repairs. We have to make sure we do things in just the right order.

Gives us the ability to be a more paperless company where the majority of our invoices get emailed verses printed and mailed out and as a result can get payment faster when customer is not home to make payment at time of service

That our techs have access to flat rate pricing and being it is web based have access on any tablet, laptop, desktop or phone if necessary

Cons

Invoices that are still open or pending drop off into archives. Would like to see the system only sense the paid invoices drop into archives automatically after the current time it does it and leave other not mark paid to be manually archived

I like the ease of entering the information. I like that you can email receipt to customer right away. I like how it can be an invoice or a receipt.

Cons

It's not easy to search for a customer unless you know the date of the last time you were there. That is my major disappointment with this program. Searching for customers & history & merging the calls together. I ALWAYS have to go to add on & Merge. I wish it was more automatic. I use wintac & it always pulls up correct customer just by entering a few letters or address. You dont' even need complete info. If Coolfront doesn't correct the merge/search soon I will have to switch to a different software/dispatching program.

Staying organized and not having to deal with the mess of having papers everywhere.

Pros

Coolfront is simple and paperless. All I have to do is look for an invoice by the choices given. Making it easy to stay organized without having to worry about losing paper work. I also love that you can use it off line.

Cons

The pricing on repairs. The repair pricing seems to not take overhead in to consideration. As flat rate pricing, they are low.

Customer glance back for 1 and the get savy to see performance , i cvan do invoices on the run much faster, no dirty finger printed invoices, easy flat rate to fit my company.

Cons

Just updated and i hate the new repair search! Please give me back the old.....:-) Some time i think the server is really slow, cant find alot of the specific part number i use ( 440 volt Capacitors for starters ) .

I attempted to use this service off of a referral and I had a few questions on how the system works and it took awhile to get any answer. So I went with Jobber because it was quicker response.

Cons

As I replied in the last question about the overall review, I was unhappy with the response time. When I have a service like this it needs to have quick response because my coutomers won't accept waiting

Cons

There is not a notification (like a text message) option available to alert our technicians when a new service call had been entered for them.

Easy to use. Super simple changing things. I love the internal notes for privacy. It's an easy program to teach new staff. I love the auto populating feature from Quickbooks records.

Cons

It's a bit expensive. I don't like that if I make a mistake with pricing, I get charged for another ticket. I wish it has a more detailed billing, it seems as tho I get billed a lot, but there is no way to prove it....

Ease of use. Can be operated quickly with little experience. Like the part finder if you know how to use it.

Cons

I hate when it wants to update while either writing notes or searching for a part. I wish there were tabs in my favorites for favorite filters, types of freon, or belts instead of looking over my favorites 3 or for times. I wish I could add a custom part or charge myself instead of having my office remake what I've already done just so they can send it back to me to add it on my favorites. All of the other techs said the same about updates. Add them to the home page when available. Frustrating. Finally inputting carrier numbers usually calls for 2 additional numbers or letters at the beginning of a part number. If typed in using the part number supplied from carrier it fails to find it. If those 2 first numbers or letters are left off when typing it in it will find it every time. I have found this only on carrier parts. Thank you for your help.

I most like this software to schedule work and take payments. My customers love that I can quote them repairs in seconds

The only gripe I have is that when I switch from the app to say look up a phone number or email which has the customers information I need to input into Coolfront. When I return to the app it reloads and any info I had already input is gone

The price was good, we liked that the invoices fees could be rolled into our charges and, initially, we were thrilled that it would sync with Quickbooks and save data entry time in the office.

Cons

It would sync with Quickbooks, but not like we expected. We still had to edit every invoice so that the Product/Service field in Quickbooks reflected the items we needed reflected for reporting.

Pros

We love the ease of use! The whole site is very easy to navigate, and initial set up was a breeze! I especially like the repair look up search feature where almost anything I plug in will get me to the repair I need.
