Happy to recommend

Very happy to be working with Events500i at the venue, its is a huge improvement on our previous system. [sensitive content hidden] have been great, during the sign up an setting up process, and with ongoing support.

PROS

Ease of use -* event management though the system is simple and most functions are simple to access and quick to use making coordinators more efficient. Diary management is great with very easy to use features to manage enquiries to ensure space is maximized.Reporting - the features are extensive, so you can drill in to the detail of things very easily. It also allows great visibility on users to make sure the team are on track with tasks/ work. Access - with the web based option we can check availability in real time on appointments. Support - [sensitive content hidden] and the team are always on hand and very quick with solutions and work arounds.

CONS

There was plenty of support during the set up process but it can take a little time to get your head around the different "items" and "notes" and what appears where on the contracts/ function sheets. However, once you have your hear around this its easy to use and adapt as you need.

Reason for choosing events500i

We were 90% decided on a different system having done multiple demonstrations and discussions. A chance call from [sensitive content hidden] led to a demo on Events500 and from that initial look i could see the system looked more user friendly. A follow up to go through the features in more detail and the decision was made. The team helped to find the best contract fit for our needs too which was massive help.

Reasons for switching to events500i

Previous system was becoming a legacy product and the replacement offered from the same company did not fit our needs.

Moving to E500 was a huge step for us in 2023

We have automated our enquiries straight into here

PROS

We have had hotel systems over the last 5 years so when choosing a new one we were very specific on what we wanted and what it had to deliver. The training and set up team were amazing, nothing was too much trouble , we had 2 day onsite training to set up and use the system before going live.This helped our team get a feel for it and understand the benefits of using it. importing the data from excel into the system was pretty straight forward and going live didnt take too long.Any little tweaks we have asked for have been implemented very quickly by the E500 team. the support from them is second to none and we are excited to see what they come up with next to help us in the wedding world!

CONS

We are struggling to use the function sheet option but i think this is due to the way we add so much detail into the event order.

Reasons for switching to events500i

we wanted a wedding friendly, easy to use software with a front end CRM option and no one else could offer this in a wedding way. lots of the other software is for hotels specifically and doesnt do quite what we wanted

Fantastic Team and System

The team are great and are always willing to amend and edit the system to our requirements. It is overall very useful for us to keep up with enquiries and leads, however recent developments such as the client portal and seating plan tool are adding to the great benefits of having Events500i.

PROS

Events500i is fantastic for inputting our enquiries, creating quotations and giving us prompts to follow up with leads. The support team are great and are very quick at responding to any questions or queries we have. They have helped to tailor the quotations and system to benefit our business and the way that we do things/the way we want everything to look for our clients.

CONS

If we had to choose something to improve it would be the ease of having our planning documents on the system and being able to add notes and details where they are needed with ease. Sometimes it is difficult to remember where we need to click to change details/timings etc.

Reasons for switching to events500i

To keep up with leads and to integrate an accounting system (Xero). The support team for the other company were also difficult to get hold of.

Couldn't be without events500i

We have a very large site and it is hugely beneficial to be able to see quickly and easily which areas are available on which date, and which aren't.Reporting is also something that wasn't hugely done before. We can now report on our profit forecast as we have factored supplier costs in and added an uplift, so we can see more than just the hire fee, but also everything that has been upsold as well which is proving invaluable.

PROS

We can make it work for us in our way, which is brilliant. The team understand that it is never a 'one size fits all' situation for event management and that is so evident. We can have multiple venue areas, whatever note types we want, items and packages galore and reporting on whatever we might need which is brilliant. It has made such an impact in my role here, as it means that everything we need to know is all in one place.

CONS

I struggle with the email feature, as it doesn't always feel like the right way to contact people, so I will copy and paste things instead. It is SO picky as well but sometimes the font doesn't match up, and some lines will look different to others on a contract and I struggle to change it! Nowhere near the end of the world though.

Revolutionized the way we work

Before events500i, we were very much a paper office; proposals went over via email, contracts were done as a Word doc then the event function sheet was done in another Word doc before we then did the invoice in Excel. Transferring so much data from one document to another in such a busy office meant we all made silly mistakes.

PROS

Having the ability to do everything from proposals to contracting to final details and invoicing on the go made so much sense. There are fewer errors as the proposal creates the contract which then creates the function sheet and invoicing and it's made us a lot more efficient in the process.

CONS

Nothing really. If I have to say something, it would be that with the older version, you could click and drag a booking if you needed to change a room or move a date.

Reason for choosing events500i

The produce did what we wanted and needed it to do. The price was good and the customer service was superb.
