Embark: Affordable for Small Institutions, and Scalable as you Grow

We moved from paper applications by mail to entirely online applications with Embark, so it has revolutionized our admissions process. As noted above, I've found the Embark team to be timely, helpful, and entirely pleasant to work with.

PROS

(1) The Embark team. From sales to implementation, from implementation to support... It was easy to connect with actual people. And they were always timely and helpful with questions and issues.(2) The pricing structure is generous and fair, giving small organizations access to the full suite of pro tools.(3) I love the ability not only to work with the online forms, but also to generate PDFs.(4) The ability to add multiple reviewers and customize review panels was crucial.

CONS

Just a couple of small things... (1) We had a few applicants begin an application with an incorrect email address. It would be better, I think, to have some sort of verification process in place on the applicant side. (2) Our admin team would appreciate the ability to receive notifications RE new applications, submitted applications, etc.

Reason for choosing Embark Campus

After looking at 5 to 10 (major) full-fledged university admissions management systems, as well as a dozen or so other online form applications, we selected Embark because: (a) suite of tools is exactly what we need; (b) pricing structure; (c) flexibility; and (d) security.

Amazing Customer Service

The best thing about Embark has been the incredible customer service. [SENSITIVE CONTENT HIDDEN]and her team are incredibly responsive and helpful. They are always willing to help us make changes to our application and do so very quickly!

PROS

Switching to Embark from a google forms based application has definitely made the application process easier for us. With Recent updates its easier to make changes to our user facing application. I like being able to easily share selected applications with different reviewers.

CONS

While it used to be challenging to make changes to the application with out the help of the embark team, the recent update has given us more control and allowed us to make most changes ourselves. So there are currently no "cons" for us.

Reasons for switching to Embark Campus

Ability to attach files, save applications in progress and to have more control over the look and feel of the application.

Easy to use and very affordable for our small organization

[sensitive content hidden] has been great to work with. He responds to emails so quickly so I can tell we aren't just a small company that gets thrown to the wayside. He is clearly there to help make our experience great.

PROS

I loved that it is very affordable. Most platforms are designed with universities and large schools in mind. However, Embark targets those schools plus has smaller levels that fit the budget of schools with less than 100 students.

CONS

Don't really have any issues yet. They have been more than helpful.

It was simply a budget thing for us. Those companies also offered great products but we don't have thousands of people applying so we couldn't spend that type of money. Because Embark meets the needs of smaller institutions as well it was the perfect fit for us.

This helped us organize our many applications

PROS

Once an application is set up, it's super easy to use the software. We are able to save a ton of paper not printing applications as we can review online from computers and tablets, etc. It's also made the rate of completed applications increase as recommenders are invited to submit recs online (it's lessened the number of recs emailed to our office)

CONS

It's a little clunky moving back and forth between the test site and the live site - which makes for some confusion. Also, adding reviewers can be cumbersome but the support team is always there to help.

PROS

It is user friendly and easy to use. The features are just what we need for the admissions process (we really appreciate the recently-added "duplicate" view). We also appreciate how quickly we receive assistance, when needed.

CONS

The difference between filters and rules is a bit hard to grasp, but we make it work.

Excellent product and outstanding value

PROS

Years later, Embark is remains our most valuable tool in terms of running our fellowship program. We receive thousands of applications, and Embark helps us manage them easily and seamlessly without the need to add additional staff. The support team is truly fantastic.

CONS

Embark truly is fantastic, and I can't identify a single con about Embark. Any issues we've had with implementation has been quickly fixed by their engineering team.

On Boarding and Implementation

PROS

The on boarding and implementation was great. Once the system was configured we were able to start using it immediately. It was a seamless transition from previous software to Embark.

CONS

I do not have much negatives to say about the software, if there has been a concern the team has been responsive and quickly resolves it.

PROS

This platform is great!. It's incredibly easy to learn and navigate, meeting all of our needs. It enabled us to have much faster access to real time application data. The customer service is outstanding - [sensitive content hidden] are so friendly, accommodating, and responsive, and worked long hours to ensure we were ready for our launch. We appreciate their support!

CONS

Our team would like to see how we can build in more connections between the different “views” and “grids” (ex: being able to see which applicant was nominated by which person in the “applications grid”).

CSSSA's goal was to better manage student applications with the intent of making access easier for student applicants. Embark has enabled CSSSA to monitor and manage student applications effectively and efficiently. The help desk continues to be invaluable to both CSSSA and the applicants. The help desk responds in real time to applicants' technical issues and to any and all questions we have regarding filters, queries, reviewers and anything else that develops. The Embark help desk team is dedicated and passionate about their mission and work tirelessly to assist CSSSA and its applicants.

PROS

The software is easily accessible and intuitive for staff and our applicant students. We are able to make changes to the application and requirements directly and without the assistance of Embark. The upload process is intuitive and simple. The software allows me to easily group applications and assign reviewers. The analytics available are clearly presented and extremely helpful.

CONS

The ability to view uploaded portfolio materials takes more time than we would like. We are working with Embark to improve this process.

Privacy was a primary concern. Embark offered a service that met our needs and guaranteed the greatest privacy for our student applicants.

Embark has made our work more productive!

I love working with Embark. They are able to assist any time I have questions . . . and 99% of the time, when I have an idea to add to our dashboard, they're able to make it happen!

PROS

I love that Embark was able to create exactly what we'd been looking for for years! I also love their customer service, which is amazing!

An affordable application with extensive flexibility

We receive many applications from students around the world which were recruited by a large team of recruiters. This application allows us to process these applications in a short timeframe, allows us to archive the results and to keep everyone involved, informed of the progress of each application.

PROS

Our users enjoy the flexibility and dependability of Embark. One of our users has tailored the application considerably to provide even greater convenience and time-saving use for himself our other users.

CONS

So far, we have had no comments regarding any inconvenience or lack of flexibility in using the application.

We did not use Embark through the pandemic. I was pleasantly surprised at all of the improvements that made the admin side more user friendly.

There is nothing that I can think of now.

Excellent System for Applications

We were able to have all of our volunteer and student information, logistics, and paperwork in one easy place where staff all over the world could safely access and download what they need.

PROS

I loved the ease of use from a volunteer/student standpoint as well as from the behind the scenes standpoint. Uploading and downloading information is easy and the logic that can be applied behind the scenes (if this is clicked, than that happens) seems to be endless!

CONS

More CRM functionality would be a great addition, and Embark is really good about checking in to see what updates should be made and making them happen! They are ever evolving - in a good way!

We manage two different applications in Embark.

Embark is a great product at a great price. It has an outstanding customer service. We have received answers to our questions and support in minutes after we send an email.

PROS

Development time was optimal - we got our end product fast.Embark offers superb customer service.User-friendly - for management and end-users. Easy to manage and make changes to the product once it is in use.

CONS

The system doesn't have email reminders for a particular group of users (no main users), and I learned they are already working on that.

Grateful

We could not imagine going back to our old way of applying to our programs - our experience with Embark has been great!

PROS

I am grateful for your employees and support personnel who have helped myself and our team learn the ins and outs of the software, and troubleshoot issues that come up. Most of the time, it's user error, and your patience and quick responses have been very appreciated. [SENSITIVE CONTENT HIDDEN] and [SENSITIVE CONTENT HIDDEN] in particular, have been very attentive, professional, and a pleasure to work with.

CONS

There are often times what I would call glitches that we run into that slow down some of our work, that I wish could be corrected system wide. For example, many of our applicants report issues with being able to upload materials (their uploads get stuck on "converting," and this has been an ongoing issue for at least a year. We have a stock answer for these folks to try a few things and then contact support, but why can this be resolved system wide. It creates a lot of extra work on our end, and confusion on the applicants' end.

Excellent!

PROS

I love the look and feel of Embark from the user perspective. For our program, it is also very convenient as we can rollover and copy previous applications and make the minor adjustments for the upcoming round of solicitations. We also really enjoy the review side and how easy it is for our reviewers to simultaneously view the application and in the same window, write up their review. Pretty much anything we have needed or asked for, we have been able to accomplish. Embark has cut down our manual hours drastically with regards to some of the annual work our program does. Also the customer service and help desk is tremendous. They are quick, efficient, and have never let us down; this support was paramount in our decision to purchase and continue with Embark.

CONS

There isn't anything that I don't like. Honestly, Embark has been a pleasure to work with.

Great product to help run the first round of our competition

This program simplified and streamlined our first round of competition- I went from hours and hours with videos to just a few minutes a day of administrative upkeep.

PROS

Applicants seemed to have an easy time uploading. Judges, for the most part, also navigated well within the system. Customer support was stellar; above and beyond to help us out.

CONS

We've already been working with Embark on a very small, fixable listing option on the homepage.

We moved from a paper based application system to this electronic system which obviously saves a lot of time and the information is available for download in Excel.

PROS

Ease of use and functionality. Easy to download data into Excel which we use when we start our shortlisting process.

Increase your team by One!
