Great Product... will grow with your church - Used at a previous church and just got for new church

PROS

If you are a small church that needs a good online database that doesn't break the bank, this is it. There are numerous features that you can choose what fits your particular ministry and have everything in one area... instead of needing 4-5 different programs to do it all. One of the best things is that you can add more and more names and then simply pay to upgrade to the next level as your church grows, so you don't have to waste money for a database of 1,000 if you only have 70 in your church currently! But (hopefully) as your church grows, you will have the finances to have the program expand with you. I also enjoy ChurchTrac as a pastor, because I can log in on my phone or iPad from wherever I am making a visit to add notes about the visit. We have also added multiple volunteers users who want to help make visits, send cards, make phone calls, etc who can add notes when they do so; there are great restriction capabilities available, so I can allow volunteers access to these note areas without allowing them access to giving records or more confidential pastoral counseling notes. We have also integrated this into our children's ministry/nursery area and purchased a Dymo label printer to give each child a name badge upon check in with emergency phone numbers and allergy warnings. Finally, the congregation access is awesome, so everyone can update their own information or get their own giving records whenever they would like to check!

CONS

A few of the reporting features are somewhat limited and not able to be as customized as I would like, but this is such a minor issue compared to all the Pros that it's hardly worth mentioning... but it was a required field so I had to come up with something. I did have an issue when I wanted to add more volunteer users, but it was fixed within an hour of opening the ticket due to their AMAZING customer service!

Extreme value for low cost juggernaut

ChurchTrac is extremely professionally built, highly supportive and only a phone call away and what it does. It does extremely well for the money you pay. Overall, I can highly recommend using ChurchTrac especially for those are just starting off. It’s very affordable and full featured.

PROS

ChurchTrac makes it extremely easy to manage members on mobile as well as desktop. The notification features for roll assignments for events is extremely fast, simple to understand and effective.

CONS

Sometimes difficult to navigate directly to an area that would seem obvious as an oversight. For example, quickly going to an event where there are people who have rules this takes about 4 to 5 clicks. Additionally, getting a quick summary of historical and current role assignments is very difficult. This is 4 to 5 clicks for each of those events. a summary of past and or present and future would be great. No API limits the ability to use the data outside of the ChurchTrac system.

New Update Made Things Complicated

PROS

I like that I can send messages by text to many people at one time. I like that I can look up the information I need in one place and it is somewhat organized.

CONS

The latest update made it extremely difficult to log in on a small device such as a phone. We use this software to send prayer requests to members on our prayer chain. When I go to log in on my phone the Church Trac logo now blocks the login information so I can't see what I am typing. I am not able to adjust the screen size or information in your software. The next thing is how many things I have to click on to get to a point where I can send a text message to the right group of people. It was easier before the update. Thirdly the limited number of characters makes it very challenging to give enough information about the prayer request. 150 characters is just not enough. There were other things that were changed in the update as well, such as "offering" changing from being an income to being put under expenses, which doesn't makes sense. Who pays their congregation to go to church? How can that be an expense?

Great experience

We are a small church that depends upon volunteers for managing the church business. I have found ChurchTrac to be very user friendly, and meets the needs we need for collecting data for reports, and handling finances, etc. We could not be more pleased at this point.

PROS

We are just getting started with using ChurchTrac, but thus far have found it to be very easy to transition to from our outdated programs and manual processes. We are still working on the accounting section. The support has been phenomenal!

CONS

I have not found any cons thus far, but we are still early in our transition process.

Reasons for switching to ChurchTrac

Our secretary of 30 years retired and the processes she had been using were very cumberson and time consuming to be continued by volunteers. Our Servantkeeper was outdated, so we began searching for a product that would streamline our processes and make it manageble for our volunteers, while providing easy access to data required for congregational reports.

Perfect for small to medium sized churches

It is a huge improvement over the multiple systems and methods we were using before. Its very affordable for all the features it provides.

PROS

It is so user friendly and feature rich. It does everything our small our church needs.

CONS

Not much, I would have to really nitpick to find something I don't like.

Realm was too expensive for our church and wasn't user friendly enough. Customer support with ChurchTrac is also much better.

Great Church Management System Option

ChurchTrac has and continues to be capable of everything we needed and most of what we want. ChurchTrac's navigation is fairly straightforward, which is great, and their support posts tend to be helpful for everything that's not straightforward. ChurchTrac is capable of more than what we are using it for - which equates to some good goals for us to move towards things we COULD be doing. Customer service has been efficient when it is needed as well.

PROS

-Compared to what we were using, ChurchTrac is much easier to use! -The ease of getting new users familiar with the basics -Ability to personalize quite a few reports and exports for multiple uses -Overall ability to edit and find information -Customer support is rather efficient and helpful

CONS

-Some things really need some digging to find, but they can be found -Some personalizing would/has require an outside coding expert, but that is to be expected with what ChurchTrac is (want to make it so your child check-in is fool proof? you might need a coding expert) -Wish it integrated MORE with services like MailChimp (more than exporting to MailChimp), but ChurchTrac is transparent in what it does. This isn't unexpected.

Reason for choosing ChurchTrac

The overall startup costs for RockRMS really made the decision for our church. We felt that both ChurchTrac and RockRMS would do what we needed and most of what we wanted (Rock can do everything you want if you have access to a coding expert), and at the end of the day the ease and lower cost of setup with ChurchTrac won us over. Otherwise we felt we were comparing apples and oranges, both great fruits but so different that it's hard to compare them. There's a reason RockRMS is unique, and a great option.

Reasons for switching to ChurchTrac

ChurchPro, or at least the version we were using, was chunky and hard to use for the average user. Their business model also made it difficult to get customer support without paying, and since it was hard to use this was a huge con for us. Only the staff members who had to use it were using it, that's not the intent of a church management system. Half the information was outdated since it was so rarely used. It did what was needed.

New improvements are AMAZING!

I feel my records are more accurate.

PROS

ChurchTrac recently started to automatically import online giving from Stripe to my register on the day the donation was given, plus shows the date in my register when the payment clears the bank. Oh, and the Stripe fees are shown as well with each transaction. This will save me so much time and reduce my own errors. Plus reconciliation of my accounts is so easy. It has cut down my time that I spent on month end procedures. The online help topics, online webinars and videos are very helpful. I must say, too, how wonderful the support people are! I'm doing this job for my church with a very limited financial/accounting background. Whenever I had a question, they answer quickly and continue to help me until I get my issue resolved.

CONS

I had used the free ChurchTrac 9 program (about 2 years) and thought it would be an easy switch to the online version. However, I was thrown for a loop because I was also learning the online giving parts/pieces in addition to the newer software. Some things were not intuitive for me, but it could be that I was overwhelmed in trying to get everything underway in a short time, plus finance/accounting is not second nature for me. Now that I'm three months in, I'm starting to understand it better. Some of the reports could be improved. It would be nice to have the budget analysis report a bit larger for readability.

Reason for choosing ChurchTrac

When I looked at Tithe.ly, I didn't realize that ChurchTrac had the same capabilities for online giving. I truly only wanted one program for everything, so ChurchTrac made much more sense.

Best church management tool for the price!

PROS

I would say that the thing that I like the most about ChurchTrac are the videos on YouTube that are provided for training.

CONS

I would like there to be an option to provide a separate way for people to donate through text without having to be registered.

Comprehensive CMS

It has been a great blessing as it reduces my amount of time each week to update all accounting/giving data from 5-6 hours a week to about 30 minutes on one day.

PROS

Straight forward set up and quick start with free integration of directory data. The accounting system (giving and ledger) are straight forward in their respective applications and ease of use. It helps to have some accounting basics beforehand, but even without this, the online videos and webinars are a big help, especially the Q&A. The reporting features are a real bonus for monthly, quarterly, annual, and especially EOY giving reports. Integration with other apps and ability to link to an existing website is another big bonus.

CONS

It would be helpful to highlight inside the editing screen or with the online help documents the critical info needed when setting up the directories, as this is what connects to all other software features. It would be helpful to provide more instructions on the Stripe integration for a website. The integration with ChurchTrac and Connect is seamless, but attempting to find the correct link or iFrame data to put inside an existing website for giving is nearly impossible to find, and Stripe's help is not very helpful. This is especially needed for those without website modification skills. If ChurchTrac had a Stripe "expert" or an inside contact at Stripe, this would be great! (I am not on FB or Twitter, so cannot chat with other online folks about their experiences.)

Church Trac after years of use.

Our biggest experience is with the Contributions. It is easy to track contributions and the year-end reports are easy and readable.

PROS

The thing I liked about the software is how easy it was to operate the program. We used a leading accounting package and Church Trac far exceeded our expectations.

CONS

The thing I liked the least is not being able to make changes to the members to cut down on the number of fields that you have to operate through. Some businesses like ours don't really need all of the church information.

Reason for choosing ChurchTrac

Simple to use. Easy to teach others how to use the program.

Reasons for switching to ChurchTrac

QuickBooks, though the accounting is easy, it is very hard to get individual contributions without adding tons of other information.

Great platform, especially for smaller churches

We can keep track of membership, finances, worship, and many other routine things we need in one place, and we can have access to it from anywhere.

PROS

It does what we need without giving us things that we don't that increase its cost. And it does it in an easy to use way so that others can come on board with it easily.

CONS

We're still learning all the ins and outs of the accounting piece, and the reconciliation process could be easier if we didn't have to try reconciling all the way from the beginning but could go on a month by month with our bank statements.

Reasons for switching to ChurchTrac

It was clunky, still operated like it did 20 years ago, we only had access on one computer, and it was hard to get the information out that we needed.

Church Employee User Friendly!

We Love ChurchTrac

I'm the pastor of a small church and needed help with the administration, accounting and budget work. I obviously wanted to go with a software based option. A "Google" search revealed ChurchTrac and it appeared to be a good price. It was certainly competitively priced. ChurchTrac was been an amazing tool for our church. It provides our church with everything we need and even more. There are a lot of features we hope to use as we grow. Accounting and budgeting related work is easily tracked. At any moment I can report in detail to the congregation on these matters. ChurchTrac is so user-friendly, but they also offer helpful technical support if needed.

PROS

We really love the accounting and budget features in ChurchTrac. I began using ChurchTrac specifically for this function, but soon realized it was also a great way to track people and attendance. It's difficult to say what I like most, but I do love the new Church Connect feature. Basically our church has an app now. Members can login and update their own information. It might seem like a small thing, but I'm excited about the fact that members can login and see their own giving. They can literally download the giving report weI generate for tax purposes. We are loving the new features. Oh, and "bulk emailing" options. We definitely hope to use this function more.

CONS

ChurchTrac continues to improve and evolve so we haven't used every feature yet. Honestly, I really can't think of anything we don't like. Of course, I don't really have much experience with other products for a comparison. The church was using "Churchsoft" before I became the pastor and I found it very difficult to use. ChurchTrac seems so simple and we love it.

Churchsoft seemed very difficult to use. In my opinion, it was certainly not what you would call "user-friendly."

A review worth the read, a product worth the price

PROS

Churchtrac allows my team to access the database at anytime to make needed changes. These changes range from financial account management, to printing reports that allow transparency and a checks and balances, and database management on the people. One feature that I found to be a hidden gem is church connect. If your church is considering on making a switch, this feature is a game changer. It provides the look of an app! The cards in this feature provide flawless navigation and event registration for any and all upcoming events your church or organization may hold.

CONS

Churchtrac possibly could have this feature and as I write this, I most likely will discover it soon in the software. The easiest way to explain is pointing you to what this feature would look like. One feature that I would love to see is a reporting feature like church metrics provided. It provides graphics and charts of weekly attendance.

Best Church Management Tool

All I can say is that you will not go wrong switching to ChurchTrac for your church. If I ever have a question, it is answered so quickly that it doesn't really seem like an issue because it is resolved so fast.

PROS

This is so user friendly that it does not take any time to learn it and get started. Also, the support time is the BEST I have ever experienced for a software product. We began using this product several years ago and it was not web based then but it was still so easy to transition our info over.

CONS

Oh my. I can honestly say that I can't think of anything I don't like. If I had to list anything, it might be that I have heard the Finance folks say they would like to see some things added/tweaked and I have encouraged them to contact Support to work with them. I have also encourage them to join the FB group as well as it is another great tool for using the product.

Reason for choosing ChurchTrac

We had just called our new pastor and he spoke to me about the manual process we were doing for everything and gave me the name of the clerk in his previous church to reach out to about the software they switched to, which was ChurchTrac. I made an appointment to spend a couple of hours with her to see how she used the product and I was hooked immediately.

Hope

I have learned alot about the program that I never would have any situations with in Quicken. At my age it is a real challenge.

PROS

The donations has worked well. The sending statements by email is great. Wish we could get all to do that. Haven't had a problem with the donations at all.

CONS

I am just getting started on the accounting. It has been a challenge for me. I used Quicken before and transferred my work to an Excel spreadsheet. I am trying to get familiar with the program to be able to give the board a monthly report that they will understand.

Reasons for switching to ChurchTrac

We are just finishing an Disaffiliation and starting the new church name and financial needs I always wanted to try the Accounting program, just never did before. There are so many more programs that can be used that I have never tried. I am hoping the new Hope Church will be able to do more with ChurchTrac.

ChurchTrac is transformational - will take you everywhere you'd like to go!

ChurchTrac has consolidated my contacts and allows me to communicate through a central interface - love it! It has opened to us the door of online giving. It also has ended my infernal pursuit of updated addresses and phone numbers for our members so that I can print and deliver corrected directories - now it's all online!

PROS

Besides the software itself - which is a one-stop shop for church management and accounting - the MOBILE APP (Connect) has been the favorite feature for our church members. It has relieved me of the task of printing and folding paper bulletins, announcing calendar updates and collecting prayer requests written on napkins. It has made our church APPEAR way more "with it" than we are...when in fact, we actually are! (I think)

CONS

It's nitpicky, I know, but having to type YES every time I make a change to the data set. It's not a problem, but that's how much I am loving ChurchTrac - I can't think of anything else I don't like!

Reason for choosing ChurchTrac

ChurchTrac is written on my level - a pastor with a cursory knowledge of database and financial accounting. You don't have to be a web developer to use it, nor do you have to spend hours and hours studying it. I was entering data the first day of my trial, and I have yet to get "stumped" at a point where I cannot advance. I have TRULY enjoyed speaking to ChurchTrac reps - both in webinar and Zoom formats. This software was built for ME - it's exactly what I didn't realize I needed, but now can't imagine not having it.

After 2 years, even more in love with ChurchTrac

Overall experience with ChurchTrac is nothing but wonderful. There is always something new, to make your church management easier. Thank you for growing with us & our needs.

PROS

What I like most? The videos, training, support, that are available to user(s).

CONS

Being located in Canada, not everything is available to us, that others can take advantage of. That being said, it is still the best Church Management/ Fund Accounting program out there!

Quality of Service

Recording financial transactions and reports make it easy to track.

PROS

The system is easy to use and can be used over multiple computers by different users without buying duplicate software programs.

CONS

I do not like the fact that you have to "create a ticket" to get a reply to issues. I feel like you should have enough technical people to answer questions during business hours.

However, our ticket system is really fast and most receive an answer in less than 1 business hour. It's not a question of us not having enough technical people to answer questions during business hours. We've just found that it's easier (and faster) to use a well-made ticket system and also allow you to schedule a phone call instead. Be blessed!
