Hugely robust and customizable, and always improving.

These guys are all really nice, patient and helpful! Even with their substantial I have never once felt like they didn't have time to answer my dumb questions. And before we had even started building our system they invited me to join a seminar in Denver that they were bringing existing clients to so that I could start seeing it in action, and I met other users who I have stayed in contact with.

PROS

We went with this software because none of our trips, though routinely run on a daily or seasonal basis, are never one-size-fits-all so it was important to have the automation enough to allow people to place bookings online, but also remove all the automation so we could have more hands-on interaction with our clients after they placed a booking so that we could vet them and their ability to participate safely. This software helps us book and organize daily local full day and half day trips in Colorado as well as big mountain multi-week expeditions in Alaska and on all 7 continents, so that gives you a good idea of how robust and customizable the system is. I can run my Colorado program completely independently of the expedition business on the same platform, same database, totally side by side. We were able to set up the system to cater to the most intensive parts of our climbing programs and then set custom settings for the types of activities we run which require the least amount of hand-holding and let those bookings pile in! Support at AO has been totally phenomenal and helpful, and they understood that we were an outside the box organization for them, and they seemed to jump on the chance to use our needs as a tool to help them develop in new directions. If they can't make a feature request happen immediately, they are certainly open to putting the request into development when the busy season is past!

CONS

This system is not as simple to set up as the likes of Fare Harbor or other really nicely designed platforms, nor as aesthetically pleasing, but the ease of use was exactly what drove us away from Fare Harbor or similar. What is perhaps a con for some in this regard is a total plus for us. We needed customizable and comprehensive, and that's what we got with Adventure Office. I needed scheduling for my guides as well, which others couldn't provide. All of the functionality and ways to arrive at the same outcome in Adventure Office make it a lot to learn at first, but it makes the platform simply very good at what it does. There are a couple of things that the system does only moderately well, but those aspects will be developed into better modules I'm certain. Also, when first learning the system, it would be nice if support and the onboarding staff could start with helping new users and admin understand the overview of the various distribution channels (A nice feature), the possibility to link live to booking agents like Viator, and the overall structure of the system so that you understand what you're building when you build it. That would save some lengthy head scratching on the phone with support if I had picture in my head from the outset exactly what the information structure was (having a hard time describing this, but all I can say is I'm a visual learner and this system is very not visually intuitive and it takes a while to learn where everything is buried).

Reason for choosing Adventure Office

I'm sure I've forgotten a couple of platforms I demoed. We went with Adventure Office mostly because it included most of the features we required of our system. There were several VERY close seconds but they all were missing a key feature we really wanted, mostly being a guide scheduling module as well as everything else. Arctic Reservations were nearly the one we chose, but they didn't have scheduling capacity at the time of research.

Reasons for switching to Adventure Office

Civi was awful. Of course customizable, but every time we contacted out IT folks and asked if Civi could do some kind of function we were always told it would do that. But we needed to see the need for something and then request that it be built in Civi and pay for the time every time we wanted a feature developed. We just needed a platform that was already built and which did more than Civi could.

Powerful and Flexible with Responsive Customer Support

It's a massive system that really demands a team effort within our company. Patience and calls to customer support are essential for success.

PROS

Incredible customer support is the key that makes this complex system work as the primary engine of our company. Integrated reservations booking for lodging and activities as well as retail POS and resource management (not to mention digital waivers, General Ledger accounting, and more) can make the installation and administration difficult - but their Customer Support team is always responsive and knowledgeable.

CONS

It can be overwhelming when trying to figure out unfamiliar functions, modules, or fields - but Customer Support has always helped us figure out how to make things work the way we need.Connecting lodging units and activities to third-party agents such as AirBnB and Booking has been a struggle but continues to improve.

Reason for choosing Adventure Office

Every time we look for alternatives we wind up back at AdventureOffice because of its depth of features, customer support, and pricing.

My opinion

I like the software. We got in early on in its development and they have been solving issues and changing design to accommodate all types of business. They're support is excellent. [SENSITIVE CONTENT HIDDEN] is awesome and is ready to help at any time. She understands the needs of the Guide and outfitting world.

PROS

The reports. It is easier to stay on top of things .

CONS

Scheduling on a daily bases. Having to set up inventory every year seems a bit cumbersome.

Happy Customer

Adventure Office has been our online booking software for about 4 years. I have had good luck with Customer Service any time I need them and our customers advise that their online booking experience was easy and straightforward.

PROS

I like the fact that customer correspondence stays organized in an easy way to locate. Once you learn the online booking flow, it is easy to use and make changes if necessary.

CONS

We don't use all the features that are available, so I have to tell my employees to just ignore a bunch of different options and focus on the ones that we use.

Reason for choosing Adventure Office

Adventure Office was very professional looking and the Staff was very down to earth, which made me feel comfortable asking questions about things that I didn't know anything about. It offered the functions that we needed and the price was fair.

Reasons for switching to Adventure Office

Peek had limitations that Adventure Office didn't. Splitting payments and online waivers being the top 2 reasons we switched

Adventure Office has made things so easy.

PROS

Used Arctic in the last and switched to Adventure Office and love it. The front end is extremely easy and fast for guests to book online. Back end offers so much from reports and operations I would be lost without it. Customer service is top notch and they care about their clients. Highly recommend.

CONS

At first the back end was a little daunting, click after click to create a reservation but once you learn all the extra options they end up being super helpful.

I liked that Adverure Office is small and family owned, operated. You won’t get better client supporter than with AO.
