Overall, we are very happy with Xledger. The implementation and integration support was excellent, and the ongoing helpdesk support has continued to be one of the strongest aspects of the service. The combination of a powerful API, highly customisable reporting and strong transaction tracking gives us a lot of flexibility in how we use the system. We never felt like we were left to figure things out ourselves, and the ongoing helpdesk support has been fantastic. Responses are very quick, and issues have consistently been resolved efficiently. I also really like the API integration and the flexibility of the reporting. Being able to create customised reports and then use an export link to connect them directly into Excel Power Query makes running and maintaining reports much quicker and easier. The reconciliation, GL and accrual functionality is also particularly useful for us, as it gives us a clear way to track and manage where we are with accruals. #### Cons Xledger is a very detailed and comprehensive system, with a huge number of functions and features. For our business, we don't use a lot of them, so at times it can feel like more system than we necessarily need. However, this level of detail does have its benefits. I have used Xledger on and off for over 10 years and the level of service has been really great. #### Cons I find that the user interface is lacking and needs a refresh. For those of us not working in the system every day it is hard to find the exact location in the system for doing certain tasks. We have multiple restricted income streams and budgets and are able to track and report on these in line with funder requirements. The self-service reporting for budget holders is also good, and saves time as budget holders can check on their spend without having to go back and forth with the finance team. Supplier payments is also good, with a direct link to the bank. #### Cons Some activities seem overcomplicated. For example, to set up a new user I have to switch back and forth between Chief Accountant and Domain Administrator roles and set them up in multiple places. I also find it difficult to track outstanding purchase orders by approver, and to transfer individual purchase order approvals from one person to another without transferring all items. #### Reasons for choosing Xledger I joined the Academy after the procurement had been carried out so I am not sure. #### Reasons for switching to Xledger We needed far greater functionality as the charity has grown since Opera 3 was implemented. Having been with our previous system for 12 years, following our tender process we were excited by the enhancements that Xledger would bring us across each stage of the finance function, and I'm pleased to say we are very much seeing these come through. There is such a depth to the functionality within the system, which gives you endless possibilities in how to configure your processes, and handle complex scenarios well. I have been extremely happy with the support provided right the way through Award, Implementation, Go Live and the ongoing customer support. We have complicated VAT rules which through some thorough discussions in implementation we were able to set up that works well for us, where this had been a real issue in our previous system and with others reviewed during our tender. The additional functionality Xledger provides us with is brilliant, and along with a range of standard reporting, the ability to create bespoke reports yourself within the system is excellent. Throughout the process our consultant was incredible, and the ongoing support the best I have seen. Xledger is continually developing, and these updates are made available and included within your licences, unlike what we have experienced with other systems where huge price hikes to transfer to the latest version were always the solution. #### Cons The style of some of the older screens don’t look as modern and has a bit less functionality, I know the development on these is ongoing, so very much looking forward to them all being in the upgraded format. Some more advanced integration, such as pay by invoice link with full reconciliation would be very welcome. #### Reasons for choosing Xledger Xledger best demonstrated that they could provide the functionality we required and we were impressed with them as a company. #### Reasons for switching to Xledger Switched from Access Dimensions as several areas in system were not providing the information we needed and the support was lacking. The sales team are honest and direct you to the correct level for your organisation. It has a user-friendly interface and is simple to get started on. It offers good value for money for the level of reporting you get. It has MTD and VAT features, and therefore is set up for tax management. Xledger automates repetitive finance tasks such as invoice processing, payments, reconciliations and approvals, reducing manual data entry.Approval workflows – Businesses can set up automated approval processes for areas such as purchasing and invoices, helping improve financial controls. We chose Xledger for its scalability as we grow in our various income streams and the complexity of the reporting requirements needed. #### Cons For smaller organisations it can be expensive, but as I said they are honest from the beginning with what will work for your size organisation and provide a high level of support. It is very in-depth so it does take a little getting used to but once the reports are written, it massively saves admin time and manual workarounds. During implementation and post go live, the Xledger consultants were really knowledgeable, their support was amazing and nothing was a silly question. We couldn't have implemented the system as quickly and effectively as we did without the Xledger team on hand constantly. We were on a really quick turn around and were able to go live within the expected plan. #### Cons One thing which did take a while to get used to was the different areas and how they all feeds together. Coming from a legacy system which was really outdated, it took a while to get used to the system.
