Great tool for managing time and tasks

Never forget anything, schedule them through timeplans on appropriate times etc. Great!

PROS

The (semi) automatic (re)scheduling of tasks is great

CONS

I'd like to be able to sync tasks with outlook-task and google-tasks, evernote, confluence etc. So adding tasks to the inbox via other systems basically, and then to have them scheduled in agenda via SP. Furthermore, (bug) sometimes two plans are added to a tasks, when one was needed.

Reasons for switching to SkedPal

RTM didn't innovate, adn didn't schedule. Didn't know it before SP, but after trial I was hooked.

SkedPal: Takes care of scheduling your tasks so you can remain focused

SkedPal helps me stay on track and have a better understanding of what my schedule is. It allows me to have a clear view of how much work is on my plate when I discuss new projects with my manager, and more readily discuss timelines. It also lets me get my tasks and the work of scheduling them out of my head, so I can focus on what I'm doing instead of being distracted by that sort of administrative task.

PROS

Hands down my favorite feature is the intelligent time-blocking! I enter tasks with start and/or due dates, and give SkedPal access to see my calendar, as well as time maps for scheduling certain types or categories of work. SkedPal puts together a schedule for me and generates a calendar. Poof! I know what to do and when to do it. AND it tells me if I'm over-booking myself, or if I skip a task, it will reschedule it for me.

CONS

I'm a fan of multiple levels of sub-tasks, which isn't currently supported (though I believe there are future plans to better support sub-tasks). There are plenty of ways to work around this, but it isn't ideal. Also, right now SkedPal is primarily intended to help with the immediate needs and does not schedule more than 21 days out, which means I still need to keep more extended high level schedules elsewhere to manage long term project planning.

Reasons for switching to SkedPal

Todoist is a decent task manager, but was not helpful with managing the overall scheduling of my tasks.

Skedpal is the best compromise out there

Okay. Best of the rest

PROS

I like how Skedpal fits with what I need on most things. Skedpal schedules tasks for me and adds them to the reschedule pile when I didn’t mark the tasks done. This is important so I don’t miss anything. In addition Skedpal has great integration with Asana, the tool we use at my company, so other team members can assign me tasks and it gets scheduled via Skedpal.

CONS

I dislike the following: - I have to keep on pressing “Update schedule” - this should be updated whenever there is a change in schedule or a task’s due date goes over without me marking it as done. - I dislike not having a specific timer for the task itself. The task should have a timer and that timer automatically extends the time the task occupies in the calendar. - I dislike the overall UX, it does not feel modern. - I dislike that it has zero calendar features

Reasons for switching to SkedPal

Not to difficult for me given how much I’ve researched on this and the super helpful slack community, but I wouldn’t say it’s easy. I would be surprised if anyone on my team would adopt this themselves without me pushing it.

Absolute must for the dynamic lifestyle of an entrepenuer.

As an entrepeneur and father who juggles many projects for clients, the house, the family, etc - I find Skedpal an absolute must for me and not really sure how I'd be able to prioritize tasks without it.

PROS

I love the auto scheduling and the parsing of certain parameters, so you can simply type out "by next week" and it automatically sets the start/end goal times. It's very intuitive and the deatiled features get really deep. The Asana integration is clutch too as I work as a contractor for multiple clients who all have different workspaces. Skedpal brings them all together in one view for me.

CONS

It's mobile experience is a little slow for me and not quite as full as the desktop browser version. I should note that I am an unusual use case and have 1000s of tasks, which may be affecting performance.

Reason for choosing SkedPal

Skedpal had all of the features I needed with infinite heirarchy and the most intuitive experience.

Reasons for switching to SkedPal

Toodledo development seemed at a stand still and had no new features for many years

SkedPal has been a productivity enhancer!

PROS

For years I have worked my schedule according to an ideal week. I segmented my day into defined chunks of time and then would manually fill in the schedule with tasks. With SkedPal, I could use their time maps to recreate my ideal week digitally. Now SkedPal schedules my tasks "automagically" according to the boundaries I have set. It has decreased my planning time. I can move into action much easier. What I also love about SkedPal is the "update schedule" button. If I get off track, I can update the schedule, and like magic, I have an actionable schedule again. It is fabulous.

CONS

There are no collaboration tools that I am aware of, and I still use Trello or Asana for their visible cues.

Reason for choosing SkedPal

A game changer!

I found Skedpal at a time when my client base was growing quickly and I desperately needed a more efficient alternative to a Trello board. Skedpal fulfilled needs I didn’t even know I had- like calendar syncing - and has made me so much more efficient at work.

PROS

What I like most about Skedpal is that it takes care of the schedule juggling for me and helps me stay realistic about my workload and stay on track on a day to day basis. As a freelancer, I juggle multiple client projects with different deadlines. Before I discovered Skedpal, I would spend a ton of time managing my schedule and sorting out priorities. Now, it’s a much smoother and less stressful process. It’s such a comfort knowing I have a “co-pilot” in Skedpal, ensuring I don’t miss anything important and helping me keep a clear head.

CONS

Sometimes when I’m entering several project tasks in a row the text I enter disappears and that’s frustrating!

Reasons for switching to SkedPal

Trello is great for single projects. But I have nearly 30 different clients and unique projects for each one. Trello made it hard to get the overview I needed when I had so much to track.

Automates your to-do's

Great! They are very responsive and personal to any issues that come up.

PROS

I love that SkedPal integrates with multiple calendars and other tools. It is so easy to add tasks, events, re-prioritize and easily re-plan what is next. It also helps me see whether I can get my planned work done in a certain time frame or reprioritize.

CONS

It can take a bit to figure out! I feel like I am still learning the ins and outs of different features and occasionally I will want to do something that the platform does not do. That being said, the number of features and functionalities are incredible. I consider myself a fairly tech-savvy person and I love trying out new tools. I recommend this to others, but I know the complexity of the system would be overwhelming for certain colleagues - so it may not be for everyone!

Reasons for switching to SkedPal

I wanted my to-do's to appear as time blocks on my calendar. I tried manually time blocking my time but it was a lot of effort and time. Skedpal automates all this and lets me focusing on "doing" instead of deciding when I will be doing it.

Almost perfect

I think I can get more done in a day than I realistically can but when I put it in the calendar and see it visually I realize I can't get it all done and need to prioritize.

PROS

The calendar view with my to do list was something I had to have to do I could visually see my day and where I how many tasks I could realistically compete in a certain amount of time and that it integrates my calendar so I can schedule around my appointments.

CONS

I would like a way to easier see what items on my yo do list have already been scheduled on my calendar and which ones still need to be scheduled. Also would like it to be easier to see all my tasks in my inbox and the calendar at the same time and the ability to drag and drop. Right now you can only see your agenda for that day at the same time as your calendar.

Reasons for switching to SkedPal

The calendar and the ability to see a duration time for tasks. The fact it has a to do list like feel but with way more functionality.

Definitely recommend

Overall, my experience with Skedpal has been great. While there are some improvements I think they could make, I plan on using it for the foreseeable future.

PROS

Automated scheduling is such a huge timesaver/stress reliever. The time maps are useful for helping me budget my time and scheduling only at the times I want to work.

CONS

I wish there were more integrations. Skedpal is fantastic for day-to-day scheduling, put I find other apps more useful for larger project management and it would be great if I could connect the two. Also, having the ability to create recurring subtasks would be useful. When I've tried before a message pops up saying "Feature coming soon." Yet that feature has not been developed yet.

Reasons for switching to SkedPal

Having a task list is fine and everything, but automated scheduling was something I desperately needed...

The best way to get your tasks done

PROS

SkedPal is a time blocking app that automatically schedules tasks in your todo list onto your calendar. This is a great way of turning a growing list of tasks, into a prioritised schedule to get them done. SkedPal does this by automatically taking each of the tasks in your todo lists and inserting it into the available time in your diary or calendar. SkedPal orders the scheduling of each task based on its priority, due date, estimated time needed to complete the task, etc. SkedPal works with your existing Google, Outlook, iCloud, or Exchange calendar. This is great because as SkedPal schedules your tasks into your calendar, those timeslots show as occupied or busy to your colleagues, ensuring that the time remains ringfenced for the intended purpose of getting that task done. When SkedPal is unable to find sufficient time in your calendar for you to get a task done by its due date, it will flag it for your attention. SkedPal has a number of triage options such as reprioritising the task, deferring the due date, adjusting the time map to extend the available hours in a day or week, etc. The key thing is that task deadlines and reminders do not sneek up and surprise you on the due date. Task allocations in your calendar are not static. As new tasks are added, SkedPal is able to adjust and reprioritise how it uses the available time in your calendar to make sure that urgent and important tasks are always scheduled earlier and with sufficient time to get them done.

CONS

SkedPal is able to import tasks items from your existing todo list or task manager app. But, this is a once-off action. SkedPal is a separate task management tool and you have to use it for all your tasks and projects for it to work. The result is that you may end up managing duplicate lists if you have an existing corporate tool that you use or share with your colleagues. I wish that SkedPal could integrate into Google Tasks, Microsoft To-Do, Apple Reminders, or any of the task management apps already in widespread use. The SkedPal desktop app also seems to have a problem with corporate firewalls... i.e. it does not work. This limits its utility within the corporate environment as syncs are often delayed.

Great product, using it everyday, but still isn't replacing my other calendar/task apps.

- Ability to store all your tasks and activities in a single app - While not limiting yourself to one tool - SkedPal appreciates your calendar events. - Automatic re-scheduling! When you have a packed schedule and skip or delay a task, re-scheduling by hand is the worst. - Decent mobile app, great desktop app.

PROS

Automatic scheduling. There are apps that provide this option, but some lacks functionality and others are overly complicated. SkedPal manages to balance in what I think is a sweet spot. Gmail integration. Nowadays, it's essential for an app to sync/integrate with other services. SkedPal does a great job here. Mobile and desktop. Again, apps like Task managers should be available at many moment when idea or a task pops in. Special thanks to SkedPal's team to covering all bases Uncluttered clean design. For this is very important. Clean design is like a clean desk - it makes my experience with the app much more effective.

CONS

Proper time tracking. SkedPal allows entering time spent on a task, but at the moment this information isn't easy to see and track. I do think that planned time vs effort is a very important metrics that influences the priority of the tasks. Sometimes I really miss a bird's eye view of my tasks. True, I can use filters/backlog, but it's not the most intuitive method. I don't really understand the difference between focus and priority While I understand the limitations of time maps, sometimes weekly schedule for time maps isn't working at all. I.e. sometimes my Saturday becomes workday and SkedPal just skips it for "Working hours" activities. Again, I don't have a solution, but I guess Time Maps dialog should allow to plan a map beyond single week.

SkedPal has become an indispensable part of my weekly and daily planning

Decrease overwhelm. Decrease decision-fatigue. Know what´s the most important task to focus on at any given time. Ability to update these options at any moment when new events arise in my schedule.

PROS

Years ago I literally thought "if only somebody would create a software that would help me plan my days and weeks in a way that it takes into account my goals, projects, deadlines, current available time AND that can adapt the scheduling to the many changes that will inevitably arise in my day to day life." Well, it happened....SkedPal was create. I use it every single day and would be lost without it. I have so many things to do and also so many personal demands on my time that I needed a way to "budget" that time while making sure I was hitting all my priorities so I could make progress on all my personal and work goals. I don´t know what I would do without it. Also, the developers are SUPER responsive and the support is phenomenal. There are so many great things I could say about this software. I'm so grateful to have joined the Beta team of users years ago.

CONS

It has a little bit of a learning curve and there are some basic concepts in time management that are worth learning in order to make better use of the software and make sure it is the most effective tool for you. But, honestly, it is worth it.

Excellent tool for academics

In research, I have mostly self-directed days with occasional deadlines. There are hundreds of subtasks that are required in developing scientific methods, setting up experiments, compiling results and preparing publications. It is an immense challenge to prioritize tasks, and prevent non-essential (but interesting) subtasks from falling to the wayside. Skedpal takes care of these challenges for me. I use Skedpal every day to get an overview of what deadlines are approaching, and how my efforts could be best distributed over the day. It helps me decide if I should work overtime to avoid a crunch later on. It allows me to distribute my focus so that I don't spend excessive amounts of time on one task. Skedpal has allowed me to work more efficiently and has improved my dependability. I recommend it to everyone who has a considerable set of subtasks to manage.

PROS

I purchased a skedpal account because it was the first organizer software I found that allowed me to translate my extensive personal to-do list into flexibly-scheduled tasks. It was fast to install and start using, was geared towards a single user, and it is a huge bonus that it is synchronized with google calendar. The "time maps" feature is essential, so that I can separate work days from weekends, and guarantee focus on different projects throughout the week.

CONS

It does not support task dependencies outside of linear dependency of subtasks. Ideally any task in my list would be able to depend on the completion of any other task.

SkedPal review

I have paid for it twice now. So it is something that I feel helps my life. It is not perfect, but I love a lot of the features. I need to figure out if I can have it remind me of tasks with the mobile app. Task scheduling and batching is great. I wish the tasks could be set for less than five minutes. Some tasks are super quick. I just need the reminder.

PROS

I really like the task scheduling and time mapping features. The calendar combined with to do list is gold. It really helps with time management.

CONS

It would be nice to have an option of scheduling two tasks that are similar at the same time. Also - appearance wise - this program is not visually appealing. It would be nice to be able to customize colors more. Change fonts. Etc. it’s a functional program. But considering how much I look at it - it could be more appealing. Maybe a way to add in pictures for various tasks. Make it look more like a planner. Add a background to the calendar.

Reasons for switching to SkedPal

Scheduling of tasks and being able to see them on the calendar is awesome and super important to me.

Almost Perfect

Overall, I’m very happy with the product and looking forward to what the next update holds. The value of scheduling everything and especially not having to personally reschedule stuff if something comes up but just trust the AI to do it, is invaluable. I just got quite sick for the last week and wasn’t able to get anything done so rather than having to spends hours rescheduling all my studying and writing my papers for the next couple of weeks, it only took me about 15 min to reschedule it all.

PROS

Obviously the auto scheduling is majorly important. With all my law school classes, preparing to take the Bar, and other personal responsibilities I’ve always been overwhelmed about knowing when I’ll actually have the time to do it so this has been very beneficial for me.

CONS

There are a few hiccups here and there (no plan your day on Mac, unable to access repeating settings on iPad or iPhone, etc.) but there aren’t any major drawbacks that I’ve encountered. I would maybe like it extended to 4-6 weeks of scheduling so I can better see how longer term projects are playing out.

A personal assistant in your pocket

Although SkedPal has a good number of practical uses, it’s been like a personal assistant to me. Need to schedule something while you’re on campus but not in class? Planning to complete a project by a specific due date in minimum time chunks of 1.5 hours? Need to make a grocery list, schedule a meeting, or finish an assignment? SkedPal does a fantastic job of prioritizing your tasks and automatically scheduling them for you. If you don’t mark a task as done during the time SkedPal allotted, then it will reschedule it for you! It functions as a personal assistant that you don’t have to pay $17.50/hr to maintain.

PROS

Skedpal’s best feature is it’s time maps, which allow you to dynamically reschedule your life with a single button press.

CONS

The only downside with SkedPal is that I am having a difficult time generating tasks automatically for items on my Google Calendar. E.g: my calendar feed will populate Google Calendar with items labeled “Homework 4- Differential Equations” and I would like to automatically generate a task under Homework with a duration of 4 hours.

As mentioned above, SkedPal increases my daily productivity by decreasing the time required to figure out what needs to be done today, what can be completed today, and taking away the worry of everything else.

PROS

This scheduling/task software is a real winner! You put in your tasks, connect it to your calendar, and it shoots out your day, arranged by time and importance. I have hundreds of tasks I need to eventually accomplish, but instead of being overwhelmed, SkedPal ignores the ones that can wait and only shows me the ones I should do today. Amazingly refreshing and satisfying.

The best digital daily planner I've found - and actually use

For someone who has always struggled with prioritizing and time management, SkedPal is a game-changer. It actually is life-changing - true to a colleague's claim who recommended it to me.

PROS

The obvious differentiator is its dynamic time blocking feature. I've never seen any other tool provide for dynamic time blocking, such that as your schedule changes intraday, it automatically updates the schedule to make time for your noted priorities and push back the lesser ones - or bench them for later review. It's clear the team has put incredible time, energy, thought, and testing into this program and it will be around for the long haul.

CONS

It's a revolutionary way to plan your day, and especially if you're new to time blocking, it's a lot to wrap your mind around initially. However, the team is clearly aware of this and has provided a very robust onboarding process with videos and a hands-on sandbox environment.

ADHD LIFE-SAVER

Sanity, clarity + focus in my day.

PROS

My day and week change frequently, my tasks fluctuate on a regular basis often resulting in chaos and overwhelm of trying to do too much. I LOVE that Skedpal gives me all the functionality that I need yet still gives me a solid structure to plan my day, week and life and allows me to breath a bit easier knowing its on the backburner. Also, the AI is super helpful for an overthinker like me. So many features and the support is fantastic.

CONS

I think the user interface could use some work, but I know that is a secondary concern. I wish the functionality to time my tasks wasnt removed and/or if I had an easier way to prioritize tasks within a project. Overall - it takes a quite a bit of time to get the hang of the application - and I dont find it very intuitive, but I havent found anything like it- and I've tried everything - so I am hangin in there.

- New features can be slow at times - Localisation doesn't work well, e.g. time/date are displayed in American format only and the system doesn't handle foreign characters very well - The calendar forces itself onto your Outlook and can be a bit of hassle to remove - A bit too expensive compared to competitors

Changed my working life

Superb. Really exceeded my expectations and has changed how I work day to day. It's the first thing I check every day.

PROS

Loved how it automated my 'what should I be doing today', saving me several hours every month and allowing me to know that even if it is busy that I can achieve everything (or skedpal will tell me!). Great that it works with other calendars too, makes things seamless.

CONS

The software scans a certain amount in advance to give you your timetable. I don't need to see the actual planned timetable, but it would be useful if it were able to tell you if you're overscheduled for a later month. E.g. if a task will take 10h, then planning it for one day won't work.
