It's alot to implement up front but it's worth it because out communication and awareness of spending in the company has improved majorly. The learning curve was honestly minimal for our team. Everything is laid out in a way that makes sense, and even our truck drivers picked it up quickly without needing constant help. We really appreciate how strong the maintenance and inspections features are. Our mechanics are hesitant about apps, but they are right into it. For a company running trucks, trailers, and heavy equipment, having everything organized in one place feels like a lifesaver, especially since we were flying blind before. Security-wise, we have never had a concern, the system feels stable, safe, and professional. Overall, the value for money is solid. It does exactly what it says it does and saves us all time. #### Cons Nothing major. We’ve run into a couple very small bugs and issues here and there, but nothing that slowed us down or made the software unusable. They were more small quirks than real problems, and they get sorted quickly. You just had to restart the app or the phone. #### Reasons for choosing Fleetio Arbostar just wasn't a smooth experience. I have had P.O.'s set open for more than a month and did not know it. I would like to have FleetioGo flash a warning when a bus is taken out of service in an inspection. It helps fleets reduce downtime and stay compliant. Also the reporting side of Fleetio is very helpful and gives important analytics. #### Cons Some workflows seem locked in and are nit fully customizable where you can make the report to your personal liking. Great. It definitely took about a year to really hone it in on our needs and get the system tricked out, but then for a couple years it was GREAT! The benefits it gave us were not imagined. We would not go back to a day without Fleetio. We have one place where multiple teams/people can look at a wide variety of things. Our maintenance guys can look at maintenance reports and planning, shop info, invoices, and cost reports. Drivers can do monthly inspections, report issues, review maintenance issues, and send requests. The Admin team can maintain DMV records, smog certs, insurance, etc., and use data to determine End of Life issues and new truck purchases. We can manage our overall operational budgets, fuel and service costs, and manage high use vehicles. Overall a game changer to our Fleet Management system. #### Cons Often times update / upgrades do not make things better. They just make developers and sales folks feel happy that they got to change the UI. The new UI with everything sandwiched together is annoying. Every time there is an update it costs us with the down time to relearn and doesn't really add any benefits to us. Our drivers get frustrated and our mechanic team loses momentum. With guys like this, these kinds of changes really break our system. The frustration causes them not to use the software, and for us to have to do training and get buy-in over again. You need to keep things stable. Add but don't change. The platform is also remarkably user-friendly, with an intuitive interface that doesn't require extensive training to navigate. Whether I'm pulling up a vehicle's service history or logging a new work order, the experience is straightforward and efficient. Fleetio has genuinely streamlined our day-to-day fleet operations in a meaningful way. #### Cons My biggest frustration with Fleetio has been the telematics integration with our GPS provider, One Step GPS. When we evaluated Fleetio, the seamless syncing of telematics data was presented as a key feature and a major selling point of the integration. Unfortunately, in practice, it has not functioned as advertised. GPS and telematics data from One Step GPS does not reliably update within Fleetio, which undermines one of the core benefits we were expecting from the platform. When we started using Fleetio we found out it was more outdated than the thought. The integration with our GPS system and the ability to created a writeup on the phone, track the progress, and communicate the completion of the repair is amazing. #### Cons Parts ordering and tracking is not as good as we had. 1. It needs recommended reorder levels2. Barcode scanning on laptops not just phones3. Part number cross-reference so we can see if we have the same part available under a different number. #### Reasons for choosing Fleetio Modern communication in the app. Ease of adding pictures. PM scheduling. Geotab integration. This is especially important for our organization as we are spread across multiple office locations in various states, which makes managing our fleet a challenge. Fleetio has made it far more organized and easy for all our operators. #### Cons Although a great deal of Fleetio's settings are customizable, there are some features that would be more convenient if they had a customizable option. For example, there we have to pay HVUT on a few of our larger trucks, and Fleetio does not have an option to create a custom vehicle renewal reminder for this. Furthermore, Fleetio does not currently have a way to track vehicle depreciation, which would be helpful for our financial processes, especially as a nonprofit subject to an annual audit process. However, the main features of Fleetio cover all our critical needs and therefore these are minor issues. #### Reasons for choosing Fleetio Fleetio was by far the best option for our unique needs (primarily fleet database & management, not GPS/telematics - although they do offer many integrations for these) and the size of our fleet. Fleetio's features for vehicle information, maintenance scheduling & tracking, mobile app interface for operators, and customizable settings are unmatched. #### Vendor response Thank you for your in-depth review, Amanda! No incentive was offered We have a 22 car fleet for technicians, the drivers keep them from cradle to grave. It's probably an hour a car to completely get it set up. Once all the info is in you can eliminate a few Excel sheets around the office since its all in Fleetio. I went back 6 months with repair data - it was worth doing. Fleetio sweeps in our Wex gas charge card charges every night, this gets vehicle odometers in for maint reminders and calculates fuel mileage. For a new vehicle I input total cost incl sales tax on a 4 year note so Fleetio shows this in cost per mile (45 cents) vs 22 cents on an 80 - 100k mile vehicle that we own so I think this will help in the keep/trade/junk the car decisions. I can see all repairs done to a car so when something happens I have a context to make decisions from. I looked up all owners manuals online and input the oil change, coolant, trans svc, engine and cabin air filter, spark plug & PCV valve and tire rotation intervals into Fleetio. It now e-mails me and the driver when service is due and I can quickly see - say its an oil change at 97K - lets do the 100K spark plug change too. A car w/ spark plugs changed at 60k during a repair can go to 160K, you can set all that. Also tire rotations - the reminder I made says how to rotate "Front Wheel Drive 4 Tire - LR to RF to RR to LF to LR" for each type of car. Five wheel rotation says lubricate spare tire carrier, etc. So now I can see what's coming due in on list. I think we can deliver a better experience to our drivers now, too. It's so nice to know that everything is being done that should be and that we're not doing things twice which we were sometimes before. Especially with so many white vehicles none of us really knew which was which never mind their histories. #### Cons Some things I think could be improved to save labor on the admin end but they are continuously upgrading it and we have worse problems with our accounting and service dispatch software which costs a lot more. So Fleetio's not perfect but not perfect compared to what? We used to wait for the paper inspection to come in to schedule work to be done. By the time you received the inspection sheet that problem has been needing repair for over a week. Now that the truck operators input the issues directly to the system our shop sees the issue that day and schedules the work for that weekend. Efficiency is way better now that we have been running the Fleetio Software. Your Dashboard is an extremely useful landing page that will give you all the important information you need in an instant. I really like seeing what our monthly spend has been over time and whether we are trending up on spend or hopefully down. The integration with Geotab has made odometer updates a breeze and the DTC Alerts is great. I could go on and on about how great they are but to some it up, Fleetio is a company that gets it, they understand what companies need out of a fleet management software. #### Cons Few minor issues with Purchase Orders like the ability to create a PO from a work order, but they continually add helpful features! They currently do not fully integrate with our fueling network which is CFN but the Flyers Energy side of things. Hopefully that will be coming soon as well. I feel like some of the reporting could be slightly better. The best feature is arguably the ability to view all fleet related information (maintenance, drivers, location, inspections, fuel) in one console that allows comprehensive drill down data. #### Cons The integration with fuel card vendors can be frustrating in the fact that it always imports odometer readings. Since entries are entered by staff, these can be off and throw off false-positives that require more work. The mobile app is a brilliant feature and makes it very easy to report and record in a matter of seconds. #### Cons There is not much scope for customisation of the Work Orders, which means that job cars which are given to the mechanics contains irrelevant information (for our uses) and the important information does not really stand out.I would also like to see a little more flexibility in terms of altering Service Reminders- possibly just being able to snooze to a specific Odometer reading as it can be a bit of a pain if things get out of whack due to discrepancies or errors, such as erroneous meter values being automatically imported by connected GPS systems. #### Vendor response Thanks for the feedback, Andy!
